Volunteer Trustee (Secretary Role)

Location: Kent- however this role can be done virtually.
Time Commitment: Around 3–5 hours per month
Reporting to: The Board of Trustees

About the Role:

We’re a charity supporting young people and families through grief, loss, and emotional wellbeing. As our Secretary, you’ll be the organised heartbeat of the board, keeping everything running smoothly, making sure meetings are well-structured, and helping us stay on top of our legal and admin responsibilities.

You don’t need to have charity admin experience — just good organisational skills, a bit of tech confidence, and a passion for helping young people heal and thrive.

Key Responsibilities:

 Meetings & Records

• Arrange trustee meetings (usually every 1–2 months) and make sure everyone has the agenda and papers in advance.

• Take clear minutes and track action points so nothing slips through the cracks.

• Keep an organised record of all meetings, decisions, and official documents.

Governance & Compliance

• Help ensure the charity meets its legal requirements with the Charity Commission.

• Maintain up-to-date trustee contact details and declarations of interest.

• Support the Chair and Treasurer with key governance documents like policies, annual returns, and reports.

 Communication & Coordination

• Be the main point of contact for trustee communication — keeping everyone in the loop.

• Help coordinate between trustees, volunteers, and partners.

• Make sure important dates, tasks, and documents are shared in good time.

Commitment & Expenses:

• This is a voluntary trustee role. Reasonable out-of-pocket expenses (like travel or supplies) can be reimbursed.

• Trustees usually meet once every 1–2 months, with a few extra hours between meetings for admin or follow-ups.

• You will have the opportunity to be involved with community work, however this is not an expectation.

RSPCA Alton, Haslemere & Petersfield Branch

We are looking for volunteers to join our Trustee board with expertise in any of these areas:

• Charity finance/ Treasurer

You will gain new skills and experience as a Branch Trustee whilst enabling us to help animals in our area.

Overview

We are looking for enthusiastic people to take the role as a Charity Trustee, who could devote some time to volunteer for the Alton, Haslemere & Petersfield Branch and support us in boosting our local animal welfare work. Alongside using your expertise, this role will enable you to enhance how we care for and prevent cruelty to animals and drive the implementation of key initiatives. You will serve on the governing body of the charity and be instrumental, alongside fellow Trustees, in the running of the Branch and the implementation of a development plan. At a minimum, you would normally be expected to attend a monthly online committee meeting and to spend further time driving forward our activities.

The Alton, Haslemere & Petersfield RSPCA Branch

We are the local branch of the national RSPCA, but we are also a separately registered charity looking after animals in our local area.

The Branch is in an enviable financial position and employs an experienced member of staff as Branch Manager. Once additional Trustees are in place, we expect to move towards CIO (Charitable Incorporated Organisation) status.

Our main current activities are:

• Providing financial assistance to local people unable to afford unexpected vets’ bills. In the past year, we have allocated £40,000 to this area.
• Collecting petfood donations, which we collate and then pass to our local foodbanks.
• Re-homing cats in the Alton part of our area, organised in co-operation with the neighbouring RSPCA Branch.
• Some fundraising activities, including organising fun Dog Shows.
• We are looking to recruit at least three new trustees to work on significantly developing the Branch over the next few years. Initiatives we are considering are:
• Establishing a comprehensive fostering and re-homing network, across the entire Branch area.
• Major income generation initiatives, including opening our own shops.
• Developing our own animal centre resources, possibly in co-operation with private sector providers in the Branch area.

Core Branch Trustee responsibilities

• Appreciate and support the aims and policies of the RSPCA.
• Work in conjunction with fellow Trustees and Branch Officers and jointly act in making decisions for the best interests of the Branch and the RSPCA.
• Assist the Branch, as appropriate, to work with and assist national RSPCA staff, including but not limited to Inspectors.
• Actively participate in Branch committee meetings and to attend the Branch Annual General Meeting (AGM).
• Actively promote and advertise the society in an ongoing programme to recruit new Trustees and volunteers and welcome new members.
• In conjunction with fellow Trustees, ensure the proper management and control of all activities and decisions.

Practical considerations

• To become a Trustee, you will need to be aged 18 or over and have become a member of our Branch.

• You will need to sign a Trustee Declaration of Willingness to Act, clarifying that you are not disqualified from being a Trustee.
• References will be required.

Overview of the role

Warrington Foodbank are seeking someone with financial experience to join the board as a trustee, who will be able to lead on financial matters, ensuring we meet our financial obligations and help us build a sound financial strategy as we move forward. This role involves leading on the financial affairs of the food bank and ensuring that they are conducted within the required legal, accounting, and good practice frameworks.

Responsibilities

As a trustee you will share collective responsibility for the governance of the food bank and all decisions made by the board, ensuring the organisation is well run, fulfils its mission, is compliant with charity law and that the charity is open and accountable. It is also the responsibility of the treasurer to work in partnership with the chairperson and other trustees to ensure the financial viability and development of the organisation.

Key tasks:

• Work with a chartered accountant an opertions team to ensure smooth running of financial matters

• ensure the Board of Trustees fulfils its financial responsibilities

• ensure that the food bank has proper systems for budgeting, financial control, insurance and reporting 

• inform the trustee board members of the finances of the food bank by written report, at least on a quarterly basis ensuring that the board have a clear picture of the financial health of the food bank

ensure that financial reports:

• are comprehensible and properly discussed at trustee board meetings

• are provided in the proper format and at the proper time, as required by the relevant charity regulator body (Charity Commission of England & Wales)

• have properly appointed auditors or independent examiners (on income over £25k)

• are reported on an annual basis at annual general meetings (AGMs).

Other responsibilities, along with the Board of Trustees, include:

• to approve, support and guide the charity’s purpose, vision, strategy, goals and objectives 

• to manage the charity’s resources responsibly, including ensuring the charity’s assets are used only to carry out its purpose, avoid undue risk, and not over-commit the charity

• to ensure the effective and efficient administration of the charity, responding to changes in the local community as appropriate

• to ensure that key risks are identified, monitored and controlled appropriately

• To ensure appropriate financial plans are in place, budgets are monitored, and progress is evaluated

• to review and approve financial statements

We are looking for an enthusiastic and passionate person, with a background in health and safety, who could devote their time to volunteer with us as one of our trustees at our Lincolnshire Mid and Lincoln Branch. This role will give you the chance to influence how we care for and prevent cruelty to animals and drive the implementation of key initiatives.

As a minimum, trustees would normally be expected to attend a monthly committee meeting lasting some 2 to 3 hours. However, the commitment may vary depending on whether or not the trustee takes on additional duties.

Primary responsibilities of the Branch Trustee - Health and Safety

• To act as the branch committee member with specific responsibility for informing co-trustees, branch volunteers, and staff on health and safety matters relating to branch activities, and to assist with the implementation of good health and safety practices.
• Liaise with the branch manager regarding the implementation of any new health and safety guidelines the Society, or the branch’s health and safety provider.
• Work with staff managers to ensure that the required staff training on health and safety is carried out.
• Ensure that health & safety risk assessments including manual handling, COSHH (Control of Substances Hazardous to Health Regulations), and fire is carried out and reviewed annually.

Plans to develop our board

We are specifically seeking one or more trustees with a good knowledge and experience of adult social care.  As well as the normal duties of a trustee, you would take a specific interest in our adult care service provision – St Davids House (residential care), Jigsaw (day service) and our Supported Living service.  You would scrutinise the quality and operation of our care services for adults and offer advice and challenge to our staff team as a member of our Adult Care Advisory Committee.  You will liaise closely with the Director of Care and Support.

You may have been a senior manager in an adult care service or have been a commissioning manager within the NHS for people with complex care needs.  You will have a passion for great person-centred care.  Experience of CQC would be an advantage.

The Board meets seven times a year and is also invited to all events and celebrations which is optional.  Trustees are warmly encouraged to attend meetings in person, but if required can attend some meetings online.  Expenses are paid for travel and overnight accommodation can be arranged for those not local to Devon.

Our trustees are required to attend 8 evening meetings per year.  8 of those are Board meetings and usually in Dartford, the other 8 will be for an agreed board sub-committee.

In addition, each trustee should use any specific skills, knowledge or experience they have to help the Trustee Board reach sound decisions. These may involve scrutinising board and committee papers, contributing to discussions, focusing on key issues, providing advice and guidance on new initiatives and other issues in which the Trustee has special expertise.

South East Dance is looking for a new Chair and another Trustee with Finance Expertise to join our Board.You will be joining us as we build on the work we have done since opening The Dance Space in 2022 as we enter the next phase of our development and continue to build a vibrant and varied programme of activities with and for artists and communities in The Dance Space and across the South East.  Our vision is a world where everybody is inspired to enjoy, take part in and create bold, brave, pioneering dance.  We are looking for a Chair and a Trustee who can help us make this vision a reality. 

Trustees are vital in supporting South East Dance to achieve our charitable aims. You will help to make key strategic decisions; monitor our progress, impact, and contribution to Brighton & Hove and the South East region; and fulfil governance responsibilities.

We are seeking a new Trustee to strengthen our multi-skilled and hard-working board, with specific expertise in funding and bid applications.

While we already have skilled board members and volunteers who can write strong funding applications, what we currently lack is the time and experience to:

• Research potential funding opportunities
• Review and filter which opportunities are worth pursuing
• Summarise and present recommendations to the Board and staff

This new Trustee role would add significant value to the work we already provide - by helping us focus our efforts on the most promising funding sources.

Skills and Background

We are open to a range of professional backgrounds. You may not be actively working or may have a little time free to support us in this role, but we are looking for people who can bring the following:

• Experience in bid applications, grant funding, or fundraising — particularly in identifying and assessing opportunities
• Strong analytical and critical thinking skills to weigh up eligibility, likelihood of success, and fit with our charity’s mission
• Confidence in working with information, making judgements, and communicating clear summaries to colleagues
• A background in areas such as fundraising, charity administration, project management, finance, business development, or legal/governance would all be relevant and useful

Commitment

As a Trustee, this voluntary role involves attending Board meetings, which are approximately every two months, an annual strategy day, occasional working groups and the AGM. Meetings are held in person where possible, with online options available. We also hold fundraising events, which you are warmly encouraged to support. The expected commitment is around 10 hours a month, including reviewing opportunities and communicating with fellow Trustees and staff via email, WhatsApp, or phone.
