The Office and Services Coordinator (OSC) plays a vital role in ensuring smooth day-to-day operations across The Winch and Belsize Community Library. As the first point of contact, you will be responsible for delivering a warm and welcoming front-of-house experience for visitors, including children, young people, staff, tenants, and contractors. Your main responsibilities will include managing room hire bookings to ensure a positive customer experience, overseeing ordering supplies and managing equipment and handling queries, phone calls, and mail correspondence with professionalism. You will have general oversight of building maintenance and health & safety compliance, to create a safe, efficient, and wellfunctioning environment for everyone.

The Role:

You will be joining at an important time for our team, covering a crucial role in ensuring accurate income processing, reporting, and financial management across the organisation. As part of the Finance team, you will work closely with colleagues across departments, particularly alongside our fundraising team, to ensure income is correctly coded and reported efficiently. 

With responsibility for month-end and year-end processes, as well as maintaining accurate and timely financial data, you will play a vital role in supporting decision-making across the organisation. Your work will ensure colleagues have the financial insights they need, enabling strategic planning and effective resource management. 

Strong communication skills are essential for this role, as you will liaise with teams across the organisation to provide clear financial updates, answer queries, and ensure income is accurately coded and reported in line with financial procedure. Your clear communication of financial information will support informed decision-making and ensure compliance with procedures. 

To succeed in this role, you will have strong financial processing experience, excellent attention to detail, and a proactive approach to problem-solving. You should be comfortable working with financial systems and software, with the ability to efficiently manage data, generate reports, and ensure accurate income tracking.

Our Finance team provides vital support to the organisation, ensuring robust financial systems, compliance, and efficiency across all areas. You will be joining a collaborative and dedicated team committed to delivering high-quality financial management and support to colleagues working across a wide range of impactful projects.

Additionally, the team comes into the office during busier periods, such as financial year-end and audit, to collaborate with auditors (June/July). You can work remotely for the rest of the time. Equally, you may prefer to work from the office full-time. We encourage all colleagues to visit member hospices to help inform our work and you may be able to work from there.  

Contractually this role is London-based.

ABOUT THIS OPPORTUNITY

Join the Harris Federation as a Primary Operations Manager and lead on statutory compliance across a group of primary academies. This is a key role ensuring excellence in areas such as health & safety, GDPR, safer recruitment, asset management, and funding compliance.

• Ensuring that each academy has the correct time-based evidence related to each free school meal claim

• Leading with the central finance team any independent audit on FSM by any external agencies and to ensure that process and procedures are EFA compliant
• Ensuring and approving that each academy has recorded FSM and PP correctly on their termly census return and have the evidence to support the numbers claimed
• Being the lead across the primary academies on any new statutory developments and ensure that schools fully implement any new guidance

Our Aims

The Role

The Community Centre Manager will play a key role in the leadership and smooth running of The Edward Woods centre, managing change, growth and performance as agreed with the CEO. Working closely with the UPG Management team, employees, partners, contractors, volunteers and other local organisations, the Manager will work to ensure the

Community Centre is a vibrant, well-managed facility that operates within a sustainable framework for the benefit of residents and organisations. They will also promote the profile, role and impact of the Centre.

Duties and Responsibilities

Management of the Community Centre

• Manage the operations of the Community Centre, its staff and the development and delivery of activities and facilities in line with the business and strategic plan.

• Ensure compliance with employment law and that we follow good practice regarding HR.

• Contribute to the planning, development, implementation and delivery of the business and strategic plan and present regular progress updates to the UPG Management team.

• Oversee the maintenance of the building - including building maintenance and improvement

programmes.

• Manage and monitor all aspects of risk assessments, health and safety and security as required by regulation or good practice including, in conjunction, the review and updating of

policies and procedures.

Management of staff and Volunteers

PR/Marketing and Fundraising

• Develop strategies to promote the use and profile of the Community Centre, maximising use of social media, publicity opportunities and liaison with the local media.

Financial management

• Liaise with the CEO and Finance officer in setting and managing budgets and maintain an overview of the financial position of the Community Centre.

• Code invoices to ensure that income and expenditure is allocated to correct projects.

• Ensure best practice in all financial matters.

Project Management

• Support and oversee the continued delivery of high-quality services and activities.

• Devise and implement robust impact monitoring and evaluation strategies for all projects.

• Ensure all projects are correctly risk assessed and supported.

Edward Woods Community Centre has a small team of employees, tenants, volunteers and a

wide range of activities. it is expected that the post holder will be flexible in assisting in areas of work which go beyond their main duties. In particular, the holder of this post will be expected to assist with covering frontline reception and administrative duties and attendance at and/or supervision of events outside of normal working hours.

Main Purposes of Job and Key Tasks

We are seeking a highly organised and quick-witted Operations Officer to join our dynamic team at Spring Community Hub. • Lead the development and implementation of a content strategy to grow audience engagement through the Association’s website, e-newsletter and LabMed News (our member magazine). 
• Manage and innovate the content on Lab Tests Online (our patient-facing site) including supporting the Editor with editorial and review processes. 
• Liaise with editorial boards to ensure our digital content remains insightful and  relevant. 
• Commission, edit, and deliver high-quality content in partnership with editors, contributors, and topic experts. 
• Support the Publications and Communications Committee to ensure consistent quality and alignment with organisational goals. 
• Explore and implement opportunities for revenue generation through advertising and paid content. 
• Produce the Association’s Annual Report and contribute to business planning in collaboration with boards and teams.

An exciting opportunity has arisen for a Medical Devices Co-ordinator to join the Clinical Asset Team. Your role is to support the Medical Devices Safety Engineer in pro-actively delivering maintenance responses, updating jobs on the CAFM system, ensuring compliance and asset management systems are up to date at all times.

Role Requirements

• Provide operational assistance to all matters pertaining to clinical assets including compliance, asset management, service management and lifecycle management.
• Ensure clinical assets onsite are compliant or taken out of service.
• Allocate jobs to the appropriate contractor, using CAFM systems to create a document trail and manage frequently broken items, escalating issues to the Medical Devices Safety Engineer as appropriate.

• Updating compliance system with relevant documents for compliance and tracking purposes (including those for Therapy items)

Person Specification 

Essential Skills and Experience 

• Proven success in managing and developing high-performing, multidisciplinary teams in complex, person-centred services. 

• Significant experience delivering homelessness, housing, addiction recovery or therapeutic services. 

• Expertise in delivering services that work with people with lived experience of social exclusion. 

• Strong understanding of safeguarding, risk management and trauma-informed practice. 

• Skilled in managing budgets, contracts and KPIs within charitable or commissioned services. 

• Skilled in using In-Form or similar CRM system.

• Highly effective communicator with excellent negotiation and interpersonal skills. 

Desirable 

• Experience working in a values-led organisation or charity supporting marginalised groups. 

• Knowledge of Housing First and Recovery Capital models. 

• Understanding of social enterprise and peer-led service models.

Job Purpose:

This role will assist the finance team with finance-related queries and the processing of all financial transactions. This includes accurate bookkeeping of income and expenses, ensuring all purchase orders and invoices are authorised and correctly coded, and that payments are set up properly to be made in accordance with agreed terms.

About the Role:

The role operates at an officer level within the context of a volunteer led, global charitable organisation, supporting the Finance Managers to provide financial and accounting expertise to the organisation.

Key Responsibilities:

• Processing of all financial transactions ensuring purchase orders and invoices are authorised and coded correctly into the system and payments are set up correctly to be paid in accordance with agreed terms – for World Bureau and AISBL.
• Setting up the suppliers on the finance system.
• Control of the purchase ledger.
• Executing timely and accurate payment runs.
• Raising the EVC invoices and managing receipts.
• Operation and control of the sales ledger, ensuring that invoices are produced and raised in accordance with contract terms; checking that those payments are received in accordance with agreed terms; and taking appropriate action including liaising with the relevant team where amounts are not received.
•  Accurate and appropriate income recording and liaising with the Fundraising team regarding donations received.
• Processing and recording of petty cash payments in accordance with the WAGGGS petty cash policy.
• Processing and payments of staff and volunteer expenses in accordance with the WAGGGS expenses policy
