As a leading provider of psychosocial support and accommodation throughout treatment, end-of-life, and bereavement, we are proud to ensure our services remain relevant, responsive, and tailored to the needs of those we support.

We are looking for a dedicated professional to provide business support across the directorate, working closely with senior operational leaders to drive the implementation and development of our services. This role will be instrumental in supporting new service initiatives and collaborating with other directorates and external partners, such as the NHS and charity organisations, to help us achieve our strategic goals.

What will I be doing?

Overview / purpose of the role

We’re looking for a Finance & Operations Officer who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. This is an ideal opportunity for someone with 1–2 years of experience in a finance or operations role who is looking to build on that foundation and grow their skills in a mission-driven organisation.

You don’t need to have specific qualifications in finance or accounting - what matters most is a strong interest in charity finance, excellent attention to detail, and motivation to grow professionally. You may have worked in a junior finance, administrative, or operations role, and are now ready to take on broader responsibilities and deepen your expertise.

The Finance & Operations Officer is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities

Finance

• Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

• Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

• Checking that correct coding and approval procedures are followed for staff expenses

• Conducting weekly payment runs via our online banking system

• Coordinating our monthly payroll processes (working with external providers)

• Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

• Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

• Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets

• Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)

• Supporting the Senior Management Team (SMT) and our Director of Finance to develop the annual organisational budget and report against it quarterly

• Providing budgeting support as required for colleagues internally 

Office Management & General Operational Support

• Acting as the key point of contact between CGP & our coworking office space (organising memberships, meeting room bookings, invoices, printing credits, equipment, internal events etc.)

• Organising post, stationery supplies and managing stocks of office equipment

• Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.

• Ad hoc IT support as required, including online troubleshooting and logging support requests with service providers when necessary.

• General administrative support to the CEO and Head of Operations & Evaluation

Human Resources

• Support with recruitment processes within CGP, including assisting members of the team to schedule and coordinate job interviews, contact candidates and file incoming applications. 

• Working with the Head of Operations & Evaluation to organise internal events like team away days and staff team building activities.

Person specification

The right candidate will bring some prior experience in a relevant role, alongside enthusiasm for nonprofit finance and operations. They will have an aptitude for maths and finance,  excellent attention to detail and a meticulous, methodical approach to work and troubleshooting.

We are looking for someone who:

• Has 1–2 years of experience in a finance, bookkeeping, administrative, or operations role

• Is interested in building a career in nonprofit finance and is open to pursuing further financial training

• Is broadly supportive of UK Aid 

• Is an independent worker, self-starter who can take responsibility for projects through to completion

• Has excellent IT skills, proficient with MS Office programmes (particularly Excel) and Google Workspace, and the ability to learn to use new software as required (for example, Xero, Soldo and Salesforce)

Responsibilities will include:

Community Organising

Through our theory of social change, called community organising, we train thousands of everyday people to lead change in their communities, equipping them with the skills to hold politicians and other powerholders to account. We are made up of 500+ member organisations in powerful alliances throughout the UK. Our members include schools, universities, faith groups, parents’ groups, health practices, charities, trade unions and other civil society organisations. 

Purpose 

The principal responsibility of an Associate Organiser is their own development: learning the craft of Community Organising under the guidance of an experienced Community Organiser. They work intensively with a small number of member organisations under close supervision, growing their experience, skill and responsibility incrementally. An Associate Organiser is working towards becoming a competent practitioner of the craft of broad-based community organising methodology, and focuses on the building of relational power, the recruitment and retention of dues-paying institutions, the development of leaders, the strengthening of member institutions, leader-led public actions, and the winning of systemic change. 

This role is particularly to organise around the issue of low pay and precarious work and participate in Citizens UK’s flagship campaign, the Living Wage Campaign. We need someone who can speak Spanish as well as English, as south London’s Latin American communities are leading the work in South London. There is scope to involve leaders in campaigns around housing, health and migrants' rights, as we recognise that people affected by low pay are very often determined to take action on wider issues beyond work.     The purpose of the role is to develop leadership, especially grassroots leadership, workers from London’s lowest paid sectors, that can power the campaign. Crucially the Associate Organiser will work with colleagues in South London Citizens to build and execute a strategy that develops powerful leaders for South London Citizens and wins the Living Wage, Living Hours and other material gains for thousands of workers across the capital.

Main Responsibilities 

Working as an Associate Organiser in South London for Citizens UK, reporting to the Lead Organiser, South West, SLC, your main responsibilities will include: 

Build relational power to further the goals of CUK 

• Actively participate in the development of a comprehensive power analysis appropriate to the desired sphere of influence for each project/assignment 

• Establish working relationships with identified leaders and demonstrate ability to move them into action, including as part of the wider alliance; taking the initiative to establish new relationships as required

Core Job Purpose:

The Production Coordinator is responsible for maintaining, overseeing and coordinating all of FCW’s in-cell production. This is an exciting and varied role which helps contribute to the smooth running of the charity.

The duties of the role include:

· Administration of sending and receiving kits stitched in prison.

· Supporting volunteers teaching in prison by dealing with materials requests and orders.

· Ensuring our stitchers are paid for their work accurately and efficiently.

· Providing feedback on the stitching by our in-prison workforce.

· Assisting the extended production team with the ordering of materials, special commissions, donations requests and our tapestry finishing service.

· Gathering, logging and reporting on information related to production and prisoner pay using FCW’s custom database.

· Visiting our stitching groups in prison to get an better understanding of the challenges with production that both our volunteer teachers and our stitchers might face in delivering FCW production

Principal Accountabilities for the Core Job:

1. Support our volunteers and stitchers by sending our pre-prepared kits to volunteers around the country ahead of the stitching classes and receiving kits back from volunteers.
2. Administer the production process on FCW’s custom database: logging items as they are sent to prisons and volunteers around the country, tracking items as they are returned from prison, providing feedback to prisoners on the work completed and maintaining standards through rigorous quality control.
3. Process payments to prisoners on a weekly basis.
4. Support Fine Cell Work volunteers by dealing with requests for threads and troubleshooting problems with kits. 
5. Log data, collate and report on production, prisoner pay and stitcher statistics as required for the senior management and the fundraising teams, to include monthly reports and annual reports.
6. Supporting the use of FCW’s custom database to include testing and feedback on new features and uploading and maintaining relevant information.
7. Order materials in advance for production activities in prison workshops as well as at the FCW office, liaising with commercial suppliers as well as materials donors. Supporting the production manager with the production of all kits in prison workshops as well as by volunteers in the office.
8. Work with the Programmes and Impact Officer to enable Open College Network accredited training to be delivered in prisons by making up and sending out starter kits and materials to stitchers.
9. With the Programmes and Impact Officer, provide technical support for our lone stitchers by sending out work, talking to them on the phone or replying to letters.
10. Where appropriate, working with the Design and Commissions team to assist with the preparation of specialist kit and sample products, ordering materials and collecting stitcher feedback to assist with future production.
11. Coordinate FCW’s tapestry finishing and making up service.
12. Support the production manager to ensure that all ability and pay levels are appropriate to FCW’s stitcher population ensuring these are made and assigned with a view to developing prisoners’ skills and self-responsibility.
13. With the Programmes team, co-facilitate production training for volunteers both online and in person.
14. Assist with bi-annual stock counts involving staff, volunteers, prison leavers and prison staff to include finished items, work in progress and raw materials in all the prisons where FCW operates, as well as at FCW’s London office.
15. Coordinate Fine Cell Work volunteers with their weekly tasks as provided by the production manager.
16. First point of contact for phone calls to the office, assisting callers with enquiries and diverting calls to relevant members of staff.
17. On occasion, visit cell groups in prison around the country to support volunteers and stitchers in FCW production.
18. Assist with Fine Cell Work events as and when required.
19. Ad hoc duties to support the work of the charity as required including back-up support to production with apprentices and volunteers in the Clothworkers Studio.

For 28 years we’ve been transforming the lives of people in prison and prison leavers, one stitch at a time. Our unique process boosts our stitcher’s self-worth, instils accountability, and fosters hope.

We support people in prison and prison leavers to finish their sentences with work skills, money earned and saved, and the self-belief to rebuild meaningful, independent, crime-free lives. 

Set up in 1997 by Lady Anne Tree following years of lobbying the government to change prison rules about prisoners earning money from work done in their cells, Fine Cell Work operates in 38 British prisons engaging with over 600 people in prison in 2024. Our stitchers are supported by our skilled and valued volunteers who visit prison fortnightly to teach needlework.

By providing, paid, purposeful activity to prepare people in prison to successfully reintegrate into the community post-release, we are teaching key soft employment skills, supporting the development of self-discipline and self-belief,  and working to improve prisoner well-being, all key in reducing recidivism.

• Coordinate with the implementation partner to gather and document business requirements from relevant team members to translate these into technical specifications.
• Lead and motivate key stakeholders including the implementation partner and end-users. Foster a collaborative environment and ensure effective communication between team members.
• Act as the primary point of contact for all project stakeholders, providing regular updates on project status, risks, and issues. Manage stakeholder expectations and ensure their buy-in throughout the project.
• Identify, assess, and mitigate potential project risks. Develop contingency plans to address unforeseen challenges and ensure project success.
• Define and implement quality assurance processes to ensure the delivered Salesforce solution meets business requirements and is free of defects. Oversee testing activities and ensure proper documentation of test results.
• Develop and execute change management plans to ensure smooth user adoption of the new Salesforce solution. Provide training and support to end-users.
• Manage project budgets effectively, tracking expenses and ensuring cost-effectiveness.
• Maintain comprehensive project documentation, including project plans, requirements documents, technical specifications, test plans, and user manuals.
• Providing updates against outcomes / budget to the Director of Development (Grants/Major Gifts) to enable rigorous, timely feedback to the project funder.

 Person specification 

• Proven experience (three years minimum) of leading digital transformation projects, with a strong focus on Salesforce implementations and customisations and a strong record of success.
• Deep understanding of Salesforce platform capabilities.
• Excellent project management skills, including budget and stakeholder management.
• Excellent communication, interpersonal and leadership skills with the ability to explain technical concepts to diverse audiences.
• Ability to work effectively in a fast-paced, dynamic environment.  
• Ability to manage, coordinate and get buy-in from technically inexperienced team members.
• Experience with data migration and integration is a plus.
• An understanding of safeguarding data, confidentiality, safe working practices and GDPR compliance.
• Knowledge of appropriate project management frameworks (agile, waterfall) to set project scope, meeting key milestones and budget constraints

Terms & Conditions

• This is a part-time (0.6 FTE), fixed term contract for one year, with a review to extend at the end of that term.
• This role is based in London.
• Salary: £45,000 per annum pro rata (0.6 FTE).
• Holiday: 25 days (including 3 faith days*) + 8 Public Holidays pro rata.
• A beautiful office based in the City of London. Hybrid working is available following induction period.
• 21-hour week: standard office hours are 9.30am-5.30pm, Monday to Friday with an hour for lunch. Work outside these hours is required on occasions.

Executive Personal Assistant - 3-Month Contract

We are seeking an experienced Executive Assistant who has supported at a senior level to join a respected not-for-profit organisation. Reporting to an incoming Director, this role suits someone confident, proactive, highly organised, who thrives in a fast-paced environment and is comfortable juggling priorities and dealing with senior-level internal and external stakeholders.

Key Duties

• Extensive Diary and Inbox management
• Being a gatekeeper for the director and triaging their inbox
• Attending and administering a variety of committees, including minute taking at a high level, with a quick turnaround time, collating & preparing papers and packs for the committees.
• Attending and administering the weekly team SLT meeting
• Working alongside the other senior Executive Assistants, booking both national and international travel - including accommodation and flights.
• Responding and liaising on behalf of the director, dealing with senior level internal and externalStakeholders, including managing inbound queries.

What you'll need to succeed

• High level experience working as an Executive Assistant at Director or C-Suite level
• Experience working within Higher Education, Government, Local Authorities, Membership organisations is preferable.
• Extensive Diary and Inbox management.
• Experience of arranging international and national travel.
• Experience in support committee meetings
• Experience and evidence of dealing with senior-level stakeholders, ideally within the public sector or at academic level.
• High level verbal and written English skills
• Strong interpersonal skills as you will be working as part of a large team
• Flexibility and adaptability will be very key in this role, as you will be dealing with a range of personalities and in different environments.
