We’re looking for a part-time Senior Operations Manager with extensive operational, business, Health & Safety, IT and HR experience. A member of the Senior Management Team, this person will play a vital role in enabling Time & Talents to deliver our strategy, maintain best practice and develop robust long-term plans.

Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. With a history of 137 years of supporting people of all ages in Rotherhithe and Bermondsey, we bring people together for mutual support, fun and friendship with a wide range of services and activities for older people and other adults, along with volunteering and children and families’ projects.

T&T has grown substantially over the last 5 years, and we are in an exciting time for the charity. We are reviewing our long-term aims and changing local needs to ensure  programme delivery continues our extensive track record of positive outcomes. We also need to review our current contracted provision and best practices in the charity’s business and operations.

We are strengthening our offer whilst staying focused on our aims: ensuring that everyone feels part of a community and that no one is isolated or lonely. We are looking for a fresh pair of eyes to help us maintain best practice in our work.

The role

In this role, you’ll:

• Hold responsibility for T&T’s internal business and operations functions
• Motivate and manage the operations team
• Contribute to the wider organisation as a member of the Senior Management Team
• Act as Deputy Safeguarding Lead for the organisation

About this team:
The purpose of the Finance Department is to support the rest of Dogs Trust in achieving the strategic aims of the charity. The Senior Finance Officer is a key role working alongside the Finance Business Partner for ClientEarth’s Business Services and External Affairs teams (BS and EA) to assist in the production of the monthly management accounts, providing support to our budget holders and to a busy finance team.

In this role, you will be managed by Kasheena Paryag. In 2017, Kasheena started her career in the non profit sector and has had various finance roles in both charities and grant making organisations since. Kasheena joined ClientEarth in March 2022 and is based in our London Office. As a Finance Business Partner, Kasheena is the main point of contact for our CEO, Business Services and External Affairs departments, and works closely with these teams.

Main Duties

• Management Reporting - Support in the timely and accurate production of monthly management reporting from Workday Adaptive taking responsibility for running the reports for a number of budget departments.
• Budgeting and Forecasting - Support, as appropriate, with annual budget setting, entity budgets, monthly forecasting, process improvements and budget assumptions including Adaptive Planning modelling. 
• Data Integrity - Ensuring accurate coding of transactions, raising and responding to queries from budget holders. 

Role requirements

• Actively studying for ACA/ACCA/CIMA. Study support provided
• Experience of working with Access Dimensions, FocalPoint, Workday Adaptive or other similar accounting packages
• Experience of managing deadlines through a financial month end process

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

About the role

Are you an experienced corporate fundraiser with an interest in working in the international development sector? Are you creative, strategic, highly organised, a confident and effective communicator and strong team player? 

We are looking for an experienced Senior Corporate Fundraising Manager to work closely with the Head of Programme Funding to drive new donor engagement and secure sustainable, multi-year funding. If you are seeking a dynamic and engaging fundraising role which offers you the chance to play a pivotal role within a small but ambitious organisation, then this could be the job for you.

You will be an exemplary relationship builder and have experience in developing multi-faceted corporate partnerships (ideally with experience and success in employee engagement, corporate sponsorship, and/or operational partnerships).

The role also line manages the Senior Fundraising Officer post, a position that provides administrative and fundraising support across the whole fundraising team.  Please note that we are a small team and so you’ll need to be comfortable rolling up your sleeves to help out team members and to support new business across other restricted income streams.

Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation. 

• Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision. 

• Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational). 

Sustainability, Efficiency, and Innovation 

• Estates Development: Ensure development activity within the estate takes account of environmental considerations/technological advances in the go-forward design.

Experience

• Minimum of 3 years’ experience in an estate’s management/estates project management role.
• Experience of working in an environment delivering both planned and reactive maintenance and delivery of capital projects.
• Proven track record of capex project delivery (cost, time, scope).
• Experience of managing complex estates projects (resource, finances, scope).
• Experienced in managing contractors and sub-contractors including conflict resolution.
• Experience in both the development of and management of financial Budgets and Reforecasts.
• Experience in undertaking property related “due diligence”.
• Experienced in the preparation and presentation of business cases for consideration by the Head of Estates.
• Experience of working with a Computer Aided Facility Management (CAFM) system.
• Able to develop frameworks to understand a problem, identify practical options to solve the problem, and identify the most optimal solution.

Qualifications & Training

• Level 3 Facilities Management qualification.
• GCSE Maths and English

Other

• Full driving license.
• On occasion emergency contact for the properties and therefore may need to attend out of hours.

This role is home based, with occasional travel within the north west of England required. This role is Band II as per our structure
