 About the Role

 · As Executive Assistant to the CEO, you’ll play a pivotal role in enabling effective leadership and governance across the organisation. You’ll manage the CEO’s schedule, communications, and stakeholder relationships, while also supporting the Board of Trustees and coordinating key governance activities.

Key Responsibilities

Job purpose:
Alongside the Head of Finance, the Management Accountant will provide business partnering by build relationships with SMT, managers and their teams, providing them with financial insights, reporting and analysis that enable them to make informed decisions. The post holder will champion and drive automation, enabling the effective and efficient running of the finance function.

The post holder will be a part-qualified/newly qualified accounting professional with experience of working in a not-for-profit setting. The role involves use of our accounting system IRIS Financials (formally PS Financials), ensuring the accurate and timely reporting of financial information; compliance with both internal financial procedures and external regulations; and recording and monitoring of financial data.

This role is based at our head office in 21 Portland Place, London. We offer a hybrid working arrangement with a minimum of 2 days in the office per week.

Key responsibilities:

Financial management and reporting

• Prepare monthly management accounts and cash flows for the Head of Finance to review.
• Prepare year-end schedules and other supporting documents for submission to external auditors as set out in annual audit plan and support the Head of Finance with responding to auditor queries.
• Maintain the Association’s accounting systems including updating the chart of accounts, period maintenance and user access.
• Support the Head of Finance with maintaining bank mandates for the Association and Foundation.
• Prepare monthly payroll journal and pension upload for the Head of Finance to approve.
• Prepare quarterly VAT return for approval by the Head of Finance and reconciliation of VAT control accounts within IRIS Financials.
• Reconcile statements received investment managers and record investment income and gains/losses into IRIS Financials accounts.
• Ensure assets are created and disposed within IRIS Financials fixed asset register and depreciated in accordance with the Association’s capitalisation and accounting policies.
   

Operational management

• Provide high quality and effective financial reporting, support and assistance to the Head of Finance and other senior managers in relation to budgets, forecasts and any financial modelling as required.
• Under the guidance of the Head of Finance, monitor and review financial systems and procedures and recommend, devise and implement more effective and efficient procedures.
• Maintain and improve your own competencies through continuous professional development.
• Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook.

As our Grants and Impact Manager, you will play a pivotal role in sustaining and growing Caring in Bristol’s income from Trusts, Foundations and statutory grants, by acquiring and managing high-value funder relationships. Alongside this, you will take the lead in developing and embedding a clear, organisation-wide Monitoring, Evaluation, and Learning (MEL) programme. This new role will focus on driving business development and fundraising opportunities, and ensuring robust contract administration across METRO's HIV services. Reporting to the Head of HIV or Director of Services, the Senior Manager (HIV Services): Business Development and Team Coordination plays a vital role in strengthening the sustainability and effectiveness of METRO's HIV services.

METRO runs various HIV prevention and support services across London and the Southeast. These services include pan London and local HIV prevention services, HIV support services including advice and advocacy and family support, HIV peer mentoring and counselling services. Many of these services are delivered in partnership with agencies such as the GMIPartnership consisting of Spectra, Positive East, and our collaborations with THT, Positively UK and Africa Advocacy Foundation. Our services are also embedded in other sexual health partnerships, such as the SASH programme, which consists of our partnerships with Turning Point, London Friend and Naz. We also work with several NHS Trusts as part of our work with the London HIV Fast Track Cities programme and wider programmes.

In this exciting new Digital Communications Manager role, you will take the lead in the development and execution of Whizz Kidz’s social media strategy and calendar. You will plan and create multimedia content for social media and our website, focussing on telling the stories of our beneficiaries and fundraisers.

We are looking for an excellent writer with a passion for finding and telling the stories that exist within Whizz Kidz. You will have significant experience in managing engaging social media accounts and be confident producing multimedia content.

Key accountabilities

Social media

• Develop and manage the social media strategy for Whizz Kidz

• Manage the day-to-day social media calendar and posting across Instagram, Facebook and LinkedIn, ensuring a consistent stream of content that generates engagement

• Evaluate social media performance and recommend potential new strategies and platforms

Content creation

• Develop and edit multimedia content for social media and the website

• Identify and tell the stories of our beneficiaries and fundraisers

• Write news and announcements for the website

• Work with teams across the organisation to ensure content and collateral is up-to-date and optimised across print and digital channels

PR and media management

• Write and distribute press releases

• Manage and triage media enquiries

• Support the Senior PR and Communications Manager to run the PR function

Skills and knowledge

• Excellent written communication and copywriting skills - with the ability to authentically communicate in a way that makes people feel heard

Annual leave
