Location: Central London. We offer flexible and hybrid working but office-based work will be essential on a regular basis.

Salary: £43,000 per annum

Main purpose of role: To manage the day-to-day running of our grant programmes to organisations and support the practical implementation of any new grant programmes from application process through to due diligence and record maintenance.

Main duties and responsibilities:  

Grant management 

• Act as the first point of contact for grants to organisations.
• Manage a portfolio of organisational grants that deliver our theory of change outcomes.
• Provide full grant management of our organisational grants, including: preparing grant deeds, keeping track of payments and reporting requirements, distilling learning, to grant renewal considerations.
• Organise and conduct regular meetings with funded organisations to learn alongside organisations and see the work in action.
• Implement grant making processes that reflect best practice and encourage learning through our grant making. 
• Keep up-to-date with changes and developments in the external environment and work with colleagues to reflect this in strategy and practice.

Grant programme development 

• Undertaking scoping and research for new grant programmes, and developing practical knowledge about new programme areas as required.
• Providing project management support for new grant programmes alongside the Senior Grants Manager.
• Taking a lead on the negotiation of new grant agreements.
• Managing the day-to-day processes required by any new grant programme from concept through to advertising the fund, assessing grant applications, due diligence, writing recommendation papers to trustees, to awarding funding and gathering and sharing learning.

Other activities  

• Working with the Impact team to develop our monitoring and evaluation capabilities with funded organisations.
• Working with the Partnerships and Participation Manager and Policy and Best Practice Manager to ensure that our grant making processes are informed by the key stakeholders. 
• Working with our fundraising and communication team to ensure we are communicating effectively with supporters about our work.

The Responsibilities

Events Manager
o Line managing the assigned event coordinators, temporary staff or office volunteers.
o This will include annual appraisals and weekly 1-2-1’s

Logistical arrangements:
o Development and execution of the events Day Plan. This is a minute-by-minute detailed plan that holds all the information of what will take place at the event.
o Gathering technical and logistical requirements from speakers, stream leaders and internal departments; then negotiating this with the IT, Production, Vergers and Volunteers Teams or with an external venue or AV suppliers.
o Determining catering requirements and caterer management.
o Hiring of any additional venues as required and site logistics.
o Attending site visits (for external venues that might be used).
o Hiring of any additional equipment required for the event.
o Liaising with the Production, IT, Verger, Worship team and all other internal departments.
o Ensuring any legal and insurance tasks are thought about and in place for the event taking place.

o Liaising regarding speakers and associated tasks including contracts, gifts and accommodation.

The role:

The Head of Programmes is a wide-ranging and key role within the Smallwood Trust’s leadership structure working closely with the CEO, the Grants Team and the Board.

Important priorities for the Head of Programmes will include:

Working closely with the CEO to implement and operationalise Smallwood’s refreshed grant-making strategy which is due to be approved by the end of 2024. This will include budgeting and implementing/designing new grant processes and procedures where appropriate.

Shape and deliver an evaluation framework that enables us to more effectively track progress against our longer-term outcomes as identified in our theory of change and gender-lens framework.

Instill a learning and continuous improvement culture across the organisation, to ensure that a coherent approach is taken with our grants programmes and our funding meets the needs of our Grant Partners.

The role requires an established leader who is adept at demonstrating internal and external leadership and is able to provide robust grant management, ensuring programme quality and assurance to the CEO, the Board and major external funders.

The StreetLink London service, is a team of x7 Assessment workers, a Coordinator, a Service Manager and a pool of dedicated volunteers. The service is funded by the GLA, Bloomberg and London Councils, and is service which offers support directly to people at risk of or rough sleeping in London. The service provides targeted telephone advice, advocacy and support to help prevent and resolve people’s rough sleeping. The service does so by finding solutions to connect people to vital services that can help resolve their homelessness.

The role of Service Manager will be to oversee the delivery and development of StreetLink London. In this role, you will oversee the day to day management of the London Support phoneline. You will be responsible for building the team and maintaining productive relationships with internal and external stakeholders to help develop and improve the StreetLink London Service.

What the job involves

As Communications Planning Manager you’ll be reviewing all incoming internal communications briefs, ensuring they have clear objectives, audiences, and timelines, and are aligned to organisational priorities and goals. You’ll be responsible for leading as well as updating, when necessary, our briefing and communications team process.

You’ll be responsible for workflows across the communications directorate, having oversight of capacity, prioritising and scheduling work accordingly. You’ll support annual business and resource planning; helping the organisation prioritise and understand the potential impact vs effort in business decisions.

To ensure our teams can work at their optimum we’re currently updating our approach to communications processes, including updating our project management tools, prioritisation structure and our wider programme management office.

What we want from you

To be successful in the role you’ll need to have exceptional organisational skills and be a strategic thinker who thrives on implementing and driving new processes to deliver efficiency.

You’ll have demonstrable experience with stakeholder and relationship management – building rapport at all levels, managing conflicting priorities and ensuring effective use of resources. In reviewing briefs you’ll be comfortable in challenging the details provided and developing briefs with product owners to ensure resources are being used effectively.

A background in marketing communications or similar would be ideal for understanding the needs from the start in developing effective campaigns. Experience in using workflow tools (like Trello) or Agile methodologies will be desirable but not essential.

Key responsibilities include:

• Support the HR manager and wider teams with recruiting staff, workers, contractors, and volunteers as required, focusing on workers and volunteer posts.
• Coordinate the onboarding and offboarding processes for workers and volunteers, including collecting and processing the necessary documentation, verifying background checks and references, and ensuring compliance with company policies and regulations.
• Prepare letters of engagement and contracts for workers and volunteers, ensuring accuracy and compliance with legal requirements, and alignment with company policies and procedures; draft addendums as needed.
• Maintain GDPR compliance by securely managing and protecting worker data, obtaining necessary consent, maintaining accurate records, and appropriately deleting employee data per GDPR regulations.
• Ensure all induction and training activities and progress reviews are completed, recorded, and added to the HR system per company policies and procedures.
• Ensure timesheets and time-off requests are received, recorded, and where necessary, added to the HR system per company policies and procedures.
• Monitor non-active workers, track contractual obligations, and update HR records as needed to reflect changes in employment status. Support colleagues with the relevant off-boarding processes.

About You

As HR Administrator, you will be confident in using various technology and software applications, including emails, documents, spreadsheets, and video calls. You will be adept at working independently, making informed decisions, and taking ownership of tasks and projects.

You will need to have the following skills and experience:

• Minimum of 2 years experience in providing high-level administration and support.
• Experience using software for managing data and records, e.g. HRIS (Human Resources Information System).
• Working knowledge of recruitment, contracts, onboarding practices, timekeeping, and General Data Protection Regulation (GDPR).
• Meticulous attention to detail, accuracy, and discretion in handling confidential documentation, records, and personal information.
• Strong communication skills, both written and verbal, with experience in collaborating with remote team members and stakeholders.

Job Description  

The Partnership Officer will be a key member of The Hygiene Bank’s income generation team and wider central team, with a responsibility to help meet the needs of our existing partnerships and support in fulfilling the charity’s income generation plans and strategy. 

Key Responsibilities 

You will support the management of our brand and corporate partners, working with the Head of Brand and Corporate Partnerships. Your role will be to develop and deliver partnership strategies and stewardship plans for each account, to deliver against our objectives and meet income targets. 

• Work closely with the Head of Brands and Corporate Partnerships and to ensure the collaborative transition of new partners into account management, liaise with (Brand Coordinator/ Product Donation Manager) and Head of Fundraising, Communications and External Awareness and Head of Operations. 

• Identify and outreach to target brands and corporate partners, working to engage their support for the charity

• Accurately forecast and manage expenditures for our partners, working with the Head of Brand and Corporate partnerships to create mitigation plans when necessary.
