THE ROLE — VOLUNTEER OFFICE & COMPLIANCE MANAGER AND EXECUTIVE ASSISTANT TO THE CEO

We’re looking for a Volunteer Office & Compliance Manager and Executive Assistant to the CEO — a highly organised, warm, and reliable person who can help build the operational backbone of SUNSHINE.

This is a hands‑on, people‑centred role for someone who loves structure, clarity, and supporting others to do their best work. You’ll help keep our young charity running smoothly, safely, and in line with good governance — while also providing direct support to the Founder/CEO.

Your work will help create a calm, organised, and joyful environment where volunteers can thrive and SUNSHINE can grow with confidence.

As our Volunteer Office & Compliance Manager and Executive Assistant, you will:

1. Support the CEO

  • Provide executive support to the Founder/CEO, helping manage priorities, scheduling, and communication.

  • Prepare documents, briefings, and follow‑ups to keep things moving smoothly.

  • Act as a trusted, organised partner helping the CEO stay focused on strategy and community impact.

2. Lead Office & Administrative Systems

  • Build simple, accessible systems that help SUNSHINE stay organised as we grow.

  • Manage shared inboxes, files, calendars, and internal communications.

  • Ensure volunteers have the information and tools they need to do their roles confidently.

3. Champion Compliance & Good Practice

  • Support the development and maintenance of key policies and procedures.

  • Help ensure SUNSHINE meets its legal, regulatory, and safeguarding responsibilities.

  • Keep records, documents, and processes up‑to‑date and easy to understand.

4. Enable Smooth, Safe Operations

  • Support risk management, data protection, and health & safety processes.

  • Help coordinate Board papers, reports, and governance documents.

  • Work closely with the Company Secretary, COO, and other volunteer leads to keep everything aligned.

5. Be a Calm, Organised Presence

  • Bring clarity, structure, and reassurance to a fast‑moving start‑up environment.

  • Help embed our values of kindness, inclusion, and community spirit in every process and interaction.

This role is perfect for someone who:

  • Enjoys supporting leaders and helping teams feel confident and informed.

  • Has experience in administration, compliance, executive support, operations, or office management — or is excited to grow into it.
