Job description

Our client, a prestigious London university, is seeking an Executive Assistant to join them on a full-time (35 hours per week), temporary basis, for 3-months in the first instance. The role offers hybrid working, with 3 days per week based on-site in Bloomsbury, Central London. The post is expected to start as soon as possible.

Key responsibilities include:

  • Provide proactive administrative and executive support to a senior director and their leadership team.
  • Manage complex diaries and prioritise conflicting demands across internal and external stakeholders.
  • Coordinate meetings, away days, and events, including agendas, logistics, note-taking, and follow-up actions.
  • Draft reports, briefing papers, and presentations to support key strategic projects.
  • Support cross-college initiatives such as student induction, training sessions, and sector-wide exercises.
  • Maintain records of project actions and timelines, helping to track progress and performance.
  • Process invoices, manage budget tracking, and assist with procurement tasks.
  • Coordinate HR-related administration including onboarding and maintaining confidential records.
  • Update internal and external communications, websites, and content platforms.
  • Act as a central liaison for internal enquiries, room bookings, and office supplies.
  • Contribute to operational improvements and promote best practice across the team.


To be successful in this post you will have:

  • Previous experience in an Executive or Personal Assistant role.
  • Exceptional organisational and time management skills.
  • Strong written and verbal communication, with excellent attention to detail.
  • The ability to work independently and manage changing priorities.
  • Confidence dealing with a wide range of stakeholders and maintaining discretion.
  • Good working knowledge of Microsoft Office and standard office systems.
  • Experience supporting budgetary and HR processes.
  • A proactive, team-oriented mindset with a professional and flexible approach.


The successful candidate must have the right to work in the UK as the role is not eligible for visa sponsorship.
