Job Title: Operations Manager

We currently have an exciting opportunity for an Operations Manager to join our successful and experienced team on a fixed term contract providing maternity cover between July/August 2025 and July/August 2026.

Why is this role so critical to us?

The Operations Manager leads all BucksVision’s operational activities, including service delivery, financial processing and communications.

Together, with having your own clear accountabilities, you will collaborate and partner with Chief Executive to ensure that BucksVision’s services continue to be effective in delivering the charity’s aims and objectives.

 

Your Responsibilities will include, but not be limited to:

• Member of BucksVision’s Senior Management Team (along with the Chief Executive).
• Through collaboration with the Chief Executive, and the Trustee Board, ensure all BucksVision’s services are managed and are performing to expected high standards in support of our customers.
• Be the operational lead for BucksVision, managing service delivery, office administration, internal and external communications, and financial processing.
• Day-to-day management of the office and administrative duties ensuring efficient and effective processes are in place whilst inquisitive to seek out and implement areas for continuous improvement.
• Deliver strong line management responsibilities to one Administrator and deputise for the Chief Executive in their absence.
• Responsible for the management of BucksVision’s CRM system (Beacon)
• Manage the financial administration and processing of the charity, including invoicing, payments and payroll, and work with the financial auditors to ensure information is accurate and provided in a timely manner during the audit of annual accounts.
• Manage all internal and external communications to staff and stakeholders, including marketing and publicity materials such as BucksVision’s quarterly newsletter, website and social media.
• Proactively work with local organisations and partners to raise awareness of BucksVision’s services, through presentations, community events and other profile-raising activities.
• Responsible for dealing with customer queries, resolving these in a timely and effective manner, with excellent standards of customer service.
• Responsible for monitoring and reviewing operational activities, ensuring the services deliver results as planned.
• Provide operational support to the Chief Executive and Board of Trustees.

You will spark our interest by being:

• A good “all-rounder”, love the detail, obsessed with accuracy with broad operational and administrative experience.
• An experienced service delivery, project or operations manager ideally with experience in a charity or community sector organisation.
• Confident managing a diverse, and wide range, of administrative and operational tasks. No two days are the same!
• Able to coordinate several projects simultaneously, with a focus on ensuring customers receive a good service at all times.
• Able to demonstrate experience of monitoring, evaluating, and improving services for a charity, social enterprise or voluntary organisation.
• Comfortable working in a small charity with an open and friendly culture.
• Proficient user of Office 365 and CRM systems.

The successful candidate will be supporting the development and delivery of our digital communications to increase our reach across Northern Ireland so you’ll need to have confidence navigating Meta Platforms and online graphic design tools such as Canva or similar.

Job Profile

CAFOD’s mission in the Catholic community of England and Wales is to inspire and equip Catholics to actively engage in the Church’s efforts to overcome poverty and injustice. Our regional teams focus on recruiting and supporting a dedicated group of volunteers within parish and school communities, empowering them to educate, engage, and inspire others to act in solidarity for the common good. Regional teams also collaborate with clergy and other representatives across the Catholic community to ensure CAFOD’s volunteer programme is aligned with faith life.

The primary purpose of this role is to provide administrative and communications support to the Community Participation Coordinators across England and Wales, with a focus on the West & Wales region as the first point of contact. This includes coordinating administrative tasks performed by office volunteers and identifying opportunities for process improvements. The role also involves volunteer recruitment administration, overseeing and training Office Volunteers, and ensuring effective database management.

This role can be based anywhere in the UK including our head office in London, working from home, from one of CAFOD’s Volunteer Centres, or a combination of both. The role requires occasional travel to London and other areas within the East & West side of the country. Travel expenses will be reimbursed, and time off in lieu will be granted for travel beyond normal working hours.

This is a full-time position (35 hours per week) and reports to the Volunteer Support and Development Coordinator.

Key Responsibilities Overview
The post holder will play a key role in driving smooth, efficient operations across CAFOD’s West & Wales region. As the go-to person for admin excellence and volunteer support, you’ll work closely with your line manager and colleagues in the East to streamline processes, improve systems, and keep everything running like clockwork.

The Role

As Operations Manager, you will be responsible for overseeing the day-to-day operations of our Abingdon site, ensuring that our Wood Shop, workshop, and facilities turn a profit and run smoothly, safely, and in line with our business plan. · Ensure a positive customer experience for everyone accessing OWR services at our Wood Shop, online and over the phone.

· Lead and oversee our Wood Shop and workshop operations, managing retail activity and supporting staff with purchasing and merchandising.

· Develop and maintain business systems to ensure high standards of service, safety, and sustainability across the site.

· Take ownership of Health & Safety policies, procedures, and compliance across the Abingdon site and satellite facilities.

JOB PURPOSE: The Public Affairs Manager will manage the implementation of ParalympicsGB’s policy & public affairs strategy, including managing a targeted contact programme with politicians, civil servants and stakeholder organisations. The role will also play a key role in supporting the organisation’s approach to influencing public policy in sport, disability and education and deliver Games’ time guest programmes.

KEY RESPONSIBILITIES:

Public Affairs and Stakeholder Engagement

• Manage the implementation of the public affairs strategy, with support from the Head of Social Impact and Director of Communications & Social Impact, reporting back to the Senior Leadership Group on the outcomes achieved.
• Work with the CEO, Director of Communications & Social Impact and Head of Social Impact to implement a stakeholder engagement plan building and maintaining relationships with key stakeholder such as politicians, Government departments, ParalympicsGB’s members, sport and disability organisations, and the education sector.

The Senior Manager of Philanthropic Fundraising will serve as the cornerstone of administrative support for ULI’s philanthropic fundraising initiatives in Europe.

• Provide administrative and management support to the philanthropic fundraising initiatives of the ULI Charitable Trust (and the CT Board of Trustees / ULIF Europe Committee) and ULI Europe, including fundraising campaigns, donation tracking, gift processing, and donor stewardship in cooperation with the ULI Finance team in the US. 
• Oversee and coordinate design and development of marketing collateral, presentations supporting fundraising campaigns, in collaboration with the ULI Europe Marketing and Communications team.
• Collaborate closely with the ULI Europe Business Development and Membership team, ULI’s country directors, and the governance director to support the planning and implementation of the European philanthropic fundraising strategy set by the CT Board of Trustees / ULIF Europe Committee.

An applicant appointed to the role will be expected to:

• To deliver all aspects of CSE’s Human Resources function, from recruitment, staff welfare, wellbeing and associated support, staff records, training and professional development, oversight and advice on any conflicts or disciplinary matters; and to include the development and maintenance of all appropriate staff policies and processes, including performance management and staff appraisals, remuneration, role progression and all staff benefits.

• To maintain the organisation’s personnel records in accordance with appropriate data protection standards and recognised good practice (utilizing the Cezanne HR system). To provide overall ownership of this system – in terms of data contents, security and ongoing operations for the system. The postholder will also act as primary contact for the Cezanne software supplier, liaising with the Director of Finance & Operations and other interested parties where necessary.

• To maintain oversight of staff welfare and working with line managers and other relevant staff, provide and promote access to support and advice to sustain good staff mental and physical health and wellbeing.

• To play an integral role supporting both the Employee Voice (EV) group and Equality, Diversity and Inclusion (EDI) group and take a lead on related operational functions including administrating the 6-monthly Staff Survey and highlighting issues and trends in staff feedback.

• Provide oversight and guidance in respect of staff recruitment, onboarding, induction development and training, supporting and advising other relevant staff across all associated processes.

• To issue accurate and timely employment contracts, offer letters, job descriptions, pay review letters for all internal changes. Manage and oversee internal paperwork flows from relevant managers, relating to any changes to individual employee terms of employment. Support the SLT in reviewing and amending standard terms of employment contracts to ensure CSE’s practices reflect current best practice.

• To ensure that all payroll documents such as starter forms and payroll amendment forms are completed and saved in the correct location and sent to the payroll bureau where appropriate, and support the Finance team with the administration of our payroll and payroll records and pension scheme contributions and other employee benefits. To accurately track all staff absence and ensure that self-certification and return to work meetings are completed in a timely manner. Update the Bradford factor grid to monitor score against policy and, support line managers and employees in understanding how CSE uses this as a tool at all stages of process.

• To maintain an up-to-date knowledge of applicable employment, equity and diversity, and Health and Safety laws (with support from professional advisors where appropriate), standards, guidance, and good practice, advising the SLT how these can best be reflected in the organisation’s policies and practices as they apply both to individual members of staff and to the organisation as a whole.

• To prepare accurate and accessible reports for the Senior Leadership Team and Trustees on relevant organisational, team, and individual staff HR matters to enable informed and timely monitoring and decision-making, principally on a set cycle to feed into a routine schedule of meetings and occasionally to meet an ad hoc need.

Introduction to the role

The coordinator role is crucial in enhancing the productivity and efficiency of the leadership team within the organisation. Serving as a central point of contact, this position involves a diverse range of responsibilities, from managing executives' calendars and coordinating meetings to handling communications with professionalism and discretion. By implementing improvements to organisational processes and maintaining meticulous record-keeping, the coordinator role contributes significantly to the smooth operation of daily activities of the organisation.

Additionally, the role involves coordinating events, assisting with project administration, and supporting financial reporting, all while embodying the core values of the organisation.

This position not only demands strong organisational skills but also a proactive approach to achieving corporate objectives and fostering a collaborative work environment. 

Purpose of role 

The Operations Coordinator will: 

• Act as a central point of contact, managing executive calendars, coordinating meetings, and facilitating effective communication while maintaining a high level of professionalism and discretion. 

• Be responsible for improving organisational processes, ensuring meticulous record-keeping, and contributing to the seamless execution of daily activities.

• Coordinate events, project administration, and financial reporting, all aligned with the organisation's core values. 

Specific responsibilities and duties 

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.

General 

• Support the organisation to achieve its corporate objectives. 

• Be a proactive and professional representative of VODG and its values at all times, including in relation to the prioritisation of your own responsibilities and professional development. 

• Undertake such duties as may be deemed necessary by the CEO and/or the line manager that are commensurate with the level of this post. 

The Forest of Avon is one of England’s Community Forests and a registered charity and company limited by guarantee. The Forest of Avon was established in 1992 as one of the first England’s Community Forests and became a charity in 2008. The Forest of Avon hosts several programmes including the multi-million pound Trees for Climate and the Western Forest, delivering woodland creation and restoration across the region as well as our expert-led Nature and Health work. The charity has a growing team and an actively engaged Board of Trustees.

The Head of Finance (HoF) is responsible for overseeing all financial operations of the Forest of Avon Trust which now includes Western Forest, England’s first new national forest in 30 years covering Wiltshire, Gloucestershire and the West of England (including North Somerset).

Our new HoF will manage the charity’s financial systems, preparing accounts, supporting audits, reporting to the Board of Trustees and overseeing and reporting on the financial elements of key programmes such as the Trees for Climate grant scheme and the Western Forest. The HoF also works closely with the team and external stakeholders to expand the charity’s financial capacity, ensuring transparency and effectiveness in all financial activities.

Salary: £46,305-51,146, with annual pay review  
Hours: Full-time, 37.5 hours per week, flexible work hours

Line manager: CEO, Forest of Avon / reporting to Finance Sub-Group of Board.

Location: Central Bristol. Mainly office based with the option for some home working, as agreed.

Some key duties of the role include (but are not limited to):

• Prepare the annual accounts and financial statements in accordance with legal and regulatory requirements.
• Work with the charity’s auditors to ensure the successful completion of the annual audit process.
• Provide monthly and quarterly financial reporting, including budget setting, forecasts, and projections to ensure the Trust’s financial health is consistently monitored, including projects such as Trees for Climate and Western Forest.
• Present financial reports to the Board of Trustees and Western Forest Boards, providing insight and recommendations on financial strategies and growth opportunities. 
• Ensure accurate recording of grant agreements, claims processing, and reconciliation of funds in line with grant terms.
• Oversee end-of-year financial reconciliation and reporting for all funding programmes, ensuring compliance with donor requirements and financial policies.
• Provide financial input and support for the management of restricted funds, ensuring all are appropriately allocated and tracked.

The successful candidate will have/be:

• Qualified accountant (ACA, ACCA, CIMA, or equivalent) with extensive experience in financial management within a charity or non-profit sector.
• Strong experience in preparing accounts, managing audits, and financial reporting.
• Experience with grant management, including financial administration, claims processing, and reporting in relation to large-scale funding programmes.
• Strong financial analysis and reporting skills, with the ability to interpret complex financial data and provide clear insights to the Board and other stakeholders.
• Excellent communication and interpersonal skills, with the ability to engage and advise both internal teams and external partners on financial matters.
• Strong organisational skills, with an ability to manage multiple priorities and deadlines.
• Proficient in financial software and IT systems, including bookkeeping and accounting platforms.
