Job purpose

This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.

Responsibilities

Governance and executive support

• Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
• Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
• Organise in-person and virtual trustees meeting as well as other governance meetings as required
• Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
• Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
• Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
• Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
• Provide administrative support around donations and gifts-in-will
• Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary

Project support

• Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
• Arrange associated meetings and events for the awards

General administration

• Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
• Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
• Maintain and develop administrative systems, such as record management and document control
• Update records on our customer relationship management (CRM) system
• Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
• Support the recruitment of new staff, including training and induction
• Provide administrative and project support to the wider RCVS Knowledge team as required

Skills, knowledge and experience

Required

• Relevant experience in an administration or governance support role
• Excellent written communication skills, with experience of writing committee meeting minutes and preparing meeting papers
• An excellent working knowledge of MS Office
• Strong interpersonal skills, with ability to work well with a wide range of stakeholders
• Experience of diary management
• Experience of electronic record keeping and file storage
• Excellent attention to detail, with good proof-reading skills
• Experience of working effectively in a team

This is a new fundraising opportunity to help provide support for serving personnel, veterans and their families ensuring that no-one battles alone.

Supported by the Statutory Grants Manager, this role is fundamental in developing, supporting and championing new and existing fundraising from heath providers and local authorities. The aim is to increase income generation in this area whilst raising SSAFA’s profile within local authorities and health care provision. This initiative will require relationship development and bid writing skills to create effective proposals for support.

Senior Development Officer (Fundraising)

JOB DESCRIPTION

Role:The Senior Development Officer ​plays an integral role within the Development Team at Forces Employment Charity (FEC). You will work with the Head of Development to produce high quality, bespoke proposals, and reports to demonstrate impact and outcomes to help drive the delivery of FEC across the UK. You will also work within the team to research and identify new fundraising opportunities from trusts, foundations and companies and convert these into long term business relationships.

This position provides a full-time, permanent contract with hybrid working hours, consisting of a 35-hour week. The role allows for hybrid work, including remote work from home, with one day per month at our head office in London.

• To work closely with the Head of Development to research and identify new opportunities.

The Autism Centre of Excellence exists to improve access to high quality support and remove barriers and stigma for autistic people, but to do this we need to grow our funding.

The role 

You’ll bring energy and enthusiasm to the team, ensuring financial functions are carried out efficiently, effectively, accurately and in a timely way to enable us to focus on achieving our charitable mission.

The focus of the role will be on managing and improving financial processes, ensuring that the Senior Leadership Team have up-to-date and accurate records for reporting to the Board, supporting the programmes and philanthropy teams with accurate fund reports and preparing the accounts for audit each year.  You will work closely with the whole team of staff and volunteers, but you will work most closely with the Operations Director and the Finance Manager.

You’ll be provided with training on our CRM and IT systems. The successful applicant will always be expected to observe our values and policies and to actively engage with continuous professional development.

Key Areas of Responsibility 

1. Treasury and Investment Management

· Monitor endowment investments and provide calculations and support in relation to total return

· Prepare quarterly investment management report

· Treasury management to maximise our investment returns

2. Bookkeeping and Management Accounts

· Work with the Finance Manager to ensure donations are properly recorded on our CRM and in Sage

· Work with the Finance Manager to reconcile bank accounts monthly

· Preparing monthly management reports, noting significant variances with forecasts

· Monitor outstanding debtors, and with line manager approval, chase overdue debtors

· Prepare fund balances when required by the programmes team to support grant-making

· Presentation of management accounts to board and engagement with board members as required

3. Annual Accounts

· Prepare statutory accounts, working with the Operations Director and CEO to ensure income and costs are allocated accurately across SORP categories

· Participate in the Audit process, engaging with auditors and prepare information for audit and liaise with auditors in the conduct of the annual audit process

· Prepare annual fundholder statements

· Support the Senior Leadership Team in the preparation of the annual budget and cash flow forecast

4. Other Work Required

· Support the Finance Manager and provide cross cover when required

· Attend SCF events as requested, including very occasionally, evenings

· Any other reasonable duties as requested

Person Specification - Skills, Knowledge and Experience

Required

· Ideally at least five years’ experience in a similar role

· Minimum of AAT Level 4, preferably ACA/ACCA or equivalent

· Experience of accounting software, especially Sage Line 50

· Experience of working with databases and Microsoft Office, including Office 365

· Knowledge of charity finance

· Excellent interpersonal and communication skills

· Able to work under own initiative but also able to request support when necessary

· Confident managing a busy and varied workload and able to prioritise effectively

Our local work: Parents 1st Essex currently operates in South and North Essex, delivering perinatal peer support to parents, through 1-1 or group support. Alongside this, Parents 1st UK also leads the Essex Peer to Parent Network, a peer support collaborative that aims to develop a hub of good practice across Essex. • Overseeing all aspects of the Charity’s fundraising and marketing, from grant applications and donor relations, to CRM systems and digital marketing

About the Youth Endowment Fund 

We’re here to prevent children and young people becoming involved in violence. We do this by finding out what works and building a movement to put this knowledge into practice.  

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children becoming involved in violence. We do this by funding great initiatives, leading cutting-edge research and working for change - scaling up and spreading the practices that make a difference. 

The Chief Operating Officer (COO) has a critical role in ensuring we succeed in this work. You have a key leadership role in overseeing the overall health of the Fund in partnership with the Executive Director. The role oversees our finances, people management and – for the right candidate –much of our grant-making and project management. 

Key responsibilities 

You’ll lead on key organisational governance processes and ensure the Fund makes wise decisions, by:  

• Being a leading member of our Directors’ team, overseeing all elements of the Fund’s work.

• Ensuring that the Fund operates as efficiently and effectively as possible by prioritising the right activities and matching resources to deliver on our mission.

• Ensuring we have the right long, medium and short-term financial plans in place and that we maintain close control over our financial decisions and spend. 

• Informing our Board and our Risk and Audit Committee on our financial performance and risk.

• Ensuring the Fund’s investments are well managed through supporting the Endowment Investment Committee (this does not require investment experience). 

• Managing our Grants and Evaluation Committee (this decides which evaluations we should fund) and ensuring it operates effectively. 

• Ensuring that any ambiguities in the organisation are identified and removed. 

You make sure that the Fund has the people, tools and resources in place to excel. This will require us to:  

• Hire, develop and inspire the very best people: Managing our Head of People, you will ensure that we hire the best possible staff, compensate them appropriately, provide necessary and effective training, maintain a strong focus on staff well-being, manage and develop staff effectively and address poor performance when required. 

• Provide staff with the tools they need to perform: Managing our Head of Grant Operations, you will ensure that we have the tools we need to deliver, including management information, databases, systems and processes and office facilities. 

• Track performance: Track performance against our goals efficiently and effectively, championing a system of accountability and action to review, identify and empower the right people to act on delivering according to the plan. 

Working with colleagues, you’ll ensure we award grants, manage grantees and oversee evaluations efficiently and effectively. This will require us to: 

• Make excellent decisions about our grants: Working with – and potentially managing1 - the Assistant Director for Programmes, Impact and Partnerships, you will help to ensure that our processes for assessing funding applications achieve our organisational priorities for evidence generation. This requires you to understand what partners are trying to do, whether it’s likely to work, whether it will help us build an accessible and trusted body of knowledge, and whether we can build on it to make long-term change happen. 

• Evaluate our programmes: Working with - and potentially managing - the Assistant Director of Evaluation, you will help to ensure that we select and partner with high-quality evaluators to understand how well different activities work.

• Ensuring the team maintains effective monitoring processes: Working with your team, you will develop the necessary skills, processes and decision-making processes to identify when things aren’t going to plan and respond accordingly.

• Build strong relationships with your external partners: You and your team will build strong, trusting relationships with the projects the YEF funds and the evaluators that we work with. Your team will be known for being attentive yet assertive and measured and efficient in the reporting information we expect. You will become well connected in the sectors that we are working in.

• Identify opportunities to scale up projects: You will be proactive in identifying projects that would benefit from capacity development support or that may be ready to scale up their work, collaborating with Impetus to deliver on this. 

In support of these goals you will also 

• Lead and build a team that is so much more than the sum of its parts: Working with your direct reports you will build a culture that brings the very best of the different skill sets and approaches in your team. You will lead this team, providing exceptional direction, culture and clarity. 

• Make it easy to be effective when working in your team: You will bring clarity, lean processes, clear accountabilities, timely decision-making and effective systems so that people working in your team comment on how easy it is to get things done. 

• See your primary team as the Directors team: As a core member of the Directors team, you will be part of making the most important decisions about the short-term and long-term strategy of the Fund. You will build and model the culture and values that we need to make a real difference. You will leave ego at home and look to make the rest of this team a great success. 

Person specification 

• You are excellent at leading on finance in an organisation: You find it easy and straightforward to develop and oversee, large organisational budgets and ensure timely preparation of management accounts. You’re excellent at financial forecasting and understand how to make judgements and recommendations based on future scenario planning. You have experience reporting to Boards on financial performance and health, and leading on organisational external audits.

• You are strategic about finance: You’ve got real skill in distilling complex financial information into simple, easy to understand reports and presentations that enable good decision-making. You see your knowledge of finance as a way to serve Director-level colleagues with overall decision-making. You also understand how to navigate competing priorities and how to calculate and articulate risk and reward, knowing few decisions are straightforward.

• You get teams to use data well: You understand that accurate data and excellent management information tools enable good decision-making. You understand how management information databases (like Salesforce) work and would be able to maintain and build a culture of recording data and maintaining data quality within big teams. Ideally, you have experience working directly with Salesforce.

• You get things done and are brilliant at improving things: In previous jobs, you have held significant responsibility for ensuring challenging projects are delivered on time. You like finding ways to make things operate better for everyone. You are excellent at designing and putting in place effective systems and processes.

• You are a low ego and effective leader: You have a track record of building and leading effective teams. You are thoughtful about how to get a team working well and people tend to warm to you and respect you. You are not afraid of managing someone brighter and better than you or of addressing poor performance. You leave ego at home. You work very well in a team. You like taking responsibility for things. You can balance the task, the individual and the team. 

• You are interested and experienced in both staff development and financial planning: You are equally at home thinking about the processes and approach we need to recruit and develop great staff as you are thinking about how we control our expenditure and report our finances.

• You learn fast but remain humble: You are quick at getting your head around things. It wouldn't faze you to have responsibility for organising things that are new to you as long as you have an expert to ask advice from. You like learning and developing. You know how much you don't know as well as what you do.

• You are interested and thoughtful about grant-making and evaluation: You may not be an expert in grant-making, but you have experience of how charities think and approach applications for money. You have enough cynicism to know how these things can go wrong, but not so much that you can’t make them go right. You may not be an expert in evaluation, but you care about finding out what works.

• You are an excellent strategic thinker: People say that you are good at seeing the big picture as well as the detail. You have experience of wrestling into place a strategy for a project or organisation. You would be able to describe the strategy of the work you are leading at the moment. You are able to see things from different points of view.

The CEO will provide leadership to Embracing Age and to be responsible for the management and administration of the charity, in partnership with and reporting to the trustees. You'll lead, inspire and motivate staff and volunteers, whilst upholding and developing the Christian ethos, vision, mission and values of Embracing Age, along with the strategic objectives and priorities.

We’re looking for a part-time Senior Operations Manager with extensive operational, business, Health & Safety, IT and HR experience. A member of the Senior Management Team, this person will play a vital role in enabling Time & Talents to deliver our strategy, maintain best practice and develop robust long-term plans.

What we do

Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. With a history of 137 years of supporting people of all ages in Rotherhithe and Bermondsey, we bring people together for mutual support, fun and friendship with a wide range of services and activities for older people and other adults, along with volunteering and children and families’ projects.

T&T has grown substantially over the last 5 years, and we are in an exciting time for the charity. We are reviewing our long-term aims and changing local needs to ensure  programme delivery continues our extensive track record of positive outcomes. We also need to review our current contracted provision and best practices in the charity’s business and operations.

We are strengthening our offer whilst staying focused on our aims: ensuring that everyone feels part of a community and that no one is isolated or lonely. We are looking for a fresh pair of eyes to help us maintain best practice in our work.

The role

In this role, you’ll:

• Hold responsibility for T&T’s internal business and operations functions
• Motivate and manage the operations team
• Contribute to the wider organisation as a member of the Senior Management Team
• Act as Deputy Safeguarding Lead for the organisation

About you

You are passionate about the power of community to connect and support people.  You have a track record in driving the excellent delivery of grant-funded community programmes in the third sector.  You have demonstrable experience in charity finance, leadership and internal operations.  You’re an emotionally resilient and experienced leader with a growth mindset and plenty of grit.  You’re flexible, accountable, take responsibility, are highly organised and skilled in multitasking and balancing priorities.
