The Willow Major Events Team hosts a range of events to engage Willow’s key supporters. These range in large-scale events such as the Willow Ball and London Football Awards, to smaller more intimate events such as Golf and Shoot Days.

Job purpose

• This role will support the delivery of Willow’s programme of Major Events, as well as supporting third party events, ensuring that these promote and present Willow in a professional and compelling manner, maximising opportunities for donor cultivation, fundraising and maximising income generation.
• To work with the Events Manager on delivering events to an exceptional standard.
• To lead on auction procurement and fulfilment to maximise fundraising revenue.

Key responsibilities

Core Events

• To support the events strategy through delivery of high-quality events, designed to attract current and new supporters.
• To support the Events Fundraising Manager in ensuring that each event plan is actioned in a timely and efficient manner, as well as working with external suppliers, ensuring all suppliers work to agreed terms and conditions
• To assist in the research, development and planning of potential new event opportunities, ensuring that the events programme evolves in response to new fundraising requirements, opportunities and sector trends.
• With support from Event Manager, lead on events within the portfolio, working with key stakeholders and suppliers, ensuring delivery of a high-quality event.

Auction

• Lead on securing auction prizes for relevant events, developing relationships with key supporters and external businesses to secure exclusive and desirable auction items.
• Manage the auction fulfilment process, ensuring all auction winners are thanked post event and that lots are fulfilled in a timely manner.
• Oversee online auction platform, ensuring accurate listings, engaging descriptions and looking for ways to maximise income.

Event Supporter Stewardship

• Provide support on guest management, ensuring a smooth process for guests during the lead up to and on the day of the event.
• Build and maintain strong relationships with major donors, guests and stakeholders ensuring excellent stewardship and recognition
• To identify opportunities to engage or recruit new event supporters to existing or new events in the Willow calendar.

General

• To support the Events Manager with financial management of each event, supporting on areas such as: budgeting, planning, controlling and monitoring expenditure as appropriate and managing income against targets, KPI’s and provide regular revised projections as required.
• To maintain good practice in the use of database system (Raiser’s Edge), including the events module, ensuring that information is recorded accurately to allow for excellent supporter care, stewardship and accurate analysis of event performance.
• To keep up to date with current competitor activity, potential new opportunities for events and improved ways of managing and developing events.
• To keep up to date and comply with fundraising, data protection and other relevant legislation and codes of practice and good standards.

Our day centre service is currently open three days per-week offering respite, food and somewhere safe to be for anyone facing street homelessness. It provides advocacy and casework services to those who are vulnerably housed or homeless, supporting them to address their individual crisis and the underlying causes. This role:

So far, the Parallel platform has been developed and maintained by a single volunteer developer. As we look to expand the project to reach many thousands more students each year, we are now looking for additional support to help maintain the platform, attend to daily issues and support with new feature development.

Create has just entered Year Five of its ambitious seven-year strategy to double its reach/impact by the charity’s 25th anniversary in 2028. The Role

The key purpose of this role is to work as a “right hand” to the Associate Vicar, as an Executive Assistant and lead of key projects. Listed below are the key elements that the role holder will be doing:

Email, Diary Management & General Administration

• Drafting high volume of emails, correspondence, enquiries, managing the email inbox and ensuring that replies and responses are timely and appropriate
• Oversee diary of AV and manage key dates and appointments in church cycle, book and set-up appointments, coordinate meetings, set-up Zoom links, include briefing notes for AV and coordinate all relevant information for meetings

Budget, Strategy & Governance

• Assist AV with budget and strategy and annual salary review process for all HTB staff and also help with HR and recruitment issues where necessary

• Assist with drafting PCC reports and documents for HTB where needed working closely with the Group COO’s office

Alongside practical educational outdoor experience, the successful candidate will understand how to design educational programmes that are accessible and engaging for a range of audiences, including school children and young people, adults with additional needs, and wider community. Project management and organisational skills are also essential. We have an exciting opportunity for a Personal Assistant to join our Private Office team and support our Director General on a 6 month Fixed Term Contract.

As Personal Assistant (PA) to the Director General, you’ll be responsible for delivering first-class executive support, managing a complex schedule, coordinating high-level meetings and ensuring the smooth day-to-day running of the Director General’s office within the Private Office team.

You will manage significant internal and external relationships and work closely with our Head of Private Office, Chief of Staff, Governance team and other PAs across RBL to provide coordinated and consistent support. Reporting to our Head of Private Office, key responsibilities will include:

- Proactively manage the diary of the Director General - all appointments, meetings, and events are scheduled efficiently and in a timely manner
- Draft, review, and manage correspondence on behalf of the Director General, ensuring a high standard of professionalism and accuracy
- Take minutes at relevant meetings, capturing key action points and following up on actions
- Arrange travel and accommodation for the Director General as required, ensuring the details are thoroughly planned and confirmed in advance
- Undertake research tasks for the Director General, gathering detailed information, presenting supporting facts, figures, and recommendations for implementation

You will bring extensive experience supporting to senior management level and have outstanding communication skills, able to confidently communicate and engage with a range of stakeholders. Your ability to work at pace while supporting senior leaders will be second to none and you will have highly effective planning and organisational skills. Most importantly you will have a passion for your work and will be eager to utilise that to support the work of RBL. 

You will be contracted to our London, Haig House Hub with a minimum expectation of two days per week working in person at the Hub and flexibility for working remotely/at home when not on site.

Business Launchpad operates on-site at Tooting Works and is a registered charity which provides support and training for entrepreneurs aged 16-30 years from across London who want to set up their own business. 

Role Summary:

The Operations Manager is responsible for the smooth, efficient, and compliant day-to-day operation of the business centre. This includes oversight of facilities management, health & safety, lettings, team leadership, and budget management. The role ensures the business centre is well-maintained, tenants are satisfied, and operational performance is continuously improved. Reporting to senior leadership, the Operations Manager contributes to strategic planning, drives efficiencies through systems and digital tools, and plays a vital role in sustaining high occupancy and tenant retention.

 

Role Responsibilities:

Centre Operations Management

• Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained, compliant, and running smoothly.
• Ensure the lettings process is well-managed and aligned with policies.
• Implement and monitor operational procedures to improve efficiency and service quality, including opportunities to digitise processes and services.
• Contribute to strategic operational planning and continuous improvement initiatives.
• Identify and resolve operational challenges in collaboration with senior management.
• Report regularly on KPIs, occupancy, operational issues, and budget status to senior management.

Building Maintenance

• Oversee the upkeep and preventative maintenance of the property, ensuring high facility standards.
• Manage and coordinate external contractors and service providers (e.g., cleaners, engineers).
• Monitor maintenance budgets and project timelines, ensuring quality and cost-effectiveness.
• Conduct regular building inspections and implement corrective actions as needed.
• Drive sustainability initiatives, including energy efficiency and waste reduction.
• · Maintain and develop use of CMMS (MaintainX) to manage and record all maintenance work.

Health & Safety

• Ensure compliance with UK health & safety regulations, including risk assessments and fire safety.
• Develop and monitor health & safety procedures tailored to the site.
• Organise relevant training for staff and enforce contractor compliance.
• Maintain accurate H&S records, incident reports, and lead periodic audits.
• Support development and execution of emergency response and business continuity plans.
• Fire safety responsibility ( Fire Safety designated person))

Lettings and Lease Management

• Oversee the Assistant Lettings Manager and monitor the development and execution of the lettings process from enquiry to move-in, including viewings, negotiations, and onboarding and offboarding of tenants.
• Check we are maintaining up-to-date tenancy records,
• Draft lease documentation and ensure timely renewals and support the rollout of any rent reviews.
• Carry out twice-yearly audits of lease documentation.
• Maintain relationships with tenants to support retention and satisfaction.
• Monitor lease management by team, lease compliance and resolution of any lease-related issues.

Customer Service

• Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
• Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
• Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.

 

Financial Management

• Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
• Negotiate contracts with suppliers and service providers to secure cost-effective deals.
• Ensure tenant arrears are regularly monitored and managed.

 

Line Management

• Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
• Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
• Handle recruitment, onboarding, and offboarding of staff members as needed.

 

Essential Skills / Experience

• Bachelor’s degree or higher in Business Management, Project Management, or other relevant fields.
• At least 2 years’ experience in operations work.
• Excellent organisational and administrative skills.
• Desire to drive operational excellence.
• Line management experience.
• Experience of managing a building, property or facilities beneficial.
• High comfort level with online tools such as MS Office, project management software,or similar.

Purpose of the role:

Key Responsibilities: 

1. Doing all of our day-to-day fundraising administration to keep us well-organised and compliant. This includes:

   1. Recording and monitoring fundraising data using our Fundraising Tracking Database

   2. Keeping all of our grant agreements, contracts and other relevant documentation well-organised on GDrive and elsewhere 

   3. Ensuring compliance with the financial requirements of the grant agreements, and updating and maintaining the grant payments schedule 

   4. Raising invoices on Xero in line with funder agreements - noting instalment dates and receipts

2. Preparing payroll each month, ensuring everything happens on time and coordinating with our payroll agency. (This may only be a temporary responsibility) 

3. Processing and reconciling payments. This includes:

   1. Reconciling bank receipts and chasing late payments

   2. Processing supplier invoices and payments

   3. Monitoring our team’s Pleo card expenses and posting on Slack to our team for authorisation

   4. Managing the subscriptions on Pleo cards (this is likely a temporary responsibility until our People & Ops Manager returns from sabbatical leave)

4. Preparing some financial reports and accounts. This includes accounts to trial balance, and ad hoc reports from Xero when our team have finance queries or need support

5. Supporting with finance projects which make our finance systems work more efficiently, simply and sustainably e.g. helping to update our budget spreadsheets and approach to budgeting, or moving to a new bank

6. Supporting the Head of Finance with budgets, financial planning and reports and any other ad hoc finance tasks

7. Being part of Ops Hub shared work and cross-organisational work and team days 

About you:

• You have experience dealing with people in different capacities, both internally and externally, on a day to day basis, and build strong working relationships

• You have solid finance experience and skill. For us that means:

  1. a minimum of three years work experience in a finance role, preferably within the charity/non profit sector. This means you have a good understanding of non-profit finance, including VAT and managing restricted and unrestricted funds

  2. a solid understanding of Accounts Payable (with BACs, invoicing, etc) and Receivable (invoicing and credit control) processes

  3. a Level 4 AAT, equivalent qualification or equivalent experience

  4. experience in control accounts reconciliation, and posting journals

• You know how to use accounting software and apps (e.g., Xero, Quickbooks, Sage) as well as Microsoft Excel or Google sheets

• You are proactive, well-organised and feel empowered to solve problems yourself when they come up (sometimes described as an “ownership mindset”), as well as balancing this with asking for help when you need it

• Excellence is important to you and it shows in your work. Whatever you do, you do it to a high standard

• You have strong organisational and time-management skills that are required to manage multiple tasks and deadlines. And you are comfortable moving between different paces of work - slower, more methodical work and quicker turnaround work

As part of Midland Air Ambulance Charity’s (MAAC) corporate team, the Corporate Partnership Executive is responsible for taking a proactive approach to raising the profile of the charity and deepening relationships with businesses in the communities we serve.

You will provide support to the Senior Partnership Executive and the wider team helping to implement the corporate fundraising strategy via in person and online engagement methods, leading on activity within Staffordshire.

Your focus will be to ensure income growth from corporate sources and activity comprising of new business development, account management and affinity partnerships.  As a longstanding charity, we have established networks in place, however alongside this the post holder will need to innovate and develop new ways of working in line with the ever-changing external environment (i.e., global/national trends, corporate best practise such as CSR and ESG) as well as in response to opportunities and challenges happening in the south of our region.
