You will have a qualification in or experience of working with digital platforms or customer relationship management systems. All postholders will need training to acquire the ADX Administrative Essentials for New Admins in Lightning Experience certification, if not already held.

Main duties and responsibilities
1. Systems Management General
- Assist the line manager by monitoring development initiatives and ensuring work completed meets the requirements within the given time frame. Report to line manager as appropriate
- Assist in preparing reports for line manager on system performance highlighting potential risks or malfunctions
- Assist in ensuring commissioned and installed new applications and customised existing applications are fit for purpose
- Support line manager by making as appropriate where new systems are designed that could be applicable to the wider union
- Assist in the development of a high level of proficiency in PCSs Technology tools e.g. our CRM, membership database, digital applications, bulk email and social media platforms
- Work as part of the Technology Services team on the database and integration, automation and change projects
- Assist the Technology Services team in development to deliver high quality digital solutions
- Ensure that the views of users are reflected throughout the development and delivery of digital applications
- Explore and recommend new digital applications and developments to the Technology Services team based on best practice and user feedback

2. Systems Management Digital
- Comply with maintaining database results through the set protocols and standards and controls for data processing

- Assist line manager to coordinate, design, programme and create complex query definitions to extract accurate data
- Support the continued development and implementation of Salesforce by working with line manager and external contractors
- Support the upgrading of software by assessing transaction processing and database production options
- Maintain database performance by troubleshooting problems using internal or external resources
- Assist in the security of database by developing policies, procedures, and controls with the data protection officer
- Assist in training others in how to input and extract data

What you will be achieving
As People Assistant, you will be supporting an established People and Culture (P&C) team to deliver an efficient and accurate P&C administration service across the Academy, ensuring that all P&C records are maintained properly. You will have some admin experience, which could be easily transferred to working in a P&C team. There will be opportunities to grow and develop in the role and get involved in wider cross-team working projects.
The People and Culture function forms part of the Directorate team. The team includes the Head of People and Culture, two People Business Partners and two People Assistants (including this role).

What you will be doing
- Supporting the People Business Partners in managing the recruitment activity. Recording diversity information after each recruitment round, ensuring it is available for annual analysis.
- Managing the new starter admin process, including conducting reference checks, induction meetings, and ensuring line managers follow the induction and probationary procedures.
- Undertaking P&C administration, including updating the HR employee database (Cezanne), P&C spreadsheets, preparing correspondence, and responding to external reference requests.
- Maintaining and updating information on the staff organogram and number of permanent/fixed-term posts on a monthly basis.

Team Administrator
We are seeking an enthusiastic, proactive and motivated administrator who would like a varied role. The successful candidate will provide cross-departmental support and administrative support to the Director and Senior Leadership Team. Providing support to the First Give team, primarily the SLT

- Supporting with communications to stakeholders e.g. schools, facilitators or funders as needed
- Managing First Gives relationship with external contractors such as printers and Salesforce support
Overseeing and managing financial administration
- Setting up and tracking payments to contractors and charities in our banking system ensuring timely completion
- Processing, reviewing and identifying outstanding invoices (including working closely with school finance departments to ensure timely payment of school contributions)
- Administering expenses and pre-paid card system, ensuring expenses are accurately recorded each month
- Provide regular monthly tracking reports on payments to the Director
Administering First Give’s charity grants
- Carrying out due diligence for winning charities to ensure comply with First Give donation rules
- Liaising with winning charities to arrange payment and ensuring accurate records of payments processed
- Running monthly reports on payments for the Director
Providing support to the Programmes team
- Supporting the Programmes team with recruitment of judges for school finals

The Role
The main responsibilities of the role include:
- Strategic Leadership: Develop and implement operational plans aligned with the charity's vision, ambition, strategic objectives.
- Service Management: Oversee the delivery of mental health services, ensuring they meet quality standards and address the needs of beneficiaries.

- Project Oversight: Manage and oversee projects, including fundraising initiatives and community programs, to increase the charity's impact.
- Human Resources: Overseeing recruitment, onboarding, and employee records, as well as managing holiday and sick leave.
- Health & Safety: Updating policies, conducting risk assessments, and ensuring a safe working environment.
- IT and Facilities Management: Managing IT systems, office premises, and supplies.
