Finance Manager Job Description

Brent Mencap has been passionate about a healthier and fairer Brent since 1979. We’ve developed and run successful housing, employment, health, advice, wellbeing and self-advocacy services. During austerity and Covid we diversified, successfully taking on NHS work with people with long-term health conditions. We provide social prescribing support and health and wellbeing coaching to patients for Brent GPs. In 2024-25 we helped over 18000 people. We’re a leading partner on the Brent Health Educators Programme.

Our income has substantially  increased from £382k in 19/20 to £1.71 million in 23-24. We’ve had to adapt quickly, developing and retaining a much larger staff group, using our data better and improving our marketing.

Brent Mencap offers fantastic free creative and wellbeing activities for people with a learning disability, autism and long-term health conditions. These have flourished since Covid. People love yoga, poetry, singing, gardening, Breathe and Move, self-advocacy, campaigning, awareness raising, CREATE art activities for young people, external trips and parties. Small grants, donations and our reserves fund this while we get longer term funding. Our self-advocates want us to focus on paid employment, youth services and making Brent Council use accessible information properly.

Our current finance manager has been pivotal to Brent Mencap’s recent growth, adapting to paying more people, dealing with complicated invoices, making sure we get paid promptly, being as diligent about a project budget worth 5k as our overall budget and supportive with staff  wage queries. While there is lots of data input, reconciling, processing purchase orders, the role involves real involvement in project development, monitoring with other managers and face-to-face involvement with users and staff. It’s never boring and definitely not for the faint hearted!!

As Finance Manager for Brent Mencap, you will have a key leadership position. You will be responsible for the strategic and operational oversight of our finances, ensuring compliance with all statutory requirements while ensuring our services are sustainable through sound financial planning. You will work closely with the Executive Director and Trustee Board to provide accurate insights and projections that support long-term growth and resilience.

You will play a pivotal role in reviewing and maintaining our robust finance and administrative system and procedures, managing risks and ensuring our charity finances can support delivery of our mission. You will also contribute to the development of funding applications, tenders, and financial strategies. You will play a key role in supporting funding applications, demonstrating impact through financial reporting, and building processes that enable future growth.

Job Title: Payroll and Pensions Administrator 

Location: Islington, London, (Around a 10 minute walk from Highbury and Islington station) Hybrid working with 2 days a week in the office and service visits regularly across London, Brighton, Luton, Bedford, Kent, and Liverpool. Once a month, the full People and Culture team have a collaborative office day on a Monday. 

Salary: £27,007.50 

Shift Pattern: Full Time, 37.5 hours per week, Monday to Friday 09:00 - 17:00, with some flexibility around these hours as required.

About the role

Our People and Culture team are hiring a Payroll and Pensions Administrator to join the team to support with ensuring our staff are paid efficiently, accurately, and on time. You will play a pivotal part of the team to support with the preparation and processing of monthly payroll for all, coordinating effective and efficient end-to-end payroll and pensions administration, plus any additional relevant activities. You will utilise the tools and resources available to ensure we meet the needs of all our stakeholders and comply with legal matters. The role will further include:

• Taking ownership of administrative tasks in the payroll and pensions process, being the point of contact for enquiries in this area.
• Supporting the administrative process of payroll and pensions, including with the database/system, ensure that any problems are identified with the relevant departments for effective resolution.
• Ensure Full Payment Submissions (FPS) within tight deadlines and process for all adaptations are carried out in a timely manner.
• Support relevant colleagues to ensure the correct payments, reports, and returns are made to HMRC, pension providers, and other bodies.
• Work in collaboration with functions within the organisation to ensure consistency of information and process.
• Ensure all data and reporting is updated in a timely manner across the relevant databases on a regular basis and fit the needs of the business.

In this role, you will report to the Payroll and Pensions Manager, working alongside the wider People and Culture team which includes the Generalist team, Talent Acquisition team, Workforce Development, and Talent Development team. Once a month, we meet as a team and come together for a fun activity and collaborative working.

About you

We are looking for someone who is methodical and intuitive, with a detail oriented outlook to tasks, with the ability to take ownership of projects and workflows, using your skills, knowledge and materials to provide an excellent service. We are looking for someone who can work in a fast paced environment, able to work with conflicting priorities, whilst maintaining a high level professional service. • Experience in a similar role, taking on similar responsibilities in payroll capacity
• Experience in providing a high level of quality administration and customer support (internal or external customers)
• Knowledge and experience using a payroll systems is desirable
• Good understanding of HMRC requirements, including Statutory Sick Pay (SSP), statutory maternity and paternity pay
• Experience of providing a high level of numerical administration and communications, commensurate to the level of the role
• IT Proficiency, ability to learn new software programs, competent knowledge in Microsoft, including Word, Excel, and Outlook
• Ability and willingness to attend regular visits to our different service locations
• Working knowledge and understanding of payroll, pensions and other relevant laws and external policies commensurate to the level of the role.

Key Tasks and Responsibilities

· Production of monthly, quarterly and annual accounts to a variety of audiences. Ensuring budget holders receive financial information necessary to fulfil their own responsibilities

· Work with the Chief Executive and Finance Committee on annual budgeting, long term financial planning and forecasting for the organisation

· Production of the annual statutory accounts with the Auditors and liaising with the Audit Committee

· Production and presentation of standard and ad hoc reports to the Board of Trustees, Committees and Senior Leadership Team

· Management of the Finance Assistant, and IT and Office Assistant, including training, development and performance management

· Proactively seeking to improve all financial controls, ensuring the processes are fully documented, frequently reviewed and communicated as appropriate

· Company Secretary for Charity & Trading Companies.

Ensuring the organisation meets and complies with all statutory reporting obligations and requirements, Charity Commission, Companies House and OSCR

· Presenting financial information and data from a variety of sources in an easily understandable way

What the job involves

Prostate cancer is the most common cancer in men and it’s harming too many lives. At Prostate Cancer UK, one of our top priorities is funding research that leads to real change. It’s vital we do our best to make sure this research makes a meaningful difference to men’s lives, and that’s where you come in.

We’re looking for an enthusiastic and proactive Senior Research Impact Officer to help us understand, communicate and accelerate the impact of the research we fund.

This role sits in the Research Impact and Engagement Team. You’ll be working at the heart of how we track the progress of completed research projects, share success stories and support researchers in turning their findings into ways to improve the lives of men affected by prostate cancer. You’ll take responsibility for half of our portfolio of completed research projects. This means building strong relationships with funded researchers, understanding how their work is progressing, and supporting them to achieve meaningful impact for men affected by prostate cancer. Using your scientific knowledge and communication skills you’ll translate research outputs into clear, engaging stories to demonstrate the value of our work. Using your understanding of the steps needed to take research from bench to bedside you’ll help monitor the success of our completed research portfolio.

What we want from you

This role is a vital part of how we deliver on our mission, to stop prostate cancer harming men and their families. We’re looking for someone who is passionate about research making an impact and hold a bio-medical science degree (or a degree in a related subject), with research experience. You can understand complex scientific information presented in reports, publications or presentations and explain these complex concepts in a simple and engaging way to a range of audiences including peers within the charity, as well as men affected by the disease. You’ll be motivated to consistently perform to the highest standards, with an eagerness to trial new ideas, identify new opportunities and solve problems.

In any one day you could be helping develop an impact case study for the website, interviewing researchers for project updates, supporting delivery of a research event, or using social media to disseminate the work of our funded researchers. Your primary focus will be on the impact of our funded research, working closely with colleagues in the Research Impact and Engagement Team, as well as working closely with our research funding team, and with other teams across the charity.

The Organisation

The Royal Parks (TRP) is a charity created in March 2017. We manage over 5,000 acres of diverse parkland, rare habitats and historic buildings and monuments in eight Royal Parks across London. These are: Hyde Park, Kensington Gardens, The Green Park, St James’s Park, The Regent's Park and Primrose Hill, Greenwich Park, Richmond Park and Bushy Park.

The Role

As a Park Support and Cemetery Officer, you will assist the Park Management Teams in the delivery of services by providing on-site business support & administrative functions, as well as assisting Visitor Support teams providing support related to insurance matters and vehicle fleet administration.

An exciting opportunity has arisen for a Health & Safety Officer to join our Estates Team. In your role as the Health & Safety Officer will be to provide support on an operational basis to the health & safety function.

Role Requirements

• Promote good stakeholder involvement and good safety culture
• Prepare and issue monthly health and safety briefing documents / toolbox talks
• Keep health and safety information up to date, including all fire safety documentation (fire emergency plans, fire safety manuals etc.), the health and safety section of the intranet and shared documents
• Carry out regular walkabouts, including at retail stores, keeping in touch with staff on their safety arrangements and ensuring control measures are in place and effective
• Provide health and safety training and coaching on topics such as, but not limited to, general health & safety (induction and refresher training), fire safety, COSHH, risk assessing and manual handling
• Develop and refresh internal online training to support staff learning experiences
• Carry out general risk assessment, as required, with particular emphasis on retail, regulatory requirements, outings and the clinical environment.

INTRODUCTION TO THE ROLE

This is an exciting time to join Girls Not Brides as we are currently in the process of reviewing our strategy for the next 5 years. The Senior Officer- Executive Office plays a vital role in providing high-level strategic, operational and administrative support to the Chief Executive Officer. This position is central to the smooth functioning of the CEO’s office, enabling the CEO to focus on leading the organisation effectively and with impact. The ideal candidate will be proactive, exceptionally organised, discreet, and able to anticipate needs in a fast-paced and dynamic environment.

In addition to supporting the CEO directly, the Senior Officer- Executive Office will also play a key role in facilitating the CEO’s engagement with the Senior Leadership Team and the Board of Trustees. This includes contributing to strategic planning, project coordination, internal communications, and leadership governance processes.

ABOUT YOU

We are seeking a Senior Officer- Executive Office with strong experience supporting CEOs, senior leaders and Boards. You will be proactive and independent: an instinctive problem-solver with experience in designing and deploying easy-to-use systems and processes to support effective communication and project delivery within and beyond senior leadership, the Board, and wider team members.

You will support leadership to prioritise projects and tasks in a complex, fast-paced environment.  This role requires sound judgement, excellent communication skills, and the ability to manage sensitive information with professionalism and confidence. KEY RESPONSIBILITIES

Strategic and Project Management

• Assist the CEO in tracking strategic priorities and ensuring deadlines are met.
• Support key projects or initiatives driven by the CEO and the SLT office, including special assignments or donor/stakeholder engagement for example supporting development and coordination of end child marriage Global leaders Forum.
• Provide oversight of internal and external communications requiring the CEO's input or signature.

External Engagement and Relationship Management

• Work closely with the External Engagement team to support and enhance the CEO’s external profile, including media, public appearances, keynotes, and thought leadership opportunities.
• Manage and update the CEO’s social media handles (e.g., LinkedIn, Twitter/X), in coordination with the Communications team, to reflect the strategic positioning of the organisation.
• Monitor media and public engagement metrics related to the CEO and propose content ideas aligned with organisational goals.
• Represent the CEO’s office in internal and external engagements with professionalism and confidentiality.
• Support the CEO’s participation in global forums, strategic partnerships, and high-level convenings.

Governance and Leadership Coordination

• In close collaboration with the Director of Operations and Finance, support the Board recruitment process, including conducting due diligence, managing conflict of interest declarations, and ensuring robust compliance and documentation.
• Lead the planning and coordination of induction and onboarding for new Board members, including the facilitation of any required training such as safeguarding, governance responsibilities, and organisational policies.
• Support the review and update of the organisation’s Articles of Association, working in liaison with legal counsel to ensure compliance with regulatory requirements and alignment with organisational priorities
• Liaise with SLT members to ensure the effective delivery of Board and Committee meetings, including preparing high-quality papers and presentations, maintaining records, tracking actions, and supporting timely follow-up.
• Provide executive support to the CEO, including coordinating AMT, SLT and Board meetings, minute-taking, managing follow-ups, and ensuring team-wide communication flows smoothly.

Executive Support

• Act as both a gatekeeper and gateway to the CEO, exercising sound judgment in managing access and prioritising engagements, while nurturing trusted relationships with internal and external stakeholders to ensure alignment, efficiency, and strategic connectivity.
• Ensure the CEO is well-prepared for meetings by providing timely and accurate briefings, agendas,  relevant materials.
• Liaise with internal teams and external stakeholders to coordinate meetings, events, and engagements involving the CEO.
• Manage the CEO’s global travel, events and calendars.
• Manage CEO expenses and budget-related documentation and ensure accurate financial tracking for the CEO’s office.

Internal communications

• Lead on the delivery of internal communications to all team members, gathering inputs and updates from all teams and producing a regular internal staff newsletter
• Working with other teams, support the coordination and delivery of team-wide convenings and events.

PERSON SPECIFICATION

 Essential experience

• A minimum of 7 years extensive professional experience in a similar role working directly with a high-performing leadership team and Board.
• Significant experience managing Board and governance processes, documentation, and communication flows.
• Strong track record in internal communications processes for diverse, multi-cultural teams.
• Advanced level in Word, Excel, PowerPoint and Outlook.
• Exceptional and demonstratable experience with or knowledge of project management tools/ software and management systems and procedures.
• Strong ability to be proactive and take initiative.

Essential skills and knowledge

1. To be appointed as an Energy Debt Specialist, you will need to have knowledge and experience of complex debt casework, covering priority and non-priority debt advice, options, and insolvency solutions.

You will also need to have the Institute of Money Advisers Certificate in Money Advice Practice or MaPS Caseworker accreditation equivalent. NEA Level 3 City and Guilds Level Energy Awareness would be desirable too.

● OR for a trainee - at least 6 months’ experience of delivering excellent customer service in a regulated environment such as banking, insurance, or a contact centre.

About us

The Energy Debt Specialist will provide a high-quality inbound telephone debt advice service to clients as part of our brand new Consumer Energy Debt Advice project. This project is for clients who have energy debt (amongst others) and is intended to reduce the impact of personal debt by providing them with debt solutions.

As a Science Communications Officer at BHF, you’ll play a vital role by translating our cardiovascular research into engaging content to support our wider fundraising and brand goals.

The main areas of responsibilities for the role will be:

• Content Creation – Creating audience appropriate summaries of BHF funded projects and engaging written content for use across all channels, while liaising with our Heart Stories and Research Engagement teams to support the development of a central content library of case studies developed from patients own stories.
• Editorial Support – Supporting our Science Communications Specialist with fact-checking and proofreading to help ensure consistency of message and tone across all research storytelling and assisting with visual and multimedia asset gathering as needed.
• Stakeholder Engagement – Liaising with a variety of internal colleagues from our Marketing, Fundraising and Brand teams to support science led supporter-facing materials, whilst building and maintaining positive relationships with academic researchers, centres and our BHF-funded institutions.
• Project Coordination – Tracking content requests and deadlines, supporting delivery of campaigns and participating in team planning meetings all to maximise the impact our research stories have.

About you

The ideal candidate for this role will have the following:

• A degree in biological or medical sciences, or equivalent knowledge.
• Strong understanding of communicating science to lay audiences, with experience of creating written content about these topics.
