Reports to: Director of HR

About the Organisation

We are a growing not-for-profit organisation dedicated to supporting our community of individuals living with ADHD in Southampton, through mental health support, advocacy, education. As we expand our activities and volunteer team, we are seeking a committed HR Assistant to help us build fair, supportive and well-organised people practices.

About the Role

The HR Assistant will support the HR function across the volunteer and (where applicable) staff team. This is an excellent opportunity for someone who is interested in gaining hands-on experience in charity HR, or for an experienced administrator who wishes to use their skills for a social purpose. You will work closely with the HR Lead/Director and other members of the management team.

Key Responsibilities

Duties may include:

  • Supporting the recruitment process for volunteers and staff (placing adverts, helping shortlist applications, arranging interviews).

  • Assisting with induction and onboarding processes, ensuring new volunteers/staff receive the correct documentation and information.

  • Maintaining accurate and confidential HR records, contact lists and volunteer databases in line with data protection requirements.

  • Preparing standard HR documents, such as role descriptions, welcome packs, references and basic volunteer agreements.

  • Helping to monitor training, supervision and appraisal schedules, and sending reminders where needed.

  • Responding to basic HR-related enquiries from volunteers and staff, escalating more complex matters appropriately.

  • Assisting with the development and implementation of HR policies and procedures (equality, safeguarding, wellbeing, grievance, etc.).

  • Supporting wellbeing and engagement initiatives, such as check-ins, surveys and recognition activities.

  • Contributing to improving our HR systems and processes as the organisation grows.

Person Specification

Essential:

  • Strong administrative and organisational skills, with good attention to detail.

  • Confident using IT (e.g. Microsoft 365 / Google Workspace, spreadsheets, email, shared drives).

  • Ability to handle sensitive information discreetly and maintain confidentiality.

  • Good written and verbal communication skills.

  • Reliable, proactive and able to manage your time effectively.

  • Commitment to equality, diversity and inclusion.

  • Alignment with the values and aims of the organisation.

Desirable:

  • Previous experience in HR, administration, recruitment or office support (paid or voluntary).

  • Knowledge of basic HR processes (recruitment, onboarding, record-keeping, safeguarding, data protection).

  • Studying towards, or interested in, a CIPD or similar HR qualification.

  • Experience working or volunteering in a charity or community setting.
