Role Description

The Press/Media Manager will work closely with the Communication Officer to lead on the Pagan Federation's media strategy. You will act as a primary point of contact for journalists, broadcasters, and media outlets working to promote positive coverage of Paganism and to respond appropriately to media interest, engaging in both proactive and reactive.

You will develop and oversee press strategies, prepare statements and press releases, brief spokespersons, and assist the organisation in sensitive communications where required. As this is a council-level role within the Pagan Federation you will be expected to provide regular reports to the Communications Officer and the Council of the Pagan Federation.

This is a voluntary role, and volunteers are expected to work remotely. We have volunteers working across England and Wales. Some travel may be necessary, reasonable expenses will be covered in line with our expenses policy.

Qualifications

• At least two years experience in the field of Communications, Journalism, Public Relations, or similar. (Essential)
• Excellent attention to detail and ability to ensure accuracy in media engagement. (Essential)
• Strong organizational and communication skills to effectively assist in strategic communications planning and discussions. (Essential)
• Commitment to supporting the mission, values, and inclusiveness of the Pagan Federation. (Essential)
• Prior experience in volunteer or nonprofit organisations. (Desirable)
• Membership of a professional organisation in Media, PR, or Communications (desirable)

General Requirements

• Must be aligned with the PF's mission, be willing to conform to our Code of Conduct, and unreservedly support the charitable objectives of the PF.

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

We are looking for new volunteers who live in Hounslow, Richmond or Ealing boroughs who can take on a postcode area and deliver and collect our collection cans, and reseach and identify potential new can placement venues. Enthusiasm, local knowledge and good communication skills required.

The Volunteer Operations Analyst ensures that this contribution is organised, visible and aligned with the organisation’s mission, safeguarding responsibilities and growth.

You will play a key role in connecting people, systems and structure—ensuring that volunteer engagement is consistent, well-managed and sustainable as the C.I.C grows.

This is not a purely administrative role. It is insight-driven, systems-focused and central to how the organisation operates effectively behind the scenes.

Role Summary

The Operations Analyst is responsible for measuring, analyzing, and optimizing the organization’s
internal operations to improve efficiency, accountability, and overall performance. This role focuses on operational systems development, process evaluation, workflow optimization, and organizational effectiveness, enabling leadership to make informed decisions and ensuring that the organization’s activities are structured, scalable, and effective.

While analytical skills are essential, this is not a traditional Data Analyst role. The emphasis is on understanding how systems, teams, and workflows function, and using insight to design and improve operational structures, not just analyze datasets.

The Operations Analyst does not execute or enforce tasks, but plays a critical role in diagnosing
operational challenges and recommending actionable, system-level solutions.

REQUIRED SKILLS AND COMPETENCIES:
Technical Skills
Strong proficiency in:

• Google Sheets / Microsoft Excel
• Data tracking and reporting tools
• Ability to organize and interpret large sets of data

Analytical Skills

• Strong problem-solving and critical thinking ability

• Develop and maintain centralized tracking systems (e.g., Google Sheets, Airtable) to support operational visibility
• Monitor key operational metrics across departments, including:
  • Volunteer recruitment and onboarding timelines
  • Task completion rates across teams
  • Program and project delivery timelines
• Ensure data is accurate, relevant, and structured to inform operational decisions (not just reporting)

2. Reporting & Operational Insights

• Prepare weekly or bi-weekly operational reports for leadership
• Go beyond reporting by clearly highlighting:
  • Root causes of inefficiencies
  • System and workflow gaps
  • Operational risks
• Translate data and observations into clear, actionable, system-focused recommendations

3. Process Analysis & Workflow Design

• Document and map existing workflows across functions (HR, Programs, Operations, etc.)
• Analyze how work actually flows across teams—not just what is recorded in data
• Identify bottlenecks

● Work closely with:

● Bridge the gap between how work is designed and how it is executed

SCOPE AND BOUNDARIES FOR THE ROLE:

• Function as a Data Analyst focused solely on datasets and reporting
• Be limited to producing reports without contributing to process improvement and system design

WORKING RELATIONSHIP:
The Operations Analyst will:

• Report directly to the Director of Central Operations & Executive Coordination
• Support decision-making but will not replace leadership authority
• Work collaboratively across all teams while maintaining objectivity and independence

KEY PERFORMANCE INDICATORS (KPIs)
Success in this role will be measured by:

• Quality and impact of operational insights and recommendations
• Measurable improvements in workflow efficiency and system effectiveness
• Reduction in process bottlenecks and delays
• Clarity and usability of operational tracking systems
• Contribution to scalable and well-structured operational processes

What Success Looks Like in This Role:
Within the first 60–90 days, the Operations Analyst should:

• Establish a functional and structured operations tracking system
• Deliver insight-driven reports that highlight system-level issues (not just data summaries)
• Identify and recommend improvements to at least 2–3 key operational workflows
• Provide leadership with clear visibility into how operations actually function and where improvements are needed

Additional Notes

• This is a strategic operations role, not a purely analytical or reporting position
• Ideal for individuals who are passionate about:

Important to be clear:

• This is a volunteer role during the CIC’s build phase

Trustees

As the terms of office for two trustees come to an end, FfWG is seeking to appoint two Trustees to join its board. With the current Chair’s term ending in July this year, FfWG is looking to appoint a new Chair. If necessary, a current trustee has agreed to act as interim Chair for one year and to mentor a new trustee, enabling them to feel confident in stepping into the Chair role after a year.

We are looking for people who share our commitment to supporting women in higher education.

We welcome applications from all backgrounds, but we’d be particularly interested in those with experience in any of the following:

Working with non-profit organisations

Working in Higher Education or recent experience of completing a PhD.

Fundraising – particularly working with high-net-worth individuals. We’d love to grow the size of our investment to enable us to support more women.

Expected time commitment:

Attendance at quarterly Board meetings. The February and September board meetings are held online, the May and November ones are in-person (held on a workday during the day (11am – 1pm) in central London).

Occasional committee or working group participation where relevant

Trustees are appointed for an initial three-year term, with the option of renewal for a further three years

Expenses:

The Trustee role is voluntary, with reasonable expenses reimbursed. FfWG reimburses the cost of travel to attend its twice yearly in-person board meetings in London but does not reimburse overnight accommodation.

About BFWG Charitable Foundation

(Trading as Funds for Women Graduates (FfWG))

Funds for Women Graduates (FfWG) is an educational charity whose objective is promoting the higher education and wider learning of women graduates. We do this by awarding grants to assist with the living expenses of women postgraduate students, typically in the final year of work towards a PhD or equivalent degree.

BACKGROUND OF FfWG

FfWG is the trading name of the BFWG Charitable Foundation. It was originally incorporated in 1925 as the Crosby Hall Association Limited. It changed its name to BFWG Charitable Foundation in 1993. It became a registered charity in 1971. In 2025, the Charity converted to a CIO. 

Although FfWG has been awarding grants since 1993 this was not its original purpose. Its original objective was to run a hall of residence, Crosby Hall, on behalf of its parent company the British Federation of Women Graduates (BFWG). This it did until 1992. Crosby Hall was sold, and the money raised by the sale of the lease has been invested. The proceeds provide funds to offer grants to women graduate scholars.

GRANT MAKING

FfWG offers grants to women graduates to help with their living expenses, but not fees, while registered for study or research at an approved institution of higher education in Great Britain. The criteria for awarding grants are the proven needs of the applicants and their academic calibre.

The first grant was awarded in 1993. Since then, well over two thousand grants have been made to women in need who aspire to help themselves and others by completing higher degrees covering a wide range of subjects. FfWG not only helps women from Great Britain but also women from all over the world who come to study or undertake research in Great Britain. Geographically FfWG covers England, Wales and Scotland. This is historic and is because the Irish Federation of University Women works across the whole of Ireland.

The two main types of grants offered by FfWG are Foundation Grants and Emergency Grants. Foundation Grants are offered to women graduates in their final year of a PhD or DPhil. Emergency Grants are offered to women postgraduates who face unforeseen financial crises whilst engaged in study or research.

In addition to the Foundation and Emergency Grants, approximately every third year FfWG provides the funds to Graduate Women International (GWI) to offer a fellowship, the value of this is £6,000. It is known as the FfWG Fellowship.

Up to two Theodora Bosanquet Bursaries are offered annually to women graduates whose research in History or English Literature requires a short residency in London in the summer.

Role Responsibilities

You can choose the areas that best suit your skills and interests. The role is flexible, and volunteers may opt to support one area or several.

1. Stock & Donations Management

• Sort donated items to ensure they are appropriate for sale or event use.
• Organise and manage stock ahead of upcoming events.
• Monitor stock levels and identify when outreach or additional donations are needed.

2. Event Support

• Attend fundraising events, engaging confidently with the public and sharing information about our work.
• Assist with setting up equipment and displays and help with packing away after events.
• Ensure stalls are well presented, welcoming, and visually engaging.
• Support sales of merchandise and the running of games/activities.
• Take photographs throughout the event for promotional use and reporting.
• Observe and record visitor numbers, engagement levels, and which stall features attract attention.
• (Optional) Act as a Stall Leader, taking the lead on the day to coordinate volunteers and ensure a smooth event.

3. Transport & Logistics

• Transport equipment, displays, and stock to and from event venues (using your own vehicle if appropriate).
• Help with stall setup upon arrival at the venue.

4. Admin Coordination

This is a key support role that helps keep the fundraising function organised and running smoothly.

• Booking events and completing relevant forms.
• Maintain a current contact list of volunteers.
• Manage and update volunteer availability rotas.
• Keep the fundraising project spreadsheet accurate and up to date.
• Update the “cat book” or event information pack ahead of each event.

What We’re Looking For

• Friendly, confident communicators who enjoy speaking with the public.
• Organised, reliable volunteers who can work both independently and as part of a team.
• Individuals happy to support practical tasks such as setting up stalls or sorting stock.
• Volunteers with basic administrative skills (for those taking on admin coordination).

ABOUT CHILDREN WITH VOICES

Children With Voices is a grassroots children's charity with over 25 years of experience supporting children and families across London. Based at Fawcett Estate Community Hall in Clapton, Hackney, we run a Community Food Hub, alternative education, SEN support, and community programmes including Jumping Beans. We have supported over 100,000 families and are recognised nationally for our work.

ABOUT THIS ROLE

As we grow, we need an experienced Operations Manager to help us run well behind the scenes — so everything on the frontline can keep delivering. This is a meaningful voluntary leadership role for someone with professional experience in operations, HR, or management who wants their skills to count for something real.

You will work closely with the CEO and senior team to ensure the organisation runs efficiently, compliantly, and in line with our values.

• Oversee HR policies, compliance, and staff wellbeing in line with UK employment law and safeguarding requirements

• Support recruitment and onboarding — fair, inclusive, and safeguarding-compliant

• Provide HR guidance to managers and staff; escalate to external expertise when needed

• Maintain oversight of volunteer engagement and HR record keeping

Finance Oversight

• Supervise the Finance Coordinator (10 hrs/week) and provide accountability for financial administration

• Monitor budgets, financial reports, and expenditure in line with charity governance standards

• Ensure accurate, timely reporting to the CEO and Trustees

• Liaise with accountants, auditors, and external advisors as required

Leadership & Governance

• Work alongside the CEO, Trustees, and senior team to align operations with organisational strategy

• Provide assurance of compliance with safeguarding, data protection, charity law, and employment legislation

• Model organisational values of safeguarding, equity, inclusion, and community impact

WHO WE'RE LOOKING FOR

• Experience in operations, management, or a related professional field

• Working knowledge of HR processes and UK employment law

• Financially literate — comfortable with budgets, reports, and financial summaries

• Familiar with charity governance, safeguarding, and compliance requirements

• Confident, values-led, and able to hold accountability with care

• Highly organised, reliable, and able to manage competing priorities

• Committed to equity, inclusion, and community impact

This is a voluntary senior leadership role — unpaid, but with real scope and real responsibility. We are looking for someone who brings professional-level experience and wants to use it in the service of children and families in Hackney.
