Overview / purpose of the role

We’re looking for a Finance & Operations Officer who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. This is an ideal opportunity for someone with 1–2 years of experience in a finance or operations role who is looking to build on that foundation and grow their skills in a mission-driven organisation.

You don’t need to have specific qualifications in finance or accounting - what matters most is a strong interest in charity finance, excellent attention to detail, and motivation to grow professionally. You may have worked in a junior finance, administrative, or operations role, and are now ready to take on broader responsibilities and deepen your expertise.

The Finance & Operations Officer is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description. 

Reporting to: Head of Operations & Evaluation

Responsibilities

Finance

• Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

• Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

• Checking that correct coding and approval procedures are followed for staff expenses

• Conducting weekly payment runs via our online banking system

• Coordinating our monthly payroll processes (working with external providers)

• Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

• Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

• Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets

• Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)

• Supporting the Senior Management Team (SMT) and our Director of Finance to develop the annual organisational budget and report against it quarterly

• Providing budgeting support as required for colleagues internally 

Office Management & General Operational Support

• Acting as the key point of contact between CGP & our coworking office space (organising memberships, meeting room bookings, invoices, printing credits, equipment, internal events etc.)

• Organising post, stationery supplies and managing stocks of office equipment

• Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.

• Ad hoc IT support as required, including online troubleshooting and logging support requests with service providers when necessary.

• General administrative support to the CEO and Head of Operations & Evaluation

Human Resources

• Support with recruitment processes within CGP, including assisting members of the team to schedule and coordinate job interviews, contact candidates and file incoming applications. 

• Working with the Head of Operations & Evaluation to organise internal events like team away days and staff team building activities.

Person specification

The right candidate will bring some prior experience in a relevant role, alongside enthusiasm for nonprofit finance and operations. They will have an aptitude for maths and finance,  excellent attention to detail and a meticulous, methodical approach to work and troubleshooting.

We are looking for someone who:

• Has 1–2 years of experience in a finance, bookkeeping, administrative, or operations role

• Is interested in building a career in nonprofit finance and is open to pursuing further financial training

• Is broadly supportive of UK Aid 

• Is an independent worker, self-starter who can take responsibility for projects through to completion

• Has excellent IT skills, proficient with MS Office programmes (particularly Excel) and Google Workspace, and the ability to learn to use new software as required (for example, Xero, Soldo and Salesforce)

• Has great people skills, and the ability to build positive working relationships with colleagues and external stakeholders

Overall purpose

The Employment Adviser (EA) plays a key role in supporting refugees and people from refugee backgrounds to progress towards and secure sustainable employment. The EA provides tailored employment advice and guidance, helping clients build the knowledge, confidence, and skills needed to navigate the UK job market. This role will work with clients at various stages of their employment journey, with a particular focus on those in the earlier stages of understanding career options, developing employability skills, and exploring education, training, and volunteering opportunities.

The EA will deliver one-to-one and group-based employability support, collaborate with employers and volunteers to source opportunities for clients, and maintain strong relationships with referral and support partners to ensure a holistic approach to employment support.

Data Insights Officer

This is a newly created Data Insights Officer role within the Systems team, where you will significantly enhance the capacity and expertise in data analysis and reporting.

You will be instrumental in embedding a data-driven culture, driving analyses and insights to feed into decision making throughout the Network.

The focus for this role will be supporting the Network's young people’s engagement strategy. About the Role

You will play a vital role, driving enhancements in data capture and strengthening the Network's ability to demonstrate the measurable impact of its youth work. This will involve collaborating closely with teams across the organisation and the Youth Zone Network to understand their data requirements and provide tailored reporting and insights.

This role is perfect for someone who can translate complex data analysis into compelling narratives within a youth work context, drawing out insights to shape recommendations for the Network.

About You

You will be adept at communicating insights clearly and accessibly to diverse audiences. A passion for the power of youth work and a commitment to supporting Youth Zones in increasing engagement with young people are essential. You will bring expertise and creativity to drive improvements in data capture, analysis and insights, and will thrive in a flexible environment, including working collaboratively across different teams.

You will have previous experience in a similar data analysis role handling large datasets, along with experience with Salesforce (CRM) and working with young people or in a youth work setting.

As our Professional Lead for Nursing Workforce Research, you’ll make a critical contribution to the Workforce Academy’s programme of research, informing national debate, RCN policy, and advocacy. Your work will help to tackle vital issues such as staffing levels, workforce planning, recruitment and retention, and the health and wellbeing of the nursing workforce.

You’ll work closely with policy leaders, academic partners, and external stakeholders across health, education, and government to ensure our research is timely, relevant, and influential.

We will demonstrate the value of nurse staffing to achieving nursing excellence and identify means of ensuring care is a safe and positive experience for both staff and patients.

About the role

We’re looking for a Associate Director of Brand & Marketing Communications with excellent brand, marketing and digital experience at a leadership level to lead our Brand and Marketing Communications Team.

You'll provide inspirational leadership to a key team at the heart of our organisation. You’ll be responsible for the development and execution of our brand, marketing and digital strategies. We are seeking a highly motivated and experienced Technical Project Lead to manage and collaborate with an external development/implementation partner and coordinate the smooth adoption of Salesforce within the Charity.  This critical role will be responsible for the full project lifecycle, from planning and requirements gathering to execution, testing, training, and post-implementation support. You will be the central point of contact for all project stakeholders, ensuring seamless communication and collaboration throughout the project.

 Main Responsibilities

• Work with the Director or Finance & Operations (DFO)  to invite tenders for and engage a development / implementation partner to support the adoption of this phase of Salesforce implementation
• Work with the development/implementation partner to develop detailed project plans, timelines, budgets, and resource allocation. Manage the execution of these plans, tracking progress, and ensuring on-time and within-budget delivery.
• Coordinate with the implementation partner to gather and document business requirements from relevant team members to translate these into technical specifications.
• Lead and motivate key stakeholders including the implementation partner and end-users. Foster a collaborative environment and ensure effective communication between team members.
• Act as the primary point of contact for all project stakeholders, providing regular updates on project status, risks, and issues. Manage stakeholder expectations and ensure their buy-in throughout the project.
• Identify, assess, and mitigate potential project risks. Develop contingency plans to address unforeseen challenges and ensure project success.
• Define and implement quality assurance processes to ensure the delivered Salesforce solution meets business requirements and is free of defects. Oversee testing activities and ensure proper documentation of test results.
• Develop and execute change management plans to ensure smooth user adoption of the new Salesforce solution. Provide training and support to end-users.
• Manage project budgets effectively, tracking expenses and ensuring cost-effectiveness.
• Maintain comprehensive project documentation, including project plans, requirements documents, technical specifications, test plans, and user manuals.
• Providing updates against outcomes / budget to the Director of Development (Grants/Major Gifts) to enable rigorous, timely feedback to the project funder.

 Person specification 

• Proven experience (three years minimum) of leading digital transformation projects, with a strong focus on Salesforce implementations and customisations and a strong record of success.
• Deep understanding of Salesforce platform capabilities.
• Excellent project management skills, including budget and stakeholder management.
• Excellent communication, interpersonal and leadership skills with the ability to explain technical concepts to diverse audiences.
• Ability to work effectively in a fast-paced, dynamic environment.  
• Ability to manage, coordinate and get buy-in from technically inexperienced team members.
• Experience with data migration and integration is a plus.
• An understanding of safeguarding data, confidentiality, safe working practices and GDPR compliance.
• Knowledge of appropriate project management frameworks (agile, waterfall) to set project scope, meeting key milestones and budget constraints

Terms & Conditions

• This is a part-time (0.6 FTE), fixed term contract for one year, with a review to extend at the end of that term.
• This role is based in London.
• Salary: £45,000 per annum pro rata (0.6 FTE).
• Holiday: 25 days (including 3 faith days*) + 8 Public Holidays pro rata.
• A beautiful office based in the City of London. Hybrid working is available following induction period.
• 21-hour week: standard office hours are 9.30am-5.30pm, Monday to Friday with an hour for lunch. Work outside these hours is required on occasions.

The Living Wage is an independent movement of businesses, organisations and people who believe that a hard day’s work deserves a fair day’s pay. The Living Wage campaign was launched by London Citizens in 2001 and aims to ensure low paid workers have enough money to get by and enough time for community and family life. 

The Living Wage is an hourly rate calculated according to the basic cost of living in the UK that employers choose to pay on a voluntary basis. The Living Wage Foundation recognises and celebrates employers that pay the real Living Wage through an accreditation programme which awards the Living Wage Employer Mark. 

The independently-calculated rates are announced during Living Wage Week each November when we celebrate our growing network of Living Wage employers. There are now more than 15,000 accredited Living Wage employers across the UK which has secured pay rises for over 475,000 employees.

The Living Wage Foundation has an exciting opportunity to join our dynamic team as an Operations and Data Officer. We are looking for a highly motivated and organised individual to help maintain, develop and continuously improve our data and systems. The role will be an integral part of the Living Wage Operations and Insight Team, providing technical support to ensure the integrity of our systems, and supporting with development projects. 

The Operations and Data Officer will need to be highly numerate and have great analytical skills to support our monitoring and evaluation functions, working with the Head of Operations and Insight on financial and budgeting management, reconciliation and forecasting for the Living Wage Foundation. The suitable candidate will be detail-oriented, be able to demonstrate their ability to seek out improvements and problem solve creatively and have experience working with Salesforce or equivalent CRM systems. 

Main Responsibilities 

Working as the Operations and Data Officer– LWF for Citizens UK, reporting to Senior Data & Operations Manager, LWF, your main responsibilities will include: 

Project Management 

Deliver work targets on time and to standard to support the Foundation’s data and systems: : 

•  Support the day-to-day operations and management of all systems within the Living Wage Foundation designed to enable the functioning of Living Wage accreditation schemes. 

•  Proactively seek out systems improvements to make our processes more efficient so the Living Wage Foundation continues to provide an excellent service to the Living Wage network. 

•  Provide operational support for all aspects of the accreditation and recognition systems, including identifying and fixing errors. 

• Maintain integrity of Salesforce database; identify and source incomplete information within the database; take responsibility for tidying, cleansing and backing up existing data. 

• Support maintenance of integrated systems, including syncing data to Act-On and the website. 

• Work with Operations and Data Manager to keep templates, forms and related communications materials up to date 

• Manage merchandise administration including email inbox, day to day queries, and Shopify administration. 

• Support Operations and Data Manager to manage budgets for external contracts (e.g. with developers and suppliers). 

  Learning and expertise 

• Keep up-to-date with functional good practice and technical updates to all our systems, including within the third sector. 

• Support with network data enquiries, including analysing data, creating Salesforce reports and dashboards for colleagues. 

• Work with colleagues to identify learning & development needs and support Operations and Data Manager to develop and deliver inductions, training and guidance to meet requirements. 

• Keep internal training manuals up to date to ensure the Foundation’s team can access clear and consistent information about our systems and processes. 

•  Support Operations and Data Manager to monitor the impact of internal trainings, support, resources and guidance – update and improve internal support offer as required. 

Communications 

• Create and write dashboards and reports to support the analysis of our performance. 

• Champion systems throughout the organisation and advocate for systems-based solutions. Offer ad hoc guidance to the team and help communicate any changes to systems. 

• Run systems surgeries for colleagues to answer ad hoc enquiries and support learning. 

Develop and manage external relationships 

• Communicate effectively with our external contractors (e.g. merchandise suppliers) to ensure contracts are fulfilled in a timely manner.

Develop and manage internal relationships 

• Support Operations and Data Manager to identify technical solutions to meet organisational requirements.

Purpose of the RoleThis role is part of a newly established Organisation Design and Development function within the People, Culture and Inclusion Directorate. Core Job Purpose:

The Production Coordinator is responsible for maintaining, overseeing and coordinating all of FCW’s in-cell production. This is an exciting and varied role which helps contribute to the smooth running of the charity.

The duties of the role include:

· Administration of sending and receiving kits stitched in prison.

· Supporting volunteers teaching in prison by dealing with materials requests and orders.

· Ensuring our stitchers are paid for their work accurately and efficiently.

· Providing feedback on the stitching by our in-prison workforce.

· Assisting the extended production team with the ordering of materials, special commissions, donations requests and our tapestry finishing service.

· Gathering, logging and reporting on information related to production and prisoner pay using FCW’s custom database.

· Visiting our stitching groups in prison to get an better understanding of the challenges with production that both our volunteer teachers and our stitchers might face in delivering FCW production

You should have excellent interpersonal skills, be accurate in your attention to detail, be flexible and have the ability to take initiative. We expect you to work independently, prioritising your own workload, as well as working as part of a small, lively team.

Principal Accountabilities for the Core Job:

1. Support our volunteers and stitchers by sending our pre-prepared kits to volunteers around the country ahead of the stitching classes and receiving kits back from volunteers.
2. Administer the production process on FCW’s custom database: logging items as they are sent to prisons and volunteers around the country, tracking items as they are returned from prison, providing feedback to prisoners on the work completed and maintaining standards through rigorous quality control.
3. Process payments to prisoners on a weekly basis.
4. Support Fine Cell Work volunteers by dealing with requests for threads and troubleshooting problems with kits. 
5. Log data, collate and report on production, prisoner pay and stitcher statistics as required for the senior management and the fundraising teams, to include monthly reports and annual reports.
6. Supporting the use of FCW’s custom database to include testing and feedback on new features and uploading and maintaining relevant information.
7. Order materials in advance for production activities in prison workshops as well as at the FCW office, liaising with commercial suppliers as well as materials donors. Supporting the production manager with the production of all kits in prison workshops as well as by volunteers in the office.
8. Work with the Programmes and Impact Officer to enable Open College Network accredited training to be delivered in prisons by making up and sending out starter kits and materials to stitchers.
9. With the Programmes and Impact Officer, provide technical support for our lone stitchers by sending out work, talking to them on the phone or replying to letters.
10. Where appropriate, working with the Design and Commissions team to assist with the preparation of specialist kit and sample products, ordering materials and collecting stitcher feedback to assist with future production.
11. Coordinate FCW’s tapestry finishing and making up service.
12. Support the production manager to ensure that all ability and pay levels are appropriate to FCW’s stitcher population ensuring these are made and assigned with a view to developing prisoners’ skills and self-responsibility.
13. With the Programmes team, co-facilitate production training for volunteers both online and in person.
14. Assist with bi-annual stock counts involving staff, volunteers, prison leavers and prison staff to include finished items, work in progress and raw materials in all the prisons where FCW operates, as well as at FCW’s London office.
15. Coordinate Fine Cell Work volunteers with their weekly tasks as provided by the production manager.
16. First point of contact for phone calls to the office, assisting callers with enquiries and diverting calls to relevant members of staff.
17. On occasion, visit cell groups in prison around the country to support volunteers and stitchers in FCW production.
18. Assist with Fine Cell Work events as and when required.
19. Ad hoc duties to support the work of the charity as required including back-up support to production with apprentices and volunteers in the Clothworkers Studio.

Fine Cell Work is a UK based rehabilitation charity and social enterprise which makes beautiful handmade products in British prisons. For 28 years we’ve been transforming the lives of people in prison and prison leavers, one stitch at a time. Our unique process boosts our stitcher’s self-worth, instils accountability, and fosters hope.

We support people in prison and prison leavers to finish their sentences with work skills, money earned and saved, and the self-belief to rebuild meaningful, independent, crime-free lives. 

Set up in 1997 by Lady Anne Tree following years of lobbying the government to change prison rules about prisoners earning money from work done in their cells, Fine Cell Work operates in 38 British prisons engaging with over 600 people in prison in 2024. Our stitchers are supported by our skilled and valued volunteers who visit prison fortnightly to teach needlework.

By providing, paid, purposeful activity to prepare people in prison to successfully reintegrate into the community post-release, we are teaching key soft employment skills, supporting the development of self-discipline and self-belief,  and working to improve prisoner well-being, all key in reducing recidivism.
