About the Project – “Solta o Jogo”
Solta o Jogo is a vibrant cultural competition and festival celebrating Brazilian heritage through Capoeira, music, dance, acrobatics, and a Brazilian arts & crafts fair. Hosted at Kingston University Townhouse, the event invites the community to participate in free performances, workshops, and exhibitions promoting cross-cultural understanding.

As part of this initiative, we are seeking a dedicated Admin Assistant to support the day-to-day coordination and administrative operations behind this exciting and community-driven programme.

Position Overview:
The Admin Assistant will play a vital role in supporting communication, event coordination, documentation, and volunteer tracking. This position is perfect for someone looking to gain hands-on experience in nonprofit administration, event logistics, and team coordination. The role offers flexibility, skill development opportunities, and the chance to make a meaningful impact within the community.

Key Responsibilities:

Event Coordination Support

• Schedule and manage logistics for project events, workshops, and community showcases.

• Track bookings, rehearsals, and venue use to ensure a smooth timeline.

• Support RSVP management and communication for performances and activities.

Data & Documentation Management

• Maintain and organise project records such as attendance sheets, registration forms, and feedback.

• Ensure digital files are properly stored and accessible for all team members.

• Assist in compiling reports and summaries post-events.

Communication & Liaison

• Serve as a contact point for public and internal queries related to the project.

• Help coordinate communication between departments involved in the project (HR, Marketing, PR, Finance).

• Communicate with facilitators, artists, and partners to confirm details and provide logistical support.

Resource & Inventory Support

• Track inventory of promotional and event materials.

• Assist in coordinating procurement and delivery of materials for activities and performances.

Volunteer Coordination

• Monitor onboarding progress of volunteers engaged in Solta o Jogo.

• Assist with preparing and maintaining volunteer schedules.

• Provide administrative support during volunteer briefings and training.

General Administrative Duties

• Take meeting minutes and circulate action items.

• Help draft internal updates, task lists, and team reminders.

• Provide general clerical support as needed.

Required Qualifications:

Education:
No specific degree required, but experience in administration, event coordination, or office support is desirable.

• Interpreting and overseeing compliance with H&S laws relevant to RSLs
• Ensuring robust systems for fire, gas, asbestos, and communal area safety
• Providing risk management insight across housing stock and services
• Understanding the Regulator of Social Housing (RSH) expectations
• Reviewing inspection, audit, and incident-reporting frameworks
• Championing a strong, proactive safety culture across the organisation

We are also recruiting a trustee with the financial acumen to guide EHA’s strategic financial direction, ensuring transparency, accountability, and sustainability across operations.

This role suits someone with financial leadership experience in charitable housing providers, housing associations, or social enterprises.

Key responsibilities include:

• Monitoring long-term financial strategy, planning, and risk
• Understanding Charity SORP and RSL financial standards
• Overseeing reserves policy, budgeting, and funding management
• Ensuring compliance with the Charity Commission and RSH
• Supporting transparent and effective financial reporting
• Holding executive teams to account while enabling performance

Your insight will strengthen the board’s ability to govern with integrity and impact.

Trustees are expected to attend monthly board meetings (approximately 2.5 hours online) and commit an additional 4 hours per month to board-related duties, including reading papers, joining sub-committees, or contributing expertise.

Role Summary

We are looking for an organised and motivated volunteer to take the lead in planning and delivering fundraising events. From idea to execution, you will play a key role in creating impactful, engaging events that support our mission and bring communities together.

Key Responsibilities

· Plan and organise fundraising events (e.g. benefit concerts, community dinners, quizzes and sponsored walks)

· Coordinate logistics such as venues, suppliers, schedules, and permits

· Recruit and manage other event volunteers, with support from the volunteer coordinator

· Promote events through flyers, social media, and local networks

· Manage event budgets and donations, with support from the fundraising team

· Ensure health and safety and accessibility considerations are met

· Evaluate event success and contribute to future planning

Skills and Qualities

The Volunteer will assist with various People activity, including:

• Being a critical eye in reviewing and updating existing people-related processes and documentation to maintain and increase compliance and accuracy.
• Managing and documenting confidential and sensitive mail delivered for the People Team at the Bristol office; this can include Criminal Record Certificates, Access to Work information as well as Deduction of Payment Orders from the Department for Work and Pensions (DWP).
• Ensuring compliance with data protection regulations when dealing with sensitive information.
• Supporting the HR Coordinators with general people-related tasks that contribute to organisational efficiency.
• Assisting with aspects of our recent SharePoint migration, ensuring documents are properly organised, categorised, and maintained in line with best practices.
• Supporting the People Team with the new ways of working in relation to GDPR admin, ensuring historic records are updated, cleansed and compliant with data protection requirements.

Your availability

Ideally, you are in the Bristol area as it would make it easier for you to volunteer with us at our Bristol office, although we can discuss this.

We’d like you to join the team for up to 12 months, with the possibility of extending it further.

However, we are flexible and open to chat about how much time you can commit to the role. Your enthusiasm and expertise are important to us, and we appreciate your insights into what will be needed.

Administration and Office Support Volunteer

About Candlelighters 

Candlelighters provides financial, emotional and practical support to families affected by childhood cancer in Yorkshire. We support around 150 new families each year and our work ensures the whole family unit is supported in these extraordinary circumstances. 

We support children and their families from diagnosis and throughout their journey, including providing  financial support, practical help in hospital, much needed breaks, as well as emotional and well-being support at our Family Support Centre (The Square) and Family Support Bus.

Purpose of the Role and Key Activities 

Candlelighters needs to fundraise £2million every year to continue providing services to families. The Administration and Office Support Volunteer provides crucial administrative and office support to the Fundraising Team and is central to helping the team raise the money we need to continue supporting children and families affected by childhood cancer in Yorkshire.

Activities vary, but may include 

• Responding to enquiries from supporters via telephone and e-mail

• Providing administrative support and helping to prepare resources, merchandise and equipment for events 

• Taking leadership over the Candlelighters Ebay page. Adding merchandise to sell, liaising with any queries and fulfilling any orders 

• Answering the phone, transferring calls and taking messages 

• Updating the supporter database 

• Writing thank you letters and sending certificates 

• Processing large mailings (including mail merge) and dealing with any returns 

• Franking letters and parcels 

• Arranging courier companies for large deliveries

• Filing (paper and electronic)

• Providing administrative support for events 

• Assisting the Fundraising Team with other tasks and activities as required 

• Send out Merchandise to our fundraisers/Challenge events participants (Running tops, T-Shirts, FR Materials) 

• Research – future challenge events/mailing contacts 

• Preparing Collection Tins/Buckets for use by fundraisers 

• Making up Goody Bags for events 

• Adhering to Candlelighters’ policies and procedures.

Volunteer Requirements 

We are looking for volunteers who 

• Have strong administrative skills 

• Have experience of working in an office environment 

• Have strong IT skills, including the ability to use Microsoft Word, Outlook and Excel 

• Have excellent interpersonal and communication skills 

• Have experience of communicating in a professional capacity via telephone, email and in person.

• Are friendly and approachable, whilst also able to maintain professional boundaries 

• Have strong attention to detail

• Are able to work well as part of a team 

• Are able to work independently and use own initiative 

• Are able to lift and carry boxes, equipment and resources

• Are able to climb multiple flights of stairs 

• Are able to follow Candlelighter’s policies and procedures. 

We recognise that family members accessing Candlelighters’ services may wish to volunteer with Candlelighters. However, this particular role is not suitable for family members receiving support from Candlelighters. Volunteering for Sense

Our amazing team of volunteers help us run over 100 shops across England and Wales.  Every donated item that you sort, prepare and sell helps to raise vital funds to support us in our mission to make sure no one, no matter how complex their disabilities, is isolated, left out, or unable to fulfil their potential. Our shops are at the heart of local communities – sharing the work of Sense, and helping to secure support for our life changing work.

What your role will involve

There are a variety of tasks that you can get involved with in the shop, including:

• Welcoming and assisting customers, providing great customer service and a fantastic shopping experience
• Receiving donated goods from members of the public
• Sorting, steaming, tagging and preparing donated goods for sale
• Creating eye catching window and in-shop displays
• Keeping the shop floor well stocked, tidy, clean and organised
• Processing sales and serving on the till
• Promoting Gift Aid and other Sense fundraising initiatives
• Acting as an ambassador for Sense; promoting the shop and Sense in your local community
• Supporting with the recruitment and training of new volunteers
• Following new health and safety measures to ensure the safety of everyone

Preparing young people with skills for life. We're Scouts and everyone is welcome here. Every week, we help almost half a million people aged 4-25 develop skills for life. Are you ready to join the adventure?

Role Description:

• Planning exciting activities for young people
• Liaising and communicating with families
• Organising events for young people
• Running activities
• Handling the administration for the section (emergency contact details etc)
• All of the above as part of a team!

It’s a great feeling knowing you’re helping young people get skills for life, and you might even learn a lot about yourself along the way.

We are looking for leaders to help take forward our 3 sections:

Beavers (aged 6-8)

Cubs (aged 8-10 1/2)

Scouts (aged 10 1/2-14)

We are looking for those experienced in working with young people who can organise their weekly activities.

We have an excellent meeting place and plenty of resources on hand to facilitate activities. We have experienced leaders to support you in the role and lots of training opportunities should you wish to upskill for your own development.
