We are looking for a new Finance Manager to join a small, friendly, and ambitious team, to review the day-to-day processes and policies and identify opportunities to improve reporting  and make operational efficiencies. The Association is growing, so now is an exciting time to join our team and work with our members across the cultural sector.

Job Summary

The purpose of this role is to provide sound financial management for the Association and CET through:

• Statutory financial reporting in line with Charity SORP/UK GAAP, including annual returns to Companies House and the Charity Commission

• Management accounting, reporting and analysis to funders, management, staff, and Trustees/Directors

• Preparation and maintenance of budgets, forecasts and plans, including cashflows and project budgets

• Supervision and control of day-to-day accounting transactions, including oversight of the finance aspects of the Apprentice role

• Oversight and implementation of robust financial systems, policies, and procedures

• Responsible for financial queries, working with the Apprentice as first point of contact for external contacts
   

Main Duties

• Supervise day-to-day accounting operations and ensure accurate financial record keeping, including coding, allocations, reconciliations, and tax accounting

• Oversee invoice generation and debt recovery processes

• Process payments and staff expenses for authorisation

• Produce regular management accounts on an accruals basis, providing interpretation and advice to the Executive Team, Finance & Risk Committee, Trustees/Directors, and funders

• Lead on budget preparation and forecasting, including project-specific budgets; monitor and reforecast as needed

• Prepare statutory accounts in compliance with charity SORP and liaise with external auditors and the Treasurer

• Manage contracts with financial services providers, including bookkeepers, auditors, banks, and investment managers

• Attend AfCE and CET Board meetings

• Fulfil company secretarial duties, including:

  • Filing confirmation statements and annual accounts for ACE and CET with Companies House and Charity Commission

  • Filing changes in Trustees/Directors

• Complete Arts Council England (ACE) returns, including provision of financial information for quarterly payment processes when required

• Negotiate and implement insurance policies including:

  • General insurance

  • Cyber security

  • Life assurance

  • Staff sickness policy

  • Trustees’ liability

  • Conference insurance

• Oversee monthly payroll, including statutory payments to HMRC and pension providers, and liaise with bookkeepers for payroll updates or changes

• Review VAT returns for accuracy before submission to HMRC

About the role

This new role will be part of our Supporter Engagement team, which includes Special and Challenge Events Fundraising, Community Fundraising, Individual Giving and Supporter Care. Our Special Events programme has expanded significantly in recent years, and we
have ambitious plans as part of our new three-year strategy. As part of this, we organise a diverse range of fundraising events, including a Comedy Night, Garden Party, Sports Quiz, Carol Service and Gala dinner.

Working closely with the Head of Supporter Engagement, the Special Events Officer will play a key role in developing and managing our special events programme. This includes overseeing multiple aspects of event planning and execution, collaborating with the Marketing and Communications team to produce high-quality event materials and ensuring that every event runs smoothly. Additionally, you will help manage key relationships and maximise fundraising income.

A key focus of this role will be leading the organisation of our annual Carol Service at St Margaret’s Church, Westminster Abbey, while also exploring opportunities to develop a new special event that diversifies our income streams and broadens our audience.

Main duties

• Supporting the co-ordination and delivery of our special events programme.

Working as a key part of the primary care network (PCN) and other community hubs, your challenge will be to provide a supportive environment that enables each individual to identify their health and wellbeing concerns and the impact these are having on their employment. To succeed, you’ll need a good understanding of motivational coaching and interview skills, the ability to organise, plan and prioritise and a real commitment to develop. This role can be based at home or at the London office. If you are office-based, you would be expected to attend the office at least two days per week.

We are looking for a Head of Safeguarding to join our team. You will be responsible for the strategic leadership of safeguarding for the organisation. We have an exciting job opening in our Grants team at ClientEarth! The Grants Officer will work in the Grants Team as part of the wider Development Department, to manage a portfolio of grants that fund our organisation’s work.

ClientEarth’s Development Department is responsible for raising and managing funds to enable the organisation to deliver its mission – using the power of the law to bring about systemic change that protects the earth for – and with – its inhabitants. Meet your Manager

In this role, you will be managed by Lydia Baker. Lydia joined ClientEarth in August 2024 and in her role as a Grants Manager is responsible for managing relationships with key funders. Lydia has worked in the NGO sector for over eight years and has expertise in a variety of functions including grant management, programme management, communications and monitoring, evaluation, accountability and learning.  On a day-to-day basis you will work closely with Lydia as part of an established Grants Team that sits within the Development Department at ClientEarth.

Main Duties

• Funding portfolio management - Have a close and in-depth knowledge of their grants portfolio, including a sound understanding of the philanthropic, institutional and statutory funding mix;
• Internal and external communications - Meet with Trust, Foundation and Institution portfolio managers to discuss proposals, provide updates on the programmatic work, and to formally report back on financial, organisational and technical issues; 
• Project management - Effectively manage reporting and the grant renewal process from start to completion including working with multiple teams across ClientEarth’s European and international offices to ensure input from all avenues to complete proposals and reports in a timely and high-quality manner; and 
• Financial planning and budget handling - Work with Finance and Programmes staff to develop individual budgets for funding proposals
• Systems and processes - Maintain funder database systems (Raiser’s Edge) and other organisational databases (SharePoint) on a daily basis
