What the job involves

Join our Customer Engagement and Experience team as our Data Imports Manager, where every day you’ll be helping to make sure our supporters’ donations and personal details are handled with care and accuracy.

You’ll manage the Data Import Team, who process around £30 million in donations each year and safely manage details for about 180,000 new supporters. It’s a role right at the heart of our operations, keeping our systems running smoothly and ensuring supporter data is looked after properly.

Day to day, you’ll manage the flow of financial and personal data into our CRM, whether it’s from third-party suppliers or our website. You’ll own the use of our automation tools to ensure data imports are efficient and accurate.

You’ll support your team, respond to data queries, and as the product owner of our bespoke ETL tool work closely with developers, designers and data teams to deliver high quality solutions. There’s plenty of scope to spot ways to improve how we work, reducing manual processes and making things quicker and smarter without compromising quality.

Alongside this, you’ll produce regular reports to keep things on track, such as weekly/monthly reconciliation reports for Finance, and oversee tasks such as creating our Gift Aid claim. You’ll also play a key part in developing and monitoring KPIs, making sure we’re hitting our goals and delivering a reliable, accurate service.

What we want from you

We’re looking for candidates who have an expert knowledge of database systems and be able to channel this knowledge into meeting the business needs of the charity.

You’ll be a natural collaborator, able to build strong relationships and comfortable working with people at all levels across the charity. You’ll be comfortable managing multiple priorities and relationships, keeping a high volume of tasks moving smoothly and within set timeframes. Time management is key in this role, as you’ll understand how data processes directly affect income and supporter experience.

With a practical, agile mindset, you’ll be a problem solver who can look at systems and processes with fresh eyes and quickly spot opportunities to make them more efficient and effective. Process-driven and detail-focused, you’ll take a proactive approach to improving the way we work, without losing sight of the bigger picture.

Excellent communication skills are essential, you’ll be confident having open, honest conversations to protect the integrity of our data, and able to influence decisions when it counts.

You’ll have experience managing and coaching a team, supporting people to achieve great results while developing their skills and confidence.

Ideally, you’ll also have a good understanding of charity law relating to fundraising, Gift Aid, data and information management, along with experience of customer relationship databases, particularly Raiser's Edge.

In this role, you will operationally manage the activities and tasks outlined in the CRM project plan, working closely with the Head of Volunteering & Engagement, the CRM Strategic group and the CRM Working group.  The project plan includes four stages: (1) Understanding/prioritising our organisational needs, (2) Mapping potential providers, (3) Commissioning and deciding on a provider, (4) Implementation of a new system. We are currently at Stage 2, moving into Stage 3. 

This is a fixed term role with a two-year commitment (18 month contract) and delivery plan.  You will work closely with the National Volunteer Engagement Manager to help embed the new VMS or CRM across our delivery team, working practically and equitably with colleagues to understand any individual challenges or needs and finding appropriate ways to support them. 

We’re looking for a highly organised and proactive CRM Project Manager to lead the next phase of our CRM development project.

You’ll operationally manage the delivery of our CRM plan, support the commissioning of a new system, and develop and drive forward a clear implementation strategy. You’ll work closely with internal teams and external providers to ensure smooth delivery, while coordinating training, ensuring compliance, and embedding inclusive practices.

Role Summary

Development Group generates philanthropic and sponsorship income to help us create a Natural History Museum for the future – investing in capital development, attaining vital acquisitions for the collection, transforming our galleries, developing innovative exhibitions and undertaking ground-breaking scientific research on issues that affect us all.

Reporting into the Head of Resources & Planning, this role provides the opportunity to join a Development operations team in driving forward the exciting, ambitious and transformational NHM150 campaign.  You will have the opportunity to be innovative and proactive, as well as utilise your creativity, project management and organisational skills to oversee donor recognition and ensure we are providing a consistent and best in sector experience for our donors and partners.

Main tasks and responsibilities

Stewardship and supporter journey

• Working closely with the Head of Philanthropy and Head of Corporate Partnerships, lead the development of a structured, overarching stewardship programme that works across the Museum. Take a supporter journey approach and ensure the programme includes a creative and innovative range of benefits and recognition to foster well-managed, mutually beneficial and lasting relationships with funders.
• Coordinate stewardship efforts and work with colleagues to produce tailored stewardship plans.
• Provide strategic and day-to-day advice and guidance to staff on stewardship.

Funder recognition

• Work with the Philanthropy and Corporate Partnerships departments to ensure a cohesive approach to the funder benefits matrix and recognition and acknowledgement.
• Advise and lead on funder inclusion with event and event material including, speeches, invites and associated thanking moments
• Lead on the creation and implementation of a funder recognition strategy for each major project and giving mechanism, ensuring consistency with the Museum’sdeli Naming and Recognition Policy and including, but not limited to, funder boards and naming opportunities.
• Lead for Development on work with the Design, Comms, Marketing and Digital team to develop agreed frameworks and ‘lock-ups’ for the NHM’s brand and visual identity. Create agreed procedures to ensure sign-off by all parties which is effective and well-communicated.

Communications and reporting

• Support colleagues in researching, writing and producing high-quality impact reports for funders in line with Deeds of Gift, contracts and other agreements.
• Support the creation of the Museum’s Annual Review, Annual Report and similar impact reporting; ensuring appropriate funder recognition.
• Manage the annual Season’s Greetings cards creation and distribution

Other responsibilities

• Build and maintain strong working relationships with a diverse group of Museum stakeholders, to ensure stewardship plans and activities are successfully coordinated and delivered.
• Responsible for oversight of Supporter Cards for key Development supporters, working with the Database team to create and distribute.
• Develop a strong knowledge of sector best practice through networking, benchmarking against comparable institutions, identifying and undertaking training and development opportunities, and where appropriate implement these best practices at the Museum.
• Record essential information accurately and appropriately, using Development Group systems and the Raiser’s Edge database. This includes tracking agreed and live negotiations for funder recognition and commitments on major projects.

What we’re looking for

Essential

• Significant experience in a fundraising / funder management role, or similar project management experience
• A strong working knowledge of the role of stewardship in the not-for-profit or cultural sectors, with the ability to initiate and manage stewardship activities.
• A proactive, positive and creative approach to stewardship, with the ability to recognise and create relationship-building and strengthening opportunities.
• Excellent interpersonal, oral and written communication skills, with the ability to communicate effectively both face-to-face and through written material such as letters, reports and visual presentations.
• Attention to detail and ability to successfully negotiate with colleagues across the Museum to monitor and deliver donor recognition requirements.
• A team player, able to work flexibly and positively with colleagues to achieve shared goals.
• Excellent organisational and project management skills, with the ability to manage a busy workload, set priorities, meet deadlines and work unsupervised.

Managing commercial relationships on behalf of AoC, the Partnerships Manager is responsible for facilitating excellent communication, monitoring performance and developing strategies to ensure all partnerships are effective, mutually beneficial and support organisations to achieve their goals and objectives.
 
We are looking to appoint someone who has experience of managing key partners and stakeholder relationships and can demonstrate excellent customer service and communication skills. We’re looking for an experienced Philanthropy Manager to play a pivotal role in securing significant philanthropic income from high-net-worth individuals and charitable trusts and foundations to support the vital work of our hospitals. Leading a team of three, this role is responsible for cultivating and managing existing high-value philanthropic relationships, expanding our high-value networks and further embedding a culture of philanthropy across our hospitals and charity.

The ideal candidate will have strong understanding and experience in working with high-net-worth individuals to secure 5-6 figure gifts. Communication skills (both verbally and in writing) ideally gained within a fundraising or sales/business development environment.
