As EA to the Chief Digital Officer (CDO), this role has a primary focus in providing comprehensive administrative support to the CDO, in collaboration with the wider Directors’ office team and the CDO’s direct reports. 

They will be responsible for delivery of smart and strategic diary management for the CDO and handling administrative tasks on the CDO’s behalf. This will be done in close collaboration with the key contacts (internal and external), including, where appropriate, acting as central point for preparation of related papers, meeting scheduling; comprehensive minute-taking may also be required. A key organisational focus over the next couple of years will be development and delivery of an accelerated digital strategy. 

The EA will play a central and strategic role in the organisation and oversight of the related administrative complexities, including invoices and expenses management, and diary co-ordination where required.

The successful candidate will have the following: 

• Considerable experience in an EA / PA or senior-level equivalent administrative capacity within an Executive environment (business or charity sector)
• Exceptional administrative and organisational skills, with a focus on complex and strategic diary management
• Excellent communication (in all mediums), interpersonal, and organisational skills, including building and maintaining key relationships in a senior space
• Proven experience in safeguarding sensitive and confidential information accordingly, with a core understanding of prioritisation
• Experience in formal minuting and report drafting

The role

This role requires translation of quantitative and qualitative data into clear, actionable insights and stories that can be communicated effectively to both technical and non-technical stakeholders across the charity. The role also includes supporting the Evidence & Insight (E&I) team with the collation of existing evidence,  working with external agencies and partners to support the delivery of targeted E&I projects, developing networks, and horizon scanning across the sector to keep up to date on E&I programmes. The post-holder will have key involvement in supporting the communication of the  E&I team’s work across the charity by developing and coordinating a centralised resource for up-to-date reports, findings, and statistics.  The post holder will also contribute strategically to Evidence & Insight operations and documentation.

About you

We are looking for someone with a proactive mindset, who has a creative approach to exploring data.Ideally you will have already had experience of working in the charity or non-profit sectors and have strong analytical and technical skills including an understanding of CRM systems, conducting statistical analysis such as regression and hypothesis testing and be proficient in data management and manipulation using tools such as Excel, SQL, Power BI, SPSS, R or similar.  You will be adept at working collaboratively with team members and external stakeholders to support the delivery of targeted projects and be comfortable working in a fast paced environment with shifting priorities.

JOB PURPOSE

To improve the provision of consistent high-quality debt advice, enhancing the experience of clients, by working collaboratively with delivery suppliers, to support them in implementing improvement activities, and in assessing and monitoring the quality of debt advice.

To support the implementation and ongoing facilitation of project quality assurance and improvement processes, working collaboratively with the EMMA management team to inform and support contract compliance and performance management activities.

To identify good practice and share learning with delivery suppliers, and across roles within MaPS and across all funded services to support improvement and development of advice services.

KEY DUTIES AND RESPONSIBILITIES

Deliver individual strategic projects/business plan objectives for the team

Work with debt advice providers on an individual basis to improve the provision of consistent and high-quality debt advice, by supporting suppliers to implement improvement activities, and to assess and monitor the performance of their advisers and debt advice service overall to ensure that the quality of debt advice is improved where required, maintained and provided in accordance with regulation, project requirements, best practice, and agreed standards.  This includes:

• Working in collaboration with suppliers to make tailored recommendations and providing feedback to improve the quality of debt advice and client experience in a delivery supplier as appropriate, and identify good practice, where applicable

• Measuring and analysing information gathered against risk ratings, quality frameworks and standards and liaising with delivery suppliers to agree improvement action plans using the results of assessments and analysis

• Liaising with delivery suppliers about the practical arrangements required to carry out the monitoring of their work and improvement plans and ensure understanding of the service improvement process

• Supporting, where appropriate, the implementation of any follow on/corrective action following the assessment and /or support visits/file reviews.

Support participants internal and external quality assurance, quality related grant requirements and quality improvement schemes by:

• Ensuring delivery partners and advisers understand the objectives of the service and quality requirements.

• Facilitating the smooth application of the quality improvement process as required by LCALC and/ or the funder including writing guidance documents, regular liaison with the delivery suppliers and answering ad hoc queries.

Project compliance and quality requirements are achieved by:

• Ensuring delivery suppliers have a good awareness and understanding of the quality and service delivery requirements through communications and active involvement in the delivery of EMMA events related to quality improvement.

• Providing support and advice to delivery suppliers and other internal colleagues on the quality requirements and service delivery standards.

• Providing support with delivery and quality compliance and performance management activities, including active involvement in performance enhancement plans as appropriate.

The Head of Financial Planning & Analysis (FP&A) is a key senior member of the finance team and will help shape the strategic management and direction of the team. They will support the Director of Finance and Operations, Senior Leadership Team, Trustees and budget holders to understand and interpret IIED’s finances and play a key role in the long term strategic financial planning process.

The key duties of the Head of Financial Planning & Analysis are as follows:

• Lead on strategic financial reporting to provide a clear picture of the organization’s short- and long-term financial position

The Felix Project is London’s largest food redistribution charity. Our vision is a London where good food is never wasted, and no one goes hungry. Purpose of the Job  

We are looking for the Production Supervisor to play a key role in our brand-new Production team under project ‘Unit 17’.  

You will be the on the ground senior leading the teams in the daily tasks to be completed, working as the connection between the management team and the team members and volunteers. Working hands on within all the production lines, leading by example and supporting the team across the operation. 

This is an operational role, mainly based on the production floor but with a range of reporting and administrative tasks involved. You will report into the Production Manager and work closely with them on the day to day running of the unit as well as supporting covering their duties when they are away.

You will be supervising and supporting the teams to deliver on each day’s production targets as well as ensuring that all rules and HACCAP plans are followed correctly, providing real time feedback to the management team on any issues and resolutions taken.

More about Unit 17 

In early/mid 2025, we opened our second production facility as part of the Coronation Food Project. The Coronation Food Project was set up to celebrate His Majesty King Charles 75th birthday and seeks to bridge the gap between food waste and food need across the UK. 

We will be taking in surplus food from our supplier network and creating a range of products which have added value and extended shelf life.  A particular focus will be seasonal produce gluts, using ingredients which we may otherwise not be able to redistribute.  

Using four key processes (re-packaging, jarring / preserving, dehydrating and freezing), we will create a range of products which will be used in these three main ways:  

• Distributed to our partner community organisations as ‘ready to eat’ or ‘easy to use’ products for their service users - always delicious, achieving relevant safety standards and meeting the needs of the eventual end user. 

• Used in the East London Central Production Unit (CPU) to support creating Felix Ready Meals.  

• Used in Unit 17 in the creation of other products (for example frozen produce later used to make jarred sauces or preserves) 

A typical day at Unit 17 will likely include planning new product/s based on the ingredients available that day, agreeing relevant food safety requirements and working in line with this, working with the production team and volunteers to prepare, produce and package delicious products, planning for future products and project work.  

Duties and Responsibilities 

Your normal duties and responsibilities will be set out in your job description. However, the charity may require you to perform other duties from time to time.  

• Day to day supervision of the operations team, with a hands-on supportive approach 

• Liaising closely with the management team on the targets and goals for each production cycle

• Support in the delivery of all required H&S, Food Safety and HACCAP requirements and reporting on these areas

• Working with all internal stake holders across the departments at the Felix Project 

• Feeding into the reporting and delivery of the units stated KPI’s and production goals

• Ensuring that the equipment is always being used productively and correctly

• Taking a leading role in the training of the staff and volunteer teams

• Responsible for the operational record keeping and due diligence paperwork being used correctly

• Reporting any operational issues or challenges faced in a timely and open manner 

• Ensuring all team members are completing their duties across the operation, including the production space, office spaces, urban farm and any other relevant areas.

Person Specification 

This is a brand new and unique operation and requires someone with experience and an openness to creating and delivering on a new project. Whilst previous experience and knowledge within food production is essential, we are looking for someone who wants to grow into the role and be able to develop themselves and their knowledge whilst we develop this new operation.

• Experience within a food production operation or similar

• Comfortable with all relevant aspects of Health & Safety and Food Safety procedures in a food manufacturing environment 

• Previous experience working to and reporting on HACCAP plans
