Job Title: Deputy Service Manager 

Location: In Service based in Croydon, CR0 1EB. You will be required to work across multiple services within the area. 

Salary: £30,200

Shift Pattern: 37.5 hours per week Monday to Sunday, working across a rota which will include day and night shifts as we provide a 24 hour service.  

About the role

We are looking for a Deputy Service Manager to join our team based in Croydon, providing leadership and line management to a team of night staff which is around 10 people in total. You will provide support and supervision sessions at night, and general leadership to the team so they feel empowered to be productive and perform well within their roles. You will further ensure a quality service is delivered in line with our contractual requirements to the residents. You will be responsible for creating a psychologically informed environment (PIE) with person centred support during all hours. You will work closely with the day teams to ensure a smooth handover from the day to night. 

This service is a Forensic Mental Health provision for 27 people across 4 sites in Croydon. For your own personal safety, you will require to have access to your own transport as you will need to travel between our 4 sites during the night shift to provide managerial support to the teams. The teams support our residents with person centred support, to empower them to overcome their personal barriers with their mental health, to have greater independence and fulfilled living. The service is responsible for holding various activities, group sessions, and one to one support to enable residents to build their personal skills and experiences to achieve their goals. 

The role includes:

• Line Management and Leadership, supporting your team providing advice, guidance and support throughout their employment lifecycle
• Support the Service Manager in leading the day to day operational delivery of the service
• Risk Management ownership, ensuring processes and policies are followed
• Property and Housing Management, ensuring the accommodation meets our requirements, and repairs and maintenance are regularly reported and completed
• Financial Management, including petty cash and budget management
• Contract management and Internal auditing, admin, and general other duties as required.

The Fundraising Manager (Grants & Trusts) will be responsible for developing and implementing a successful fundraising strategy focused on trusts, foundations, and statutory grants. Key Responsibilities:

1. Grant & Trust Fundraising

As Assistant Donation Hub Manager, your primary purpose is to support the efficient and effective operation of our Donations Hub, ensuring that all incoming stock is sorted, processed, and distributed in line with the needs of our retail and ecommerce operations.

You will work closely with the Operations Manager to manage a complex and varied stock flow coming from multiple sources - including in-store donations, house clearances, home collections, corporate and community events, and direct drop-offs from the public. A key part of your role will be to ensure these donations are processed efficiently, assessed for maximum value, and appropriately segmented to drive income across our 14 shops and online platforms.

This is a highly practical and physical role that requires strong organisational skills and a deep understanding of operational logistics. You’ll be responsible for ensuring timely fulfilment of shop orders, maintaining high standards of stock quality by both sorting incoming donations from shops, allocating corporate donations and supporting the movement and dispatch of goods in a way that maximises efficiency and minimises waste.

 KEY RESPONSIBILITIES

 Office Management:

• Oversee daily office operations and maintain a professional, welcoming environment.
• Act as the primary point of contact for office-related vendors (cleaning, supplies, security, etc.).
• Manage office supplies inventory and place orders when necessary.
• Support onboarding/offboarding processes from a facilities perspective
• Handle incoming mail and deliveries and ensure efficient distribution.
• First point of contact for calls, visitors, and general office inquiries.

Governance:

• Assistance to CEO with diary coordination, organisation of events, meetings, and in-office gatherings.
• Coordination of finance committee and Trustee meetings
• Minute taking at meetings as required
• Administrative assistance as required

Facilities Management:

• Oversee building maintenance, safety procedures, and office infrastructure.
• Liaise with tenants, building management, and external contractors to ensure facilities are well-maintained.
• Monitor and manage office budgets related to supplies, utilities, and maintenance.
• Ensure compliance with health and safety regulations; manage risk assessments and fire safety drills.
• Lead sustainability initiatives within the office (e.g. recycling, energy-saving practices).
• Ensuring health and safety compliance for staff including being the fire marshal

Cost management

· solicit and compare competitive quotes for office services and building making recommendations based on quality, reliability, and value.

· Negotiate contracts to optimise costs without compromising service standards.

· Proactively identify areas for cost reduction or improvements.

Administrative & Support:

• Maintain records of office leases, utilities, and insurance policies.
• Manage access control systems and office security.
• Support leadership with general administrative tasks when required.
• Create and maintain facilities manuals, process documentation, and onboarding guides.

Other

· Health and safety duties including fire marshal- training will be provided.

· Undertake any other duties that may from time to time be required.

SKILLS, KNOWLEDGE AND PERSONAL ATTRIBUTES

Essential:

• Proven experience as an Office and Facilities Manager, or similar role.
• Strong organisational and multitasking skills.
• Excellent communication and interpersonal skills.
• Problem-solving attitude with a high attention to detail.
• Familiarity with office software (e.g. MS Office, Teams)
• Knowledge of health and safety standards and regulations.

ECHO is a charity that is independent from but works closely with the NHS Guy’s and St Thomas’ heart care network (47 hospitals) to support children affected by a heart condition and their families. We’re seeking a highly organised, results-oriented team player, with excellent writing and content-creation skills, to build active engagement with our community of families, professionals and fundraising supporters. This role will suit someone confident to take initiative who enjoys teamwork, creativity, variety, and ‘putting jobs to bed’, who can balance the many short-term deadlines of two different focus areas with some longer-term pieces of project work.

As a small organisation with programmes of family support, youth work, corporate and individual fundraising, we offer the successful applicant exposure to build skills, from concept to delivery, on a wide range of project areas.

Key tasks

Communications (60% of time)

• Deliver engaging communications across social media, media outlets, newsletters, and publications by leading on ECHO’s Communications Plan and content creation.
• Strengthen ECHO’s brand and visibility by applying and championing consistent brand and style guidelines.
• Support fundraising and storytelling by producing e-newsletters, reports, and working with a designer on our annual newsletter to showcase impact.
• Inform and empower families by keeping ECHO’s website and private Facebook group updated with reliable, relatable content, and collaborating with partners to produce patient information resources.

Administration (40% of time)

• Deliver memorable experiences for families and young people by managing event logistics, handling enquiries, coordinating entertainment, and ensuring smooth registration and follow-up.
• Strengthen supporter relationships by coordinating the timely sending of T-shirts, certificates, thank-you letters, and other engagement materials.
• Enhance team efficiency by drafting meeting agendas, circulating papers, taking accurate minutes, and keeping the office environment well-organised and well-stocked.
• Provide high-level administrative support to the CEO by managing day-to-day tasks with sensitivity, discretion, and attention to detail.

This list does not cover every aspect of the role but will give you a flavour of the combination of taking a lead and hands-on work the job requires. Your days will be busy but controlled! There’ll be a lot to pack in, but, as the only comms and admin person, you’ll have scope to prioritise where your time and focus will get the best results. You’ll work across all our teams gathering, packaging, and sharing their news and information and supporting them to deliver with efficiency and high impact.
