Are you passionate about supporting volunteers in a small charity? Our Volunteer Coordinators will recruit, support & develop a team of volunteers, to enhance our work supporting people affected by a rare condition

What will you be doing?

We are looking for 2 volunteer coordinators to join the coordinators team who will volunteer to support our volunteers in various roles. The volunteer coordinators will 

• Help to assess organisational and programme needs to determine number and range of volunteers needed for particular projects
• Help to recruit, and assure the adequate training of suitable, reliable volunteers
• Co-ordinate the volunteer rota to ensure that there is always someone available to support all our services 
• Help to create and distribute information regarding volunteer policies and procedures
• Monitors volunteers during their appointments to retain or replace candidates
• Meet with volunteers to assess their progress and satisfaction, as well as to conduct performance evaluations or skills audits
• Help to induct new volunteers
• Maintain regular communication among volunteers and between an organisation and its volunteers, in order to share news, progress, and available positions
• Maintains a database of volunteers and projects and track metrics
• Help to promote the charity and its volunteer accomplishments 
• Set up and arrange any relevant training required for volunteers

What are we looking for?

The Volunteer Co-ordinators role requires proactive and detail orientated individuals with an organised approach and an interest in supporting small charities. They will have good communication skills. The Volunteer Co-ordinators are responsible for the volunteer aspects of Burning Nights CRPS Support to ensure the smooth running of the charity’s services and ensuring that the volunteers are used optimally.

Our Volunteer Co-ordinators are also responsible for ensuring that suitable volunteers have DBS checks where needed and they are adequately trained to do their role working with our Charity Administrator.

The statutory duties of a trustee are to:

• Work with fellow Board members and SMT in setting the Charity’s strategic aims, ensuring that the necessary financial and other resources are in place for ISH to meet its objectives and review performance management.
• Provide leadership to the Charity within a framework of prudent and effective controls, which enable risks to be assessed and managed.
• Comply with its governing document, charity law, company law and all other relevant law, legislation and/or regulations;

• Pursue its objectives as defined in its governing document;
• Use its resources exclusively in pursuance of its objectives, and in doing so fulfils its purpose for the benefit of the public;
• Maintain proper systems, procedures and controls and that they are kept under regular review.
• Safeguard the good name and values of the ISH; and
• Appoint the CEO and monitor their performance

Vice Chair

We have an exciting opportunity for a Vice Chair who is passionate about young people and who is willing to give their time and experience to support this organisation in enabling young people to reach their potential.

Position: Vice Chair

Location: Nottingham

Hours: Board meetings, circa 2 hours each month

Salary: Unremunerated although travel and expenditure can be reimbursed.

About the Role

The organisation is recruiting a Vice Chair who can support our transformation journey, we have an ambitious and exciting growth plan, which will provide us with long-term sustainability. During the next three years, it is essential that we build on the existing skills of our Board of Trustees, expanding these to ensure we have sound governance and oversight of new opportunities, which will include a significant partnership and facility development project. We are interested in recruiting trustees who are passionate about young people and who are willing to give their time, and experience to support the organisation in enabling young people to reach their potential and with time to oversee the organisation, develop strategy, and ensure sound governance. We aim to attract trustees from different ethnicities, genders, and experiences to reflect the communities we work with.

As Vice Chair, you will grasp the opportunities and challenges that lie ahead with vision and energy, applying your expertise to make a visible and lasting difference to the organisation. This will mean overseeing the organisation, and strategic developments and ensuring sound governance.

You will need to commit to attendance at Board meetings, currently every three months and an additional sub-group meeting, such as finance or marketing each quarter. There may be other demands on your time, especially during this coming year as we transition into a new facility, but these should not exceed on average 2 hours each month. Experience in the sector is not essential as training will be provided and you will be supported with a thorough induction to the responsibilities of a trustee and the organisation.

Specific duties for all charity trustees which are laid down by Charity Law are:

a. A duty of care, to ensure that the charity works in pursuance only of its objects and that it delivers on these.

b. A duty of compliance with all relevant legislation and regulation; and

c. A duty of prudence in respect of the charity’s assets.

ii. The organisation’s Articles of Association set out the composition of the Board of Trustees, how the Trustees are appointed and their powers.

Purpose

1.1. The Board of Trustees is ultimately responsible for the overall conduct of the organisation and all its projects and will conduct its business to ensure that the organisation is:

· financially viable;

· properly governed; and

· properly managed.

1.2. The Board of Trustees will monitor the performance of all its functions and will decide the level of resources to meet its financial and other obligations.

About the Organisation

The organisation was established in 1993 as a charity supporting young people living in the city and county of Nottingham. The overarching aim of the organisation is to provide support to young people taking a holistic approach to their health and well-being; this is provided through easy access to health, counselling, housing, and learning opportunities while providing a safe place to meet, take part in activities and use practical services such affordable meals, laundry, and showers.

Currently, the primary work of the organisation is delivered through the NGY MyPlace centre in Nottingham, bringing together a multi-disciplinary team enabling the needs of young people to be met in one place. Until 2012, the organisation operated from Glasshouse Street and in 2008 became part of the successful Nottingham bid for Myplace funding under the Government’s commitment to provide youth centres for young people. This bid brought 4.9 million into Nottingham, purchased a building and funded the refurbishment, transforming a grade2 listed Georgian townhouse into a multi-purpose centre, named NGY, run by the organisation and bringing together partners in the centre.

What we do

We help everyone use parks and their transformative health and wellbeing benefits. DEFRA estimates that if everyone spent time in parks, the NHS could save £2.1 billion a year, however often the people who could benefit most from using parks, do not.

We work with under-served communities to help them spend time in green space and we support small groups and community organisations to do the same. From supporting people with complex mental health needs to connect with nature and build community, to identifying and removing physical barriers to park access, we work to make sure parks fulfil their potential as free to use, community assets.

The role

As a Trustee with a Human Resources background, you will take the lead at board level, whilst ensuring that the collective responsibility of the Trustees for the management, support and development of our staff is maintained. All Trustees share responsibility for the organisation.

The main responsibilities of a Trustee is to:

• oversee the strategic direction of the charity as it scales to meet demand, and support the CEO in managing this growth;

The Federation of the Royal Colleges of Physicians, based in the UK and works internationally, is a collaborative partnership between the Royal College of Physicians of Edinburgh, the Royal College of Physicians and Surgeons of Glasgow and the Royal College of Physicians of London.

The Federation is seeking to appoint representatives to their Specialty Advisory Committees.

Purpose and scope

Lay involvement in the management and organisation of our work is essential.  Lay representatives act as a ‘critical friend’, contribute experience from outside the professional group, and provide an external, non-medical perspective to the decision making process. They provide input into the external quality assurance of the examinations delivery, support the officers of their board or committee in delivering examinations and meeting the requirements set by the General Medical Council (GMC). Successful applicants will become full members of the respective boards and committees and will actively participate in their work and projects. We are seeking lay representatives for various Specialist Advisory Committees (SACs) and Management and Policy (MaP) Boards. Please note that the format of meetings may be conducted in-person, hybrid or entirely remotely.

The Joint Royal College of Physicians Training Board (JRCPTB) improves patient care by setting and maintaining standards for the highest quality of physician training in the UK.

JRCPTB is responsible for:

• The production of specialty curricula, including workplace based assessments, for 32 medical specialties and 2 subspecialties, as well as Internal Medicine Training (IMT)
• Providing external advice to Deaneries on quality management of training in different locations as part of the General Medical Council’s Quality Framework

CPD Management and Policy Board:

• The CPD Management and Policy Board are accountable to the Senior Leadership team (SLT), and through them to the Federation Board.

MRCP(UK) are responsible for:

• Developing and delivering postgraduate medical examinations around the world on behalf of the three Royal Colleges of Physicians of the UK.

Role Description

The role of the Chair of Trustees is to give leadership to the board and to make sure the board fulfils its duties and responsibilities. Additionally, the Chair of Trustees works closely with the CEO to support her/him to achieve the aims of NIDAS, and, at times, represent NIDAS at functions, meetings and in the press, and broadcasting media.

Duties

In addition to the responsibilities of a trustee, the Chair of Trustees' duties are to:

• To ensure that the Annual Reports and accounts are produced at the end of each year for presentation to the Annual General Meeting and to ensure that they are forwarded to the Charity Commission within the appropriate time period. 
• Chair and facilitate board meetings and the Annual General Meeting encouraging full participation by all attending. 
• Establish sub-committees and working groups to address specific issues/tasks as deemed appropriate by the board, and to call upon specialist skills of his/her fellow Officers and Trustees in relation to those groups, and to participate in such groups as appropriate. 
• Give direction to board policy making. 
• Check that decisions taken at meetings are implemented. 
• Represent the organisation at functions and meetings and act as a spokesperson when appropriate. 
• Bring impartiality and objectivity to decision making. 
• Liaise with the CEO to keep an overview of the organisation’s affairs. 
• Lead the process of supporting and appraising the performance of the CEO. 
• Sit on senior appointment, and disciplinary panels. 

The Chair of Trustees will also work with the CEO to: 

• Plan and set the agenda for the Annual General meeting with the Secretary.

You’ll recruit, induct and support other group volunteers to make sure your group’s activities meet the needs of your local MS community. The Vice-Chair supports the Area Chair in the leadership of Ramblers' activities in East and West Sussex including the provision through the Groups in the Area of organised walks, helping to ensure the Groups are run well, follow good practice and join in national/Area initiatives, and the protection of rights of way.

The Vice-Chair deputises for the Area Chair, as required, at meetings of the Area Council and Area Executive Committee, represents the Area at meetings of the South East Regional Cluster and, in agreement with the Area Chair, leads specific projects in which the Area is engaged, making sure in all cases that Ramblers' policies and procedures are followed with a view to ensuring that the Area, its members and volunteers are kept safe and legally compliant.

The Vice-Chair supports the Chair in the oversight of the Area's working relationship with local authorities, organisations and politicians.

The Vice-Chair assists the Chair by making sure that the Area follows all of the required governance, including AGMs and attendance at Ramblers' General Council Meetings.

The incumbent will work closely with the Chair and other members of the Area Executive Committee and Area Council, and where necessary seek advice and guidance from Ramblers' central office.

The Operations Assistant supports the Chair with all administration to enable Hidayah to function smoothly. Responsibilities include, but aren’t limited to:

• Providing administrative support to the Chair including scheduling meetings, managing calendars and responding to emails
• Creating process flows to enable service delivery and monitor progress
• Preparing meeting agendas, taking notes and sharing meeting minutes
• Maintaining accurate and up-to-date records and databases including documents on the Google Drive
• Aiding in the planning and execution of all operational projects and initiatives
• Preparing reports, presentations, and documentation as needed e.g., for annual reports
• Responding to inquiries and providing information to internal and external stakeholders
• Performing other duties and tasks as assigned by the Chair

How much time is required?

We are flexible around your schedule but we anticipate that the role will require around 4 hours per week. The following commitments are in place for all Hidayah volunteers:

• Aim to attend all relevant meetings, delivering a comprehensive report with updates and to complete actions as and when they appear
• Aim to attend all other planning meetings as necessary
• Attend Hidayah events (where geographically possible)
• Help to fundraise for, and advertise, any Hidayah events and fundraising drives
• Add to and maintain the administration of our file sharing system ‘Google Drive’ to ensure it’s up to date with clear records, templates and forms
• Check and respond to emails in a timely manner
• Contribute to the communications group (via Discord) and stay up to date with Hidayah developments
• Provide information, statements and data for the annual report
• Keep up to date with Hidayah communication and organisational developments

This role is subject to a 6 months probationary period with a 2 month notice period should you wish to resign.

What is expected from an Operations Assistant?

Knowledge:

• Educated to degree level or experience which demonstrates equivalent analytical ability
• Knowledge of quality assurance systems and their benefits for the voluntary sector
• Knowledge of good governance procedures for the voluntary sector
• Understanding of confidentiality, equality and diversity and safeguarding procedures

Personality:

• A self-starter who can volunteer with minimal supervision
• Friendliness, enthusiasm, dedication, responsiveness, flexibility and eagerness in supporting the aims, vision and mission of Hidayah

Personal Skills:

• Confidence taking the lead with plans and ideas at Trustee meetings
• Ability to resolving conflict situations if needed
• Professionalism in all situations

Administration Skills:

• A high degree of literacy in Microsoft Office and IT Applications
• Join Hidayah Membership and Hidayah Discord server
• Participating and contributing to discussions on the Hidayah Discord server
• Read all Hidayah policies, keeping up to date with any changes
• Read, understand and agree with the constitution of Hidayah (available on our website)
