About the Role

The Legal Officer will be an integral part of the UK Litigation team and will work closely with external legal teams to advance our cases and ensure coordination of legal actions in line with Reprieve’s strategic goals. They will be responsible for administration and maintenance of casefiles and key case management documents and assume certain day-to-day file management responsibilities. They will feed into case strategy discussions and will support the team by conducting and overseeing legal and factual research, drafting documents for litigation and advocacy purposes, and producing and maintaining core internal documents and records. The Legal Officer will also help advance investigations on selected cases, coordinating record collection, feeding into investigation plans and supporting other investigative work. 

In addition to working on UK legal cases, the role will encompass work on Reprieve’s cross-cutting strategic United Nations engagement and international litigation. This will involve monitoring for relevant opportunities to shape international law and working on international legal submissions, particularly before international human rights complaints mechanisms and international tribunals. 

There may also be opportunities to contribute to other areas of Reprieve’s work. 

The Legal Officer will be responsible for overseeing and line managing trainees seconded from partner law firms.

Length and Salary

This is a full-time role, on a one-year fixed term contract, with the possibility to extend, subject to funding. The annual salary is £42,193 per annum, less any required deductions for income tax and national insurance. 

This role is based in Reprieve’s London office. Reprieve operates a hybrid working model and we require staff to work two days per week from the London office and the rest of the week from home. Applicants must have the current right to work in the UK, which will be checked prior to interview.

Your presence is important during core office hours, whether remotely or in the office. You will also be available outside of office hours in the event of an emergency, for example case developments that require urgent action. This is a role that may require travel and work outside of core office hours from time to time.

Purpose of the role:

At NEON, we know that you can’t separate the external work of the organisation from the internal work. They are so interlinked and interdependent that they both have to be given priority and resources if we want to achieve high impact. We see them as inseparable.

Key Responsibilities: 

1. Doing all of our day-to-day fundraising administration to keep us well-organised and compliant. This includes:

   1. Recording and monitoring fundraising data using our Fundraising Tracking Database

   2. Keeping all of our grant agreements, contracts and other relevant documentation well-organised on GDrive and elsewhere 

   3. Ensuring compliance with the financial requirements of the grant agreements, and updating and maintaining the grant payments schedule 

   4. Raising invoices on Xero in line with funder agreements - noting instalment dates and receipts

2. Preparing payroll each month, ensuring everything happens on time and coordinating with our payroll agency. (This may only be a temporary responsibility) 

3. Processing and reconciling payments. This includes:

   1. Reconciling bank receipts and chasing late payments

   2. Processing supplier invoices and payments

   3. Monitoring our team’s Pleo card expenses and posting on Slack to our team for authorisation

   4. Managing the subscriptions on Pleo cards (this is likely a temporary responsibility until our People & Ops Manager returns from sabbatical leave)

4. Preparing some financial reports and accounts. This includes accounts to trial balance, and ad hoc reports from Xero when our team have finance queries or need support

5. Supporting with finance projects which make our finance systems work more efficiently, simply and sustainably e.g. helping to update our budget spreadsheets and approach to budgeting, or moving to a new bank

6. Supporting the Head of Finance with budgets, financial planning and reports and any other ad hoc finance tasks

7. Being part of Ops Hub shared work and cross-organisational work and team days 

About you:

• You have experience dealing with people in different capacities, both internally and externally, on a day to day basis, and build strong working relationships

• You have solid finance experience and skill. For us that means:

  1. a minimum of three years work experience in a finance role, preferably within the charity/non profit sector. This means you have a good understanding of non-profit finance, including VAT and managing restricted and unrestricted funds

  2. a solid understanding of Accounts Payable (with BACs, invoicing, etc) and Receivable (invoicing and credit control) processes

  3. a Level 4 AAT, equivalent qualification or equivalent experience

  4. experience in control accounts reconciliation, and posting journals

• You know how to use accounting software and apps (e.g., Xero, Quickbooks, Sage) as well as Microsoft Excel or Google sheets

People facing decades of prison time often completely lose connection with their family and friends on the outside. Depending on the prison, there may be limited access to rehabilitative programmes and educational courses until later in the sentence. It can be hard to maintain hope, and direction, or create meaningful plans for the future.
People leaving prison after 10 years will have different needs to those leaving after 10 months. The world has changed – there are different habits and new social norms. There is a need to be flexible to be able to cover all days Monday to Friday and days are subject to change based on the rota. 

Our Centres provide a wide range of activities as well as being a specialist Day Care Centres caring for older people with complex needs. The Day Care Centres also provide a hot lunch and a range of special events.

Proficiency in IT, including MS Office, and familiarity with tools like Canva or Adobe Creative Suite would be advantageous. Strong attention to detail and the ability to work collaboratively is essential.

It is not essential for the candidate to possess prior knowledge of the sector, but they will have the right level of knowledge and enthusiasm to learn rapidly and use their transferable skills to succeed in this role.

We are looking for a part-time administrator to join our team. This is an ideal opportunity for a first job or for someone looking to return to work. You would be working within our membership services team and need to be computer literate using Microsoft Office (Word & Excel on a Windows PC). Experience in using an online database, such as Civi-CRM, is also advantageous but not essential. We will provide full support and training as needed. 

We need good verbal and written communication skills as you will be public facing handling a range of telephone and email enquires. You'd be undertaking a range of administration roles and this would include dispatching goods from our online shop as well as dealing with new membership applications and services relevent to our members. We'd also love you to join our team at our annual conference assisting with administration, this is 3-4 nights away (all expenses paid) and so you need to be confident in presenting yourself and us on the registration desk and in other duties as necessary. 

We would require you, as a minimum, to work for some of your hours in our Ipswich based office but there is opportunity to work from home for some of your hours if that suits you. Alternatively, if you'd rather work at all times from our office thats fine as well.
