Brief role description:

Reporting to the CEO, this pivotal role will ensure the smooth running of a fast-paced executive office. As a key support to the CEO and SMT, the PA will manage schedules, oversee correspondence, and drive efficient administrative processes. They will coordinate meetings, board papers, and governance tasks, while also supporting operational planning and event logistics. This role requires exceptional organisation, discretion, experience in minute taking and the ability to anticipate and respond to the needs of a dynamic leadership environment. The PA must also embody and uphold the charity’s values - Expert, Passionate, Resilient, Supportive, Open and Honest, and Collaborative - in all aspects of their work.

ACF are recruiting for a Finance and Operations Officer to work within our Operations team. You will support the Head of Finance with a range of financial administration including processing and paying invoices, reconciling bank statements, updating our accounting and CRM systems, responding to member queries in relation to payments and invoices, processing expenses and supporting the cash flow forecasting process.   

You will also provide other operations support relating to office management and will support the HR Manager by maintaining annual leave and sickness records, providing administration support for staff onboarding and leaver processes, and updating key documents such as organisational charts and welcome handbooks. 

We are looking for someone process-oriented with excellent attention to detail and administrative skills, with experience of financial administration, proficiency in Excel, and the ability to ensure accurate data entry and reporting.

JOB DESCRIPTION

 JOB PURPOSE

To provide the administration of ACF’s finance processes. 

To support with other Operations functions including IT, HR, and office management. 

KEY RESULT AREAS/PRINCIPAL DUTIES AND RESPONSIBILITIES 

Finance 

Prepare invoice authorisation and payment process, ensuring invoices and expenses are recorded and approved appropriately, and payments made to suppliers in a timely manner. 

Reconcile bank statements, accounting software, and CRM, to ensure accurate income and expenditure records. 

Administer the corporate credit card scheme to ensure statements and transactions are approved, reconciled and accurate. 

Issue and update membership invoices using CRM. 

Manage outstanding debtor balances to ensure timely receipt of cash for ACF’s income. 

Respond to member and supplier queries regarding invoices and payments. 

Support cashflow management by maintaining a cashflow forecast. 

HR 

Maintain annual leave and sick leave records. 

Support HR manager with onboarding new staff: issuing offer letters, contracts, new starter forms, sending reference requests and arranging IT set up. 

Support HR manager with processing staff leavers: managing leaver checklists, issuing leaver letters, requesting the closure of IT accounts. 

Update ACFs organisational chart and welcome handbook as required. 

Ad hoc HR administration support around peak periods e.g. end of year reviews 

Other 

Support other Operations and Office Management functions as needed, including IT and office equipment, ensuring adequate levels of kitchen and office supplies, managing incoming post, and liaising with suppliers.

Bridge 5 Mill is a centre of social change in a historic 5 storey mill on the edge of Ancoats, comprising workspaces and event spaces. Our unique sustainable and ethical approach characterises our building and drives all our activities. Bridge 5 Mill is part of a family of organisations including the Kindling Trust, promoting ecological and social justice through a broad range of projects.

This is great news, as the period without a lift had a significant impact on our community of tenants, wider users and also therefore, on our income from venue hire (with much less events able to take place during this time). Brain tumours kill more children and adults under the age of 40 than any other cancer, yet historically just 1% of the national spend on cancer research has been allocated to this devastating disease. Brain Tumour Research is determined to change this. 

Their vision is to find a cure for all types of brain tumours. To achieve their mission, they are looking for a Head of Philanthropy and Partnerships to lead the high value function, including income from major donors, corporate partners, and trusts and grants. The P&P team also encompasses volunteering and relationships held with the family of member charities.  

There is currently an interim Head of P&P in place until August to ensure progress continues towards the income ambition, and to support the team.  

The P&P function is on a journey, much work has been done to embed effective processes and a consistent approach to pipelining. There has been much improvement so far, but there remains a lot of scope for the incoming Head to shape the team, define areas of focus and ways of working.  

The team have had significant success this year, especially in the corporate partnerships space, so there is energy and enthusiasm to harness. There are exciting opportunities for high value fundraising connected to the launch of new Centres of Excellence across the UK, and some key events in the calendar such as a major donor dinner in September.  

This role would suit an experienced fundraiser across major donor or corporate income streams. You will have led a team before, and have experience of designing and delivering fundraising strategies.  

This is an exciting opportunity for the right candidate to come into a team that is on the right path, but needs a confident Head of to ensure the team works in the most effective way, and to provide support and guidance to the team.

Role Purpose

The purpose of this role is to provide operational leadership and oversight of the Carers Manchester Volunteer Programme and support the wider development of the Volunteer Programme at Gaddum. The Volunteer Coordinator will work with Carers Manchester colleagues to ensure volunteers feel equipped and supported to use their skills and lived experience in a range of established volunteer roles.

They will also work with the team to develop and recruit volunteers for new roles that support Carers Manchester to deliver on its aims and objectives. The role will involve maintaining close working relationships with our Central Team, Health & Safety systems, and compliance responsibilities. 

All staff are expected to work within all Gaddum policies and procedures. This role is subject to a basic DBS check.

We’re looking for someone who wants to join our busy charity to make a real and lasting difference to people’s lives. With experience in bookkeeping and financial administration, you will love numbers (and spreadsheets), have great attention to detail and be an excellent communicator.  Working closely with the Director, you will be responsible for the administration of the Charity’s finances, including lots of different projects, accounts and a wide variety of transactions. You will lead on tasks including:

• Weekly - invoice processing, payments, petty cash, bank deposits and reconciliation etc
• Monthly - compiling monthly payroll, creating management accounts/financial reports, supporting Project Managers with financial analysis, and reporting to Director/Trustees
• Annual – preparing budgets, submitting financial returns, reporting at the Annual General Meeting, and working with the accountancy firm to complete the financial audit.
• Ad hoc –financial support for Farm Events, developing budgets and other enquiries.

As a member of the Farm’s Operational Management team, you will support the organisation with financial insights and guidance to help us develop the charity, remain sustainable and achieve our mission.

• Contract type: Permanent 
• Salary: Salary between £33,024 and £36,648 depending on experience.
• Hours of work: 28 hours per week (with some flexibility for the right candidate, but not less than 21 hours per week) largely undertaken between 9 - 5pm, Monday to Friday.

Campbell Rd Young Peoples service provides support and housing for 55 young people in Tower Hamlets that are either leaving care of affected by youth homelessness. The Support Worker role will be to manage a caseload of approx 7-10 young people.
This role's shift work on a 7 day rolling rota.

What you'll do:
- Building supportive, trusting relationships with customers
- Working proactively with other members of the team to handle the service caseload and administrative responsibilities
- Supporting key customers to set personalised goals in the form of a Support Plan
- Conducting regular key work sessions that are innovative and engaging in order to achieve Support Plan goals
- Ensuring ongoing assessment and management of risks associated with customers within an attitude of 'positive risk taking'
- Proactively manage risk and safety both in and outside of their physical living environment
- Providing support with daily living activities, including practical assistance where skills are not yet developed, to ensure that customers enjoy a high quality of accommodation

About The Role
You will be working in a collaborative, fast-paced and creative environment and will play a key role within our Engagement Team to strengthen Youth Music’s relationships with individual givers. This role will focus on engaging individuals to support our mission, managing relationships with community supporters, and delivering strategies to enhance community fundraising and individual giving.

About You

You are a motivated and relationship-driven individual who is passionate about music and making a difference. You will have a strong ability to engage, motivate and influence prospective and existing individual givers, a strategic mindset for fundraising and supporter engagement, and excellent stewardship skills. Your ability to build lasting relationships with our donors and community fundraisers will be key to your success in this role.

Key Responsibilities 

• Create and execute a strategic plan for growing community fundraising and individual giving, and monitor and evaluate the impact of this.
• Take ownership of Youth Music’s guestlist donation initiative, securing gigs to add an optional donation in aid of Youth Music.
• Support the Philanthropy Lead in cultivating major donor relationships and co-investment opportunities with charitable trusts and foundations. 
• Support the Ambassador & Supporter Engagement Manager and Philanthropy Lead with administration of onboarding Youth Music advocates and Change Makers.
• Lead on the administration and organisation of community fundraising events/activities. You will support challenge event participants with their fundraising by liaising with them before and after events, ensuring they feel prepared and have the Youth Music resources they require.
• Work with the Communications Team to make the most of the exciting communications opportunities that exist in the run-up to, during and after fundraising activities and events - including helping to collect, create and distribute photos, videos, news stories, interviews and social media posts.
• Lead on Gifts in Wills and Legacy Giving.
• Manage our fundraising reconciliation, carefully producing donation reports and logging donor information on Salesforce.

Other roles will include supporting the Engagement team with an array of day-to-day tasks such as:

• Provide supporter care; taking and responding to supporter enquiries via phone, email or post.
• Work on securing gifts, raffle prizes and other sponsorship to elevate community events and fundraisers.
• Manage the fundraising enquiries inbox and be the first point of contact for receiving donations and giving advice on how to fundraise for Youth Music.
• Contribute to Youth Music’s media channels to promote and support campaigns and events.
• Update Salesforce with accurate information about all donations and fundraising activities, and support others in its training and use. 
• Ensure that all fundraising processes are compliant with GDPR regulations and Fundraising Regulator practice.
• Keep up to date with trends in community fundraising, corporate fundraising and charity events.
• Attend evening events as required, including potential travel and overnight stays. 
• Be proactive in identifying opportunities for learning and professional development to ensure excellence and continuous improvement.
• Represent Youth Music at events.

Main duties of the job

Reporting to the Senior Community Fundraising Manager, you will grow our community income by recruiting and managing community supporters to drive our fundraising efforts across our key campaigns, lead and motivate individuals to take part in fundraising activities, turning conversations into lasting relationships that support our amazing local NHS hospitals.
