We’re looking for an exceptionally organised High Value Events Assistant to play a key role in supporting the delivery of this varied and ambitious programme.

What does this role do?
As High Value Events Assistant, you will:

• provide high-quality administrative and delivery support across a portfolio of flagship, bespoke and stewardship events for high value audiences.
• manage guest lists, invitations and RSVPs, ensuring accurate data handling and a seamless supporter journey.
• support the development of event content and collateral, including liaising with internal teams and sourcing compelling case studies.
• research and liaise with venues and suppliers, source prize donations and support event logistics to ensure smooth delivery.
• lead on the organisation of regular internal events, including the annual departmental conference.
• take responsibility for delivering a small number of supporter engagement events, working with major donors and corporate partners where appropriate.

The Role

What will I be doing?

You’ll be responsible for a range of activities, including:

• Act as ‘the conductor’ of our rented office and meeting room spaces working with both internal and external stakeholders to provide consistently positive, welcoming, and inclusive experience.
• Directly line managing the receptionist and the AV technician, as well as oversee temporary or permanently based contractors to meet the building resourcing needs.

What you’ll do

Joining our small, high-energy team, you’ll play a key role growing our newest partner base and supporting primary school partners to make the most of the Unifrog platform and resources. Excellent customer service is at the heart of what we do, and you’ll make sure that all interactions with Unifrog are positive and successful. 

Your key responsibilities:

Sell Unifrog subscriptions to primary schools

• Design and deliver impactful prospecting campaigns and marketing collateral aimed at engaging potential new partners, tracking campaign performance and continually improving your approach to secure demonstrations and drive partnership growth.

• Meet with potential partners on video calls (and sometimes in-person). Understand their priorities, demonstrate the Unifrog platform and resources, and secure their subscription.

• Identify and attend conferences and events to promote Unifrog to primary school audiences, while networking and cultivating relationships for future partnership opportunities.

• Develop a sound awareness of Careers Education, Information, Advice and Guidance (CEIAG) and the PSHE Association Framework within the UK. You’ll need this to confidently navigate conversations with relevant contacts at primary schools.

Support primary school partners to make the most of Unifrog

• Set up new partner schools for success. Help them to embed Unifrog across their staff, student and parent community. You’ll deliver an initial staff training session then provide ad-hoc support.

• Proactively work to foster a sense of community amongst our primary school partners and think of ways to promote the sharing and embedding of Unifrog best practice between partners.

• Achieve sky-high resubscription rates by securing partner renewals when their subscriptions come to an end.

Our Aims

The Urban Partnership Group (UPG) is a community and regeneration organization situated in West London offering a wide range of activities at its bases at the Masbro Centre, Edward Woods Community Centre, Masbro Brook Green, and Flora Gardens Family Centre  projects managed include those for older people, youth, children center services, volunteering and community champions.  Through these projects UPG hopes to enhance the health, wealth and well-being of the centers’ users.

Role

To be responsible for the day-to-day provision of an efficient, welcoming and professional reception and administrative/business support service to the Masbro Community Centre.

The applicant will be the first person a visitor, client or customer meets or speaks to face to face or on the phone.  The applicant will need to have a good rapport with people and make them feel welcome and at ease.  UPG deliver a range different activities a week with a footfall of over 500 people a week.

Supporting providers and users of the Community Centre.

Duties and Responsibilities  ​

1. As the receptionist and administrator, ensuring all users and visitors are dealt with promptly, professionally and courteously.

2. Provide a warm, supportive and nurturing front-of-house presence, building positive relationships with service users, tenants, volunteers and partners.
3. Develop and maintain effective clerical and administrative systems in line with UPG policies and procedures, reviewing and improving systems where necessary.
4. Carry out general administrative duties including (but not limited to):
   • Managing incoming and outgoing post
   • Responding to written and verbal enquiries
   • Coordinating bookings for workshops and classes
   • Processing invoices and supporting basic financial record-keeping
   • Assisting with room and hall hire bookings and issuing hire agreements
   • Attending and minuting meetings as required
   • Undertaking follow-up actions where necessary

12. Assist in gathering data and basic monitoring information required for reports to funders and stakeholders.

The Candidate
Proven track record in planning, coordinating, and delivering successful fundraising events, both virtual and in person, with a focus on donor engagement.

Experience in managing mid and major donor portfolios, including cultivation, stewardship, and soliciting gifts.

Experience in managing high-value events, such as gala dinners, donor receptions, and exclusive donor webinars.

Strong written and oral communication skills with the ability to create compelling content for event materials and donor communications.

The Royal School of Needlework is the International Centre of Excellence for the Art of Hand Embroidery. Based at the historic Hampton Court Palace, we have been dedicated to preserving and innovating in the art of hand embroidery since 1872. Our thriving education programme offers courses for all levels, from beginners to degree level, and we teach onsite and online in locations across the UK, and internationally in America, Japan, and Australia. The RSN is unique. No other single organisation covers the breadth of education and practice to promote the art and technique of hand embroidery or has our connections, collection, archive and heritage. Embroidery is an international language. Cultures and communities have used embroidery-based techniques to tell stories and record events for hundreds of years while the individual benefits of mindfulness and mental wellbeing are now increasingly being recognised today.

Overview of Role:
To provide operational and administrative support across the RSN’s educational programmes, including the Certificate and Diploma, Tutor Training Course, Short Courses, International Summer School and On Demand Courses.

Main Duties 

The main duties include, but are not limited to: 

General Administration 

• Manage the Education Email Inboxes, responding to queries and complaints as appropriate. 
• Monitor and order stock levels, ensuring supplies are available as needed. 
• Handle the packing and mailing of kits and materials, both nationally and internationally. 
• Support classroom setup for various courses, including Short Courses, Bespoke Classes, and events. 
• Assist in preparing beverages for students and visitors, maintaining cleanliness in the area. 
• Escort visitors and guests from reception, including tour groups, while representing the RSN brand confidently and enthusiastically. 
• Attend offsite events as required. 

Course-Related Administration 

• Support the Certificate and Diploma Programme Managers in the administration of the course. 
• Provide logistical support for educational tours and other departmental activities. 

Other Duties 

• Maintain a professional and efficient workflow within the Education team. 
• Provide comprehensive administrative assistance to the Director of Education and the Education Management Team, including scheduling, correspondence, and maintaining organised records to facilitate programme delivery.
• Undertake any additional activities required by your line manager within the scope of this role.

The Events and Partnerships Officer will play vital part of delivering a dynamic calendar of events that support our partners and new partner acquisition, developing our industrial supporter programme and supporting vital processes across the income generation team. Key Responsibilities

Events

• Lead and deliver assigned events from planning through to evaluation, ensuring objectives, budgets, and timelines are met.
• Develop and manage relationships with sponsors, partners, exhibitors, and delegates to maximise engagement and value.
• Collaborate with the Income Generation team to identify and secure sponsorship opportunities.
• Manage logistics including venues, travel, accommodation, catering, and supplier contracts.
