We are thrilled to welcome a Finance Lead to support our Operational Director and Fundraising Team at a pivotal time for our charity.

After a challenging period of inactivity due to the impacts of Covid, we are excited to embark on a new chapter, as we are ready to restart our activities in 2025 and to develop our projects and create a positive impact in our community.

This is a unique opportunity for those eager to be part of a project evolving from its early stages to the launching of new initiatives. The volunteer will have ample opportunity to learn about charity structure, develop skills within the third sector and grow with the charity.

We are looking for a passionate and articulate person to fill this role.
 

What this position entails

We are looking for a dedicated volunteer who can provide long-term support to our charity as we prepare to relaunch our activities after a period of inactivity post-Covid.

The Volunteer Finance Lead will assist the Fundraising team and the Operational Director in creating budgets, clarifying budget limitations, preparing cash flow forecasts, and ensuring the charity has a comprehensive understanding of operational and project costs to help us secure necessary funding.

Ideal candidates should be genuinely passionate about our mission and values, work well in a team, and be able to communicate financial information clearly to those who may not have a finance background.

As a Finance Lead, your main responsibilities will include:

• Give general financial advice for projects, events and activities strategy.
• Take leadership in preparing cash flow forecasts.
• Clarifying budget limitations.
• Take leadership on producing projected budgets, outlining expected income and expenses for specific periods of the charity lifecycle, helping our charity plan our finances and allocate resources.
• Taking on leadership for producing all events/activities/projects budgets and keeping accurate reporting of post-projects income/expenses records and producing reports to the board of trustees.
• Monitoring the financial health of all our projects.
• Produce general quarterly financial reporting to management and the board of trustees, highlighting points of concern.
• Contributing to decisions regarding financial strategy for our projects.
• Understanding and reporting costs for specific areas: internal staff, delivery staff, running activities etc.
• Able to recommend improvements and implement changes on financial processes and procedures, supporting the operational team to have clarity on our financial health.

What do you need to become our Finance Lead?

Essential:

• 3+ plus experience with accounts/finance
• Fully qualified Accountant or relevant financial qualification.
• Highly experienced with budgets and cost management of projects.
• Numerate, accurate individual with strong Excel, Word, and presentation skills
• Professional approach.
• Experience of working with small teams and communicating financial information clearly to those who may not have a finance background.
• Able to work on own initiative with a conscientious approach, always looking to continuously improve processes and be dedicated to the improvement of our charity's financial processes and procedures.

Commitment:

We estimate that you'll need to commit around 10 to 15 hours each month. However, depending on the specific projects/events running, there may be times when you need to invest more time, while other months might require less support. We're looking for a volunteer who is excited to build a long-term partnership with us and can adapt their schedule as needed.

We can be flexible and work with you to find hours that fit ours and your schedule, working out of office hours or weekends - all help is much appreciated!

As a volunteer-led charity, we prioritise volunteers who want to become part of our team of volunteers rather than those looking for a temporary assignment. Therefore, we won’t accept applications from volunteers who cannot commit to at least 5-6 months with us.

The volunteer acknowledges their responsibility to perform their tasks diligently and to promptly inform their line manager of any concerns that may arise during their volunteering period. Why we need you?

The Halifax Charity Gala is organised by a committee of local volunteers in their spare time. The work required to plan and execute the gala is quite large & growing, with volunteer Committee Members working all year round to support the 40 or so local good causes we represent.

This all requires your friendly face & attitude on Gala Day to provide a warm welcome to our paying customers, accredited volunteers, commercial concessions, arena acts & others.

What will you be doing?

Helping to organise Calderdale’s longest-running annual not-for-profit family event! On a more practical level you’ll be the first Gala representative customers see, so will check their tickets/accreditation or take admission payment and provide them with a programme.

As a Gate Steward, on Gala Day you could be:

• Welcoming everyone with a friendly, positive attitude

• Managing entry queues, ensuring those with tickets/accreditation use the fast-track lanes, and that an exit lane is maintained

• Assisting customers with accessibility needs to navigate the queues

• Scanning eTickets in (and out, if they are likely to want to return)

• Checking hand stamps (of procession participants)

• Checking wristbands (of accredited persons)

• Checking paper tickets

• Accepting card & cash payments for people wishing to purchase admission on-the-day

• ‘Clicking’ people in & out using manual tally counters

• Providing information to customers about the Gala, entertainment timetables & other activities taking place

• Handing out printed programme booklets to customers on entry

• Issuing hand stamps for non-eTicket customers who may want to return

• Assisting in maintaining a safe & enjoyable environment, reporting any issues to your volunteer Gate Supervisor

Not every volunteer Gate Steward will be doing every task – there is flexibility to alternate between tasks on each gate. We can make reasonable adjustments for volunteers who have additional needs, conditions or disabilities which affect the tasks they are able to do.

What skills do you need?

• Basic numeracy skills, to work out total cost of admission for a group, and to provide change

• Ability to use smart mobile device (ie tablet / phone) applications for scanning eTickets (training on the specific app will be provided on the day)

• Ability to use Process Data Quickly (PDQ) ‘card’ machines to accept payments by card (training on the specific terminals will be provided on the day)

• Good interpersonal and communication skills 

• Enthusiasm & a positive can-do attitude

• Willingness to work as part of a team with a flexible approach

• Proactivity & a good initiative

• Assertive when necessary

• Ability to deal with any incidents that may occur in a cool & calm manner

Not every volunteer Gate Steward will need to have every skill – there are several positions on each gate, and your volunteer Gate Supervisor will allocate you based on your existing skills & experience.

How much time do you need to commit?

We require Gate Stewards on Gala Day – the second Saturday of June each year.

Gate Stewards need to be available for one of two shifts:

• Early from 1000 to 1530

• Late from 1130 to 1700

Though any volunteers who want to start earlier / finish later would always be welcomed to do so!

This allows to us to have all Gate Stewards on their allocated gates between 1200-1500, which is our busiest time for customers entering & leaving.

What support will you be given?

Each gate team is led by a volunteer Gate Supervisor, who will be the first point of contact for any issues locally. They will have a radio to contact Radio Control.

Each gate also has an SIA licensed Door Supervisor present from our externally contracted crowd safety service provider, who will support with any prohibited items, invalid accreditation / tickets, refusal to pay, etc.

The volunteer Gate Supervisors are in turn supported by a volunteer Gate Manager, who will visit each gate several times during the day.

A briefing will be provided at your start time, by the volunteer Gate Manager and/or a volunteer Committee Member.

The Marketing Manager will be responsible for formulating our marketing strategy, creating content, and managing the brand, while also laying a solid marketing foundation for the organisation.

Collaborating with the operational director, the manager will lead the crafting of our organisational strategic plan to implement marketing initiatives. This role involves developing our brand, enhancing communication and our online visibility, as well as providing robust support to the fundraising team in reaching our fundraising objectives by optimising digital presence, events and grant applications.

The ideal candidate should be capable of working autonomously, leading all facets of our marketing efforts, and managing a team. We seek a professional with experience in start-ups who can develop a brand from its inception and navigate budget limitations using free tools.

A key aspect of this position is the ability to strategically oversee and assist with marketing our fundraising events, which will take place during the summer months, as such experience with events is essential.

We are looking for a passionate and articulate Fundraiser with experience in focusing on Trusts & Foundations.

What this position entails

Will be working and managing a team of three fundraising assistant volunteers who will also support our charity with Social Media activities. We are looking to recruit a talented and driven individual to join us and help to develop our Trust and Foundations fundraising programme as we are walking towards restarting our activities this year.

The key focus of the role is:

· Work towards developing a warm portfolio of donors, including large multi-year funders, seeking to extend their support wherever possible through close relationship fundraising.

· Researching, exploring and securing new business opportunities.

Main areas of responsibility:

·  Work closely with the Operational Director, Volunteer Marketing Manager and Volunteer Fundraising and Admin Assistants to develop innovative and persuasive proposals aimed at acquiring new partnerships and supporters.

· Thank funders promptly and ensure that regular progress reports and updates are received by supporters as and when required.

· Develop creative and exciting stewardship plans to enhance the long-term relationship between Willowbrook Farm Charity and our funders.

· Work on the fundraising cycle to identify new prospects securing new income.

· Identify new potential funders and match them to WBFC work.

· Prepare and submit high-quality funding proposals and budgets in accordance with timetables and application criteria.

· Maintain accurate records, analysis and reporting of new business secured.

What do you need to become our Fundraising Coordinator?

This role would suit a candidate with a good understanding of the charity sector and

proven success in fundraising from trusts and foundations, along with a superb ability to write with flair and creativity, as well as the verbal presentation skills to match. Supporting our events has something for everyone! With roles based at our community events and mass participation events there are plenty of opportunities to get involved in a fun, memorable event experience.

Event support volunteers help our events by marshalling, welcoming participants, setting up and stewarding.

Our volunteers help to run and structure the events better, keep participants safe and allow us to continue to raise money for our care services.
