You’ll need to be comfortable overseeing and helping to shape the architecture of our bespoke in-house applications, while taking ownership of existing systems — understanding how they’re built, how they work, and the part they play within the organisation.

The Role

mySociety is a small, purposeful charity that uses digital tools to help people participate more fully in democracy, make governments and society more transparent, and work together to address big societal challenges. We’re looking for a Digital Service Manager to lead the day-to-day operations of our high-impact, high-volume online services – including WhatDoTheyKnow, FixMyStreet, TheyWorkForYou and WriteToThem.

This is a vital and hands-on role, responsible for making sure these services run smoothly, are compliant with key legal frameworks like GDPR and the Online Safety Act, and that complex user support cases are handled with care and accuracy. You’ll lead on governance and risk management, support a volunteer team, and work closely with product and support staff to make sure our users’ needs are consistently met.

You'll be joining a nimble, digital-first, and entirely remote team – this post is fully remote, so you can work from anywhere in the UK! You’ll also have the opportunity to connect with colleagues face-to-face at our quarterly in-person team meetups.

We’re looking for someone with a strong background in managing digital services, who’s confident with complex support workflows and has a passion for improving services that make a difference. You’ll need excellent communication skills, strategic thinking, and a solid understanding of data protection and information rights.

What does the role involve?

• Keep our services running smoothly, ensuring high-risk or complex support cases are identified and resolved quickly and effectively
• Lead and motivate our user support staff and expert volunteers, creating a productive and supportive environment
• Maintain our strong record of legal and governance compliance across services
• Contribute to the ongoing improvement and development of our services, helping them remain useful, impactful, and aligned with user needs

User support and operations

• Triage, prioritise and manage all incoming support queries across services
• Ensure time-sensitive and legally significant cases (e.g. GDPR requests, Online Safety Act reports) are tracked, escalated, and resolved appropriately
• Manage our support workflows and volunteer contributions to deliver timely, high-quality assistance
• Collaborate with product and service owners to share insights and identify areas for improvement
• Help improve help guides and user-facing support documentation

Governance

• Maintain and update service policies, processes, and risk management protocols
• Ensure compliance with relevant laws and standards (including GDPR and media law)
• Monitor risk and report issues to senior management
• Coordinate regular internal meetings, reporting on service performance and operational updates

Requirements

• Excellent understanding of GDPR and experience handling rights-based requests

ABOUT THE ROLE

Variety is looking for an experienced Office and Facilities Manager who is proactive and highly organised to oversee the smooth day-to-day running of our office environment. This role blends operations, facilities management, and a bit of people-first thinking—ensuring the workspace is safe, efficient, and enjoyable for everyone. We own our building in Camden which has three floors and we intend to rent out one of the floors (one floor is c2,628sq feet). This role requires management of office building matters, tenants and general office management including assistance to CEO.

 KEY RESPONSIBILITIES

 Office Management:

• Oversee daily office operations and maintain a professional, welcoming environment.
• Act as the primary point of contact for office-related vendors (cleaning, supplies, security, etc.).
• Manage office supplies inventory and place orders when necessary.
• Support onboarding/offboarding processes from a facilities perspective
• Handle incoming mail and deliveries and ensure efficient distribution.
• First point of contact for calls, visitors, and general office inquiries.

Governance:

• Assistance to CEO with diary coordination, organisation of events, meetings, and in-office gatherings.
• Coordination of finance committee and Trustee meetings
• Minute taking at meetings as required
• Administrative assistance as required

Facilities Management:

• Oversee building maintenance, safety procedures, and office infrastructure.
• Liaise with tenants, building management, and external contractors to ensure facilities are well-maintained.
• Monitor and manage office budgets related to supplies, utilities, and maintenance.
• Ensure compliance with health and safety regulations; manage risk assessments and fire safety drills.
• Lead sustainability initiatives within the office (e.g. recycling, energy-saving practices).
• Ensuring health and safety compliance for staff including being the fire marshal

Cost management

· solicit and compare competitive quotes for office services and building making recommendations based on quality, reliability, and value.

· Negotiate contracts to optimise costs without compromising service standards.

· Proactively identify areas for cost reduction or improvements.

Administrative & Support:

• Maintain records of office leases, utilities, and insurance policies.
• Manage access control systems and office security.
• Support leadership with general administrative tasks when required.
• Create and maintain facilities manuals, process documentation, and onboarding guides.

Other

· Health and safety duties including fire marshal- training will be provided.

· Undertake any other duties that may from time to time be required.

SKILLS, KNOWLEDGE AND PERSONAL ATTRIBUTES

Essential:

• Proven experience as an Office and Facilities Manager, or similar role.
• Strong organisational and multitasking skills.
• Excellent communication and interpersonal skills.
• Problem-solving attitude with a high attention to detail.
• Familiarity with office software (e.g. MS Office, Teams)
• Knowledge of health and safety standards and regulations.
