Role Description:
As a Personal Assistant within the Directors' Support Team, you will play a pivotal role in facilitating the efficient functioning of the Directorship. This is a volunteer position, requiring a commitment to our mission and a keen desire to contribute to the success of Quilombo UK.

Main Responsibilities

The Professional Development Programme with Quilombo UK runs over a period of 16 weeks, is UNPAID and requires a minimum of 12 hours commitment per week across Monday, Wednesday and/or Friday.

The Operations Assistant supports the Chair with all administration to enable Hidayah to function smoothly. Responsibilities include, but aren’t limited to:
- Providing administrative support to the Chair including scheduling meetings, managing calendars and responding to emails
- Creating process flows to enable service delivery and monitor progress
- Preparing meeting agendas, taking notes and sharing meeting minutes

The Compliance and Secretary Trustee manages the administrative duties of Hidayah. They fall into three main categories; Membership Administration, GDPR and Compliance Governance. Duties include, but aren’t limited to:
Membership Administration:
- Maintaining Hidayah’s membership database
- Gathering data relating to Hidayah events and activities to feed into the annual report and publicity documents (for example, surveys, excel spreadsheets and graphs, case studies)
- Effectively communicate updates to Hidayah members via CRM systems
- Promoting events in conjunction with the Communication & Marketing Trustee
- Evaluating, managing and continually improve the Hidayah membership experience (managing the end-to-end cycle)
- Regularly check, maintain and update Hidayah’s administration and data handling systems such as using Google Drive to store information
GDPR:
- Reviewing and keep all Hidayah policies updated in accordance to legal requirements and Charity Commission guidelines
- Ensuring that Hidayah membership records are GDPR compliant
- Updating trustees on any changes to the Charity Commission guidelines
- Where necessary, assisting the HR Officer in gathering relevant data on volunteers
- Supporting the HR Officer in creating flowcharts and processes in line with current legislation
Compliance Governance:
- Supporting Hidayah Trustees with compliance specific queries for finance, volunteers and membership
- Maintaining records and registers for auditing purposes
- Regularly auditing policies to determine risk involved and finding mitigating strategies
- Coordinating with the Deputy Chair to ensure that trustees are compliant with policies and procedures
How much time is required?

Across the UK, our 270 local groups play a vital part in supporting people affected by MS. They provide sense of belonging, unity and friendship. And they deliver services and support for their local MS community.
We are looking to recruit an Administration Volunteer for the Lancaster, Morecambe and District Group. Our Administration Volunteers are the linchpin for our local groups’ activities. They act as the first point of contact and they make sure all relevant information is circulated to other volunteers and members. And they play an important role in keeping our data and details up to date to comply with data protection legislation.
In this role you’ll develop your administration and organisation skills. Most importantly you’ll be help your local group run efficiently, so they can keep providing valuable services to our MS community.
Time Commitment
We estimate this role will need around 2 hours a week. Our roles are flexible and aim to fit around you. Time commitments for this role may vary depending on your activities. This is an ongoing role.

Job Description:
As a Volunteer Events Assistant, you will have the opportunity to contribute to our mission by supporting in-person Teashop sessions. Each session brings together groups of up to 15 adults experiencing mild-to-moderate mental health symptoms, providing them with an enjoyable activity and an opportunity for connection in a supportive environment. We’ve offered dog therapy, art-making, yoga, and wellness discussions in the past.
Responsibilities:
- Create Eventbrite/Facebook/Instagram ads to draw new participants to future sessions.
- Assist with the setup and logistics of sessions for The Teashop service
- Travel to and support Teashop sessions by helping with materials, taking photos, and managing sign-in procedures, typically two sessions per month during weekends.
- Create engaging social media content to promote The Teashop sessions and build community awareness.
- If required, provide mental health first aid support by signposting and offering assistance to attendees in need.
- Collect feedback at the end of each session and input it into Excel spreadsheets.
Essential Criteria:
- 18+ years old
- Completed A-levels or equivalent
- Must possess a valid DBS check or be willing to have it done
- Excellent organisational skills and ability to manage time effectively during sessions
- Strong interpersonal skills and a passion for engaging with diverse communities
- Availability to volunteer two weekend days per month for in-person sessions
- Ability to travel to session locations within the designated area
- Proficiency in basic computer skills for data entry and social media management.

As a Volunteer Events Assistant, you will have the opportunity to contribute to our mission by supporting in-person Teashop sessions. Each session brings together groups of up to 15 adults experiencing mild-to-moderate mental health symptoms, providing them with an enjoyable activity and an opportunity for connection in a supportive environment. We’ve offered dog therapy, art-making, yoga, and wellness discussions in the past.
Responsibilities:
- Create Eventbrite/Facebook/Instagram ads to draw new participants to future sessions.
- Assist with the setup and logistics of sessions for The Teashop service
- Travel to and support Teashop sessions by helping with materials, taking photos, and managing sign-in procedures, typically two sessions per month during weekends.
- Create engaging social media content to promote The Teashop sessions and build community awareness.
- If required, provide mental health first aid support by signposting and offering assistance to attendees in need.
- Collect feedback at the end of each session and input it into Excel spreadsheets.
Essential Criteria:
- 18+ years old
- Completed A-levels or equivalent
- Must possess a valid DBS check or be willing to have it done
- Excellent organisational skills and ability to manage time effectively during sessions
- Strong interpersonal skills and a passion for engaging with diverse communities
- Availability to volunteer two weekend days per month for in-person sessions
- Ability to travel to session locations within the designated area
- Proficiency in basic computer skills for data entry and social media management.
Desirable criteria:
- An undergraduate degree (BSc/BA)
- A valid driver's license and licensed vehicle to help transport materials
- Experience in customer service/administrative role
- Experience with working with people with mental health conditions
- Experience in social media and/or graphic design skills
