About the role

As Maritime Administrator you will play a key part in supporting the operational delivery of international conferences and governance meetings in line with the organisational constitution and contributing to the success of the maritime sections organisational work programme.

You will work with colleagues and external stakeholders worldwide to ensure the smooth delivery of the administration function, including the logistical aspects of our global activities, meetings and conferences.

Key Duties and Responsibilities

• Organising international meetings and conferences: creating registration platforms for meetings; venue sourcing; budgeting & forecasting; delegate management; managing rooming allocations, catering and audio-video (AV) requirements; arranging interpreters when required; booking international travel and supporting visa processes.
• Documentation: assisting with the drafting and proofreading of documents for maritime meetings and conferences in line with the appropriate templates and procedures; minute taking and report writing at committee level; liaising with the in-house translation coordinators to ensure documents are submitted on time and dealing with related queries; creating document packs for maritime meetings and conferences.
• Administration: drafting, proofreading and formatting internal and external communications in line with ITF templates and standards; processing supplier invoices; other general administrative duties as required.
• Membership: maintaining accurate records and updating ITF databases and other tools, including CRM, to ensure governance committee membership and contact records are up-to date.

We are looking for a Youth Worker to join our Youth Work team, working both on the Roundhouse Studios front desk as well as on our youth focused projects. The role will work across our 7 day provision, with the expectation of regular evening and weekend work, to provide the highest standards of service and support to young people using the Roundhouse Studios. This will include administrative and front facing duties. You will be responsible for supporting and encouraging a diverse range of young people (in particular those with multiple and complex needs) aged 11-25 to engage in opportunities at the Roundhouse and assist with pastoral support.

About You

We are looking for a candidate with experience of working alongside young people aged 11-25 years old in informal educational or youth work settings. Candidates should have knowledge and experience of safeguarding young people and be confident in speaking to young people effectively. The MSF UK Digital Team is made up of 10 specialist staff who act as an internal agency and provide expertise, project management, training and support to all other departments. This role will lead on major digital and organisational transformation initiatives, ensuring employees are informed, inspired, and engaged throughout periods of change. Lead the development and delivery of a clear, engaging internal communications and engagement strategy, including exploring innovative channels and ways of working.

Key responsibilities

• Play a key role in a cross-functional project team responsible for launching a new intranet built on Microsoft SharePoint. Develop and execute the communications and engagement plan to support the launch and successful adoption across the organisation.
• Contribute to the project team implementing Microsoft 365 organisation-wide. Deliver the internal communications strategy to support rollout and long-term employee engagement.
• Create and deliver high-quality, audience-focused content across a variety of internal channels and formats.
• Build strong and trusted relationships with senior leaders and stakeholders across the organisation, including executive-level decision makers.
• Drive continuous improvement of internal communications and engagement by using measurement, insights, and innovative approaches.

Person specification

• Significant experience delivering successful multi-channel internal communications and engagement activity.
• Deep expertise in internal communications, with a strong track record of developing and managing a range of internal channels.
• Previous experience within the charity or non-profit sector.
• Hands-on experience using Microsoft tools, including SharePoint as an intranet platform.
• Proven experience delivering internal communications for large-scale, organisation-wide or high-priority initiatives such as digital transformation or new organisational strategies.
• Confident operating at officer or advisor level, with experience influencing and supporting senior leadership, including CEOs and executive teams.
• Strong project management skills and the ability to manage multiple workstreams.
• Experience in change communications and supporting staff through periods of organisational change.

STOP THE TRAFFIK prevents vulnerable communities from being recruited, trafficked, and exploited. Our targeted prevention work disrupts the criminal business of human trafficking, making it too high-risk and low-profit to be viable.

The Development Manager sits within our Development & Communications Team and plays a critical role in securing the funding and partnerships that fuel our global prevention efforts. This role is responsible for managing and preparing high-quality funding applications, nurturing donor and partner relationships, and leading on individual giving initiatives that grow our supporter base and strengthen long-term sustainability.

This is a dynamic and strategic role suited to someone who is a strong writer, comfortable working with data and impact insights, and driven to connect STOP THE TRAFFIK’s mission with funders who share our vision. You will help build a strong pipeline of philanthropic, trust, foundation, and corporate support, ensuring the organisation continues to innovate and scale its prevention programmes worldwide.

This role will be responsible for:

Funding Development & Applications

• Prepare and submit compelling, high-quality funding proposals to trusts and foundations.

• Develop supplementary materials for applications, including budgets, MEL frameworks, timelines, and theories of change.

• Research and identify new funding opportunities to maintain a strong pipeline.

• Manage funding calendars, ensuring deadlines, reporting, and grant obligations are met.

Relationship Management

• Build and maintain strong relationships with existing funders, partners, and individual donors, ensuring excellent stewardship.

• Support the Head of Development & Communications in cultivating philanthropic prospects and corporate partnerships.

• Represent STOP THE TRAFFIK in meetings and presentations with funders and external stakeholders.

Campaigns & Individual Giving

• Lead individual giving activities.

• Collaborate with the Development & Communications Team to design creative fundraising campaigns that grow income across diverse supporter groups including universities, schools, and community initiatives.

Storytelling & Impact

• Translate data, insights, and project outcomes into persuasive narratives for funders and partners.

• Work closely with programme teams to gather impact information and incorporate it into applications and pitches.

The ideal candidate will have:

• Experience in fundraising or partnership development within the charity or social impact sector.

• A strong track record of writing successful funding proposals and trust/foundation applications.

• Excellent written communication skills, with the ability to craft persuasive, evidence-based narratives.

• Experience researching prospects and managing a varied funding pipeline.

• Confidence presenting to funders and external audiences.

• Strong relationship-building skills with individuals and organisations.

• The ability to work with data and monitoring insights to strengthen reporting and funding cases.

As a key member of the Leadership Team, the Director of Finance & Operations provides strategic and operational leadership across finance, people, digital, operations and governance. They ensure the charity is financially sustainable, well-run, compliant and values-driven, so that our resources, systems and culture are aligned with our mission.

They will be accountable for the following areas:

Strategic leadership & organisational development

• Act as a strategic partner to the CEO and Leadership Team, shaping organisational strategy and translating it into robust financial, people and operational plans.

• Lead the annual organisational planning cycle, ensuring objectives, budgets and KPIs are aligned to the strategy and are realistic, affordable and measurable.

• Champion a culture of accountability, inclusion, learning and collaboration across the charity, role-modelling our values in leadership and decision making.

• Provide clear, insight-driven analysis and recommendations to support major strategic decisions (e.g. growth, new programmes, partnerships, investments, cost management).

• Lead and develop the Finance & Operations team (Finance, Fundraising, HR, IT/systems, operations) building a high-performing, service-oriented function that supports colleagues to deliver impact.

Financial strategy, planning & stewardship

• Develop and keep under review the charity’s financial strategy, ensuring long-term sustainability, appropriate reserves and effective use of resources.

• Lead and coordinate the annual budget and medium-term financial planning process, working closely with budget holders to create robust, activity-based budgets.

• With the support of the Senior Finance Manager, provide timely, accurate and insightful financial reporting to the CEO, Leadership Team and Board, including management accounts, restricted funds reporting, cashflow and forecasts.

• Maintain robust financial controls, policies and procedures, ensuring compliance with relevant legislation, accounting standards and Charity Commission / Companies House requirements.

• Lead the relationship with external auditors and oversee the annual audit process, ensuring high-quality statutory accounts and a culture of continuous improvement in financial controls.

• Oversee financial aspects of funding bids, contracts and grant reporting, including costing models, financial due diligence and project / restricted fund monitoring.

People, culture & HR

• Oversee data protection and information security, ensuring GDPR compliance, robust data governance and adherence to frameworks such as Cyber Essentials where relevant.

• Manage relationships with IT and systems suppliers, ensuring contracts are well-specified, performance is monitored and services deliver value for money.

• Lead the design and continuous improvement of cross-organisational systems and processes to reduce duplication, improve user experience and increase efficiency.

Operations, facilities & supplier management

• Oversee the effective management of the charity’s co-working space in Fivefields and any hybrid / remote working arrangements, ensuring they are safe, inclusive and support collaborative working.

• Plan for future workspace needs in line with organisational growth, culture and budget.

• Lead procurement and supplier management, together with the Operations & Contracts Manager, for key operational services, ensuring contracts are well-managed and aligned with our ethical, environmental and sustainability commitments.

• Ensure robust health and safety arrangements are in place and implemented across all activities, including appropriate policies, risk assessments and training.

• Oversee business continuity planning and disaster recovery arrangements so that critical operations can continue in the event of disruption.

Governance, risk & compliance

• Act as Company Secretary and secretary to the Board, ensuring effective governance processes and high-quality information flows between the executive and trustees.

• Ensure timely and accurate compliance with Charity Commission, Companies House and any other regulatory or funder requirements, including statutory filings and returns.

• Lead the development, maintenance and regular review of the organisational risk register, ensuring an appropriate appetite for risk and clear mitigation actions.

• Provide assurance to the Board and its committees on the effectiveness of internal controls and compliance frameworks across finance, HR, data protection, health & safety and other key areas.

• Coordinate the review, approval, communication and implementation of organisational policies, ensuring staff are inducted, trained and clear on their responsibilities.

• Support the Chair and CEO in planning Board and committee agendas, ensuring trustees are well-supported to discharge their duties and have appropriate information to make decisions.
