The Operations Assistant supports the Chair with all administration to enable Hidayah to function smoothly. Responsibilities include, but aren’t limited to:
- Providing administrative support to the Chair including scheduling meetings, managing calendars and responding to emails
- Creating process flows to enable service delivery and monitor progress
- Preparing meeting agendas, taking notes and sharing meeting minutes
- Maintaining accurate and up-to-date records and databases including documents on the Google Drive
- Aiding in the planning and execution of all operational projects and initiatives
- Preparing reports, presentations, and documentation as needed e.g., for annual reports
- Responding to inquiries and providing information to internal and external stakeholders
- Performing other duties and tasks as assigned by the Chair
How much time is required?
We are flexible around your schedule but we anticipate that the role will require around 4 hours per week. The following commitments are in place for all Hidayah volunteers:
- Aim to attend all relevant meetings, delivering a comprehensive report with updates and to complete actions as and when they appear
- Aim to attend all other planning meetings as necessary
- Attend Hidayah events (where geographically possible)
- Help to fundraise for, and advertise, any Hidayah events and fundraising drives
- Add to and maintain the administration of our file sharing system ‘Google Drive’ to ensure it’s up to date with clear records, templates and forms
- Check and respond to emails in a timely manner
- Contribute to the communications group (via Discord) and stay up to date with Hidayah developments
- Provide information, statements and data for the annual report
- Keep up to date with Hidayah communication and organisational developments
This role is subject to a 6 months probationary period with a 2 month notice period should you wish to resign.
What is expected from an Operations Assistant?
Knowledge:
- Educated to degree level or experience which demonstrates equivalent analytical ability
- Knowledge of quality assurance systems and their benefits for the voluntary sector
- Knowledge of good governance procedures for the voluntary sector
- Understanding of confidentiality, equality and diversity and safeguarding procedures
Personality:
- A self-starter who can volunteer with minimal supervision
- Friendliness, enthusiasm, dedication, responsiveness, flexibility and eagerness in supporting the aims, vision and mission of Hidayah

Having successfully delivered a major programme of groundbreaking work on the condition of the charity sector in the form of the Law Family Commission on Civil Society at the start of 2023, PBE entered a new phase in its development. Building on its growing research and policy expertise and its strong association with the social sector, the organisation takes a bottom-up and top-down approach to exploring, understanding, and tackling the causes and consequences of low personal wellbeing in the UK that uses the insights and perspectives of charities and community groups as a unique jumping off point. About the role
Reporting directly to Pro Bono Economics’ Finance & HR Manager you will be offering much valued support to PBE’s Operations team with the day-to-day finance and operations processes. This is a varied and exciting role requiring a strong finance and office background, excellent organisation skills, a keen eye for detail and a great level of accuracy. It also offers a great opportunity to develop your existing skills and learn new ones in a high impact charity.

Main Duties & Responsibilities
Finance
- To support the Finance & HR Manager with the monthly payment run
- Processing purchase invoices on our Xero account
- Perform weekly bank reconciliations.
- Raising sales invoices and dealing with outstanding payments
- To assist with quarterly VAT returns
- To assist the with general finance administration duties and managing the finance inbox
Operations & IT
- To support the Finance & HR Manager with recruitment
- To assist with maintaining office stationery and supplies
- To assist with reporting maintenance and repairs.
- To assist with reporting/logging IT issues with the external IT support team.
- Any other duties as deemed reasonable by the line manager.
About you
We are looking for an enthusiastic candidate with a strong finance and office background with a passion for the social sector and able to commit a minimum of 10 hours a week.
Ideal characteristics include:
- Ability to communicate effectively with a wide range of people
- A keen eye for detail and a great level of accuracy
- Good working knowledge of Excel
- Experience of using an accounting package preferably Xero
- Excellent organisational skills

Do you enjoy working with people and would you like to make a positive impact for Turtle Doves? This species was once widespread and numerous but now is down to 2100 pairs in the UK. The Operation Turtle Dove project in partnership of RSPB, Natural England, Penthorpe Conservation Trust and Fair to Nature was established to conserve this iconic, red-listed species. Our staff and volunteers are working with landowners to try and halt and reverse the population decline but we need to measure our progress. Following on from the successful 2021 National Turtle Dove survey, we need to expand our network of survey volunteers in Kent, Sussex and Essex to enable yearly monitoring of survey squares for Turtle Doves.
We are looking for an organised person with excellent communication & IT skills to join our team and to help run the Turtle Dove monitoring program and supporting a network of volunteers. Experience in carrying out bird surveys is welcome but NOT essential, we can provide training so you can understand the role of the surveyors you will be recruiting and co-ordinating. This role could be carried out remotely. This is a year-round roll with peaks in activity before and after the survey season which runs from 11th May until 31st July. All equipment needed will be supplied.
Volunteer Coordinators undertake a wide range of activities, including:
Tasks:
- Dealing with queries from potential new volunteers who get in touch
- Being the first point of contact for our existing volunteers and answering general queries
- Lead on advertising new volunteer roles (on the RSPB and external websites, in the local community)
- Set up interviews with potential volunteers and assist with induction administration
- Administrative tasks such as recording volunteer hours, registering new volunteers on our database, organising surveys, receiving, and entering data and processing expense claims
- Organising and managing a small budget for volunteer thank-you events at the end of the survey season.

Role summary
In this role, you will be helping to ensure that much needed meals get to the right people, connecting cooks and diners in your local area, and assisting with collection and distribution.
If you’re eager to get involved in the Nourish Now Project but are not interested in cooking an extra portion of a meal, signing up as a Connector may be for you.
We’ll provide you with a cool bag, some spare containers and labels. Just leave these out on your doorstep on the agreed day, so people can leave their meals in the bag. You don’t even have to be in! Once you’ve got the meals, we’ll let you know where to drop them, or arrange for someone to collect the meals from you for distribution if you’re unable to deliver them.
We also offer the opportunity to help collect meals from cooks who are unable to deliver directly themselves and drop these to our diners- all within walking distance of you! About us
The Act Now Initiative designs simple, sustainable solutions to the problems local communities are facing. In this role, you would be working on our primary project, Nourish Now, under which volunteer cooks make one extra portion of a meal per week, which is then distributed to people in urgent need of a nourishing meal and of social connection. So far, we have facilitated the provision of over 2,500 meals, using no transport, no extra kitchens, and no extra energy.
Conditions

- Assist with the collection and distribution of meals.

About the Donated Stock Team
The Donated Stock Team is responsible for driving stock donations across the whole of retail and stimulating partnerships that will lead to stock donations. We also work on for brand awareness through social media to encourage more people to donate stock.
The team is incredibly passionate about the work they do and are proud of their achievements, including increasing stock donations by +50% year-to-date and winning the Sense Team Award for Professional excellence. This role provides our team the support to help raise income through our shops with a focus on helping us coordinate our stock and by providing administrative support.

This role involves maintaining and tending to the garden for the residents to enjoy. This may involve trimming hedges, weeding, cutting the lawn and helping with whatever is needed.

Lead Volunteer Role Description
- To update the Volunteers’ Rota from the Court diary and ensure that each Volunteer in the team and the CCSS office has a copy. Wherever possible, the Rota should be kept on a computer for updating and emailed to the rest of the team and the office.
- Ensure sufficient numbers of Volunteers are on duty for effective and appropriate support for bereaved families and witnesses who attend the Inquests.
- To arrange and re-arrange the Rota between the Volunteers, noting any holiday or leave of absence dates.
- Ensure a finalised Rota is sent to the office at the end of each month in order for volunteer expenses to be checked and processed.
- To ensure that all the Volunteers have each other’s contact details and the Volunteer emergency contact details are included in the court file and updated when changes occur.
- To ensure monthly and yearly statistics are kept up to date and to send the Monthly Statistics to the Volunteer who collates the stats at the end of each month.
- To ensure there are sufficient Report Forms for the Volunteers’ use if collecting stats in paper format. If alternative methods of collecting stats are used, to ensure that the team are all using the same method.
- To inform the Operations & Training Manager and the CCSS office of the need for more Volunteers or of any leavers.
- To assist with the recruitment interviews and induction of new Volunteers.
- Responsible for the support of new Volunteers and their final sign off. Where the Lead Volunteer has concerns about the level of support required or the competency of a new Volunteer, they should refer those concerns to the Operations & Training Manager.
- To organise Volunteer team meetings (minimum of 3 meetings per year) and to inform the Operations & Training Manager and the CCSS office via email of the dates of these so they can attend if necessary/appropriate.
- To immediately refer any serious concerns raised by the Coroner or Coroner’s Officers to the CEO.
- To inform the CEO immediately of any issues or concerns that arises at the Court that might impact on the CCSS.
- To provide local information for the Helpline Court Information Sheet when requested.
- To ensure the team follow the practices of the court and work in partnership with the court staff.
- To forward any testimonials about the support provided by our volunteers to the CCSS office.
- Responsibility for maintaining the stock of CCSS leaflets.
- Organise cover for themselves when they are on holiday or need to take time off.
