Charity People are delighted to be working with Florence Nightingale Foundation (FNF), a UK-based charity that supports nurses and midwives to promote health, improve care and save lives, to recruit an Executive Assistant.

Inspired by the work of Florence Nightingale, FNF is a voice for the nursing and midwifery profession and is expanding to reach one million nurses and midwives by 2027: enabling nurses and midwives to connect, lead, and influence healthcare.

FNF’s focus is on improving health, clinical outcomes and patient experience, through building nursing and midwifery leadership capacity and capability. They do this by enabling nurses and midwives to access leadership development opportunities, both in the UK and overseas, tailored to the participants’ needs.

The Executive Assistant (EA) will provide high-level administrative and governance support to the CEO, Executive Team, Board Chair, and Board of Trustees. This role is pivotal in ensuring the smooth operation of board and committee functions, executive communications, and internal coordination across the organisation. The EA will also play a proactive role in improving organisational processes and supporting priority areas as needed.

This is a hands-on role in a small but ambitious charity, ideal for someone who’s willing to get stuck in, take initiative, and bring structure and calm to a busy leadership team. You’ll be a trusted partner, helping to manage schedules, coordinate meetings, prepare documents, and ensure everything runs smoothly behind the scenes.

Key responsibilities

Executive Support: Provide proactive support to the CEO, Executive Team, and Board Chair, manage emails, calendars, and meeting requests, coordinate travel, accommodation, and itineraries, and prepare presentations, reports, and briefings.
Board & Committee Support: Organise Board, AGM, and committee meetings, preparing and distribute agendas, papers, and minutes, attend meetings to take accurate minutes and follow up on actions, support scheduling and management of Board and CEO appraisals, and assist with induction and training for Board members.
Governance & Compliance: Ensure compliance with statutory requirements (e.g. Companies House, Charity Commission), maintain accurate governance records, and support adherence to governance best practices and regulatory standards.
Board Development & Stakeholder Engagement: Support Board development including inductions, and training, educate senior management on Board roles and expectations, maintain effective stakeholder relationships with Chair and CEO.
Organisational Improvement: Identify and support improvements to processes and systems, assist with priority projects and cross-organisational initiatives, provide flexible support across teams and departments

The EA will have proven experience supporting senior executives and Boards, ideally in the charity or non-profit sector. You will be able to demonstrate a strong understanding of governance, compliance, and charity regulations, as well as familiarity with relevant regulations, including GDPR. You will have excellent organisational and communication skills, with high attention to detail and accuracy. You will be professional and demonstrate discretion and diplomacy in handling sensitive information. You will have strong time management and prioritisation skills with the ability to manage multiple priorities independently. You will be able to build effective relationships with stakeholders at all levels and will be proactive and solution-focused in your approach.
