Finance Manager

Reporting to the Director of Finance and Operations you will provide operational management of the finance department of the school, ensuring accurate financial reporting, appropriate financial controls are in place, that cash is managed prudently and that the department provides timely and relevant support to the business
Key Responsibilities include:
- Manage the finance team and the day to day running of the Finance Department to support the operation of the Prep and Senior School and subsidiary companies.
- Prepare management accounts, including balance sheet for the School and its subsidiaries each month showing the financial performance and position of each entity compared with budget, and produce a concise commentary on variances and other matters of significance and review with the DFO
- Providing information for the DFO and Finance and Council meetings as required
- With the DFO, prepare annual budgets for review
- Manage the annual audit and prepare audit files for submission by required date and manage the audit onsite field work team
- Prepare the annual Statement of Financial Activities and Balance Sheets for the School and its enterprise and international companies
- Assist DFO in preparation of annual Directors' Report
- Prepare monthly cash statements and aged debtor analyses
- Prepare cash flow statements each term
- Ensure the fixed asset register is maintained and depreciation calculated accurately
- Ensure that all intercompany transactions are properly reflected in the accounts of each company and in the consolidated financial statements of the School
- Prepare group VAT returns for the School's and subsidiaries and monitor non-VATable transactions for the Charity in respect of registration requirements
- Reverse VAT charges for overseas agents
- Liaise with VAT consultant where necessary
- Corporation Tax Returns for trading subsidiaries in conjunction with advisor
- Reconcile bank accounts for restricted funds and analysis of fund market values and ensure all other bank accounts are reconciled monthly (fees and operating accounts)
- Reconciliation (and supervision) of all major nominal ledger control accounts
- Liaising with overseas partner schools re income and payments
- Reporting on investment portfolios
- Daily management of cash and optimisation of income from cash deposits
- Managing daily posting of all fees and operating bank accounts by Finance Team
- Managing the purchase ledger operation.
- Accurately managing accruals and prepayments and reporting for audit

Building upon the current small programme, you will lead on initiating conversations with new funders and effectively convey the funding needs of the Hall and capital appeal. As Senior Trusts and Foundations Manager, you will:
- create and coordinate the trusts and foundations strategy focused on driving growth and income;
- personally manage a portfolio of trusts, foundations and other grant funders giving 6- and 7-figure gifts, ensuring you deliver fantastic stewardship and reporting;
- oversee and develop a high value T&F pipeline, proactively cultivating and building relationships with potential funders;
- produce compelling funding proposals, applications and cases for support to secure transformational restricted and unrestricted donations;
- provide leadership and support to the Philanthropy Coordinator – Trusts & Foundations;
- work closely with the rest of the Philanthropy team to identify and maximise the lifetime support of donors and partners.
Ideal skills and experience:
- Demonstrable experience of managing and securing 6-figure+, multi-year funding from a range of trusts, foundations and statutory funders

The Volunteer Manager (VM) is responsible for overseeing high-quality sourcing of volunteers to join as 1MM Mentors across the regions, which includes partnership development, online site listing, and matching mentors/mentees, general oversight of mentoring relationships in different programmes, implementation of safeguarding measures, fundraising, meeting growth targets and leading all aspects of mentor management. The role will help to establish a pipeline across the regions, with 5000 new mentors for 2024. This role reports to the Chief Commercial Officer (CCO).
1MM VM’s main tasks include:

Helping 1MM to scale by sourcing sufficient volunteer mentors who go on to become confirmed matches for high quality mentoring relationships.

Ensuring mentors coming online have completed the platform mentor training within 1 month, and that this conversion results in sufficient and timely readiness of mentors to meet the needs of programmes with one month’s lead time.

Providing ongoing support to 1MM’’s Volunteer Providers (eg employer partners), maintaining strong relationships.

Securing one corporate sponsor per quarter.

Becoming familiar with the 1MM Platform, using it comfortably for ongoing administration and providing support to mentors.

Providing a weekly update on various aspects of mentor recruitment, including expected supply, actual registration, and confirmed matching. Share lessons learned on volunteer conversion and matching with the wider team.

The Charity
The Youth Adventure Trust is a youth development charity working with vulnerable young people aged 11 to 16 years old from Wiltshire and Swindon. Our outdoor activity based YAT Adventure Programme enables young people to challenge themselves, experience success, learn to go beyond their own expectations and grow in confidence. Through a series of residential camps and day activities they are able to build resilience, self esteem and develop social and life skills. The YAT Resilience Programme works to the same outcomes through a year long programme of monthly activities, home-based challenges and reflective practice. Our Mentoring Programme works with those young people in need of some additional individualised support at the end of our other programmes. Programme Support
This aspect of the role includes;

Attending residential camps and activity days throughout the year, assisting with organising and delivering the Adventure Programme.

Ensuring the highest standards of support, safety and safeguarding across the programme and all aspects of the Youth Adventure Trust’s work.

Carrying out direct work with young people to help support their needs and fulfil the Youth Adventure Trust’s aims.

Supporting work with the young people’s families to promote full attendance, effective participation and ensure they have all the information they require.

Supporting work with our referral partners to ensure they have an excellent understanding, relationship and experience with the Youth Adventure Trust.

Contributing to ongoing feedback to young people, parents, carers and schools.

Supporting the effective monitoring of the programme and measurement of young people’s developmental outcomes.

Working with the Programme Managers to support young people moving on to the Mentoring Programme, and promoting take up of the Bursary Programme.

Supporting the development of further opportunities for young people both during and after their YAT journey.

Assisting the day-to-day administration and management of the programme. This may include maintaining a database, producing written communications and reports, information leaflets, website updates, budget monitoring, booking and negotiating with providers, and an array of detailed record keeping.

Creating website and social media content to highlight and promote YAT’s work.
Volunteer Management
Volunteers are critical to the success of our programme for vulnerable young people; recruiting, supporting and developing capable, skilled, empathetic, engaging and committed volunteers is essential to the impact of our work.
This aspect of the role includes;

Promoting volunteering opportunities and recruiting new volunteers to the organisation to ensure needs are met.

Acting as a key point of contact for volunteers, maintaining communication and engagement with the charity.

Administering all aspects of a volunteer’s involvement with the Trust, including completing the relevant checks and references, record keeping and database maintenance.

Organising, preparing and information sharing with volunteers to ensure they are ready to fulfil their role.

Supporting volunteers in their role on our Adventure Programme, facilitating opportunities for informal supervision and debriefing. Our volunteers work tirelessly to ensure the young people get as much as possible from their time with the Youth Adventure Trust, and often deal with challenging and impactful situations.

Developing and coaching volunteers in their role through working alongside them as they support young people on our Adventure Programme residential camps and day activities.

Creating and delivering training opportunities for new and existing volunteers.

Creating website, newsletter and social media content to promote volunteering and engagement with the charity.

Supporting our Volunteer Committee in their functions which include organising awareness raising and social events.

Developing opportunities for a diverse portfolio of volunteering roles within the organisation.

Across the role you will;

To be up to the challenge you’ll need an excellent understanding and a proven track record of relevant experience working with vulnerable and challenging young people. You’ll need demonstrable skills at building effective relationships with young people, parents/carers, and professional organisations. In addition, you’ll need an excellent understanding of volunteering and relevant experience working with and managing volunteers. You’ll need strong influencing and motivational skills; the capacity to get the best out of people and confidently deal with issues. You’ll be an excellent communicator, planner and problem solver, a strong team player and an exemplary role model.

As an Area Manager you will give leadership, direction and guidance to the staff of Medaille Trust to ensure the provision and development of a high quality service in line with the Trust’s Mission, Values and Strategy.
You will have a good understanding of the CQC framework relating to Modern Slavery and Human Trafficking. You will carry out quarterly assurance audits in all safe houses ensuring any appropriate action is taken where necessary.
