About the role

This is an exciting opportunity to join Coram’s Conference & Visitor Services Team, working in the conference team assisting with meetings and events and covering Reception. You will be working in a busy conference centre and reception desk and will have a passion for providing excellent customer service by giving a positive first-impression to every visitor to the Coram’s campus. You will have the ability to multi-task as this role requires you to assist the Conference team in in all aspects of the meeting process, from bookings, invoicing, and servicing meetings. We are looking for an enthusiastic, well organised individuals. The ideal candidate will have strong administration skills, some reception and hospitality experience preferred, and a flexible ‘can do’ approach.

Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme, and major initiatives such as Royal dinners, Galas and Biodiversity Summits which will require the EOA’s assistance.

• Manage ticketing and Q&A platforms and associated activities

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks
• Help maintain and update WFN’s CRM database (currently Salesforce) with contacts, donors, suppliers, event attendees
• Support the team with data entry, filing, record keeping, and maintaining digital and physical systems.

GENERAL DUTIES

• Represent WFN professionally at all times

This important role supports the operational delivery of the charity’s busy events programme and supports the team and running the office.

The events programme is diverse - from drinks receptions and report launches to events at agricultural shows across the UK - and support on administration for the wider charity, including some communications activity. Through these events, we drive awareness of our work supporting family farms and rural communities. In doing so we also garner support from funders to tackle the issues facing the countryside, ensuring our work reaches a diverse audience to raise awareness.

Under the direction of the Head of External Affairs, and with support of the wider staff team, you will be responsible for coordinating and running all the charity’s events, including full administrative support, booking venues, the invitation process and guest lists, organisation of collateral (including marketing and promotional information), catering arrangements and researching and inviting speakers. You will be also ensuring effective follow-up to each event such as wider dissemination of event content, evaluation, and reporting.

Working on events will account for approximately 75% of the role. The remaining time will be spent working across the charity undertaking a variety of administrative tasks. This will include supporting the team with mailings, coordination of specific activities and some general office management. Whilst reporting to the Head of External Affairs, this role will work closely with several team members, particularly the Executive Support & Governance Manager, providing a unique opportunity to gain knowledge and experience of different aspects of the charity’s work.

What we are looking for

This is an important role, and we’d like you to have a sound working knowledge of end-to-end event management and office experience within a charity or other professional environment.  To be successful you will be required to demonstrate a confident attitude supported by good written and verbal communication skills.  You must be comfortable using Microsoft office suite, events management platforms and our CRM system (currently Salesforce). You will be able to manage your time and prioritise your workload.  An ability to engage with a wide range of people is also advantageous. Most of all is the desire to provide first class customer service.

This position requires you to be a reliable individual with a detailed, methodical and organised approach who can work independently as well as part of a team. You will enjoy detail and managing data, all this supported by an interest in our work and the desire to develop a successful programme of events. You must be able to handle confidential information with discretion.

WFN’s communications amplify the work of Whitley Award winners, raise the profile of the charity, bolster fundraising efforts, and contribute to global conservation conversations, positioning WFN as a leader within the sector.

• Monitor, and create and schedule content for WFN’s Twitter, Instagram, Facebook, YouTube, and LinkedIn accounts, helping to grow engagement and channel performance, driving traffic to WFN’s website, and sharing charity, winner, and sector news – in line with WFN’s communications strategy and with oversight from the Head of Communications (HoC)
• Lead management of WFN’s photo library and footage archive (Google photos): naming, categorising, and uploading winner and event photos
• Support delivery of social media campaigns during the lead up to events to drive engagement and/or donations, and supporting with posting content throughout the event period
• Help produce video content
• Support production and distribution of our regular e-letter (through MailChimp)
• Work with the HoC on WFN’s website to regularly review and update content

The Communications Assistant will assist the team in planning and delivery of events during the Whitley Awards Ceremony week, including the Friends Reception, Ceremony and NGO Reception, particularly in the following areas: 

Communications

• Assist with supplier liaison across event filming, livestream, and photography
• Help create event visuals and on-screen graphics
• Support with creation of the Ceremony invitations and booklet
• Support with sourcing additional material for the Whitley Award films as needed
• Support the HoC with creation and uploading of content to the website and across social media platforms, including press releases, photographs, news stories, winner pages, and films.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme and major initiatives such as Biodiversity Summits which will require the CA’s assistance.

• Assist with the production of pre-event communications and marketing materials, including invitations, e-letters, social media content, and advertisements
• Assist with setting up and managing platforms such as Eventbrite as needed
• Assist with production of event materials (signage, banners, programmes, displays, slides)
• Assist with communications-related supplier liaison eg. Photography, filming, livestreaming etc.

 GENERAL DUTIES

Key Responsibilities:

Fundraising and Development:

• Develop and implement fundraising plans and campaigns, with a focus on strategies to engage and cultivate standard value supporters, including managing Direct Mail appeals to US Donors

• Create compelling content for fundraising appeals, ensuring alignment with Humanists International's values and mission.

• Analyze fundraising data to identify trends and opportunities for improvement, using AI-driven analytics where appropriate to understand standard value supporter behavior.

• Implement strategies to cultivate and steward relationships with donors, with a focus on upgrading standard value supporters, including supporting the In-person VIP Donor Reception

Membership Communications:

• Manage all membership-related communications, including the monthly newsletter, ensuring content is engaging, informative, and promotes fundraising opportunities to standard value supporters.

• Establish and maintain a strong online presence through existing social media accounts (e.g., Twitter, Facebook, Instagram, LinkedIn), with an expectation of minimum 2-3 posts per week.

• Develop and implement social media strategies to increase engagement and reach, with targeted campaigns for standard value supporters.

• Actively manage Acquisition Social Media (General), including the creation and management of Adverts on Social Media (Facebook & Instagram) and Google Ads.

• Respond to inquiries and engage with members online, fostering a sense of community among standard value supporters.

• Utilize AI tools to schedule posts, analyze social media performance, and identify target audiences within the standard value supporter segment for fundraising.

Campaigns:

• Invest time and effort in relaunching the "End Blasphemy Laws" campaign, developing engaging content and promoting it across various channels to maximize fundraising and awareness, with specific strategies for standard value supporters.

• Support other campaigns led by Humanists International, contributing to their communication strategies and execution, with a focus on integrating fundraising elements and engaging standard value supporters, including the development and promotion of Petitions (via CiviCRM).

• Support communications for Driving Event Registrations (e.g., World Humanist Congress).

Content Creation and Publication:

• Produce high-quality written and visual content for various platforms, including the website, social media, newsletters, fundraising appeals, and reports, tailored to appeal to standard value supporters. This includes developing Video and Multimedia Content.

• Support the Chief Executive in writing the annual report, ensuring it effectively communicates the organization's achievements and impact to all supporters.

• Lead the launch and ongoing production of a New Humanists International Podcast, and coordinate getting Personnel as Guests on other Podcasts.

• Use AI tools to assist in content creation, including generating initial drafts, optimizing content for different platforms, and ensuring consistency in tone and style, particularly for communications targeting standard value supporters.

Collaboration and Support:

• Work closely with the Advocacy and Membership Development teams to ensure consistent messaging and effective communication of Humanists International's work, with a focus on integrating fundraising into all communications with standard value supporters.

• Provide communications support to Young Humanists International, assisting with their campaigns and initiatives.

Planning and Strategy:

• Work with the Chief Executive Officer to develop a comprehensive annual communications and fundraising plan that aligns with the organization's strategic goals, with specific strategies for standard value supporters.

About This Job

You will provide effective administrative support to the Office Manager and the wider team to ensure the smooth running of the two charities, the Army Cadet Charitable Trust UK (ACCT UK) and the Combined Cadet Force Association (CCFA). You will support across a range of tasks including administration, office management, supporting on our insurance provision as well as meetings and event support.

A cheerful, can-do attitude is essential, as is the ability to work well with a diverse range of staff based in the head office and across the UK. Job Profile

The post holder will contribute to ensuring the Supporter Donations Team (SDT) manage and administer supporter donation activity on behalf of CAFOD, providing a high level of supporter care while delivering within agreed service levels and Key Performance Indicators. SDT has the overall responsibility for managing and thanking all supporter donations to CAFOD made through a variety of channels and schemes. SDT works within the Finance and infrastructure group, liaises across all teams in CAFOD, and external service providers to ensure donations are processed within agreed service levels and quality standards. Due to the nature of SDT’s role, SDT has particularly close ties to CAFOD Fundraising activities and actively engages in our fundraising programmes and schemes.

Key Responsibilities

Supporter Care:

• Handle telephone, email and postal enquiries from supporters; identifying and resolving queries in a prompt, warm and sensitive way.
• Provide phone cover to the Supporter Care team as required.
• Provide reception cover to the Supporter Care team as required.

Donations:

• Accurately code donations received, ensuring agreed departmental procedures are followed.
• Process, set up and administer instructions and payments through a variety of donations channels and schemes such as Online, Direct Debit, standing orders, BACs, Payroll giving schemes and online giving platforms.
• Input and maintain data on CAFOD’s supporter database, ensuring high degrees of accuracy on our donor records.
• File and archive financial data, while adhering to strict audit controls.

Gift Aid:

• Understand Gift Aid and its application within CAFOD.
• Assist with all aspects of tax effective giving, in accordance with agreed procedures and priorities, including preparation of regular tax claims for submission to HMRC.

Thanking:

• Produce and dispatch letters to thank and acknowledge donations received.
• Write bespoke letters of thanks to supporters to respond to exceptional donations and provide a personal touch.
• Contribute to ongoing enhancement and improvement of supporter thanking

Post/banking:

• Assist with all incoming and outgoing postal duties held by SDT to maximise effectiveness of processes and delivery of key service levels.
• Preparation of daily banking, cash handling and initial reconciliation of all monies received daily.

 All SDT staff are expected to:

• Attend and contribute to regular team, section, divisional and CAFOD-wide meetings and briefings.
• Work as a supportive member of the team, providing cover for and training of the section staff and volunteers as required.
• Participate in training and other activities as requested by the line manager
• Assist with the rapid set up of projects and work packages in response to major emergency and disaster appeals.
• Rotate through all key tasks within the team / section.
