Special Events Coordinator (Fundraising)

The role

The special events coordinator will report to the special events manager.

We're seeking an experienced and enthusiastic special events coordinator to join the dynamic philanthropy team. You will play a pivotal role in planning, organising, and executing a diverse range of events, providing the best possible experience to some of the charity’s most committed donors through a mixture of bespoke events, engagement events, and as we steer towards starting to do income-generating events.

The special events coordinator will support the special events manager in creating and managing an exceptional events programme to underpin major donor fundraising, supporting portfolio managers to successfully engage prospects and donors. You will be a creative and innovative thinker, dynamic and experienced in organising events from concept to delivery. You will be confident and comfortable working in an ambitious and busy team that is driven to provide a high level of supporter care and excellent and exciting events.

Principal responsibilities

Event planning and coordination

· Develop event concepts and themes, create detailed event plans, and coordinate all logistical aspects of events of events falling within the remit of this role.

· Work closely with the philanthropy and campaigns team to design and implement special events that maximise fundraising potential.

Stewardship events

· Plan and manage events to acknowledge and appreciate donors, facilitating their continued support and engagement with the charity.

Engagement activities

· Organise and execute events that foster engagement and increase awareness of the charity's mission and goals.  

Supporting the new cancer campaign

· Prepare for campaign events in support of a £50m campaign for a ground-breaking cancer centre on the Royal Free Hospital site.

Vendor management

· Whether on-site at one of our hospitals or at an external venue, take responsibility for sourcing, negotiating, and managing relationships with vendors, including caterers, suppliers, and on-site partners.

Budget management

· Create and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.  

Communications and promotion

· Collaborate with the communications team to develop promotional materials and strategies to maximise event attendance and engagement.  

RSVP management

· Managing the RSVP mailbox, ensuring timely and accurate responses to event invitations and queries.

Database management

· Maintain and update event-related databases, ensuring accurate records of participants, donors, and sponsors.  

Relationship management

· Act as the main point of contact for colleagues, donors, and contractors, ensuring their needs and expectations are met throughout the event planning and delivery process.

Portfolio manager support

· Assist portfolio managers in engaging with prospects and donors effectively, providing event-related insights and facilitating meaningful connections.  

On-site coordination

· Oversee event setup, execution, and breakdown, ensuring all elements are in place and events run smoothly.  

Post-event evaluation

· Conduct post-event evaluations to gather feedback and identify areas for improvement.  

Oversight and responsibility

· Manage risk assessment, risk management, and first aid training to ensure the safety and well-being of all event participants. 

This position would suit a candidate who:

PERSON SPECIFICATION

Qualifications

· No specific qualifications are required, but a good level of numeracy and literacy is essential.

Experience

Essential 

· Significant events delivery experience, ideally within the not-for-profit sector.

· Proven track record in developing and managing events on time and ensuring it is in line with budget (managed by the special events manager) achieving key performance indicators and receiving positive feedback from guests.

· Evidence of using outstanding planning skills to deliver complex projects.   

· Experience of setting, monitoring and managing targets, objectives, KPIs and activity plans.  

Desirable 

· Experience of leading on the creation and implementation of innovative events that are tailored towards a specific audience’s interests.

Skills and knowledge

· A keen interest in the fundraising sector, with a desire to learn and grow in the role.

· Excellent interpersonal skills and excellent ability to negotiate and achieve objectives.  

· Strong communication skills with an excellent eye for detail.   

· Highly numerate with the ability develop and monitor against budgets.   

· Detailed understanding of the events sector and appropriate techniques and approaches for a major donor audience.   

· Understanding of major donor fundraising and the role events can play in successful cultivation of relationships (ideally learned through direct experience).

· Ability to contribute to a collaborative and agile team, enabling others to learn and deliver and celebrating successes.   

· Excellent IT skills, including a thorough knowledge of MS Office (Word, Excel, and PowerPoint). Fundraising databases (Raiser’s Edge preferred).

The team

Our dynamic fundraising department generated £4.5m through donations in 2023/24, and we are now preparing for an ambitious multi-million-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital.

We pride ourselves on being a supporter focused and agile function, working at the heart of the charity to deliver impact for patients and staff across our hospitals.

Responsible for attracting and retaining donors, and delivering an outstanding supporter experience, the fundraising department comprises two teams which work closely together to achieve our shared objectives:

·Our philanthropy & campaigns team builds relationships with individual philanthropists, trusts, foundations, corporate organisations and intermediaries, giving or facilitating donations of £10,000 or more to the charity each year. They lead major appeal activity for the charity, currently focused on our forthcoming cancer campaign, the charity’s first patron programme, and special events to support these activities.

·Our public fundraising team harnesses the support and energy of individuals and groups, helping them to give back in the way that works for them. This includes committed giving, in memory support, gifts in wills, and fundraising events and challenges.

·Our database and supporter care colleagues underpin and support the entire department.

Mayhew is an exceptionally special animal welfare charity, and we are looking for an equally special candidate to be our Canine Behaviourist.  Our team ensure that every dog and cat in our care receives the expert and personalised care s/he needs, delivered with the understanding, empathy, compassion and love that every dog and cat deserves. 

Our Home in North-West London accommodates our Kennels, Cattery, Veterinary Clinic and more. Our kennels house up to 15 dogs at any one time meaning that our Canine Behaviourist is able to truly get to know each dog as an individual and directly impact his or her outcomes. We are looking for a hands-on, practical, do-er who has the academic knowledge to understand rescue dogs and the practical experience in a shelter environment to design and deliver the training and wellbeing programmes required to create successful rehoming outcomes for each of those pets.

This role sits within the Kennels Team, reporting to the Head of Kennels. Being a team player, who is good with people as well as animals, is an incredibly important part of the skill set we’re looking for. At the same time, we need an energetic self-starter who can work under their own steam to ensure that every dog in our care is having the best day possible and is continuously progressing on his/her journey through Mayhew to a loving and happy forever home.

As you’ll already know from your prior experience, this role can be physically and emotionally demanding but it will also be hugely rewarding; and that is even more so at Mayhew where this post-holder can really help shape things and where we have a manageable number of dogs in our care. Our Canine Behaviourist will:

• Love dogs and be passionately committed to the achievement of each one’s best possible outcome
• In-take Assess all dogs coming into our care and be closely involved with the Head of Kennel’s in-take decisions (bearing in mind that Mayhew receives dogs from some challenging sources including hoarding and poor welfare environments, and dogs with no known history)
• Rehab Assess all dogs in our care to understand them in their current state and identify their training and behaviour-modification needs
• Design and implement their training and behaviour modification plans with support from our Clinical Animal Behaviourist, ensuring continuous improvement and sustained good welfare; being agile and humble enough to change plans when things aren’t working
• Coach and support the Kennel and Animal Carers so that they can help with the delivery of training and behaviour modification plans, helping them feel included and engaged, and embrace up-skilling;
• Ensure the health & safety of the Animal Carers and Volunteers whilst caring for the dogs in our care, having the knowledge, experience, strength and confidence to personally handle more challenging dogs and situations
• Design, and help the Kennel and Animal Carers to implement, individualised wellbeing and enrichment programmes to keep each dog physically and mentally healthy whilst they are with us and have the knowledge and prior experience to make each dog’s plan bespoke to them considering a variety of drivers including play styles, energy levels, sociability, guarding behaviours, preferences, and sources of frustration.
• Liaise with foster families caring for Mayhew dogs at the direction of the Head of Kennels as required
• Undertake each dog’s Rehoming Assessment, working with the Head of Kennels and Dog Adoption Officer to ensure the right rehoming criteria are set on an individual basis. We don’t take a computer-says-no approach, we want to move mountains to find each dog a successful home.
• Be involved in rehoming our longer staying dogs, including interviewing potential adopters
• Perform practical sessions with adopters as part of the rehoming process to ensure that training and behaviour techniques Mayhew has put in place successfully transfer with the dog to their new carer and environment
• Work in accordance with Mayhew’s policies and be experienced, responsible and compassionate to be fully involved in the tough decisions which sometimes face all rescues.
• Be up to date with the relevant UK legislation on dogs and safety
• Stay up to date with the fascinating and continually-developing science of canine behaviour and well-being
• Come to work each day up-beat, positive and ready to make a real difference.

To be successful in this role, you need:

• Experience working hands-on with rescue dogs in the shelter environment
• At least 2 years’ experience within an applied canine behaviourist / rehabilitation role, working with dogs with differing behavioural challenges
• Experience of delivering dog to dog desensitisation and socialisation programs
• Proven experience of a flexible and can-do approach, successfully juggling competing priorities and calmly handling multiple or complex issues in an operational environment.

You will hold a caseload of survivors and work as part of our duty team on a rota basis which will involve completing intake assessments and providing crisis intervention support.

You will have the ability to encourage user engagement with the service through proactive contact. Maintain project logs and collate data from the logs for Team Managers. Proactively assess the needs and safety of any children that women using the service may have. Bring your experience of providing benefit, and debt advice and successfully, managing high numbers of calls and/or cases and have a solid understanding (possibly experience) of supporting women who have experienced domestic violence, forced marriage or ‘honour-based violence.

We work alongside people to help them escape poverty, build confidence, and find community.

Our principal activity is the prevention of food poverty and food insecurity by offering culturally appropriate food, fresh fruits, and vegetables as well as dietary and religiously appropriate food which we have continued to run at our five-week sessions to local people for as long as they address the underlying cause.

We also provide a range of wraparound support, including advice services, particularly around employment and immigration through our Back2Work Team, Holiday Clubs for Children, Youth Groups, a Clothing Bank and our Spring Up Women’s group.

The Service Officer will play a crucial role in supporting the mission of our charity by providing comprehensive assistance and advocacy services to individuals and families in need. This position will involve engaging with diverse communities and ensuring that all services are delivered with cultural sensitivity. 

The Service Officer will work collaboratively with staff and volunteers to deliver Food Bank services, Activity Camps, and Afterschool club, advice and advocacy support, clothing assistance, cooking programs, and Social Supermarket Operations, as well as support initiatives for the elderly, individuals experiencing poverty and isolation, and families with children.

The post holder must be an enthusiastic and motivated person to coordinate and manage our Food Banks, Community Café, and Social Supermarket, including the supervision of its volunteers/staff, as well as planning, organising, and implementing supermarket collection. 

The post holder will be required to be flexible to the changing needs of the organisation and as such, undertake tasks and responsibilities not specifically listed here but relevant to the smooth running of SCH, including general office and administrative tasks and aspects of service delivery, as directed by the Leadership Team/ CEO and trustees.

About the Role / Key Responsibilities 

Programme Planning, Delivery and Implementation

•  To design and deliver the  Activity Camps and After School Club  Programme calendar, curriculum, and events that are outcomes-focused, educational, and engaging, and enable young people to develop a range of skills appropriate to their needs.

• Working with Children, young people, and their families to build services that meet their needs, wants, and aspirations of the individual.

• Work in Collaboration with the Leadership Team  to oversee the work of the Spring Activity Camps Coordinators to design and develop a range of activities, workshops, and programmes to meet the needs of our children, young people, and their families 

• Collaborate with other staff members, volunteers, and external partners to deliver engaging, fun, and impactful activities

• Ensure all activities align with the organisation's mission and values and promote personal growth, inclusivity, and well-being.

• Oversee and coordinate the operations of Food Services 

•  Assist clients in accessing food bank services, ensuring they receive the necessary support with dignity and respect.

• Maintain inventory management for food items and coordinate food drives and partnerships with local suppliers.

• Developing and coordinating effective stock control systems, arranging timely transportation of collections and deliveries, and meeting legislative standards - i.e., Health & Safety/Environmental Health.

• Provide and oversee assessments of guests, customers, and service users on a one-on-one/group basis to ensure they receive adequate advice/signposting and support on benefits, housing, financial support, and other relevant issues impacting clients' well-being. Work in collaboration with the Advice and Advocacy team.

• Advocate on behalf of clients to secure access to necessary resources and services.Stay updated on the relevant policies and available community resources.

• Oversee the operation of the clothing bank, ensuring that items are organised, available, and of good quality for clients..

• Develop and oversee cooking workshops that celebrate cultural diversity and promote healthy eating practices.

• Collaborate with local chefs or volunteers to create a welcoming environment for participants.

• Oversee in the day-to-day operations of the social supermarket, ensuring a welcoming atmosphere for customers.

• Engage with elderly clients and those experiencing isolation to provide companionship, support, and resources related to their specific circumstances.

Chief Executive Officer

The Board are now looking for a new Chief Executive.

As the CEO, you will play a pivotal role in the overall leadership and management of the organization. Collaborating with a strong senior management team, who have initiated the innovative programming, you will be responsible for ensuring the seamless operation of the Club and serving as a primary liaison with community members and local organizations.

Working with an engaged board, your focus will encompass: Strategy implementation, HR and Personnel Management, Policy Development and Enforcement, Key Stakeholder Management, Board Communication, Leadership Team Management, and Operational Execution. 

We are seeking candidates with the following: 

• Previous experience leading an organisation or clear evidence that they can step up to this role 

• Experience overseeing the operational functions of a similar sized organisation 

• Previous experience working with young people 

• The ability to mentor and develop senior management

• Strong operational and finance experience 

• Strong HR experience and expertise

Experience working in a frontline service delivery organisation and fundraising and partnerships experience are desirable.

Pro Bono Community is seeking a Training and Volunteer Coordinator to help us achieve greater access to justice.

Pro Bono Community is a registered charity that has developed specialised training programmes for students, trainees and lawyers covering the practical skills involved in delivering free legal advice and areas of social welfare law. In conjunction with the training, the charity arranges and manages volunteering placements at Law Centres and other advice agencies. The charity’s activities include a number of grant-funded projects which the coordinator will be heavily involved in.

We are looking for individuals to join our team who share our aims and mission and are driven to make them a reality.

About the role

Pro Bono Community is looking for a Training and Volunteer Coordinator to help us run programmes aimed at improving the amount and quality of access to justice by training law students and others and then placing them to work as volunteers at advice agencies.

The Training and Volunteer Coordinator will report to and work alongside the Director to undertake work supporting the charity’s activities with a focus on recruiting and training students and lawyers and then coordinating volunteering placements for them at Law Centres and advice agencies. The role also includes administrative work relating to a pioneering digital advice clinic the charity runs in conjunction with a Citizens Advice agency in London.

This is a full-time role with a salary of £30-33,000 depending on experience and the charity is seeking to appoint someone with knowledge of training and the legal/advice sectors and/or experience in a similar role. Occasional weekend work may be required. The role will involve working from home with some travel involved to London and elsewhere in support of the charity’s activities. The role includes annual leave of 25 days and a workplace pension scheme.

Responsibilities

Training and General Administration

· Producing and printing publicity and training materials

· Maintaining databases, content management systems, websites, social media and other tools

· Dealing with enquiries, including those made via the PBC mailbox and telephone line

· Organising the location and timetabling of training programmes

· Liaising with trainers and others to facilitate training

· Attending training programmes and assessments where necessary

· Keeping attendance records

· Monitoring development of the training content and facilitating discussions between stakeholders/authors

Volunteer coordination

· Arranging volunteer placements with advice agencies

· Designing and implementing rotas for volunteering

· Managing PBC’s online volunteer portal and volunteer activity logs

· Monitoring attendance and feedback

· Reacting to problems arising from attendance and other issues

· Dealing with volunteer enquiries

· Liaising with advice agencies on volunteers’ performance

· Dealing with enquiries from advice agencies

Monitoring and Evaluation

· Assisting advice agencies to evaluate volunteers’ impact through focus groups, surveys and other research tools

· Collating and analysing data

· Coordinating monitoring and evaluation reporting

· Designing and implementing monitoring and feedback tools

· Reviewing and revising monitoring and evaluation processes

Partnership management

· Working with the Director to:

o Develop and maintain productive relationships with Law Centres, advice agencies, universities, law firms and other stakeholders

o Identify and source partnership opportunities

o Explore new ways of working with partners
