Make a Smile is seeking a motivated and organised Chapter President to lead one of our local Chapters. This is a key leadership position responsible for overseeing committee operations, supporting volunteers, and ensuring the smooth running of all Chapter activities.

About Make a Smile

Make a Smile is a charity dedicated to bringing joy to children through character visits, events, and community engagement. Each Chapter is run by a volunteer committee, and the President plays a central role in guiding and supporting that team.

Role Overview

The Chapter President is responsible for the overall management, development, and compliance of their Chapter. You will lead the committee, coordinate activities, and act as the main link between your Chapter and the national Board of Trustees.

This role is ideal for someone who enjoys leading teams, solving problems, and making a meaningful impact in their community.

Key Responsibilities

Local Leadership

• Oversee the day‑to‑day running of the Chapter and support committee members in their roles.
• Provide direction, guidance, and oversight across volunteer recruitment, events, fundraisers, and costume management.
• Chair committee meetings and ensure tasks are completed efficiently and on time.
• Identify when committee members need support and step in with advice, delegation, or hands‑on help.
• Complete and maintain the Chapter Development Plan and work towards improving Chapter performance each year.
• Ensure all activities comply with the charity’s constitution, handbook, and legal requirements.

National Responsibilities

• Act as the primary point of contact between your Chapter and the Board of Trustees.
• Submit a monthly report on Chapter progress, challenges, and key decisions.
• Attend the monthly Charity Leadership Meeting to share updates and contribute to national planning.
• Implement national guidance and changes communicated by Trustees.
• Manage your Chapter’s allocated budget and support fundraising targets.
• Ensure all required paperwork is kept up‑to‑date, including logs, finances, and post‑event forms.

What you will be doing

• Overseeing an appropriate programme of awareness raising activities so that potential beneficiaries, volunteers and supporters are aware of SSAFA as first in mind for support.
• Building relationships with the regional and national SSAFA team, local voluntary organisations and, if applicable, SSAFA serving community teams, local military establishments, etc.
• Attending events as a key SSAFA representative.
• Providing timely reports and information to SSAFA’s central office
• Overseeing a programme of meetings including an AGM, branch meetings, committee meetings, training etc.
• Working with other volunteers, regional and national team members to attract and recruit new volunteers as required.
• Work closely with the community engagement co-ordinator to recruit, welcome, induct, support, and manage volunteers in line with SSAFA policies, such as the Volunteering Policy, Volunteer Code of Conduct, Data Protection Policy, and Safeguarding Policy.

Why we want you

As branch chair you and your branch members will create a range of activities to help spread the word about SSAFA within your community. To ensure that our Armed Forces community know that SSAFA are here to help and that we need the public’s support to continue offering our services.

What you will be doing

• Overseeing an appropriate programme of awareness raising activities so that potential beneficiaries, volunteers and supporters are aware of SSAFA as first in mind for support.
• Building relationships with the regional and national SSAFA team, local voluntary organisations and, if applicable, SSAFA serving community teams, local military establishments, etc.
• Attending events as a key SSAFA representative.
• Providing timely reports and information to SSAFA’s central office
• Overseeing a programme of meetings including an AGM, branch meetings, committee meetings, training etc.
• Working with other volunteers, regional and national team members to attract and recruit new volunteers as required.
• Work closely with the community engagement co-ordinator to recruit, welcome, induct, support, and manage volunteers in line with SSAFA policies, such as the Volunteering Policy, Volunteer Code of Conduct, Data Protection Policy, and Safeguarding Policy.

About the Project – “Solta o Jogo”
“Solta o Jogo” is a vibrant cultural competition and festival celebrating Brazilian heritage through Capoeira, music, dance, acrobatics, and a Brazilian arts & crafts fair. Hosted at Kingston University Townhouse, the event invites the community to participate in free performances, workshops, and exhibitions promoting cross-cultural understanding.

As part of this initiative, we are seeking a Personal Assistant to support daily coordination, scheduling, and communication tasks across departments. This remote volunteer opportunity is ideal for someone who is detail-oriented, proactive, and looking to gain experience in nonprofit administration while contributing to a meaningful community-driven programme. 

Position Overview:
The Personal Assistant will be responsible for organising meetings, managing calendars, supporting internal communications, and assisting in day-to-day administrative operations. This role plays a vital part in ensuring smooth coordination between teams, and offers autonomy, flexibility, and mentorship opportunities for someone looking to develop or apply their administrative and organisational skills in the Third Sector.

Key Responsibilities:

Administrative Support & Coordination:

• Manage meeting schedules, appointments, and internal calendars.

• Organise virtual events, staff briefings, and team check-ins.

• Support in planning and executing internal conferences or training sessions.

Data & System Management:

• Maintain and update internal databases and contact lists.

• Implement and uphold procedures and administrative systems.

Staff Liaison & Communication:

• Act as a point of contact between managers and teams.

• Assist in internal communications and task follow-ups.

General Administrative Tasks:

• Contribute to internal meetings with updates and suggestions.

Required Qualifications:

Head of Department (Production)

The Opportunity

This position offers a significant career step-up, providing experience in managing end-to-end media operations—spanning pre-production planning to post-production delivery—within a social justice framework. In this Head of Department capacity, you will gain the leadership credentials and strategic oversight necessary to advance your professional trajectory while ensuring our storytelling is technically seamless and emotionally resonant.

Role Purpose

The Head of Department (Production) sits between Directors and Managers, turning high-level media objectives (such as podcasts, documentaries, or training videos) into clear, deliverable department plans. You own the direction, technical structure, and delivery control of the Production department to ensure pace, reliability, and high-quality output.

Key Responsibilities

• Strategic Planning: Turning Director objectives into practical production schedules, covering both pre-production (storyboarding, scripting, logistics) and post-production (editing, sound design, colour grading).

• Manager Leadership: Coaching Production Managers to run projects effectively, ensuring all media assets are tracked and visible in MeisterTask.

• Assurance & Rework Control: Reducing technical rework by improving initial brief clarity and ensuring time is built into plans for iterative reviews.

• Director Reporting: Providing weekly reports on production milestones, WIP, and technical risks, offering clear recommendations for strategic choices.

• Culture & Standards: Ensuring the department aligns with Quilombo UK’s communication standards and maintains a professional environment for all contributors.

Financial Incentives: Profit Sharing & Commission

• Project Commission: To recognise the transition toward paid work, a commission structure is in place for any paid work carried out.

• Head of Department Share: The HoD receives a 15% share of the commission for work carried out. This percentage is shared between all individuals at the HoD level working on a specific task.

• Business Development Bonus: If work is brought in by the HoD (rather than a Quilombo UK director), the HoD will receive an additional 10% commission on top of their standard share.

• Payment Terms: Commission is paid upon project completion and after payment is received from the client.

Requirements

• Proven experience in media production management (Pre and Post Production).

• A portfolio of video, audio, or multimedia projects / CV.

• Familiarity with production software (such as Adobe Premiere Pro, After Effects, Audition, or DaVinci Resolve).

• Flexibility and openness to work on a variety of tasks across different media formats.

• Focused, organised, and able to prioritise and execute production workflows independently.

• To show professionalism at all levels and in all environments.

• Strong team player with a focus on collaborative storytelling.

• A keen eye for technical detail and aesthetic consistency.

• Excellent communication skills.

• Degree in Media Production, Film, or a related field is a plus.

• This is a 100% remote-only position.
