The Governance Team manages the effective operation of The Scout Association’s Board of Trustees and its sub-Committees. Our Governance Officers have a key role in the management of these and the production of the documentation required to facilitate each meeting.

We are looking for a highly organised and competent individual who has good experience of minute taking at Board and Committee level, and who is keen to broaden their knowledge in the third sector and in the company secretarial profession. You’ll have a keen eye for detail and confidence and sensitivity to manage strategic level information in a professional manner.

Time management will be key in ensuring you are fully prepared for the committee cycle which includes agenda preparation, in consultation with the Chair and key staff support, collation and distribution of papers, taking minutes at the meetings and sharing agreed actions with Committee members.

You’ll be expected to provide ongoing support to the Chair of the Board, including diary management, and support to our trustees, including ad hoc enquiries, inductions, arranging appraisals and booking accommodation.

As a volunteer led organisation, The Scout Association holds Board meetings at weekends and Committee meetings during normal office hours (between 9am and 5pm) as well as some in the evening and at weekends. Reasonable notice will be given when required to attend these meetings.

Governing Documents and Events

The Governance Team also manage the Association’s Policy, Organisation and Rules (POR) document which needs careful scrutiny and annual updates in line with changes to legislation and operationally within the movement.

Working with the Governance Manager, the Governance Officer is responsible for providing statistical reports on a quarterly basis for the Board.

Key Responsibilities:

• Supporting the Company Secretary and Governance Manager with effective management of the Committees serviced by the Governance Team. This includes being aware of agenda items prior to each meeting to mitigate any potential issues that may arise. 
• Taking the minutes of agreed Committee and Board meetings and producing a set of minutes for approval within agreed time period.

• Able to communicate effectively and professionally with people at all levels in the organisation

Job Description: Training and Events Officer

The Training and Events Officer will play a key role developing and delivering high quality professional development, training, events, workshops to SLA members and wider audiences. The postholder will develop inspirational, insightful and innovative routes to supporting SLA members to deliver on their school library provision remit, enabling children and young people to reach their full potential. This is an exciting opportunity for someone passionate about school libraries, education and training.

You will work with the CEO, SLA colleagues and key stakeholders to develop and deliver a comprehensive training offer, including leading on logistics planning and delivery of our flagship annual conference. In addition, you will develop and maintain a calendar of exciting events and opportunities to share knowledge and insight, working with colleagues to ensure the offer is timely and informative. A confident facilitator and coordinator, you will be comfortable leading on training delivery, or recruiting and working with external facilitators in order to achieve specific outcomes.  Creative, with a flair for spotting opportunities for professional development, you will have a keen eye for detail and an ability to manage multiple workstreams and deadlines. Resource creation will be second-nature to you and you’ll be comfortable writing for adults and children, and young people.

Duties include:

• Logistics planning and delivery of the flagship event, SLA Annual Conference (currently called the Weekend Course) providing high quality professional development and networking opportunities to members 
• With CEO and key stakeholders, supporting the development of a comprehensive, engaging and exciting conference programme and recruit 40 exhibitors, plus event speakers as needed
• Supporting development of the training strategy working with the CEO to define aims and objectives
• Developing and maintaining a calendar of training, workshops and events aligned with the training strategy, working with the CEO and SLA colleagues, in particular the Outreach Support Officer
• Creation of supporting resources, toolkits and lesson plans to increase training engagement and impact

• Delivering and facilitating inspirational and engaging training and events as required (online and in person)

• Developing relationships with partners to produce high quality webinars, training and online events – including SLA members, funders, external stakeholders
• Exploring and evaluating business and funded models for training and events to ensure an income stream
• Working with external facilitators, recruiting them as needed, to deliver training and workshops, ensuring delivery is aligned with SLA requirements and outcomes
• Managing all training and events administration, planning and logistics

• Working with the Marketing and Communications Officer and Sales and Membership Officer, to ensure effective communication and promotion of training and events, providing timely information and updates as needed 
• Monitoring and evaluation of all training and events to ensure a high-quality offer, reach and impact that delivers on the SLA’s mission, applying learnings as needed

• Generating all event reports and updates as needed for internal and external use 
• Contribute to relevant SLA communications including TSL, newsletters and promotional materials

All team members contribute to office admin, maintaining member data and general office support.

To be successful in this role you should ideally demonstrate:

· experience of working in school libraries, the education sector and a strong understanding of the education landscape

· experience developing and delivering inspirational training, to small and large groups, both online and in person

· understanding of what works (and what doesn’t) for different formats and types of training and using evaluation to establish impact

· experience creating training resources, toolkits and teaching and learning resources

· a clear understanding of the curriculum and teaching and learning outcomes

· confidence in developing relationships with a variety of stakeholders

· an ability to manage own workload, prioritise and meet competing deadlines

· creativity and innovation, with a solution-focused approach

· an ability to work flexibly around training and event delivery and travel across the UK as needed

An understanding of business models in relation to training will be an advantage, as will experience planning events. Building relationships with all stakeholders will be an important part of this role.

The salary for this position is £21,945.95 (FTE £29,000) for 28 hours per week, and comes with a 6% employer pension contribution.

About Aspens

Aspens is a charity that provides high-quality person-centred care and support to individuals on the autism spectrum and with learning disabilities, and their families. We provide an integrated network of services and support across the South-East to empower individuals to lead their lives as independently as possible.

We support children, families and adults across Kent, East Sussex, West Sussex, Brighton and Hove, Surrey and the London Borough of Bexley. Our services include registered care homes, supported living, community outreach, day services, children and young people’s groups and support, specialist support, and online support for families and carers across the South-East. 

Aspens has three charity shops in Bexhill, Crowborough and Paddock Wood and online stores on eBay, Etsy and Vinted. We also have The Bluebell Café and animal farm and a pre-loved donations centre in Pembury.

Purpose of Role
This role will work with direction from the Marketing and Communications Manager to deliver marketing campaigns to raise awareness of and promote Aspens’ services, income-generation activities including fundraising, retail and hospitality, and recruitment; engage with our internal and external stakeholders; and reach new audiences. A key part of the role will be internal ‘customer’ support, collaborating with departments across the charity to meet shared goals in line with Aspens’ strategic objectives.

Key Responsibilities

Campaign delivery

· Collaborate with the operations, fundraising, retail and recruitment teams to create and deliver comprehensive marketing campaigns to promote Aspens’ services, shops/e-commerce, hospitality, events and recruitment and meet shared goals in line with the charity’s strategic objectives.

· Create and deliver internal comms campaigns to drive engagement and increase retention of staff.

· Monitor and evaluate campaign performance by reporting on agreed objectives and KPIs.

Content Creation

· Develop relevant and engaging content to be utilised across channels, including, but not limited to website, social media, internal channels and email, in our shops, Bluebell Café and the community to reach new and existing stakeholders.

· Graphic design - production of assets for marketing purposes.

· Developing marketing and comms bank of photos and video; photography and videography at events.

· Working with external companies to produce marketing collateral (signage, banners, artwork, leaflets, branded items etc.) and managing stock levels of marketing materials.

· Review all materials to ensure alignment with Aspens’ brand guidelines and tone of voice.

Channel Management

• Under direction from Marketing and Communications Manager manage internal and external channels.

• External channels including, but not limited to: Aspens’ website and linked bookings sites; charity social media channels (Facebook, Instagram, LinkedIn and TikTok); supporter communications (Mailchimp).

• Internal channels including, but not limited to: Staff intranet and staff newsletter (Mailchimp)

 

Brand Awareness

Under direction from Marketing and Communications Manager promote Aspens and the impact of our work to relevant stakeholders and audiences. This includes digital and traditional advertising, management of Awards nominations, PR and media.

 

Audience Insight

· Utilise audience data to develop understanding of audiences.

· Carry out research to monitor and keep up to date with marketing and charity trends and best practice to support audience engagement.

· Share insights with Marketing and Communications Manager.
 

Events

• Collaborate with the Business and Income Generation Team to support the planning and promotion of events and represent Aspens at events, some of which may require evening or weekend attendance.

• Work closely with Marketing and Communications Manager and Business and Income Generation Team and build strong relationships with teams across the organisation.

As Senior Finance Officer, you will play a vital role at World Heart Beat, ensuring the effective day-to-day management of finances, financial administration, and bookkeeping, as well as informing future business planning. It is an exciting time for the charity, following the opening of World Heart Beat Embassy Gardens in 2023, our second site for music teaching, which includes a café, concert hall and recording studio. The Role

As Fundraising Systems Coordinator, you’ll play a vital role in ensuring the smooth running of the charity’s fundraising operations. Working closely with the Head of Fundraising, you’ll manage a diverse portfolio of funders, grants, and donations, enabling them to meet fundraising targets and support young people across Gloucestershire.

Key responsibilities include:

• Supporting the implementation and management of a new CRM system to streamline fundraising operations
• Coordinating the submission and reporting of over 80 funding applications annually
• Managing communications and reporting processes for active grants
• Maintaining accurate donor and funder records in line with GDPR

About You

• Experience in fundraising operations, grant management or similar roles
