ROLE SUMMARY

The Student Administration Officer will work with the Associate facing Programmes team to support the successful delivery of the upReach programme, focused on the programme operations of onboarding new Associates.

CORE RESPONSIBILITIES

You will contribute to upReach's mission by working with our programme team to facilitate the onboarding of new Associates.  You will be responsible for key processes and tasks on the Associate Tracking System, to enable upReach to deliver effectively and to meet objectives and key results (OKRs). These include:

• Associate Tracking System: steward applicants through the pipeline; confirm student eligibility; answering applicant and Programme Coordinator queries; track and report on pipeline progress; help Programme Coordinators with reporting on programme application progress;

• Ensuring our communications to applicants and prospective applicants are accurate and effective including email templates and call scripts;

• Assisting the student attraction team to deliver effective campaigns promoting our programmes;

• Assisting with other programme delivery activities as needed;

• Researching process improvement projects as needed.

The Role
To accurately record and reconcile circa 140 million of charitable income across three entities, ensuring that agreed policies and procedures are adhered to.
To liaise with staff across the charity to ensure that unrecorded and unreconciled income is resolved on a timely basis.

The Candidate
Proven track record in a finance role in a large and complex environment with high transactional volumes, preferably in Receivables.

Summary

The key elements of the Operations Manager are:

1. Staff team management and development.

2. Oversight of operational management of Rainbow Haven premises.

Main Duties and Responsibilities

Manage, Supervise and Support the Staff Team and Individual Staff Members.

1. Ensure Rainbow Haven provides a supportive working environment in which staff and volunteer well-being is prioritised, for individuals and the whole team.

2. Responsible for line management of operational staff and provide regular formal and informal support to individual staff members, ensuring they feel supported to do their work well, achieve their potential and are able to develop their skills and areas of responsibility through appropriate support, work reviews and training.

3. Support the whole staff team through team meetings, development days, whole team training, and team building activities.

1. Oversight of Health and Safety, Safeguarding, Data Protection and all other operational and workplace policies, ensuring that all staff and volunteers receive appropriate training, are aware of, understand and follow the policies.

2. Oversight of the operational running of Rainbow Haven premises.

3. Review Rainbow Haven policies, to ensure operational policies are kept up to date and revised within the correct timeframe.

4. Ensure all other legal and operational requirements are adhered to, including external an internal registrations, agreements and assessments and service contracts.

5. Maintain a good working relationship with the United Reform Church in its role as landlord, reporting maintenance issues, responding to their requests and addressing any concerns raised by them.

Key duties and reponsibilities:

Management Role

· Based on the policies of the charity as defined by the Trustees Board (created Oct 2022 AGM), manage the affairs of the charity with due respect for its heritage, status and independence.

· Within those defined policies, take decisions that allow the development of its business activities, liaising with other Trustees as necessary, and report to the Trustees on a regular basis.

· When necessary, liaise on allocation of duties to other Trustees on a cooperative basis.

· Represent the charity at occasional public events and meetings with collaborative partners and in negotiations, e.g. NICE, ARTP, Sleep Clinics.

· Act as main point of external contact and manage that contact as appropriate.

· Take purchasing decisions within the defined responsibility of the position.

· Modernise and develop the SATA business on as cost efficient basis as possible — goal is generally self-financing.

· Explore business opportunities as appropriate. 

· Identify risk, consult with other officers and recommend action for Board decision.

· Finalise move to paperless operation.

Administrative Duties

· Arrange Trustee Board Meetings.

· Manage Membership Database.

· Administer Membership Renewals.

· Register & acknowledge new memberships.

· Handle resignations, deaths and other membership issues with appropriate respect.

· Acknowledge Donations.

· Administer Gift Aid claim with Treasurer.

We are looking for a Fundraising Officer to support income development across high value, special events and individuals, initially for a one year contract with the likely prospect of going permanent.

This is a UK home working role, with occasional travel.

The Role
Support a broad range of fundraising efforts across high value, individuals and special events.

Cultivate and recruit new and existing supporters, donors and fundraisers to actively engage in the fundraising and events activities.

Work effectively with teams to support on events including MP visits, partner events, media visits.

Support the Corporate Partnerships Manager in providing excellent stewardship and account management to existing partners.

The Candidate
Fundraising experience in any high value stream or individual giving / appeals capacity with the ability to manage relationships with a diverse range of people.

Experience of developing business plans and budgets, producing reports on progress and against objectives and financial targets.

Excellent written and communication skills.

Salary:  £13.85 per hour.
