 Job ADVERT for Part-time Administrator

The Project for the Registration of Children as British Citizens (PRCBC) is seeking to recruit a part-time self-motivating and committed Administrator. The postholder will be at the core of PRCBC and involved in all aspects of PRCBC’s work. This post will be based at our office in Hammersmith, London.

Salary: £32,000-36,000 FT (pro rata)

3 days per week

About the Role

The position is permanent and part-time. It is for 3 days per week, for the right candidate. The postholder must be available to work one Saturday a month. A normal working week is 21 hours (3 days per week) to be worked between 09:30am to 5:30pm weekdays. There may be an opportunity to work from home once a week after probationary period.

The main tasks of the role include: maintaining effective communication and correspondence with our vulnerable young clients and booking appointments; overseeing and updating our case management system; administrative financial work, costs billing and creating invoices; and general administrative duties including filing, scanning, shredding, archiving, photocopying, creating e-bundles, preparing and taking post to the post office, completing forms, and requesting subject access disclosure and other information from third parties.

The role also requires the administrator to support, where necessary, the day-to-day administrative management of the office and PRCBC operations. This includes liaising with external stakeholders across a range of areas such as IT support and building management; supporting the maintenance and updating of operational procedures and practices; and completing ad-hoc administrative tasks, such as office supply procurement, as required.

To work effectively at PRCBC, it is necessary for the administrator to closely follow instructions, retain a professional approach throughout, and be highly focused and well organised, with excellent attention to detail.

Due to the varied nature of PRCBC’s work, the administrator participates in many aspects of the management, administrative and legal process, and interacts with a wide range of individuals, from solicitors and barristers to social workers and foster parents, alongside frequently vulnerable young clients and their carers. The administrator is therefore expected to manage a varied and evolving workload. The right candidate will have an initiative-taking mindset, be highly adaptable and willing and able to take initiative in daily operations.

We are seeking two motivated and detail-oriented Junior Project Managers to join our IT Transformation Team at Look Ahead. In this role, you will assist in the planning, execution, and completion of various projects including Finance systems and case management systems. You will work closely with the Head of IT Programme and cross-functional teams to ensure project milestones are met on time and within budget. What you'll do:

Assist in the development of project plans, including scope, objectives, timelines, and deliverables.
Coordinate and communicate with internal teams and stakeholders to ensure project tasks are completed as scheduled.
Track project progress and prepare status reports for senior management.
Assist in managing resources to ensure projects remain within scope and financial constraints.

About the role:

This is a great chance to be a part of a service working alongside the Healthcare & Education Department within HMP Bronzefield to identify and support women who are identified as being neurodiverse and will be returning to the community. Of that cohort, the Advocate will focus support on women with a mental health need and improve their transition into the community, with ongoing community support; including collaborating with other healthcare professionals to their develop support plans.

The Senior MH Advocate will work in a multi-disciplinary way, including attending the weekly complex case meeting and/or the Safety Intervention Meeting (SIM) as appropriate, they will act as a specialist member of the wider Minerva Criminal Justice Service - London team, to facilitate a pathway for women with complex needs including mental health and neurodiversity needs. The Senior Advocate will create a link between prison and the community, helping women to navigate support services and to positively re-integrate into their community upon release. They will co-design a person-centred support and action plan with women accessing support, enabling to support them to address their needs and any risks. The role will combine a casework- based approach, along with a signposting and advice service for the women.

The Senior Mental Health Advocate will be based in the community and will provide a drop-in service (1-2 day per week) in HMP Bronzefield to support women who are close to release. The role will also include line management of other advocates such as; Specialist Prison & Probation Advocates who will be based in the prison and the Loss & Bereavement Worker who will be providing support in the prison as well as in the community.

A car may be desirable for this role, though not essential

About You:

To be successful as the Senior Mental Health Advocate you will need the below experience and skills:

An excellent understanding of mental health, neurodiversity needs violence against women and girls and its links to women in the criminal justice system

Experience of managing/supervising a team of advocates/caseworkers – and leading a team to achieve targets & outcomes as well as appropriately managing and leading the team on any safeguarding concerns/incidents.

You will have the ability to complete trauma informed, support and action plans in collaboration with the woman; to support in addressing their multiple and individual needs and enable them to engage with services, which will result in timely and prescribed outcomes being achieved.

You will possess excellent organisational skills, excellent communication skills and be able to work in a prison environment whilst remaining calm.

vegetables as well as dietary and religiously appropriate food which we have continued to run at our five-week sessions to local people for as long as they address the underlying cause.

We also provide a range of wraparound support, including advice services, particularly around employment and immigration through our Back2Work Team, Holiday Clubs for Children, Youth Groups, a Clothing Bank and our Spring Up Women’s group.

Main Purposes of Job and Key Tasks

We are seeking a highly organised and quick-witted Operations Officer to join our dynamic team at Spring Community Hub. The ideal candidate will have experience in operations or project management and excel at managing multiple priorities simultaneously. This role is crucial in supporting the day-to-day operations of the organisation and ensuring smooth workflows across various departments.

In addition to their primary operations duties, the Operations Officer will also play a key role in recruiting and managing volunteers, organising events, and assisting with fundraising activities. The Operations Officer will support impact, monitoring, and evaluation tasks to help demonstrate the effectiveness of our programs to funders and stakeholders.

This is an exciting opportunity for an experienced candidate, preferably from a project delivery or impact measurement and evaluation background.

Primary duties include:

Jangala is seeking a technically adept and impact-driven person to generate insights from our internet inclusion projects across the UK and internationally. This role will be central in demonstrating the outcomes of Jangala’s programmes, improving our products and support to partners, and contributing to our organisational learning as we aim to deliver socially impactful internet to  4 million people by 2030.

Details of the role

You will design and deliver Jangala’s monitoring, evaluation and data analysis activities. The role will report to Jangala’s Head of Programmes and be a member of the Jangala’s programmes department which leads on the delivery of Jangala’s donor-funded programmes in the UK and internationally, deploying Jangala’s award-winning technology and developing partnerships with community groups and grassroots organisations, charities, local authorities and the United Nations.

Key responsibilities will include:

• Designing and implementing Jangala’s M&E and data analysis systems across UK and international projects, aligning with our 2030 Vision and Theory of Change, as well as donor requirements

• Leading the design and implementation of both quantitative and qualitative data collection tools, including structured surveys, stakeholder interviews and case studies, ensuring methods are ethical and appropriate for diverse contexts

• Developing pipelines and scripts (primarily in Python) to analyse and interpret device telemetry data - eg. usage patterns, uptime, throughput and context-specific behaviours - across tens of thousands of devices operating in a variety of contexts

• Integrating qualitative findings with telemetry and survey data to develop a holistic understanding of impact, progress against indicators and our Theory of Change

• Collecting and analysing data and feedback from partners, end users and stakeholders eg. interviews, surveys and the development of case studies

• Collaborate with delivery partners and external stakeholders  to carry out M & E activities and report creation

• Ensuring the secure and organised storage of M&E data and supporting system improvements for capture and access

The person we're looking for

OUTLINE OF THE ROLE

Work with the Trustees to devise and lead new fundraising initiatives that fulfil the objectives of the Trust's Fundraising Strategy and annual income budget, with particular focus on regular giving across all alumni, gifts from high-net-worth individuals, and legacies. This will involve:

• Manage and maintain donor data

The Trust needs to maintain a full and accurate database of all donors and fundraising activities to support long-term tracking and inform future fundraising. This also requires networking among alumni and being vigilant to changes in alumni data.

• Research and approach alumni whose connection with the Trust has lapsed

Continue to grow the active network through researching and motivating dormant and lapsed alumni to reconnect with the Trust.

• Research untapped prospects

Research the database with a view to identifying dormant and untapped opportunities, especially regarding

high-net-worth individuals and legacies. Ensure fundraising approaches are well-targeted and informed in order to maximise the chances of success. This will expand to include non-alumni sources, including institutional sources such as foundations and other trusts.

• Ensure long-term donor connection

Communicate with all donors to demonstrate the impact they can make by showcasing the current and long-term outcome of programs. Deliver a diverse selection of communications to engage different audiences, with a clear plan for all members of the network. Ensure donors are connected to the Trust, value the Trust's activities and actively help fund opportunities.

• Reporting to the Trustees

Create an annual donor impact report to the Trustees, and other stakeholders such as alumni, that delineates donor statistics, reviews communications and events that have taken place during the past year and identifies potential prospects and events for developing in the coming year. Also provide a lower-level oral report of fundraising activities and communications to the Trustees at their quarterly meetings.

• Deliver income growth target

Acquire enough new donations to meet agreed annual income growth targets set by the Trustees.

You will be expected to perform different tasks as necessitated by your changing role within the charity and its overall objectives. For instance, organizing fund-raising specific events in different regions. This position could evolve into a full-time commitment with a support team, but at the present time, support to this role will be provided through the existing network of volunteers.

About the role

The Group Work Facilitator will play a pivotal role in delivering the CouRAGEus Project, an initiative designed to support Black and Global Majority young women, LGBTQ+ youth, and disabled young people. The role involves facilitating safe, inclusive, and empowering group work sessions that foster emotional resilience, healthy relationships, and self-advocacy.

The Facilitator will provide a trauma-informed, culturally responsive space where participants can explore issues such as mental health, well-being, consent, and social justice. By collaborating with a multidisciplinary team and tailoring interventions to meet diverse needs, the Facilitator will help participants build confidence, develop skills, and navigate challenges while promoting their overall safety and empowerment.

Responsibilities

In this role you will have 6 key responsibilities:

Financial: Managing a portfolio of high-value relationships and to deliver income at the agreed annual target in the first year with an expectation this will rise year on year.

Management:  You will be one of the first points of contact internally for trusts/foundations and individual major donors (IMD) related queries and will work in accordance with the major giving team strategic plan and existing procedures, practices and standards.

Relationship:You will seek to actively develop and manage excellent relationships with an agreed portfolio of trusts/foundations and IMD capable of donating a minimum of £25,000 or more as a single gift each year. In addition you will need to:

• Develop and implement professionally written action plans which will engage, inform and nurture prospects and donors to deliver gifts at the agreed level.
• Undertake timely administration to capture and record knowledge of supporters within the customer relationship management database. Work with the organisation’s systems team to utilise this information to enhance applications and giving levels
• Pro-actively develop relationships with key stakeholders within the MAF organisation(s)
• Present MAF proposals alone or with others, (member of the operational field team, CEO etc), to prospects and donors.
• Participate in events to develop relationships with donors, inviting individuals from portfolios where appropriate and co-ordinate visits to MAF overseas operations where appropriate to introduce these donors directly to the work of MAF.  

Information: Information management and analytical thinking is essential as you will present detailed, accurate and high-quality fundraising proposals to prospects and donors, ensuring any specific deadlines or funding windows are complied with.   In addition you will need to:

• Ensure that donors are thanked appropriately for their gifts with timely and appropriate reports, letters and phone call.
• Provide timely ‘report backs’ that are appropriate/agreed with each donor, to evidence effective use of funding and to encourage the opportunity to make further applications based on good stewardship and achievement of agreed outcomes.
• Maintain a thorough knowledge, and the funding priority, of projects available for funding by trusts/foundations supporters and prospects.
• Actively seeking to grow the trusts/foundations portfolio and income through the use of research
• Attending regular appropriate training courses, external forums and networks to ensure continuous personal development 

Major Donor team (practice/ procedures/training):As a key member of the team you will need to ensure procedures and standards are developed/maintained to ensure we are effective and compliant with any legislation/regulation.

CRM Database: To provide support to the Partnership Executive, who will be the team’s CRM database lead and maintain a thorough working understanding of MAF UK’s CRM system in order to answer specific team queries.  You will need to support the teams day-to-day CRM activities including producing reports, importing data, adding activities, amending details and any other relevant tasks

In line with all staff in MAF UK you will be required to:

1. Be a role model of organisational values and beliefs - contributing to the shared spiritual life of the MAF UK team as a unique Christian charity. This will include attendance and participation in corporate times of biblical reflection and corporate prayer meetings
2. Participate in appropriate matrix programme and project teams, contributing skills and expertise to required timescales from the appropriate programme leader
3. Keep your line manager informed of all relevant and timely information
4. At all times comply with statutory requirements for handling personal and sensitive data in a confidential manner
5. To abide by Safeguarding and Conduct Policies, and all other MAF UK policies provided on the Intranet

Qualifications, Skills & Experience

Essential Requirements

• Educated to degree level
• Experience of working with donors or in a relationship management environment
• Experience of utilising knowledge of audiences to develop donor involvement
• Your personal skills and attributes will need to include
  • Excellent writing skills with the ability to successfully present project proposals to trusts and foundations
  • Proficient skills in Microsoft applications
  • Able to communicate positively, persuasively, and sensitively across functions and organisations
  • Building strong partnerships across the organisation and maintaining a positive and friendly approach even under pressure
  • The ability to positively influence non-direct reports in order to obtain information, or drive activity
  • High levels of efficiency and quality – Excellent attention to detail
  • Financially literate and able to interpret business plans
  • Able to manage multiple deadlines and priorities
  • Committed and mature Christian, able to demonstrate understanding and acceptance of the Statement of Faith and willing to proactively take part in MAF events and meetings e.g. prayer meetings, away days etc. Able to describe these beliefs and values to others so as to represent MAF as a Christian mission organisation

Highly Desriable requirements

• Major donor/trusts & foundations or other transferable fundraising training

• Experience of working in a Christian organisation or charity/fundraising environment

• Successful work experience within a fundraising environment

  Benefits:

• Salary:   £42,000 per annum depending upon experience 
• Hours: This role is full time, 36 hours per week
• Pension: MAF UK provides a non-contributory pension scheme for staff of 10% salary on joining
• Annual leave entitlement: 22 days per year plus 8 statutory paid public holidays per year (including those falling at Christmas and New Year).

Location: This role can be based at the MAF UK Offices in Scotland, Glasgow,  or optionally could be in the Oxford, Cambridge arc as we are launching a new hub in the Milton Keynes area, maximising our engagement with a thriving local aerospace and charity sector region.  Up to two days a week in our Folkstone Office might be initially required.We welcome hybrid working in line with our flexible working policy, the needs of the business, the requirements of the role and your location. This will be discussed at interview.
