Job Title: Deputy Helpline Manager

Location: Homeworking with a requirement to occasionally work at Head Office (Vauxhall, London)
Salary: £43,627.32 per annum (Inclusive of £3000 per annum London Weighting, which may not be applicable depending on your home location and any agreed permanent homeworking arrangement)

Hours: 37.5 hours per week. As part of this role, you will be required to participate in an out-of-hours on call rota.

This is your opportunity to join Refuge as a Deputy Helpline Manager, to lead, plan and deliver this incredible service to ensure that it supports as many women as possible in line with Refuge’s strategic vision.

Refuge’s National Domestic Abuse Helpline provides a first point of contact and a national gateway to services across the UK for women fleeing domestic violence and other forms of violence and abuse. The helpline will be handling 144,000 calls per year, and is constantly developing and expanding the ways that women can safety reach out for support exploring technological innovation. It offers a gateway for women and children experiencing domestic abuse by providing support, signposting, referrals and information about the services available to them.

The Deputy Helpline Manager will be working as part of a management team, leading, planning and delivering the service to ensure that it supports as many women as possible in line with Refuge’s strategic vision. They will be directly responsible for a large team of helpline staff and sessional workers and will work alongside the Volunteer Coordinators to support with the recruitment, training, induction and development of a large volunteer team.

As part of this role, you will be required to participate in an out-of-hours on call rota.

This post is restricted to women due to the nature of the role. The Occupational Requirement under Schedule 9 (part 1) of the Equality Act 2010 applies.

JOB PURPOSE

The main purpose of this post is to provide comprehensive financial management for Bradford Hospitals Charity, ensuring accurate reporting, robust financial controls, and effective management of the Charity's financial position.

The Finance Manager will play a critical role in supporting the charity through its exciting transition to independence, establishing appropriate financial systems, controls, and procedures to ensure the charity can operate effectively as an independent organisation. This will include developing new financial governance structures and helping to shape the charity's financial strategy for the future.

The Finance Manager will lead on all aspects of the Charity's financial management, providing accurate and timely financial information to support decision-making by the Charity Director and Trustees. They will be responsible for ensuring compliance with relevant professional standards, Charity Commission requirements, and NHS guidelines.

The postholder will maintain a close working relationship with the Trust finance team to benefit from their expertise while ensuring the Charity's specific financial management needs are met during and after the transition to independence. The Finance Manager will be supported by the Deputy Director of Finance and the Chief Financial Officer, who will provide guidance on compliance with Charity Commission requirements, financial governance, and wider strategic financial management to ensure the role is well-connected within the broader financial structure.

Working collaboratively with fundraising and operational colleagues, the Finance Manager will help maximise the use of charitable funds to benefit patients and the Trust.

JOB DIMENSIONS

The post will have responsibility for the Charity's financial systems, including managing and monitoring all charitable income and expenditure, financial forecasting, producing monthly Financial and management accounts, annual accounts, and maintaining effective control systems.

A key aspect of this role is managing the Charity's portfolio of trust funds, which consists of various restricted, designated and unrestricted funds. The Finance Manager will be responsible for ensuring that all donations are correctly allocated to the appropriate funds, that expenditure from these funds complies with donors' wishes and charity law, and that fund balances are accurately tracked and reported.

The postholder will carry out their duties in line with departmental accounting policies, and with reference to Trust Standard Financial Instructions (SFIs) & Standing Orders (SOs), as well as charity-specific financial regulations and requirements.

The Finance Manager will provide expert financial advice to fund advisors, Charity staff, and the Charity Director, taking initiative to achieve agreed results and working independently on a day-to-day basis within clearly defined policies, protocols, procedures, and codes of conduct. While having significant autonomy in managing the charity's finances, the postholder will not work in isolation but as part of a supportive network that includes senior finance leadership within the Trust.

The Role 

We are looking for a Supporter Engagement Assistant to join our Supporter Engagement Team to help us build strong and lasting relationships with our charity's supporters and donors.

Reporting to the Supporter Engagement Officer, as Supporter Engagement Assistant you will deliver excellent customer service over the telephone, in written (email and postal) communications and face to face, ensuring that supporters' details are accurately recorded on the CRM database. You will be representing the charity, explaining its purpose, and demonstrating our charity values to donors/supporters, showing appropriate empathy to those who may have cancer or a family member/friend who does.

This role provides a great opportunity to make a real difference to the people of Yorkshire and requires someone with a friendly manner, good team-working skills, great customer service and excellent organisational skills. 

Specifically, you will: 

• Ensure supporter communications are accurate, timely and appropriate to the recipient. This includes following the relevant pathways to process donations, record legacy pledges, update key information so that the communication is tailored and relevant to the individual supporter.  

• Work alongside the Supporter Engagement Officer and other colleagues to improve the initial welcome journey for newly acquired donors and the onward stewardship of all supporters.  

• Conduct research and contribute ideas to improve supporter journeys and implement these processes independently.  

• Update supporter records on the charity’s CRM database to reflect changes in marketing permissions, personal details, the charity's relationship with the supporter (e.g. Volunteer/ Donor etc) and any communications between the supporter and the charity.  

• Use the CRM database to run supplied data queries to deliver campaigns (e.g. using Mail Merge) and to create and deliver supporter communications, this includes printing and posting letters, sending emails, making updates to supporter records and fulfilling requests for information.   

• Undertake other duties and take on a lead role in delivering projects and campaigns relevant to the purpose of the role as requested by members of the CRM, Marketing, Fundraising or Research & Impact teams.   

• Assist the wider Fundraising team at charity run and/or external events to represent the charity, help achieve agreed targets and provide exceptional stewardship to supporters.   

• Monitor inbound emails and telephone calls to the charity, forwarding to the relevant colleague (if unable to provide a response) or responding and actioning.   

 
About You 

To be considered for this role, you will need: 

• To be ideally educated to A-Level or equivalent level. 

• To have customer service experience in a similar or related role (e.g. telephone/ databases/ office).  

• To have high computer literacy with comprehensive knowledge of Microsoft Office applications, especially Word, Excel and Outlook.  

• To have previous experience of working with databases (e.g. Access or Raiser's Edge).  

• To be up to date with the requirements of GDPR and confident in adhering to these requirements.  

• To be up to date with Safeguarding and confident in raising any concerns.  

• To enjoy delivering excellent customer service and customer/supporter interaction.  

• To be happy to work independently and ask for support where this is needed but also like to both work with and support colleagues as part of a team working towards a common goal.  

• To have excellent communication skills, both verbal and written, with an ability to use active listening skills, and write professionally and appropriately for a range of diverse audiences. Has a good grasp of grammar, spelling and of the spoken word.  

• To have strong organisational skills and performs their work to an extremely high level of accuracy and professionalism, paying close attention to detail.  

• To be able to present data and information in a way that is helpful and actionable to others.  

• To be able to manage multiple workstreams, with the ability to prioritise workloads to meet deadlines.

About the role

This is an exciting opportunity to be part of our Virtual Events Team and contribute to the successful delivery of a diverse portfolio of virtual events through effective acquisition campaigns and outstanding supporter experiences.

As Virtual Events Manager (Projects), you’ll help craft meaningful supporter journeys across email, SMS and other channels, using research and insights to inform your approach. We are looking for someone who has a real passion about our mission and with proven ability in communicating sensitively with children, young people and their families.  You will have excellent organisational skills and be proficient in the use of IT.  You will need to be available for occasional evening and weekend work.

You will have experience working with vulnerable children and young people and will have a strong grasp of the realities of being a young carer in an inner city London borough.

Job Summary

Ten Ten Resources is seeking a Schools Support Officer to play a vital role in supporting our partner schools in their use of our award-winning Catholic educational resources. Acting as a key point of contact for school staff, you will help ensure a smooth, welcoming and highly responsive experience from onboarding through to ongoing support.

You will handle school enquiries, maintain CRM data, manage user accounts, and support the delivery of school communications and helpdesk services. You’ll also contribute to the systems that underpin our delivery, bringing order, insight, and efficiency to the heart of our operations

This is a full-time, home-based role (35 hours per week), but we are open to applications on a job-share basis. Whether full-time or part-time, you’ll work closely with our collaborative and mission-driven team, combining independent responsibility with shared support.

Responsibilities

As Schools Support Officer, you’ll play a vital role in supporting schools and ensuring the smooth running of our operations. Your key responsibilities will include:

Client Support

• Act as the first point of contact for school enquiries across email, phone, voicemail and webchat.

• Respond to queries, resolve user issues, and provide quotes for subscriptions and trials.

• Triage communication to the relevant team member, where needed.
   

CRM & Data Management

Maintain the accuracy and integrity of our CRM (HubSpot), including:

• Keeping contact details up to date.

• Researching school term dates and contact information.

• Auditing pupil numbers and other key data.

• Building segmented databases for outreach to new markets.
   

Project Support

• Assist with content uploads and conduct basic technical checks.

• Support the planning and organisation of projects (e.g. filming, product launches).

• Research and source goods or services to support delivery.
   

General Admin

• Prepare and send occasional hard-copy mailouts.

• Handle post and support light finance admin, such as banking cheques.

• Provide flexible administrative support as needed across the team.

Place of Work

This is a home-based role, open to candidates based in the UK. The successful candidate will work remotely as part of Ten Ten’s home-based team.

The role is full-time (35 hours per week), typically worked across Monday to Friday. However, we are open to applications on a job-share basis, where two individuals work together to fulfil the responsibilities of the role. While there is some flexibility in working hours, availability is expected during core daytime hours to ensure collaboration with colleagues and timely support for schools.

We meet weekly as a team on Zoom to share updates, collaborate on projects, and pray together. In addition, we gather in person at least three times per year - typically once per term - for planning, training and team-building. These in-person gatherings usually involve overnight stays and are held at various locations around the UK.

In this role, you’ll be responsible for:

Strategy, vision and impact [25%]

• Be at the forefront of leading Resurgo’s ‘big picture’ vision of a transformed society, empowering churches to transform young lives 
• Build and implement a strategy for developing relationships with local referral agencies to ensure effective recruitment of young people onto the Spear programme 
• Oversee the reporting of the Centre outcomes and ensure the Spear Programme is delivered in line with agreed targets 

Leadership, line management and training [25%]

• Lead your team with confidence; spurring them on in Resurgo’s mission; invest in a team culture of excellence, belonging and fun 
• Manage and develop the Lead Coach and Graduate Coach, using a coaching approach to invest in their growth and development. This includes weekly 1:1s, performance reviews and regular feedback
• Equip your team to drive change through a data informed approach, and keep them accountable to agreed targets for the Spear Programme

Relationship management [20%]

• Manage great relationships with a variety of stakeholders, including referrers, local businesses, donors, and your Board of Trustees 
• Embed into your local church; working closely with your Spear Trustees and congregation, and actively participating in their mission and events
• Partner with the Spear Trustees and assist in implementing their funding strategy by helping to build corporate and donor relationships. For example, by hosting prospective donors in the Training Room

Delivery of the Spear Programme [20%]

• Support group and 1-1 coaching with numerous 16-24-year-olds: equipping them with practical work-ready skills and resilient mindsets 
• Provide guidance to the Lead Coach in the training room when dealing with behavioural and safeguarding situations and upskill coaches with consistent coaching feedback
• Use a coaching approach to engage young people in challenging conversations that will enable them to take responsibility and over significant barriers to employment 

Operations [10%]

• Liaise with relevant staff regarding site operations and work to resolve any issues as soon as possible, ensuring the office and training room are safe and tidy working spaces in line with health and safety policies

BACKGROUND

Ashiana is a ‘by and for’ women's led BME VAWG service with 30 years’ experience in delivering a holistic range of specialist services to South Asian, Turkish and Middle Eastern women affected by VAWG.

OUR SERVICES

Ashiana runs three refuges with a total of 29 bedspaces; specifically for women aged 16-35 fleeing forced marriage. This multi award winning project is the only service of its kind in the UK and is highly innovative in terms of addressing an area of significant need not met in other refuge provision. Within these refuges we designate a number of bedspaces for women with no recourse to public funds. We offer an advice and support service to women and girls who are experiencing VAWG, enabling them to make informed decisions and exit violent relationships. We provide a legal service supporting women with no recourse to public funds to help resolve their immigration status.

Counselling is offered for women and girls affected by VAWG. The counselling service works from an integrative stance, with the focus of providing a holistic service whereby we also work alongside other services and provide specialist domestic violence group work. The emphasis of therapeutic work with our clients is from a trauma informed model.

We also deliver an education programme for young people in secondary schools in East London aimed at preventing domestic violence and enabling young people experiencing domestic violence to access appropriate services. The prevention service includes delivering a whole school approach in schools to young people as well as group work to women and girls across North East London boroughs as well as community engagement activities and delivery. We deliver a range of awareness raising workshops for young people in the community and training on domestic violence for professionals in the voluntary and statutory sector.

PRIMARY TASK

The post is instrumental in overseeing the delivery of a comprehensive package of services and care for women in our refuges. To provide a safe environment and a service that is appropriate to the needs of young BME women particularly those from South Asian, Turkish and Middle Eastern communities and to support ex-clients following resettlement.

The post holder will have a caseload of clients and be responsible for providing advice, advocacy, casework and support to women and girls, advocating on behalf of these women and making others aware of their particular needs. The post-holder is required to demonstrate sensitivity and an awareness of the culture and needs of  minoritised communities in all aspects of their duties and responsibilities.
