You will be responsible for coordinating the internal operations of the organisation including contract management, ICT, office and HR support.  This role will also be responsible for travel logistics, event administration, contractual, grant and financial administration and internal office systems. This would include but is not limited to reviewing financial reports, checking invoices and timesheets, booking meeting spaces, catering for meetings, booking staff travel, insurance renewal and support on managing the IT and HR providers.

The appointee will also take the same role for CoST – The Infrastructure Transparency Initiative – a transparency and accountability programme which operates in 21 countries.

Key responsibilities: 

Execute financial administration tasks to time (25%):

• Add invoices to the accounting software package Xero purchase ledger 

• Support payments to suppliers and partners. 

• Preparing sales invoices for submission 

• Review invoices and timesheets submitted by consultants prior to payment. 

Organising and providing meeting support (15%):

• Organise meetings and international workshops in the UK and in overseas locations within an agreed budget. This includes the planning and coordination of logistics, such as participants registrations, venue selection, travel arrangement, accommodation and catering, as well as the circulation of meeting documents and invitations, and the processing of travel expenses and invoices. 

• Provide on the day support for meetings and workshops including catering and ICT. 

• To provide secretarial support to the Board of Trustees. including identification of appropriate meeting dates, circulation of papers and drafting of minutes.

• Update information concerning Trustees and the latest audit with Companies House. 

Support the administration and monitoring of grants agreements (15%)

• Coordinate the invitation and submission of grant proposals. 

• Prepare draft grant agreements based on approved applications. 

• Review quarterly financial reports submitted by partners in receipt of grant funding highlighting any areas of concern and improvement. 

• Carry out internal financial audits of partners in receipt of grant funding highlighting any areas of concern and improvement in how the funding is managed. 

Coordinating the administration and monitoring of consultancy contracts  (25%). 

• Support the recruitment, negotiations and management of consultants and advisors including coordination with the client. 

• Prepare draft consultancy contracts based the agreed scope of work and conditions. 

• Coordinate and monitor consultants’ timesheets to capture time billed against the days allocated in the contracts and approval process. 

Execute office administrative tasks to time (20%)

• Coordinate, relay internal emails to staff, reserve equipment and venues for presentations and in-person staff meetings, maintain office calendars and send out meeting reminders. 

• Provide administrative assistance to colleagues when necessary.

THE ROLE

As our new Director of Homes, you will lead our engagement with governments, industry partners, consumer protection bodies, and research organisations to highlight the needs, opportunities, and challenges faced by fuel-poor households.

You will be a member of National Energy Action’s Senior Management Team, helping to shape the strategic direction of the charity. You will lead and support a dedicated team, managing innovative projects designed to deliver meaningful impact.

Reporting directly to the Chief Executive, you will oversee the development and delivery of high-profile demonstration projects and ensure that insights and evidence from this work are widely shared. Age UK Croydon have an established befriending service providing one-to-one befriending for older people in their home. We are now launching a new and exciting Gift of Friendship (GoF) Programme to run alongside this existing face to face and telephone befriending service.

About the role:

The Business Support Officer role sits within the Professionalisation team at the Council which develops and manages a range of products including the development and management of the Council Standard, cyber security specialisms and professional titles. Job Title: Duty Independent Gender Violence Advocate (Duty IGVA)

This is an opportunity to join Refuge as a Duty Independent Domestic Violence Advocate to be the first point of contact for women who are impacted by domestic violence. You will work closely with victims of domestic abuse from the point of crisis and other gender-based abuse to provide high quality independent support to survivors all risk levels and their children..

In this role you will be part of a busy team. You will be the first point of contact for survivors who have been referred to the Gaia Centre. The duty IGVA will be responding to daily enquiries (specify from whom- public, agencies, individuals? over the phone and email as well as contacting survivors, assessing their risks and needs.

The duty IGVA will be responsible for carrying out and implementing safety plans and needs and will ensure an effective handover to the over to the relevant GAIA team for ongoing support. The post holder will also empower survivors by providing them with emotional, practical and personal welfare support. You will ensure that survivors are provided with a safe, supportive and welcoming environment, enabling them to access their rights, make decisions and increase their life options. The job involves working within a multi-agency framework consisting of the MARAC and local partnership protocols and procedures that prioritise the safety of survivors.

We’re here to prevent children from becoming involved in violence. We do this by finding out what works and building a movement to change things.

In recent years, violent crime involving children has increased. This is a tragedy. Every child is an important member of our community and society has a duty to protect them.

The Youth Endowment Fund (YEF) is a charity with a £200m endowment that exists to prevent children from becoming involved in violence. We will achieve this by finding out what works and building a movement to put this knowledge into practice. A big part of the movement that we need to build is in the world of health. We need to inspire and connect with health leaders across Integrated Care Services (ICBs), Local Health Boards (LHBs), Child and Adolescent Mental Health Services (CAMHS) and other relevant parts of the system. We need to spread what works and make our country safer for some of our most vulnerable children. We are looking for someone to lead on making this happen.

• Delivering concrete change in practice or systems that improved children’s lives.
• Leadership experience in the health system. You’ve worked at a senior level in or with health services – potentially in commissioning – and you understand how to navigate and influence within these complex systems.

First-hand knowledge of the system that supports highly vulnerable children, particularly those at risk of or involved in violence. This includes children with conditions such as conduct disorder, psychosis, substance use disorder, ADHD, developmental language disorder, and traumatic brain injury. You understand the barriers these children face and what it takes to get them the right support.

While it’s not a criterion, we are especially interested to hear from applicants who have lived experience of violence affecting young people.

Hybrid Working

The office is based in Central London. Those living in and around London are expected to be in the office a minimum of 2 days per week. The post holder will work within our team of specialist welfare benefits advisers, as a specialist welfare benefits adviser providing information, advice, and guidance to clients in our Macmillan-funded Welfare Benefits Project, providing a welfare rights advice service to people affected by cancer to maximise their income.

Scope of role

The post holder will undertake casework, assisting clients to access their entitlements to welfare benefits and other sources of financial help. Advice will be delivered through a range of channels, including face-to-face, telephone, email, and other means, provide Welfare Benefits advice and information to people living with cancer and their families.

Responsibilities and Accountabilities

Case work

• Provide a full welfare benefits casework service for people affected by cancer. This includes disability benefits and other sources of financial support, such as grants and help with health and travel costs.

Welfare Benefit Appeals

• Assist clients to prepare for benefits appeals, research, and the draft was written legal submissions, and provide representation at tribunals as required.

Outreach

• Alongside other team members provide advice sessions through outreach, including at hospitals - currently St Bartholomews, Homerton, Royal London, Newham, and Whipps Cross; and at Toynbee Hall through telephone, email, and any other channel

Targets

• Meet targets as set with the line manager, which will change regularly depending on the needs of the services.

Quality Standard

• Ensure consistent quality assured advice, to AQS standard, monitored by checking casework and observations
• Maintain thorough and detailed case records for continuity of casework, information retrieval, statistical monitoring, and report preparation
• Use all relevant case management systems, such as Advice Pro, as well as Microsoft Office applications, for statistical recording, record keeping, and document production. Ensure all work conforms to Toynbee Hall’s systems and procedures.
• Along with the rest of the team ensure stocks of leaflets, posters, and stationary, are ordered from suppliers and distributed to outreach locations
• Gather statistics and feedback to monitor and evaluate the service, providing reports as required to the steering group, funders, and partners.

Social Policy

• Support Macmillan Toynbee Hall Welfare Rights Advice Service’s social policy work by providing case studies and feedback on issues of concern to people affected by cancer; including attending internal and appropriate external meetings, and identifying and acting upon social policy issues

Essential Criteria:

• Strong interpersonal skills
• Recent Welfare Benefits advice work experience, particularly in the areas of health and disability, with at least one year’s specialist welfare benefits casework experience.
• Ability to write detailed accurate case records and drafts, letters reports, and statements in plain English.
• Recent experiences of working in a performance-driven environment and evidence of meeting targets set.
• An ordered and disciplined approach to managing a challenging caseload, meeting targets; planning and prioritising work in the face of competing demands on your time.
• Strong interpersonal skills and experience working with clients suffering from health problems in a professional but empathetic manner, and the ability to respond sensitively to clients.
• An understanding of the issues facing people affected by long-term illness and disability, including cancer.
• Ability to research, understand and explain complex information both orally and in writing.
• Good knowledge of IT including familiarity with Microsoft Office applications, e.g. Word, Outlook, or equivalents, and case management systems.
• Knowledge of or willingness to gain an understanding of Macmillan Cancer Support’s services and policies relevant to people affected by cancer.
• An ordered approach to casework and an ability and willingness to follow set procedures concerning casework and file management etc.
• Ability and willingness to support volunteer advisers.
• Numeracy to the levels required in the tasks.
