An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Operations Support Officer. The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of the organisation’s CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and acting as first point of contact for the organisation, you will be responding to supporter enquiries. You will also provide general office, and IT support to the Head of Operations.

About you

You will have experience of working in an office administration role, including financial processing and have proven experience with databases. You will be comfortable working with and prioritising high volumes of work. In addition to your experience of completing routine, complex tasks accurately and systematically, you will be able to maintain quality and attention to detail. Confident, polite and professional with excellent communication skills and the ability to work as part of a team, you will have strong planning and organisational skills, with experience of maintaining office and administrative systems

Key Activities

      Donation Processing

• Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
• Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
• Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
• Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.

      Financial Administration

• Inputting of all financial data (income and expenditure) into Quick Books.
• Preparing and following up suppliers invoices for payment.
• Processing expenses claims.
• Managing the banking of income and supporter cheques.
• Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.

      Facilities & Office Management

• Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
• Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
• Manage and order office supplies, stationery and equipment.
• Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.

      Information Technology

• Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers. 
• Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
• Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
• Assisting with continuous improvements in Medair UK’s use of IT.

​    Engagement Support

• Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
• Supporting the production and automation of email newsletter and appeals via Campaign Monitor
• Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
• Producing digital surveys and web-forms as required.
• Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.           

      HR Administration

• Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
• Supporting the Head of Operations with team training and organisational learning and development opportunities.

Qualifications - DESIRABLE

The Role

Role purpose
Our new Household Crisis Caseworker position will work alongside our Crisis Alternative Service, Ealing Safe Space and information and advice service, Pathways. This new service provides support for Ealing residents 18+ who are experiencing household crises such as: housing, debt, welfare benefits, employment. This service aims to support those facing cost of living / household crises, by providing 6-12 casework sessions. This service will primarily support those from low-income households in need, pensioners, unpaid carers, care leavers, single-person households, disabled people and those struggling with one-off financial concerns or unforeseen circumstances. These sessions will cover a range of elements and will aid in navigating and liaising with services. Ultimately, preventing further crises relating to cost of living and empowering individuals by providing self-advocacy tools and support plans.

The role of the caseworker will be to provide advice, guidance and navigation to Ealing residents experiencing cost of living and household crises exacerbating mental health struggles. Support offered to each individual will be person-centred and tailored, but may include: liaising with statutory services (housing officers, social workers, mental health teams etc), supporting with form filling, sourcing warm goods, supporting with grants and income maximisation, emergency applications, empowering individuals with self-advocacy skills, signposting etc.

The successful candidate will triage, onboard and manage a caseload 15-20 individuals, whilst also supporting those who drop-in to the service who require crisis intervention on the day. In addition to crisis work, the caseworker will be expected to adopt a preventative approach and encourage referrals before a crisis occurs, via partnership working both internally and externally. There will be an element of outreach working for this post. The successful candidate will work alongside our Ealing Safe Space team and be supported by the Safe Space Team Manager.

The caseworker will be required to work within the Advice Quality Standard framework (AQS), adhere to Mind’s policies and procedures.

Due to the nature of the work, if successful, you will need to have an up-to-date DBS check completed prior to undertaking unsupervised client work.

Women and Girls Network’s (WGN) Administration & Bookings Officers (ABO) have day-to-day responsibility for coordinating the bookings for all of our clinical services. Part time role for 21 hours/three days per week, for a committed, motivated and suitably qualified individual to deliver counselling for people dealing with issues related to their sexual health, including people living with HIV.

METRO, in partnership with Turning Point, NAZ and London Friend, deliver a model of sexual health support throughout the three London boroughs of Hammersmith and Fulham, Kensington and Chelsea and Westminster.

We are seeking a committed, motivated and suitably qualified individual to deliver counselling for people dealing with issues related to their sexual health, including people living with HIV within the Support and Advice on Sexual Health (SASH) programme.  

The post holder will deliver high-quality person-centred service within a busy inner London environment. The clients are from diverse communities affected by sexual health and mental health issues. The role will support staff to work with people from diverse communities such as LGBTQ+ and the Global Majorities.

Turning Point is the lead partner for the contract, and a matrix staffing model is in place. The post-holder will work within the partnership and be line-managed by METRO SASH Counselling Services Manager, and work alongside staff from other agencies. The role will also be clinically supervised via an independent supervisor arranged through METRO.

Working within a small team, you will be an imporant part of communications & marketing for a membership association supporting the vital work of neurologists across the UK. This varied and rewarding role is ideal for someone looking to gain hands-on experience, work in a small team and have the ability to shape the direction of communications strategy. This is an exciting time to join the ABN as we undertake a digital transformation project with a growing team. The position is offered on a fixed term basis for 12 months.

What the job involves

The Health Information Coordinator is a vital role supporting a busy team that creates health information and communications for men who have been diagnosed with prostate cancer or those at high risk of developing it.

You’ll have the opportunity to play a key role in keeping all the health information on the website up-to-date and in line with the Patient Information Forum’s PIF TICK quality standard. As well as coordinating and editing the team’s social media communications. Supporting the promotion of our resources both internally and externally, you’ll help to evaluate the effectiveness of the service we provide.

The role is responsible for making sure all our health information publications are in stock, so we deliver an effective health information service for men and their families affected by prostate cancer. You’ll also develop and maintain administrative systems to support the team’s work including financial processing.

This role is fixed term until end of October 2026 covering an internal secondment.

We’re looking for a pro-active and highly organised person to join our team. You’ll be self-motivated and able to multi-task, supporting a busy team while keeping on top of your own projects. You’ll have experience of communicating in plain English across multiple platforms including social media and our website. You’ll also have the opportunity to develop an in-depth understanding of how medical and health-related information is produced to standard guidelines.

You’ll be a strong team player with excellent interpersonal skills, you’ll be happy communicating with a wide range of people, from men with prostate cancer and their families to specialist clinicians and researchers.

Position: Programme Officer

Reporting to: Senior Programme Manager

Location: Sidcup, Greater London, and hybrid working of 1 day in the office and 4 days remote (subject to change)

Starting Salary: £28,000 – £32,000 gross per annum (based on experience) plus benefits

Purpose

The Programme Officer will be responsible for supporting the effective implementation of project delivery activities across our portfolio, predominantly in Africa, Europe, Central Asia, and the Middle East. 

The post holder will support project delivery, ensuring quality expectations (internal and client), delivering within the scope and budgeted resources of projects, and in line with project timelines. The post holder will work closely with other members of the project delivery team, our technical team, delivery partners, and consultants to ensure projects maximise their positive impact.

The Programme Officer will also support the Senior Programme Manager to disseminate good management practice across the organisation, and advise on delivery approaches.

Main Responsibilities

The responsibilities of the Programme Officer include the following:

Project Support

• Provide support to Programme Managers in the delivery of projects, ensuring projects are delivered on time, within budget and scope and comply with client contracts
• Take on the project management of assigned select projects within a determined budget/complexity threshold, ensuring that they are delivered to time and quality
• Set-up and monitor project workplans, including change requests ensuring that approvals are formally recorded and filed
• Manage day-to-day relationships with delivery partners and internal team(s) and build a solid understanding of delivery needs and timelines across projects
• Monitor and support timely client and consultant billing and invoices attached to delivery
• Support onboarding of consultants for new projects, including due diligence checks and contract preparation based on set templates
• Ensure project management software and tools are accurate and kept up to date for allocated projects
• Provide timely responses to client queries and alert the Head of UK/Kenya Programme Management of any potential risks
• Lead duty of care and travel planning for staff and consultants, working alongside administrative officers
• Liaise closely with technical colleagues, Head of team, and Programme Managers / Officers on project support needs.

 Project Financial Management

• Monitor project budget performance, capturing variances and liaising with the Finance Team and Head of UK/Kenya Programme Management
• Monitor and support the processing of consultants’ expenses/fees against contracts and client invoices against contracts
• Make recommendations to ensure financial outcomes are met with respect to time, quality and cost, and provide early warning of project overspend
• Prepare internal project update reporting including finances and resourcing using required management tools. 

Organisational Support and Business Development

• Provide support in strengthening policies, procedures, and management tools for Development Pathways
• Coordinate with wider project teams to ensure technical capacity is well planned across Development Pathways’ portfolio of projects 
• Signpost colleagues to relevant project management tools and processes, when required
• Support project closure processes as required, capturing and sharing lessons internally
• Provide ad hoc input to evolving organisational requirements as directed by senior members
• Assist with the identification and monitoring of business opportunities in donor markets, as requested
• Update SharePoint and ensure project data sheets are developed and up to date to facilitate bids for tenders
• Collate and share project information to support the Business Development and Communications department.

Skills, Knowledge and Behaviours

The Programme Officer will require the following combination of applied skills, knowledge, and behaviours to successfully contribute to team goals:

Required:

• An undergraduate degree in an appropriate subject 
• Up to 2 years’ experience working on project support or delivery within international development,  research and/or the consultancy sector
• Ability and confidence to work independently and manage their own workflows
• Good communication skills and an ability to build and maintain strong working relationships with a broad range of stakeholders at the individual level and in representation of the organisation
• Excellent drafting skills.
•  Ability to understand and effectively analyse and utilise financial information
• Proven ability to resolve problems, anticipate barriers and create practical solutions
• High IT proficiency (Microsoft Office (Word, Excel), SharePoint, etc.)
• Demonstrated attention to detail ensuring quality standards are maintained
• Ability to travel internationally when required.

Advantageous:

• 1-2 years direct project management experience
• Proficiency in additional languages, especially Arabic or French.
