Job Title: Archivist and Records Manager – Maternity Cover

Location: Rhodes House in Oxford/Hybrid Working

Contract: Fixed 10-month contract

Hours: Part time, 15 hours per week

We have an exciting opportunity for an Archivist and Records Manager to join the Rhodes Trust, Oxford. This role is responsible for managing all aspects of the Rhodes Trust Archive.

We are looking for the successful candidate to start with us in December.

The role

The role is responsible for managing all aspects of the Rhodes Trust Archive, including maintaining an enquiries service for internal and external users, appraising and accessioning new material and cataloguing records. This includes both hard copy records in off-site storage and electronic records, in the organisation’s digital archive. There is also some responsibility for managing current and semi-current records within the organisation, including working with colleagues on data protection and retention.

The role will be responsible for;

· Maintaining an archives enquiries service for the general public, staff, Trustees and Scholars, including carrying out research on behalf of users, and arranging access to view archive material

· Appraisal, selection and cataloguing of uncatalogued records, including both hard copy and digital material

· Assisting the Trust with the ongoing management of records under data protection legislation and good practice

· Evaluation and implementation of digital archiving, including establishing procedures for ongoing transferal of records to the archive

· Promotional work including displays, and presentations, and writing articles on topics relevant to archives and records.

· Role modelling the Trust’s organisational values of commitment, inclusion, belonging, growth and innovation.

· Carrying out any other duties relevant to the role, as requested.

· A deep commitment to the values, ethos and mission of the Rhodes Trust.

Essential skills, experience and qualifications:

· A first degree, and a postgraduate qualification recognised by the Archives and Records Association (ARA) is essential

· Working knowledge of GDPR

· High level written and spoken communication skills including the ability to draft correspondence independently

· Confidentiality, tact, and diplomacy

· A high level of initiative, efficiency, and attention to detail

· Ability to prioritize and manage time effectively, and work without direct supervision

· The ability to undertake research in order to analyse and understand the archives

· Proficient Microsoft Office and database skills, including an aptitude to use IT to best enhance efficiency, and adapt to rapidly evolving IT packages and systems.

Finance and Operations Manager

RESPONSIBLE FOR

Overseeing Operations at every level of the organisation, with line management responsibility for some of the team, Project and Workstream Coordinators (approximately 5 direct reports) plus some external consultants and contractors.

LOCATION OF THE POST HOLDER 

The post holder will be predominantly remote working but will be required to attend the head office and drop-in in Manchester, drop-in spaces in Glasgow and London, and support staff members nationally. The post involves some travel throughout the UK and some work outside of office hours.  All equipment required for remote working will be provided and costs for travel will be covered.

ROLE SUMMARY

We are looking for a Finance and Operations Manager to support the CEO in the day-to-day running of our charity. The NUM CEO develops the overall vision of the organisation, while the Operations Manager is responsible to carry out the vision. 

To be successful in this role, you should have experience as a manager in a position of public trust, have excellent financial, organisational, and communications skills, as well as being a problem-solver with work experience in high-pressure work environments. The Finance and Operations Manager must be versatile in their understanding of the larger vision and as well as the fine details and tactics needed to achieve NUM's goals.

The successful candidate will work in an agile manner to ensure the charity continues to be proactive and innovative, while also being responsive to the changing landscape within the sector and the international sex worker rights and safety movement. As part of supporting the operations of NUM, the successful candidate will provide resources, information and support to NUM Managers and Coordinators across diverse projects, workstreams and teams, to achieve aspects of the organisation’s mandate of 'ending all forms of violence against sex workers' and eliminating the conditions that lead to poverty and survival sex work.

QUALIFICATIONS AND EXPERIENCE 

• At least 3 years' work experience as a Manager, Project or Programme Manager or similar role that requires oversight of a whole system, business, operation or organisation Experience leading remote or hybrid teams is desired. This includes time management skills, with the ability to prioritise tasks, lead team meetings and support members to manage resources, timelines and project budgets, etc. 

• At least two years’ experience in grant writing and fund development, as well as in financial management, with a demonstrated ability to co-develop budgets, cashflow forecasts and financial reporting as well as oversee banking activities and work with accountants and Trustees to ensure NUM’s financial health.

• Knowledge of the charity sector, the day-to-day running of a charity, business or similar organisation, and familiarity with the work of National Ugly Mugs and other sex worker-serving and sex worker-led organisations.

• Excellent leadership and delegation skills and experience. 

• Ability to support and execute on elements of NUM's policies and strategic plan. 

• Experience and training in Safeguarding and the ability to integrate appropriate safeguarding into all aspects of NUM services.

• Exemplary critical thinking and problem-solving skills and experience.

• Excellent IT skills and familiarity with CRM systems, applications and digital platforms and services, particularly Google Workplace, QuickBooks, the Microsoft Office Suite, as well as Slack, Trello, and other project management programs and tools.

• Experience in Human Resource Management and monitoring performance across diverse teams. 

• Exceptional verbal and written communications skills, with the ability to engage in knowledge translation within NUM and with external partners, funders and other stakeholders. 

• A demonstrated ability to be discrete and confidential as part of working on sensitive issues within a diverse staff team, and to be tactful and strategic in challenging social and political climates.

About the role

We are looking for two exceptional Heads of Philanthropy to join our team to significantly increase philanthropic income for faculty fundraising priorities across King’s College London.Within your application, please indicate which position you are applying to, or if you are happy to be considered for both positions.

They will need to demonstrate that they understand what is required to build and scale prospect portfolios. This is an exciting opportunity to join the Office of Development and Alumni Relations team at the University of Southampton, creating and delivering a range of strategic communications for our alumni and supporter community.  

You’ll be responsible for planning and delivering a whole plethora of communication tools to support our fundraising and engagement, with a particular focus on our upcoming Campaign for Southampton. Due to launch in 2027, this will be our biggest fundraising campaign ever, with a target of £100m. One of our key fundraising focusses will be the Institute for Medical Innovation; we will raise £50m to build this groundbreaking facility, which will address the world’s most pressing healthcare challenges through interdisciplinary research. We are looking for an experienced communications professional to support us with creating engaging communications. You will be responsible for activities such as: 

• Developing compelling propositions
• Delivering the communications to support major gift prospect fundraising events, from creating invitations and shaping the themes, through to developing event materials and briefing speakers 
• Creating and editing a wide range of communications pieces for our major gift prospect audience, from written case studies through to web content and video 
• Managing the development and execution of new creative for the Campaign for Southampton
• Sourcing new stories and gathering information through interviews and desk research
• Supporting the team where needed on both fundraising and alumni engagement communications

This is a part-time role, working four days a week (but will consider 3.5 days), on a fixed-term contract for 24 months. Like many organisations we’re currently working hybrid, with a minimum of two days per week in the office. There is the opportunity to work more days in the office as desired. The successful applicant should be available to work on campus as and when there is a requirement.

About the role
We are recruiting for a Fundraising and Marketing Support Administrator to join our Supporter Experience team based at our offices in Plymouth. This is a full-time role, working 35 hours per week on a permanent contract.

As Fundraising and Marketing Support Administrator you’ll be a proactive member of an office-based team that provides excellent support to the Alzheimer’s Society’s Fundraising and Marketing teams, enabling them to extend the reach of the organisation and raise vital funds to support those affected by dementia.

You’ll contribute to the success of different teams and functions across the organisation by completing a variety of administrative tasks including processing donations, answering queries, thanking supporters, handling complaints and maintaining accurate database records that reflect and enhance the customer experience.

Interviews for this role have been provisionally scheduled to take place, in-person, on Wednesday 19th and Thursday 20th November.

About you
Joining us, you’ll be able to complete a range of administrative tasks, using your organisation and prioritisation skills to manage your time and workload effectively. You’ll have experience of using Microsoft Office programmes such as, Word, Excel, Outlook and Teams and you’ll be able to use your IT skills to learn new systems and processes.

Crucially, you’ll be able to work proactively as part of a team. You’ll use your good communication skills to build relationships and work with your colleagues effectively, whilst also delivering a good customer service for our supporters.

What you’ll focus on:

- Handling all enquiries by telephone, letter, and email. Ensure that all enquiries, including feedback and complaints are handled within agreed standards.
- Processing fundraising income (including cheques, direct debits, and gift aid) accurately onto our fundraising database within agreed timescales.
- Creating or amending supporter records on the database in an accurate manner and within agreed standards.
- Working closely with colleagues in the Supporter Experience department to ensure all work enhances the supporter journey.
- Assisting other parts of the Fundraising and Marketing directorate with their administration and fulfilment of campaigns.
- Responsible for your own workload in handling supporter queries/feedback, donation processing, and other administrative tasks.

Do you want to join an organisation committed to addressing low literacy levels amongst people in prison?

Shannon Trust are delighted to be working with His Majesty’s Prison & Probation Service (HMPPS) to provide peer-led learning programmes at HMP Ford. Working closely with the prison and their staff, people in prison, Shannon Trust volunteers and mentors, this post will lead the delivery and development of our prison-based reading and numeracy programme, maximising opportunities for people in prison to learn to read.  

Ideally you will have some experience of prison settings underpinned by the ability to build relationships and personal qualities that include resilience, determination and a problem-solving approach. 

This is a fixed term role until 31st March 2026, with the opportunity to be made permanent subject to continued funding.

This role will be prison based.
