As Legacy Administration Officer, you will maximise income from legacies left to Oxfam GB by ensuring the effective, timely, and sensitive administration of legacy gifts in accordance with the law, internal procedures, and best practice.

This is a hybrid role required to be in office 2 times per week in central London, the role is an ASAP start, and will be for approximately 2-3 months.

The role

As Team Coordinator, you’ll provide first-class administrative support to a welcoming and dynamic fundraising team. Your responsibilities will include:

• Team support: diary management, scheduling meetings, booking travel, preparing agendas and documents, coordinating inductions, and keeping the Team Handbook updated.
• Finance support: tracking income and expenditure, working with finance colleagues to ensure figures are accurate, coding is correct, and invoices, payments and gift aid are processed.
• Business planning: supporting the team’s planning cycle by assisting with income forecasting and data capture.
• Database management: maintaining the CRM, ensuring data accuracy, GDPR compliance, KPI tracking, and supporting fundraisers with information.
• Donor care: managing the philanthropy inbox, ensuring enquiries are directed to the right people and responded to promptly.

About you

We’re looking for someone who can bring both strong administrative skills and a collaborative, team-focused approach. The ideal candidate will have:

• Excellent Excel skills, confident working with large data sets, formulas, and numerical reporting.
• Strong organisational skills, with the ability to juggle multiple priorities in a busy environment.
• Experience of working with CRM systems (ideally Microsoft Dynamics or similar).
• Confidence in managing income and expenditure processes.

OVERVIEW OF THE ROLE

Beacon is now in its second decade and has grown substantially over the last three years, including a rebrand and expansion into international projects. To support this growth, we are seeking a highly organised, proactive, and intuitive Admin & Operations Officer to help ensure the smooth running of our daily activities and core functions.

This varied role spans many aspects of our work, from administration and resource management to supporting the systems and tools that keep Beacon working efficiently. You’ll work across the charity, supporting our executive leadership, projects teams, and fundraising activities, as well as and ensuring colleagues have the information and resources they need to deliver for our beneficiaries.

The successful candidate will play a key role in the day-to-day running of the charity and in supporting senior staff. As you settle into the role, you’ll have opportunities to develop skills in areas such as financial management, executive support, relationship management, stewardship, or project logistics, depending on your interests and the charity’s needs.

This is an excellent opportunity for someone at an early stage of their career, with full training and support provided. MAIN DUTIES AND RESPONSIBILITIES

Organisational administration

• Lead on day-to-day operational processes to ensure the efficient running of the organisation.
• Provide executive support to the CEO and COO, including diary coordination, scheduling, and meeting logistics.
• Oversee internal financial processes, including processing expenses and invoices, documenting charity income and outgoings, ensuring accurate record keeping, and liaising with our external accounting team.
• Coordinate team activities such as strategy days, team-building events, and the annual Christmas party.
• Support HR-related processes such as managing staff anniversaries, birthdays, departures, and basic record-keeping.
• Act as liaison between the CEO and Board of Trustees as required.
• Collaborate with building management to ensure smooth operation of office facilities.

Fundraising administration

• Provide administrative support for funding applications and reports, including document preparation and submission.
• Monitor timelines and deadlines for all fundraising-related commitments, ensuring requirements are met.
• Maintain accurate fundraising records, keeping donor and income information up to date in our systems.
• Liaise with fundraising partners, sponsors, and donors as required.

N.B. The fundraising aspect of this role is focused on providing administrative and logistical support. This is not a fundraising position, and applicants are not expected to be responsible for income generation.

Team-wide support

• Monitor and respond to incoming enquiries via phone, email, and the Contact Us form, ensuring timely and professional communication.
• Process and respond to volunteer applications, maintaining accurate records and liaising with applicants as required.
• Manage organisational resources, including internal supplies and external materials, monitoring stock levels and coordinating reorders.
• Provide office management support to ensure a well-functioning, well-resourced working environment.
• Organise team travel arrangements for internal and external events.

Occasional duties

• Provide support in the lead-up to major events with preparation of materials as required.
• Support on-the-day delivery of major events alongside other team members.
• Represent the charity at external events and exhibitions.

Experienced candidates

In this role, you’ll be responsible for:

The Lead Coach is primarily responsible for overseeing the training room and group sessions with young people. You will help shape the training environment and will confidently adapt and deliver materials and sessions to work within the group’s development towards work readiness.

Delivery of Spear Programme - Group and 1:1 coaching [60%]

• Preparing and coaching Spear Foundation sessions and 1-1s, ensuring that young people are engaged, retained and work-ready by the end of this initial phase of the programme.
• Building relationships with young people on the programme and managing culture, and attitudes in the training room.
• Adapting the Spear coaching material according to the needs of the Trainees and managing behaviour effectively.

Delivery of Spear Career [20%]

• Delivering weekly Spear Career sessions (including running workshops with past Trainees), maintaining records and reporting on statistics, and creatively developing ongoing relationships with Spear Trainees.

Training the Asssistant Coach [10%]

• Contributing towards the training and developing of the Assistant Coach by modelling excellent coaching and giving regular feedback.

Trainee recruitment [10%]

• Developing relationships with Job Centres and local referral agencies to ensure that the maximum number of Spear Trainees are enrolled on each programme. This involves liaising with referral agencies, active face-to-face recruitment and monitoring recruitment statistics.

Job Purpose:

To work alongside the Legacy Marketing Manager to help deliver MFS UK’s Legacy Fundraising strategy and support the efficient administration of one of the charity’s largest income streams.

Working closely with internal stakeholders and external partners, this role is focused on ensuring an effective and organised Legacy Administration for the organisation.

To support the strategy to increase income, this role will be liaising with donors who are interested in leaving gifts in their wills and assist with the recruitment of new supporters. This role plays a fundamental part of our Legacy Stewardship and Retention programme for those who have already committed to leaving a gift in their will.

You will bring proven experience of working with boards or committees, a strong grasp of governance frameworks, and the ability to interpret and apply governing documents and legislation. Chartered membership of a relevant professional body, such as CGI, combined with experience in charity governance, would be highly desirable.

This new role will enhance the strategic impact of our alumni to both the Business School and the University more widely through creative and collaborative working, and evaluating, and prioritising activity to best effect. Working in a matrix-management environment, you will be based in the Business School, reporting in to the Director of External Engagement (Partnerships and Executive Education) and will also be part of the University’s Advancement Team with professional accountability to the Head of Alumni and Supporter Engagement.

The post holder will therefore work in close partnership both with staff in the Business School (in particular External Engagement, key undergraduate and postgraduate programmes, Executive Education and the marketing and communications team) as well as with Advancement colleagues. You will be responsible for leading and managing the Business School’s alumni relations team, translating the School and University strategies into meaningful action, across two key areas of focus:

• Building our alumni community through a programme of engagement, events and communications that enhance our community engagement, identifying opportunities to maximise the impact within the context of Advancement and Business School strategies.
• Increasing the strategic impact of alumni engagement on research and student experience objectives, particularly through volunteering and advocacy.

Working with the team, you will play a critical role in adding strategic value to the Business School from alumni engagement, and developing how Business School engagement, content and activity can benefit the student and alumni community more widely. You will also be delivering against the strategic needs of the wider University, as we enhance our engagement of alumni and supporters (donors and volunteers). You will therefore have a proven approach to collaborative working and developing successful partnerships across organisations.
 

Person Specification

You will have significant experience of managing relationships and influencing senior stakeholders, both internally and externally, to deliver value-adding projects and initiatives. You will have experience of developing strategies, and translating these into activity, maximising events, communications and face-to-face relationship building activity to achieve strategic aims. You will be an experienced leader, able to manage and inspire a motivated, high performing, purpose-driven team with a culture of collaboration and a creative approach to opportunities and problem-solving.
