Our volunteer administrators are instrumental to all the work that we do across Hestia. You will have the opportunity to support staff with a wide range of desk-based and administrative tasks. These behind-the-scenes roles provide essential support in ensuring that those who we work with access the support they require to rebuild their lives beyond crisis.

• To support with administration, texting and emailing information to service users, volunteers, and staff
• Support with updating and inputting data into spreadsheets
• Support with making phone calls to follow up and gather needed information.

GHRI is seeking a Remote Volunteer Administrative Assistant to support daily operations and coordinate other volunteers. This role is key to keeping communication smooth, tasks organized, and volunteers aligned across projects.

Overview:

The Administrator will play a vital role in supporting the smooth and efficient running of the organisation. This position involves handling administrative tasks, maintaining records, supporting communications, and assisting with event coordination. The role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

General Administration:

• Maintain and update records, databases, and files.

• Handle correspondence, including emails and phone enquiries.

• Prepare reports, documents, and presentations as required.

• Support meeting coordination, including scheduling, agenda preparation, and minute-taking.

Financial & Office Support:

• Assist with processing invoices, expenses, and financial records.

• Monitor office supplies and place orders when necessary.

• Support the Head of Operations with budget tracking and financial documentation.

Event & Programme Support:

• Assist in organising events, workshops, and meetings.

• Coordinate logistics, including venue booking, catering, and materials.

• Support volunteer and participant communications.

Communications & Stakeholder Engagement:

• Maintain mailing lists and support donor communications.

• Assist in preparing newsletters, social media updates, and website content.

• Liaise with stakeholders, including funders, partners, and volunteers.

Qualifications & Skills:

• Previous experience in an administrative role.

• Strong organisational and time-management skills.

• Excellent written and verbal communication skills.

Role Summary.

The Onsite Administrative Assistant will provide essential operational and administrative support for the Roots Academy Essentials Onsite Program. This role will help ensure smooth communication, accurate documentation, and effective coordination between internal team members, instructors, campuses, and students. The ideal candidate is detail-oriented, organised, and proactive in maintaining digital records and supporting program onboarding processes.

Key tasks

• Create and send calendar invites for recurring and ad-hoc meetings.

• Manage, document and accurately store internal meeting minutes.

• Share action items and follow-ups in a timely manner.

• Track and record university campuses that have registered interest in hosting the Essentials Onsite Program.

• Prepare and manage Google Drive folders containing onboarding documents for university ISocs and MSAs we partner with.

• Verify that all instructors, campuses, and student ambassadors are correctly assigned on the Roots Digital Platform.
