Job Summary

The Head of Operations holds responsibility for our day-to-day delivery, strategic development of our services, and operational team leadership. As our new Head of Operations you will:

• sit on the PiP Senior Management Team and lead our team of circa twenty delivery staff. 
• ensure continuous operational improvement, working with SMT to develop our service and systems, through new projects or ways of working, and champion a learner-led approach to everything we do. 
• champion PiP meeting our regulatory and reporting requirements, manage key relationships including with local authorities, and hold budget responsibility across our service.

What You’ll Need

• Significant experience of working with people with learning disabilities, or a similar vulnerable client group, including knowledge of Safeguarding of Vulnerable Adults (SOVA) processes.
• Significant experience of leading and managing a staff team.
• Strong understanding of and commitment to a person-centred approach to working with people with learning disabilities, including planning, progress monitoring and review.
• Experience of liaising with a wide network of agencies and sector professionals in support of student needs.
• Knowledge of national and local legislation and policy affecting people with learning disabilities, including personal budgets. Alongside knowledge of key legislation and processes including on Health & Safety and Risk Skills and abilities 
• Able to communicate effectively, both verbally and in writing, including the ability to maintain accurate records and produce reports for a variety of internal and external audiences.
• Able to take a lead role in the implementation of major tasks, including contributing to the delivery of key performance management targets and making organisational and systems improvements.
• Able to manage and complete projects successfully, including delegating tasks and monitoring and evaluating progress against outcomes.
• Able to establish, develop and maintain constructive and professional relationships with a wide variety of professionals and carers both internally and externally.
• Able to liaise and work closely with student families, carers and other stakeholders in planning, implementing and monitoring support.
• Able to take a flexible approach to work, including flexible and out of hours working in response to service needs and developments.
• Willing and able to participate actively in a variety of fundraising events and activities, including some evening and weekend events.

Purpose of the Role

Faith underpins all our work and, in this key role the post holder will support the Christian journey by providing resources for personal prayer, spiritual guidance, corporate worship, religious education, and contribute to and participate in member and central charity led events and worship.

This role will explore and research issues about the Christian faith that are relevant to Mothers’ Union, keep the rest of the Charity up to date on issues in the Anglican communion and wider church – and input into the design of MU strategic aims, and work collaboratively with organisations externally on developing resources and implementing faith-based initiatives.

This role will also be responsible for managing Mothers’ Union’s Church-based membership and our Faith and Diocesan Chaplains member-based forums.

However, the focus for this role will be the proactive outreach, development, and maintenance of faith related relationships primarily in Britain and Ireland. This includes creating and managing high-level networks of Christian influencers, Bishops and the wider clergy, and key faith-based organisations to improve the profile, understanding and integration of Mothers' Union within the Anglican communion and ecumenically and to grow our reach, membership numbers, and influence.

A key remit of the Faith & Church Engagement Manager post will be to participate and contribute to our faith-based discussions and resources within Mothers’ Union. For this reason, the post holder must be a practicing Christian. (Occupational requirement Equality Act 2010).

MAIN RESPONSIBILITIES

Faith management and resources

1. To lead on the development of faith resources within Mothers’ Union (MU) and lead the strategic planning of all faith initiatives, theological rationales for Mothers’ Union specific initiatives and the overall mission.

2. To ensure that MU employees understand as part of the induction process and throughout their employment, how faith guides the work and relationships of MU.

3. Working with the Director of Membership, contribute to the strategic plan for all faith initiatives and clergy and church relations within Mothers’ Union.

4. To lead MU’s faith-based forums, to work where needed with the Worldwide Board and our Central Chaplain.

5. To facilitate theological underpinning to inform our work by exploring, researching, and gathering relevant data from various sources to keep abreast of new developments and initiatives.

6. To generate faith and church-based content for our website, magazine and newsletters and deliver MU’s prayer diary and oversea Midday Prayers.

7. To work with Mothers’ Union Enterprises on resources and products that have a faith dimension or spiritual content.

8. To work with our Worldwide President or designated member of the Worldwide Board to deliver faith and worship materials for Board and Worldwide Council meetings.

9. To receive, monitor and review MU’s worldwide resources to encourage and develop the contribution these make to the distinctive faith work of Mothers’ Union.

10. To maintain and develop all Faith Resources, identifying and developing new and uniquely MU resources to be added and archiving when required dated resources.

Membership Support – Britain and Ireland

1. To produce creative and accessible prayer and worship resources for use within our membership and more widely.

2. To identify the needs of members at every level for up-to-date information and resources on theology, faith, spirituality, worship/liturgy, Christian ethics and pastoral issues for group or individual use, and to commission a range of resources to meet those needs.

3. To build and manage external partnerships, within the Church and with other faith centred organisations, developing and promoting our work with these organisations.

4. Working closely with the Director of Membership and wider Membership team, to plan and lead faith aspects at conferences and meetings as requested.

5. To help design and implement projects and campaigns that provide an active engagement for our members, raise the public profile of Mothers’ Union, contribute to membership growth strategies and further the mission to promote the Christian faith and the wellbeing of families.

6. Work with the wider membership team on the design, implementation, and delivery of new membership growth models and manage existing membership models including Church-based Membership.

General

1. To produce and provide reports and resources as required for the Chief Executive and Board.
2. To promote the Christian faith and prioritise the wellbeing of families with members, the clergy, external partners, wider faith organisations, and the Anglican church.
3. To further the promotion and integration of Mothers’ Union work with the clergy and within the Anglican Church and facilitate policy and advocacy support for MU campaigns.
4. To undertake any other duties as requested by the Director of Membership.

KEY COMPETENCIES

Experience/skills

1. Experience of writing accessible worship material and of being open to different worship styles.

2. Ability to produce theologically credible, accessible, valued, and impactful resources and documents.

3. Experience of engaging, developing and nurturing faith relationships at all levels, from members to boards, to very senior clergy.

4. Good word-processing skills- proficient at using MS Office in particular Word, Outlook, meeting platforms including Zoom and Teams and proactive social media management.

5. Research skills: Ability to collate, analyse, synthesise research data, ability to gather, manage and use a large quantity of information, research and reports effectively,

Work Location

This role will be based at our Head Office in Central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (Pro rata for part timers) at our Head Office, Mary Sumner House in Central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

We are looking for a Legacy and Administration Manager to join our Finance and Operations team on a part-time basis (2 days per week). This role will report to the Director of Finance and Operations. 

Job Purpose

Legacies are one of the most vital sources of income for Operation Smile UK, helping us continue our work supporting patients with cleft around the world. We’re now looking for a Legacy Administration Manager to join our dedicated team and ensure that every gift left to the charity is managed with care, professionalism, and in line with the wishes of our supporters.

Key Responsibilities

• Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
• Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
• Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
• Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
• Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
• Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
• Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
• Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
• Contribute to team meetings, process improvements, and the development of best practice.

Person Specification

· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.

· Proven experience in legacy administration within the charity sector or in probate and estate law.

· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.

· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.

· Skilled in interpreting wills, estate accounts, and related legal documents.

· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.

· Proficient user of Microsoft Office and customer relationship management (CRM) systems.

· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.

· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

Facilities and Operations Manager

We are looking for a Facilities and Operations Manager to join the team.

You will play a crucial role as they keep members, staff and volunteers safe by managing and maintaining the Youth Zone building effectively and efficiently.

This is an exciting opportunity to oversee the maintenance of a new, state-of-the-art, multi-million pound building that will transform young lives.

About the Role

You will ensure the charity is compliant with health and safety regulations including building, equipment, services, and related contracts, as well as carrying out general maintenance and managing the cleaning team, ensuring that the building is upheld to the highest of standards and accessible for all young people.

About You

This is a varied role and the ideal candidate will have proven experience of managing similar types of buildings, e.g. schools, college/ university, sports or leisure centres or other large, multi-use/function buildings.

You will have experience of:

• Caretaking or premises/buildings maintenance and management in a similar environment.
• Line managing staff and contractors.
• Producing Risk Assessments.
• Contract administration, working with external contractors and consultants.
• Establishing and managing Planned Preventative Maintenance.

• Effective project management experience to take ideas from planning through to successful delivery
• Excellent interpersonal, communication, and organisational skills
• Strong writing skills to create clear, timely reports and communications

The role is a full time and fixed term contract for one year. 

The Cafes Manager will take full responsibility in leading and operating a successful cafes and catering operation, giving our student members an excellent service experience every day, looking to implement our cafes operation with new and innovative ideas led by the Head of Commercial Services. This role forms a key part of our Operations team, led by the Director of Operations. Comprising of both front facing and behind the scenes departments including; Cafés and Bars, Retail, Bloomsbury Fitness Gym, Human Resources, Facilities and Systems, the team delivers core functions and central services for the Union, as well as providing a diverse range of quality facilities accessible to our 55,000 members. The Operations team, and this role, are central to the successful delivery of our new strategic plan that will set us on the path to become one of the best students’ unions in the UK, and more importantly a better students’ union for our members.

Role Purpose
This is a key role to oversee RDA UK’s approach to safeguarding, supporting senior management and working with external partners. This is crucial to maintain good practice, resources, quality and support to RDA Groups which includes driving RDA safeguarding training.
In addition, this role will include support and administration for the Membership Services Team, as detailed below

Specific Responsibilities
1. To ensure RDA UK has effective safeguarding practices:

• develop and deliver the action plan and ongoing objectives from the British Equestrian Federation (BEF) audit/ Framework Plan and RDA Safeguarding Action Plan

• continuous review of all safeguarding materials and resources, to ensure RDA UK’s Safeguarding policy and statutory obligations and expectations are met, including relevant actions following BEF Safeguarding Action Team (SAT) meetings

• manage requests for guidance from the RDA UK network, including concerns raised and reporting

• provide safeguarding case management, collaborating with the Membership Services Manager.

• work in collaboration with the RDA UK Designated Safeguarding Lead and other relevant RDA UK staff and volunteers to plan, deliver and review projects that improve outcomes for children and adults at risk, within the RDA UK network

• provide advice to the RDA UK team and working groups on safeguarding best practice, policies and requirements, including specific projects or events

• deal promptly with enquiries from RDA Groups concerning policies, procedures and training requirements and respond to feedback received

• maintain the safeguarding content on the ‘MyRDA’ website, ensuring it is current, clear and relevant

• provide guidance to RDA Groups signposting them to resources for disclosure checks

• develop and maintain safeguarding training materials, and coordinate the delivery of regular accredited courses and workshops (both tutor led and e-learning), in conjunction with RDA UK Trainers and relevant external bodies

• developing, maintaining and administering Safeguarding courses and materials

• support the Designated Safeguarding Lead to compile reports for the RDA UK Board, including case management data and analysis, updates and recommendations

• act as the Safeguarding Officer at the RDA National Training Centre, the RDA National Championships and other key events

2. To provide administrative support to the Membership Services Team as required.
