Job description

Our client, a renowned research-led university in London, is looking for a Senior Personal Assistant. This is a full-time temporary post (35 hours per week) for an initial 3-month period, with the possibility of extension. The role is based on-site in central London.

Key responsibilities include:
 

  • Provide high-level executive assistance to the Institute Director, acting as first point of contact and managing a complex diary.
  • Coordinate internal and external communications, using discretion and professional judgement.
  • Organise and service meetings, including agendas, minutes and action tracking.
  • Draft briefing notes, reports and presentations for senior-level stakeholders.
  • Arrange national and international travel, hospitality, and detailed itineraries.
  • Support financial administration including purchasing card records and budget processes.
  • Maintain effective office systems and ensure seamless coordination with other executive team members.
  • Liaise with senior academic, clinical and administrative colleagues, as well as external partners.
  • Assist with the planning and delivery of high-profile events, including lectures, research showcases, and academic retreats.
  • Ensure professional and welcoming service standards for all visitors and communications.
  • Collaborate with the wider office team to maintain consistent cover and uphold standards.
  • Handle confidential information and sensitive issues with the utmost integrity.


To be successful in this post you will have:
 

  • Extensive experience in a Personal Assistant or Executive Support role at director level.
  • Proven ability to manage complex diaries and support senior stakeholders with professionalism.
  • Excellent communication skills, both written and verbal, with high attention to detail.
  • Strong organisational and problem-solving skills, able to work under pressure.
  • Ability to work independently and take initiative while managing competing priorities.
  • Confident using Microsoft Office and digital calendar/diary systems.
  • Experience supporting high-level meetings and maintaining confidentiality.
  • A flexible and proactive attitude, with a collaborative team mindset.
  • A commitment to inclusive, respectful and professional working practices.
