What is an Administration Coordinator?

There are SSAFA branches throughout the UK and overseas, each delivering support to serving personnel, veterans, and their families. Every branch has a team of volunteers who make this possible.

The Administrator Coordinator is a key member of the team, ensuring the smooth running of the branch and supporting day to day operations. This role is at the heart of the branch, overseeing the group inbox, organising meetings, and liaising with volunteers and external stakeholders.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

We aim to provide financial, practical, and emotional support when it’s needed most. To do this we need excellent administrators to keep things running efficiently behind the scenes.

What would you be doing?

• Every SSAFA Branch has different needs, however, below are the main activities of a Branch Administration Coordinator.
• Overseeing enquiries: Overseeing the administration of the branch shared inbox and post, ensuring queries are answered.
• Getting people together: Organising internal meetings, both virtually and face to face
• Planning and organising: Liaising with internal and external stakeholders to arrange events such as the Branch Annual General Meeting
• Note taking and recording: Maintaining accurate records of meetings and decisions.
• Communicating: Supporting the Branch Chair with internal communications, keeping other volunteers up to date and informed
• Tracking and ordering: Keeping a record of branch assets, ordering stationery, and ensuring maintenance of equipment
• Supporting health and safety: Supporting the Branch Chair with administration of personal, office and event risk assessments where required

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What are we looking for?

• Friendly and approachable people with good written and verbal communication skills.
• Some experience of coordinating people or events is beneficial.
• Good IT skills e.g., confident using email and online diaries– you will receive your own SSAFA email address.
• Respectful and non-judgemental approach.
• Understanding of the importance of confidentiality and boundaries.
• This role would suit someone who would like to volunteer regularly, each week.

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

Alex, The Leukodystrophy Charity (Alex TLC) is a small, independent rare disease charity competing for essential resources within an extremely competitive arena.

Like many other small charities, we have grown organically from an informal support group to the recognised voice for leukodystrophy patients and their families. In order to fulfil our charitable objectives we need to increase and sustain our corporate income levels.

ABOUT THE ROLE

We are looking for volunteers, preferably with corporate fundraising experience to:

• research the corporate giving landscape and the interests of potential donors

• identify potential corporate donors and partners whose corporate social responsibility (CSR) goals align with our mission and values

• approach local and national businesses in person and over the telephone to inform them of the work of Alex TLC

• keep a record of all approaches

Time Commitment

• This role is flexible and can easily fit round your other commitments.

The difference you will make to cats and people

Unfortunately cats can occasionally stray or get lost, which can be extremely distressing for their owners. Our lost and found volunteers are passionate about reuniting lost cats and bringing families back together. They help cats and their owners by advertising lost cats and providing support, advice and guidance to people searching for their cats.

A bit more information about this role and the team

• Going out to scan cats; own transport is needed

• Delivering donated food to stray cats being fed by households, if required

• Providing a quarterly update report to the local volunteer committee

What we need from you

You’ll be:

• Responding to enquiries from the public about lost and found cats
• Keeping up to date records of lost and founds cats
• Matching cats that are reported lost with those reported found
• Advertising lost and found cats
• Providing help and information to owners about their lost cats

Time expectation 

Our lost and found volunteers usually spend between 2 to 3 hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Responsibilities:
- Collaborate with HR and leadership team to understand needs, roles and requirements.
- Develop and implement effective recruitment strategies and campaigns.
- Utilise online platforms, social media, and community networks to advertise opportunities.
- Assist with review applications and inquiries, and assess candidate suitability.
- Conduct interviews with potential candidates to determine their skills, motivations, and alignment with our values and visions.
- Maintain a database of potential and current candidates and keeping track of their skills, interests, and availability.
- Work closely with leadership team and other team members to ensure a seamless transition from recruitment to engagement.
- Regularly report on recruitment metrics and effectiveness to the leadership team.
- Continuously seek opportunities to improve recruitment process.

Requirements:
- Excellent communication and interpersonal skills.
- Ability to effectively market and promote opportunities.
- Experience in recruitment, human resources, or volunteer management is a plus.
- Highly organised with the ability to manage multiple tasks and prioritise effectively.
- Proficiency in using online platforms, social media, and communication tools.
