About the Youth Endowment Fund

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children becoming involved in violence. We do this by funding great initiatives, leading cutting-edge research and working for change - scaling up and spreading the practices that make a difference. 

The Chief Operating Officer (COO) has a critical role in ensuring we succeed in this work. You have a key leadership role in overseeing the overall health of the Fund in partnership with the Executive Director. The role oversees our finances, people management and – for the right candidate –much of our grant-making and project management. 

Key responsibilities 

You’ll lead on key organisational governance processes and ensure the Fund makes wise decisions, by:  

• Being a leading member of our Directors’ team, overseeing all elements of the Fund’s work.

• Ensuring that the Fund operates as efficiently and effectively as possible by prioritising the right activities and matching resources to deliver on our mission.

• Ensuring we have the right long, medium and short-term financial plans in place and that we maintain close control over our financial decisions and spend. 

• Informing our Board and our Risk and Audit Committee on our financial performance and risk.

• Ensuring the Fund’s investments are well managed through supporting the Endowment Investment Committee (this does not require investment experience). 

• Managing our Grants and Evaluation Committee (this decides which evaluations we should fund) and ensuring it operates effectively. 

• Ensuring that any ambiguities in the organisation are identified and removed. 

You make sure that the Fund has the people, tools and resources in place to excel. This will require us to:  

• Hire, develop and inspire the very best people: Managing our Head of People, you will ensure that we hire the best possible staff, compensate them appropriately, provide necessary and effective training, maintain a strong focus on staff well-being, manage and develop staff effectively and address poor performance when required. 

• Provide staff with the tools they need to perform: Managing our Head of Grant Operations, you will ensure that we have the tools we need to deliver, including management information, databases, systems and processes and office facilities. 

• Track performance: Track performance against our goals efficiently and effectively, championing a system of accountability and action to review, identify and empower the right people to act on delivering according to the plan. 

Working with colleagues, you’ll ensure we award grants, manage grantees and oversee evaluations efficiently and effectively. This will require us to: 

• Make excellent decisions about our grants: Working with – and potentially managing1 - the Assistant Director for Programmes, Impact and Partnerships, you will help to ensure that our processes for assessing funding applications achieve our organisational priorities for evidence generation. This requires you to understand what partners are trying to do, whether it’s likely to work, whether it will help us build an accessible and trusted body of knowledge, and whether we can build on it to make long-term change happen. 

• Evaluate our programmes: Working with - and potentially managing - the Assistant Director of Evaluation, you will help to ensure that we select and partner with high-quality evaluators to understand how well different activities work.

• Ensuring the team maintains effective monitoring processes: Working with your team, you will develop the necessary skills, processes and decision-making processes to identify when things aren’t going to plan and respond accordingly.

• Build strong relationships with your external partners: You and your team will build strong, trusting relationships with the projects the YEF funds and the evaluators that we work with. Your team will be known for being attentive yet assertive and measured and efficient in the reporting information we expect. You will become well connected in the sectors that we are working in.

• Identify opportunities to scale up projects: You will be proactive in identifying projects that would benefit from capacity development support or that may be ready to scale up their work, collaborating with Impetus to deliver on this.

Person specification 

• You are excellent at leading on finance in an organisation: You find it easy and straightforward to develop and oversee, large organisational budgets and ensure timely preparation of management accounts. You’re excellent at financial forecasting and understand how to make judgements and recommendations based on future scenario planning. You have experience reporting to Boards on financial performance and health, and leading on organisational external audits.

• You are strategic about finance: You’ve got real skill in distilling complex financial information into simple, easy to understand reports and presentations that enable good decision-making. You see your knowledge of finance as a way to serve Director-level colleagues with overall decision-making. You also understand how to navigate competing priorities and how to calculate and articulate risk and reward, knowing few decisions are straightforward.

• You get teams to use data well: You understand that accurate data and excellent management information tools enable good decision-making. You understand how management information databases (like Salesforce) work and would be able to maintain and build a culture of recording data and maintaining data quality within big teams. Ideally, you have experience working directly with Salesforce.

• You get things done and are brilliant at improving things: In previous jobs, you have held significant responsibility for ensuring challenging projects are delivered on time. Administration

Chief Operating Officer

We have an exciting opportunity for a Chief Operating Officer to join the team in this hybrid-working role.

Salary: £65,000 - £75,000 per annum

About the Role

Our team currently consists of 8 dedicated staff members and is led by our CEO, Anne Bishop. The Chief Operating Officer (COO) is a new role for BAUS. The Partnership Manager role will report to the CEO and sit within the Business Development Team.

The Partnership Manager will be responsible for identifying new business opportunities in order to generate revenue, improve profitability and help the business grow. You will have a clear ability to tailor the way we sell our services to potential clients.

You will lead and support others across the company to communicate our service offering to external stakeholders that will directly contribute to the company’s growth strategy and impact.

Essential Experience

Job Title:  Finance Officer

Reporting to: HQ Finance Manager
Hours: 37.5 per week
Principal Location:London, hybrid with a minimum of 3 and an expectation of 4 days in the office per week.

Background:

Street Child believes that every child deserves the chance to go to school and learn. Our projects focus on a combination of education, child protection and livelihood support to address the social, economic and structural issues that underpin today’s education crisis. We partner with local organisations and communities to deliver our locally rooted programmes, using evidence to drive learning and the refinement and scale up of programmes to create maximum impact for the most children at the lowest cost. We pride ourselves on being willing to go to the world’s toughest places where others won’t, including remote, hard-to-reach areas and fragile, disaster-affected states across sub-Saharan Africa and South Asia. Since 2008 we have helped over 250,000 children to go to school and learn and supported over 25,000 families to set up businesses so they can afford the cost of educating their children.

Part 1:  Role Purpose:

This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

The Role
Month-end tasks
Process supplier invoices and staff expenses and prepare weekly payment runs in Sage 50 Accounts software.
Send remittance advice to suppliers.
Import staff expenses transactions from Expense's into Sage and reconcile staff accounts to Purchase Ledger in Sage.
Reconcile supplier records within the Purchase Ledger ensuring it is accurate and up to date.
Working with the Database & Insights Officer, post monthly bank receipts and income journals to Sage 50.
Monthly reconciliation of bank, Stripe and PayPal accounts to bank statements.
Reconcile credit card statements monthly.
Prepare and post monthly prepayment journals to Sage.
Prepare monthly reconciliations of income in Sage against Fundraising figures, explaining any variances.
Prepare monthly cashflow statements for review by the Head of Finance.
Reporting
Support the Development team with Donor reporting.
Prepare monthly budget vs actual reports for project teams.
Produce Sage expenditure reports for the Development and Program teams upon request.
General
Monitor the Accounts Payable mailbox responding to emails and requests in a timely manner.
Support the HoF and Development team with any other ad hoc tasks as required.

The Candidate
Extensive experience working in Finance to officer or senior officer officer level
Reconciliation
Working experience with Sage50.
Qualified or Pursuing formal accounting qualifications.
Understanding of charity accounting
Strong IT skills

Key Responsibilities:

• Supporting the development and implementation of the trusts and grants team strategy.
• Generating funding toward the team income target of £4.2m with an approximate contribution of £200,000 annually through management of existing trust relationships and the trusts mailing. 
• Managing your own portfolio of 20+ existing funders, providing them with excellent stewardship.
• Developing effective relationships with trusts via telephone, email, Zoom and face to face contact – at meetings and events.
• Maintaining relationships with new and existing funders and then submitting excellent quality funding reports/applications. 
• Maximising on charitable trust relationships to secure the maximum amount of funding. 
• Using your creativity  and new ideas to lead on the growth of the income of the trusts mailing
• Demonstrating perseverance and determination in order to develop new funding relationships. 

Skills

• Passion to support children and young people, preventing mental health issues from developing 
• Ideally one year or more experience in Trusts fundraising, although this does not need to be exclusively working on Charitable Trusts’

• A proactive self-starter who can manage their own workload in a self-directed environment
• Strong interpersonal and communication skills; the ability to communicate and influence others verbally

Our programme supporting Higher Technical Education has big ambitions. Known as the ‘missing middle’ of higher education in England, we want to see the declines in level 4 and 5 technical education reversed and more providers emerge who can offer high-quality education and training to help people access highskilled occupations. Key to this transformation is the role of Institutes of Technology (IoTs) – collaborations between further education colleges, universities and employers – and we have been working closely with the National Network of Institutes of Technology to support their success. We are looking for a Project Officer to play an integral part in the successful delivery of this programme, as well as becoming an advocate for Higher Technical Qualifications more broadly. 

This role sits within the small Higher Education Team at Gatsby, and you will work closely with the Project Manager and Director of Programmes to: develop and deliver a range of projects to support our programme objectives; represent Gatsby at external meetings; organise meetings and events; and develop strong working relationships with key partners.

Key Role Responsibilities:

• Deliver projects to support Gatsby’s Higher Technical Education programme, with clear objectives and planning, delivering outputs on time and within budget.
• Research, create and write compelling communications that support programme objectives.
• Co-ordinate regular meetings and external events, including drafting agendas, writing minutes, liaising with and organising contributions from external stakeholders.

Medical Aid for Palestinians (MAP) is a leading UK charity dedicated to improving the health and dignity of Palestinians affected by conflict, occupation, and displacement. With a focus on the occupied Palestinian territory and Palestinian refugee camps in Lebanon, we provide vital health and medical care to those in need, particularly in crisis zones like Gaza. As part of our commitment to meeting the growing needs of the communities we serve, we're expanding our team. 

The ideal candidate will have responsibilities that include monitoring compliance with MAP’s financial and procurement policies, developing strong cash and treasury management policies, and managing financial accounting systems. You will also ensure timely and accurate preparation of annual statutory accounts, compliance with relevant accounting and legal requirements, and submission of necessary returns to regulatory bodies. 

Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose.

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements.

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally.
