The Projects Administrator will support the Projects Manager in identifying, evaluating and overseeing projects in Central Asia including Pakistan. The ideal candidate will have some background in project management, strong organisational skills, and a passion for making a difference in the lives of suffering Christians through effective grant management

Main duties and responsibilities

· Project Identification and Evaluation

o Focusing on Central Asia. evaluate project applications for alignment with BA's mission, feasibility, risks, issues, and impact. This includes assessing comprehensive project plans, their objectives, timelines and budgets.

o Form part of the disaster response team for Barnabas Aid

• Assist in identifying potential partners and projects that support persecuted and suffering Christians.
• Assist in demographic research on the region.

o Assist in presenting proposals to the Projects & Disbursement sub-committee for their deliberation and decision-making.

· Grant Administration

o Oversee the administration of the grant-making process, from initial proposal evaluation to monitoring and final reporting upon completion of projects.

o Ensure that approved projects comply with BA’s internal policies, quality standards and regulatory requirements in the UK and the partner’s country.

o Monitor and evaluate the effectiveness of funded projects, ensuring adherence to project plans and budgets.

· Stakeholder Engagement

o Support the Projects Manager in maintaining relationships with project partners and other key stakeholders.

o Communicate regularly with project partners to provide guidance and support during the application process, and implementation stage once proposals are approved.

 · Budget Administration

o Provide support in tracking the region’s budget and expenditures, to ensure financial accountability and transparency.

o Assist in the preparation of regular financial reports and updates for senior management and other stakeholders.

 · Reporting and Documentation

o Maintain comprehensive project documentation, including agreements, reports, and correspondence.

o Maintain the projects database for all records related to the region and prepare reports as required.

• Monitor, evaluate, and report on approved projects in the region.
• Schedule meetings, take minutes, and keep records of meeting minutes.

Knowledge, Skills and Experience

Essential

· 1-3 years of experience in administration in a similar role, preferably at a charity.

· Fluency in English and one of the following Urdu, Russian, Farsi or Turkish

· Diploma in Business Administration, Project management, or a related field.

· Proficiency in MS Office suite and online applications.

· Excellent verbal and written communication skills and ability to interact with a wide range of people from different backgrounds.

· Strong organizational and time management skills.

· Strong attention to detail.

· Good team player who works well as part of a diverse team.

· Ability to multitask and work under pressure to meet deadlines.

Salary: £37,280 starting salary (salary range will increase to a max £39,862 via the length of service) per annum plus £4,324 Inner London Weighting if based in the London office per annum

Contract: Fixed Term contract until 30 June 2026

Hours: Full-time. 35 hours per week (excluding lunch breaks). Some evening and weekend work may be required for which time off in lieu should be claimed.

About the post 

This exciting role would mean joining Refugee Action at a crucial point in the charity’s 40-year history, full of opportunity and potential. As we prepare to launch an ambitious £150 million philanthropic campaign, we are seeking a strategic and driven Prospect Development Manager to lead the delivery of insight-driven prospect management across the Philanthropy and Partnerships Directorate.

You will play a critical role in creating a steady pipeline of new potential supporters for the fundraising teams, as well as helping shape the data and analytics strategy that will measure the impact of our campaign.

POSITION OVERVIEW

The Programme Development Manager represents an evolution from our Programme Manager role, focusing on shaping the future direction of The Avenues Youth Project's programmes whilst maintaining oversight of current delivery. This isn't just about managing what we do now, it's about looking ahead and designing what comes next.

Working closely with the Programme Director, you will be responsible for researching innovative approaches to youth work, developing funding proposals, and creating programmes that respond to the changing needs of young people aged 8-19. We need someone who can think creatively about engagement whilst keeping an eye on emerging trends and opportunities in the sector.

As a member of the senior team, you'll help embed our values throughout the organisation and ensure our programmes remain at the cutting edge of youth work practice.

KEY AREAS OF RESPONSIBILITY

Programme Innovation and Strategic Development

Programme Design and Innovation

● Research and develop innovative programme concepts that address emerging needs of young people within the community, utilising best practice from across the youth work sector.

● Lead comprehensive design processes for new initiatives, collaborating with lead youth workers, young people, families and community partners to ensure programmes are relevant and effective.

● Create detailed programme frameworks incorporating learning outcomes, delivery models, resource requirements and sustainability strategies.

● Plan, develop and deliver allocated youth work projects that meet organisational aims, taking responsibility for budgeting, planning, delivery, monitoring and evaluation.

Current Programme Oversight

● Collaborate in overseeing the recruitment, retention and progress of young people across assigned programmes, working to ensure consistent engagement and positive outcomes.

● Participate in necessary working groups and initiatives on behalf of the team, liaising with a wide range of youth service providers to ensure AYP is represented in appropriate forums and relevant partnerships.

● Have proactive contact and engagement within the community, maintaining visibility and building relationships that support programme delivery.

● Work with the Programme Operations Manager to report and respond to the Programme Director and senior team on the planning, development, delivery and progress of youth work programmes.

● Monitor programme attendance patterns and young people's progression, identifying opportunities for enhanced engagement or additional support.

● Coordinate with the Programme Operations Manager and Lead Youth Workers to ensure consistency of approach and share effective practices across different programme areas.

Community Partnerships and External Relations

Strategic Relationship Building

● Establish and maintain strategic relationships with schools, colleges, community organisations, local authorities and other youth providers to develop collaborative networks.

● Represent AYP at community forums, working groups and sector events, maintaining awareness of local priorities and identifying partnership opportunities.

● Develop collaborative programmes with partner organisations, combining resources and expertise to maximise impact.

● Engage with families and community members to understand their aspirations for young people.

Programme Partnerships

· Support the Programme Director in developing and maintaining key relationships and partnerships.

· Establish positive working relationships with external agencies delivering youth work with us and those supporting organisational development.

· Work with the Engagement, Communities and Culture Manager, to develop and maintain effective long-term community partnerships to boost membership at AYP.

Research, Evaluation and Quality Assurance

Evidence-Based Development

● Maintain current knowledge of research and best practice in youth work, particularly relating to our target demographics.

● Commission or conduct research projects to inform programme development decisions and enhance service delivery.

● Collaborate with the Impact and Evaluation Manager, to analyse data from existing programmes to identify effective practices and areas requiring improvement.

● Collaborate with the Impact and Evaluation Manager to establish robust evaluation frameworks for new programmes.

● Work with the Impact and Evaluation Manager to understand and articulate funder objectives throughout programme design and delivery.

Quality Standards and Continuous Improvement

● Develop quality standards and frameworks for all programmes, ensuring alignment with organisational values.

● Collaborate with the HR Manager to create comprehensive training materials and guidance documentation for staff delivering new programmes.

● Monitor programme quality through systematic observation, feed \back collection and data analysis.

● Lead programme effectiveness reviews and provide recommendations for improvement.

● Liaise with external quality assurance bodies, inspectors, and regulatory authorities as required.

Staff Leadership and Development

● Line Management of Programme Operations Manager and Lead Youth Workers - including regular observations, formal supervisions, annual appraisals, and investing in their professional development.

● Attend Line Managers training and regular sessions with HR Manager.

● Deliver reflective practice sessions to the youth work team to support continuous professional development as part of our Learning and Development plan, in collaboration with HR Manager.

● Assist in recruiting or contracting new workers, tutors or teachers as required.

Funding and Financial

Strategic Funding Development

● Collaborate with the Fundraising Manager to identify funding opportunities that support programme development priorities and organisational objectives.

● Contribute to funding applications for new programme areas, ensuring proposals demonstrate clear impact potential and realistic delivery plans.

● Develop comprehensive business cases for programme expansion, including cost-benefit analysis and risk assessment.

● Monitor funding environments and policy developments that may influence programme design.

Financial Administration

● Work with the Finance Controller to ensure high-level financial administration and record keeping, with accountability for project expenditure.

● Maintain clear understanding of AYP's programme budgets and finances, with responsibility for budgeting, monitoring and reporting of assigned budgets.

● Participate in regular budget meetings with the Programme Director and work with the Finance Controller to ensure costs remain within budget.

● Check and approve Lead Youth Workers timesheets for allocated budgets and resolve discrepancies.

Safeguarding and Compliance

● Act as Designated Safeguarding Lead and carry out responsibilities in strict accordance with AYP's Safeguarding Policy,

● Work with TACs, PRUs, Police, Early Help Teams, MARFS, LADO etc. where required to ensure safety of all young people, staff and volunteers,

● Act as main point of contact for safeguarding referrals, working in partnership with other agencies to ensure safety and wellbeing,

● Maintain comprehensive knowledge of safeguarding practices and current legislation.

GENERAL RESPONSIBILITIES 

· In conjunction with your Line Manager to continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Avenues.

Key Responsibility

Support the Research Centre Manager, Senior Research Lead, and Head of Research in:
Events Administration

• Attend meetings, take and circulate notes on event planning and preparation.
• Assist the Research Centre Manager, Senior Research Lead, Head of Research, and all other event-hosting staff with: coordinating Calls for Papers; liaising with speakers and collaborators; providing administration for all aspects of events planning.

Overall Purpose of the Role

The Prospect Research Manager will play an integral role in managing the growth and development of the prospect pipeline to enable the fundraising ambitions of Guy’s & St Thomas’ Charity.

As Senior Grants Manager, Environment and Communities, you will identify, assess, and manage grants that contribute to these evolving areas of interest. 

A particular focus of the role will be developing strategic grants and partnerships that contribute to Environmental Sustainability.  This is a developing area of interest, supporting activity that restores the natural environment and enabling practices such as nature friendly farming and community growing.  Current grantees include the Sustainable Food Trust, the Wildlife Trust, and local farmer clusters.

This varied role spans many aspects of our work, from administration and resource management to supporting the systems and tools that keep Beacon working efficiently. You’ll work across the charity, supporting our executive leadership, projects teams, and fundraising activities, as well as and ensuring colleagues have the information and resources they need to deliver for our beneficiaries.

The successful candidate will play a key role in the day-to-day running of the charity and in supporting senior staff. Background to the role

Job description

Job Purpose

By providing high quality governance and administrative support you will play a critical role in ensuring the smooth operation of our organisation. By supporting our Trustees and SMT you will improve our internal accountability and reduce the administrative burden on our senior team; freeing them to focus on organisational development, on building external relationships and pursuing opportunities which align with our strategy.

Key Tasks

 Overseeing our Governance & Administration:

• You will organise and service the Trustee Board and Board Committee meetings, including agendas, minute-taking, follow-ups on actions, ensuring compliance with governing documents and charity law.
• Be the key contact for trustees, including overseeing their recruitment, induction and training.
• Better connect our governance and management processes through improving alignment of our Trustee and management reporting cycles and coordinating meetings and the delivery of Exec reports.
• Act as company secretary and ensure the Company House and Charity Commission websites are kept up to date.

Supporting our Executive team:

• Manage the CEO's diary, coordinate and prepare for SMT meetings, and monthly whole team meetings, maintain action logs, and provide proactive support in work planning.
• Lead on liaison with, and reports to, Age UK national. This will include coordinating visits and the collection of data.
• Develop and oversee our internal knowledge sharing systems
• Ensure our intranet is up to date and our new SharePoint file structure is maintained.

 General

• To meet regularly with line manager for support, supervision and appraisal.
• To attend team and staff meetings, (and other meetings) as required.
• To undertake any other duties within the competence of the post holder as may be required from time to time for the continued smooth running of Age UK East London.
• To undertake all training required to fulfil the role.
• To carry out the duties of the post in accordance with Age UK’s East London’s policies and procedures including EDI, Health & Safety, Confidentiality, Complaints, GDPR, Safeguarding Vulnerable Adults and Children.

Experience

Essential

• Experience providing high-level administrative support to a senior team or a senior leader.
• Experience of minute taking Experience maintaining internal systems such as SharePoint, document storage, or intranet platforms.

Desirable

• Voluntary sector experience.
• Working with a trustee board.
• Experience acting as Company Secretary or supporting governance compliance.
• Experience of recruiting at board level.

Knowledge & Understanding

Essential

• Understanding of confidentiality and data protection principles.
• Understanding of EDI and a commitment to working in an anti-racist and non-discriminatory way.
• Knowledge of the structure and roles within a charity, including the role of trustees.

Desirable

• Of charity governance, and business planning processes and accountabilities.
• Knowledge of Company secretary role and responsibilities via training or experience

• High level IT skills in Microsoft Office .Good understanding of the capabilities and potential of 365
• Organisational Skills: Ability to manage calendars, meetings and documents efficiently
• Verbal & Written Communication: Must be able to communicate clearly, professionally and tactfully with internal and external stakeholders.
• Time Management: Ability to prioritise tasks and manage multiple deadlines.

Additional Requirements

• Ideally, we would like the post holder to attend our evening trustee meetings (four a quarter, two online and two in person). This time will be available to be taken back in lieu. However, for the right candidate we can be flexible about this requirement.
• As Age UK East London works with children and vulnerable adults the post holder will be required to have a satisfactory enhanced DBS certificate. A criminal record will not necessarily, but may be, a bar to obtaining a position with the organisation.
