This is a remote position with some preference for London UK, Freetown Sierra Leone or Nairobi Kenya

Scope of Work

1. Financial Data Entry & Reconciliation

• Enter and reconcile day-to-day financial transactions in the accounting system, including expenses, transfers, payments, and receipts.

• Ensure all entries are accurately coded to the appropriate cost centres, grants, or funding streams.

• Review and reconcile staff expense claims, payment vouchers, and supporting documentation.

2. Budgeting & Grant Allocations

• Support the allocation of expenditure to budget lines across multiple funding sources, ensuring compliance with donor requirements.

• Maintain the habit to monitor actual spend against budgets using existing systems (Netsuite), highlighting any anomalies or risks.

• Assist in the preparation of internal budget summaries and financial snapshots for program and leadership teams.

3. Financial Reporting

• Assist in compiling donor financial reports by collecting, reviewing, and formatting financial data in line with donor requirements.

• Liaise with grants and programme teams to ensure alignment between financial and narrative reports.

• Maintain up-to-date and audit-ready documentation to support all reporting outputs.

4. Managing Fiscal Sponsorship Financial Reports

• Ensuring that income from fiscal sponsorship partners are accurately recorded

• Preparing regular income and expenditure reports for fiscal sponsorship partners and addressing reconciling items. 

• Represent the Finance team in update meetings with potential  or current fiscal partners.

5. Audit & Compliance Support

• Organise financial documentation and support sampling processes during internal and external audits.

• Maintain orderly and accessible digital and physical filing systems for all financial records.

• Support implementation of financial policies, templates, and compliance checks, working closely with the Head of Finance.

The Role

As Finance Manager, you will be responsible for managing and monitoring all charitable income and expenditure, financial forecasting, producing management accounts, annual financial accounts, and maintaining effective control systems. The post holder will also have the opportunity to work on strategic projects such as developing our financial practice and policies, grant reconciliation and forecasting.

The successful candidate will have charity accounting experience and at least qualified by experience in charity accounting. In addition to the relevant technical skills, we are looking for someone who is committed to our mission, takes a proactive approach, is excited to support our responsive, dynamic organisation to develop and grow, and has excellent people skills to build and maintain effective relationships with colleagues.

Whilst this is a remote role, some occasional travel (approx 6-10 times per year) to London and the South East for meetings and get togethers will be expected.

Secretariat Duties

• Preparation of papers for, attendance at, quarterly Board meetings

• Arranging and minuting Quarterly Board meetings, 

Supporting the organisation

• Business planning including tracking multi-year grant commitments and understanding the balance of reserves after future year income and grant commitments

• Support Fundraising with donor reporting requirements, reconciliation of income received and reviewing of income against budget and forecast

• Contribute to strategic projects and funding bids.

Audit and Taxation

• Lead the relationship with the auditors, ensuring that the audit is delivered on schedule and all statutory filings are made on time.

• Responsible for the preparation of statutory accounts and supporting schedules.

• Liaise with tax advisors to ensure compliance.

• Complete quarterly VAT returns and Gift Aid returns.

Treasury

•  Lead in the management of bank accounts and deposits.

The salary is £38,000 FTE pro rata, for 21 hours per week, with 17 days annual leave including bank holidays.

Job Purpose

The finance team is a core part of our Operations Directorate, and although we’re a small team we have a huge impact on the effectiveness of our organisation. The team provides support and guidance to all staff members on how to process invoices, expenses, and generally manage their budgets effectively. The main purpose of the Finance Officer role is to provide key support to the finance team with our finance processes, supporting staff members across the organisation, helping with any queries on a day-to-day basis, as well as supporting our members and suppliers with queries. The Finance Officer ensures all financial transactions are processed in accordance with BSR’s procedures and processes and in line with data protection regulations.

Main Responsibilities

Purchase Ledger 

• Receive all supplier invoices (including member expenses), checking correct finance codes with relevant nominal, department, project, VAT and fund codes are on all invoices, and that the necessary authorisation is present 
• Scan and file all finance related documents (e.g. bank statements)  
• Set up fortnightly supplier payment runs for review by the Finance Manager 

 Sales Ledger 

• Work with budget holders and project leads to produce sales invoices  
• Liaise with budget holders to ensure correct coding of all invoices (nominal, department, project, VAT, and fund codes) 
• Credit Control – dealing with customer queries and chasing for payments fortnightly

Role Purpose

The Role will be responsible for the entry and review of financial transactions from various sources including purchase invoices, payment cards and bank transactions. 

The organisation has grown from managing 8 entities three years ago to 22 at present. We have 41 accounts across 5 different banking institutions (in both USD and GBP) and multiple credit/debit cards. You will need to be adaptable with an open mindset and able to work with uncertainty and change.

We have recently implemented new accounting software (Iplicit) to better manage the multiple entities in our portfolio.  This role will act as a key part of the finance function now the new system is live.

• Processing of purchase ledger transactions (including VAT entries) for 22 legal entities, in multi-currency, ensuring accurate re-allocation to other entities where appropriate

• Preparation of supplier payment runs for approval

• Completing bank statement imports and reconciliations

• Responding to internal and external queries regarding purchase transactions and payments 

• Other administration & support as required by our Central team (including People, Digital, Business Development & Impact) 

• Review and processing of employee expense transactions 

• Creating regular Inter-company recharge invoices for batches of transactions

Skills & Experience

Essential Skills & Experience 

• Practical experience in a similar role processing a range of financial entries 

• AAT Level 3 Certificate in Accounting or similar

• An understanding of the fundamentals of VAT

• Attention to detail and with ability to question existing processes

• Confident and financially literate, with clear communication and good organisation skills 

• Able to manage priorities and work effectively in a remote working setting 

Desirable Skills & Experience 

• Experience of working with multi-company/inter-company structures 

• Familiarity with Iplicit accounting software 

• Experience of working with multiple currencies

About Finance at Hope into Action 

The Finance function of Hope Into Action is small team comprising the Finance Lead, the Finance Administrator and a volunteer reporting to the Head of Operations. It is largely paperless and supports our 42 staff with accounts payable and receivable functions. It works in conjunction with the other departments to deliver timely, accurate and strategic financial information for both the Executive Team and the Board of Trustees. 

About the role 

The Finance Lead is a key role in enabling Hope into Action fulfil its vision of every church lovingly making a home for those experiencing homelessness.

The role is broad ranging from monitoring the Finance inbox to posting transactions on our Xero accounting system and producing the monthly management accounts within our target of 10 working days from the month end 

In addition, you will support the year end work by producing the schedules required by auditors, take a lead in the annual budgeting process, produce the biannual investor statements and compile the gift aid returns. 

You will be expected to meet regularly with budget holders to help them achieve their targets and/or devise a plan to bring them back on track.

About you 

We are looking for a self-motivated person with a passion for our work, tenants, staff, churches and mission. You will be adaptable and equally comfortable with bank reconciliations as writing a commentary on the management accounts. We employ people of hope where humility, a genuine desire to love and serve others, and strength of character are as important as any job description. Roughly, 50% of our homes are in our ‘line-managed cities’ (Peterborough, Norwich, Nottingham, Cambridge), the other 50% are found across a further 30+ towns which we franchise into.
