We have a new vacancy for an HR Operations Coordinator in the Strategy, Finance and Operations team, reporting to the Head of People. The person will be supporting HR and People related operational activities by delivering excellent support through strong relationships across the organisation.The salary is £13,780 per year (18.75 paid contractual hours per week). This is £27,560 pro-rated.
Role responsibilities (not an exhaustive list, there may be reasonable changes over time)
Operations – People and General:
- Promptly responding and resolving colleague queries from across the organisation
- Maintaining the BambooHR system to ensure People records are accurate and secure. Training will be provided.
- Arranging bookings for Town Halls / Engagement events, organising the meeting agendas and catering bookings where relevant.
- Updating HR information system Guidance documents, creating new versions, and ensuring managers are fully trained on people management responsibilities.
- Update employment policies with guidance from the Head of People, manage the administration of benefits and recognition awards
- Manage the recruitment administration using the Bamboo software and providing proactive updates to hiring managers.
- Managing the Onboarding and Offboarding processes using the BambooHR system, including the Employment references, conducting Right to Work and DBS checks.
- Preparing and issuing employment contracts, ensuring compliance with employment legislation
- Manage the induction process and arranging induction meetings for new joiners, communicating proactively with hiring managers.
- Coordinate and participate in the virtual phone rota and handle correspondence in a a professional manner.This includes overseeing successful handover between rota team members.
- Supporting the Chief Operations Officer in ensuring the charity meets Health and Safety and legal requirements
- Manage staff IT related activities (Microsoft 365), for example during staff onboarding and offboarding (with support from IT service provider)

Community Engagement Coordinator – North Region, England
Location: This post is home-based, working within BookTrust’s Northern England region, which covers the North West, North East, and Yorkshire & the Humber. The role requires flexibility and travel across the region and to other BookTrust offices in England, Wales and Northern Ireland.
Contract: Permanent, full-time
Salary: £30,000 per annum

We are national in scale and operate in every region in England, Northern Ireland and Wales. We work through every local authority, via children’s centers, schools, libraries and health professionals, to reach families. Our England Partnerships Team supports our wide range of partners in a place-based way, working in and with local communities and the children and families most in need of support.
As a Community Engagement Coordinator, you will work within the regional partnerships team. You will manage a caseload of community work to support programme delivery, partnership network development and bespoke learning and development with the BookTrust partner network. You will create excellent links into communities and develop relationships with stakeholders in order to support BookTrust delivery and development, and place-based, community-led initiatives.
We are looking for a positive and enthusiastic, credible ambassador with a demonstrable ability to make connections across a wide range of people and groups in order to deliver ambitious projects. You will have great communications skills with the ability to engage effectively with a diverse range of audiences, in writing and in person. You may have worked within or across a local authority provider or network, in outreach or in a project within a local community or the third sector. You may have experience working with children and families experiencing deprivation, or in children’s reading. You will be highly motivated with the ability to work unsupervised across multiple projects in disparate locations simultaneously, and to work at pace, often to tight deadlines.
The Opportunity
You’ll work closely with the Senior HR Officer to ensure the smooth running of the charity’s HR processes, playing a key role in providing largely administrative support for all aspects of the employee life cycle for the charity.
From posting job adverts and preparing employment contracts to conducting pre-employment checks and completing leaving processes, you will ensure that our HR systems, processes and procedures are maintained appropriately.
1. General HR
- Work with the Senior HR Officer to provide HR administration for all aspects of the employee life-cycle from preparing employment contracts and collecting and assessing references, to completing leaving processes and reviewing exit questionnaires
- Maintain the accuracy of the data across all our platforms; create and amend any relevant HR documents.
- Administrative support for special HR projects, these might include initiatives like increasing retention, personal development or our staff rewards package.
- Track and maintain DBS/PVG renewals as the organisation’s criminal records’ check sponsor
2. Recruitment
- Manage our recruitment platform and training hiring managers on how to use it.
- Coordinate with staff teams to manage the job requisition to job advertising process; hold them accountable for ensuring that job adverts are posted on the more appropriate/relevant websites, within budget and in good time.
- Coordinate and schedule interviews with relevant managers
- Ensure applicants receive prompt and sufficient communications regarding their progress/ the outcome of their applicant journey.
3. Onboarding, Induction & Separation
- Process the onboarding of new starters including overseeing collation of required documents, including DBS/PVG checks, right to work checks, reasonable adjustments forms, working from home risk assessments, references and preparing contracts.
- Carry out DBS renewals for staff, be a port of call with the rest of the safeguarding team for concerns.
- Coordinate new starters induction including, laptop issue, training set up and IT systems set up.
- Ensure all new starters receive mandatory training and this is recorded on the HR database and tracked for renewals.
- Coordinate leavers, including returning of equipment and handover of key information; conducting and recording exit interviews.
